Handheld Course
This course discusses the Handheld functionality in the Epicor application. This is an easy-to-use, online application
that allows you to enter labor and inventory transactions using handheld RF (Radio Frequency) devices while work
is performed on the shop floor. Transaction entry is rapid and straight forward with the use of a touch-screen,
light-pen, or bar coding technology.
The Handheld functionality provides accurate labor reporting, which is a vital concern in job costing and job
status. Online transaction tracking gives management a current picture of what occurs on the shop floor by
employee and by job. Because the Handheld functionality is integrated with Job Management and Scheduling,
the latest shop floor scheduling issues are always available.
This course reviews the clock in, work queue review, material issue, start and end activity, and clock out processes
that shop employees use handheld devices to perform. Workshops guide you through these processes.
Upon successful completion of this course, you will be able to:
Identify module configuration settings pertinent to the Handheld functionality.
Clock in and out for the day.
Log in and out of a job.
Navigate through the handheld device screen and the available functions.
Perform shop employee tasks such as viewing the work queue and issuing material, using handheld devices.
Start and end setup and production activity.

Read this topic for information you should know in order to successfully complete this course.

Prerequisites
To complete the workshops in this course, the necessary modules must be licensed and operating in your training
environment. For more information on the modules available, contact your Epicor Customer Account Manager
at EpicorCAM@epicor.com. It is also important you understand the prerequisite knowledge contained in other
valuable courses.
Navigation Course - This course introduces navigational aspects of the Epicor application's user interface.
Designed for a hands-on environment, general navigation principles and techniques available in two user
interface modes - Classic Menu and Modern Shell Menu. Workshops focus on each of these modes and
guide you through each navigational principle introduced.
System Flow Course - This course introduces a basic quote to cash scenario that includes the process from
the initial customer quote to final cash receipts and payment of supplier invoices. This course emphasizes the
series of processes that make up the quote to cash process by using a simple scenario to highlight various
transactions. Your organization may have more complex processing routines than those described in this
course.

Before You Begin

Environment Setup
The environment setup steps and potential workshop constraints must be reviewed in order to successfully
complete the workshops in this course.
Your Epicor training environment, in which the Epicor demonstration database is found, enables you to experience
Epicor functionality in action but does not affect data in your live, production environment.
The following steps must be taken to successfully complete the workshops in this course.
1.

Verify the following or ask your system administrator to verify for you:
Your Epicor training icon (or web address if you are using Epicor Web Access) points to your
Epicor training environment with the Epicor demonstration database installed. Do not complete
the course workshops in your live, production environment.
Note It is recommended that multiple Epicor demonstration databases are installed. Contact
Support or Systems Consulting for billable assistance.
The Epicor demonstration database is at the same service pack and patch as the Epicor
application. Epicor's education team updates the Epicor demonstration database for each service pack
and patch. If your system administrator upgrades your Epicor application to a new service pack or patch,
he or she must also download the corresponding Epicor demonstration database from EPICweb > Support
> Epicor > Downloads and install it. If this is not performed, unexpected results can occur when completing
the course workshops.
Your system administrator restored (refreshed) the Epicor demonstration database prior to
starting this course. The Epicor demonstration database comes standard with parts, customers, sales
orders, and so on, already defined. If the Epicor demonstration database is shared with multiple users
(that is, the database is located on a server and users access the same data, much like your live, production
environment) and is not periodically refreshed, unexpected results can occur. For example, if a course
workshop requires you to ship a sales order that came standard in the Epicor demonstration database,
but a different user already completed this workshop and the Epicor demonstration database was not
restored (refreshed), then you will not be able to ship the sales order. Epicor's education team has written
the course workshops to minimize situations like this from occurring, but Epicor cannot prevent users
from manipulating the data in your installation of the Epicor demonstration database.

Log in to the training environment using the credentials manager/manager. If you are logged into your
training environment as a different user, from the Options menu, select Change User.

3.

From the Main menu, select the company Epicor Education (EPIC06).

4.

From the Main menu, select the Main Site.

Workshop Constraints
The workshops in this course can be performed only once in each instance of a restored (refreshed) database. If
a user has already completed these workshops in the database, the database must be restored (refreshed) before
another user can complete this course.

Overview

Handheld Course

Overview
The Epicor Handheld functionality is an online application that allows you to enter labor and inventory transactions
into handheld RF (Radio Frequency) devices while work is performed on the shop floor. This provides management
with a current view of what is occurring on the shop floor by employee and by job.

Other features of the Handheld functionality include:


Work queues have a prioritized work schedule and provide information directly to the shop floor such as part
drawings and job operation information.
Employee pictures display to assist with security.
Hours can be distributed over multiple jobs when one employee performs multiple jobs. Also, when two or
more employees work on one job operation, the hours can be split.
Use of a touch screen and bar code handheld device interface to increase transaction speed when updating
labor and inventory transactions. These methods help reduce data entry errors. Run a labor edit listing to
review labor activity and draw management's attention to potential errors and possible corrections.
Use the Handheld functionality to manage inventory quantities, and related parts, bins, lots, and serial number
transactions directly from handheld devices. This allows handheld devices to utilize functionality that is similar
to the screen-based Manufacturing Execution System (MES) functionality operated on stationary devices (see
below).

Quality Assurance Module Integration


The Handheld functionality can also interface with the Quality Assurance module to enable transactions from
the shop floor, such as:
Non-conformance reporting with accompanying reason codes
Miscellaneous employee job operation comments.
Report setup inspection, first article, and piece counts.
Advanced Material Management Module Integration
The Handheld functionality can also interface with the Advanced Material Management module to provide:
Material requests for raw material to move into work-in-process (WIP).
Material requests for parts to move from one work center to another.
Information on WIP parts at each resource group.
The ability to move WIP parts into inventory or to the shipping dock.

Application Setup

Application Setup
This section reviews configuration factors and maintenance file setup that affects use of handheld devices in the
Epicor application.

Company Configuration
Use Company Configuration to define the module options for companies in the Epicor application. Use these
options to define how this company will interact with the module licensed for it.
When you install the Epicor application, one company record is created by default. You first use Company
Maintenance to define overall options like email setup, document attachments, and external BAQ sources. You
then use Company Configuration to define how the company interacts with the various modules you have
licensed.
Tip You can purchase a Multi-Site license that enables you to set up multiple companies within Company
Configuration. To do this, first create the company within the Epicor Administration Console. You can then
display the new company in this program and configure it as necessary.

Workshop - Review Company Configuration Settings


In this workshop, review some of the Company Configuration settings to understand their relevance to Handheld.
Navigate to Company Configuration.
Menu Path: System Setup > Company/Site Maintenance > Company Configuration
1. Navigate to the Modules > Production > Data Collection sheet.
Use the Data Collection sheet to define the options for the Data Collection module (which includes Handheld
and MES functions). The Data Collection module configuration settings also define many job defaults.
2. Verify the Calc Idle Time check box is selected.
This check box indicates that the Epicor application should generate idle time entries for logged in employees
when using the Handheld or MES functions. Idle time records are the difference between employee total
time and the sum of all the detail labor transactions reported.
3. In the Default Site field, verify Main displays.
4. Verify the Prevent First Article Bypass check box is selected.
This check box indicates that materials finished through the Work Queue, if marked for First Article inspection,
should be forced to go through First Article inspection.
5. Verify the Consider Grace for Labor Detail check box is selected.

This check box indicates that system-adjusted clock-in and clock-out times should appear on the Labor Edit
Report. If the check box is cleared, when there are late clock-ins and early clock-outs, only the actual clock-in
and clock-out times appear on the Labor Detail Report. This setting applies only to late clock-ins and early
clock-outs.
6. In the Clock in Allowance Time pane, in the Early field, enter the number of minutes before (Early) a
scheduled shift starting time that an employee can clock in and still be considered as starting at the shift
start time.
These determine the system-adjusted Clock-In times during Labor Entry or Data Collection Entry.
Example You define the early clock-in allowance time as 10, and the late clock-in allowance time
as 2. Your first shift starts at 7:00 a.m. if John clocks in at 6:50, his clock-in time will be adjusted to
7:00, since it is within the 10-minute early allowance. If Jane clocks in at 7:03, her clock-in time will
remain at 7:03, since it is not within the two-minute late allowance.

7. In the Clock Out Allowance Time pane, in the Early field, enter the number of minutes before (Early) a
scheduled shift ending time that an employee can clock out and still be considered as ending at the shift
end time.
Example Your first shift ends at 4:00 p.m, you define the early clock-out allowance time as 0 and
define the late clock-out allowance time as 12. If John clocks out at 3:59, his clock-out time will not
be adjusted, since you have not defined an early clock-out allowance time factor.

8. In the Clock in Allowance Time pane, in the Late field, enter the number of minutes after (Late) a scheduled
shift starting time that an employee can clock in and still be considered as starting at the shift start time.
Enter Late minutes. These determine the system-adjusted Clock-In times during Labor Entry or Data Collection
Entry.
Example You define the clock-in allowance time as 10, and the clock-in allowance time as 2. Your
first shift starts at 7:00 a.m. John clocks in at 6:50. His clock-in time will be adjusted to 7:00, since it
is within the 10-minute early allowance. Jane clocks in at 7:03. Her clock-in time will remain at 7:03,
since it is not within the 2-minute late allowance.

9. In the Clock Out Allowance Time pane, in the Late field, enter the number of minutes after (Late) a
scheduled shift ending time that an employee can clock out and still be considered as ending at the shift
end time.
These determine the system-adjusted Clock-Out times during Labor Entry or Data Collection Entry.
Example You define the clock-out allowance time as 0, and the clock-out allowance time as 12.
Your first shift ends at 4:00 p.m. John clocks out at 3:59. His clock-out time will not be adjusted, since
you have not defined an early clock-out allowance time. Jane clocks out at 3:08. Her clock-out time
will be adjusted to 3:00, since it is within the 12-minute late allowance.

10. Click Save.

Employee Maintenance
Use Employee Maintenance to create an employee record. Employees perform work on jobs and enter labor
in Time and Expense Entry. If an employee is connected to a User ID, the associated password is required for the
employee to log into the Handheld functions or the Manufacturing Execution System (MES).
Employee Maintenance is most valuable if you do not have the Payroll module. The Job Management module
uses an employee file separate from the Payroll module.
If the Payroll module is installed, enter employees. They automatically display in the Employee file, where you
can activate other fields. If necessary, update the employee details. When you update employee details in the
Payroll module, the employee record updates automatically.
An employee added to Payroll Employee Maintenance cannot be added again in Employee Maintenance. If
you select the Active Employee check box in Payroll Employee Maintenance, the employee is automatically
part of Employee Maintenance. You can always return to Payroll Employee Maintenance to select this check
box.
An employee can start a shift when the payroll administrator is unavailable. In this scenario, the employee is
entered in Employee Maintenance to allow them to record time. The payroll administrator can pull the entry into
the Payroll module at a later time. Temporary employees who report time must also be entered in Employee
Maintenance.

Workshop - Modify an Employee Record


In this workshop, modify Linda K. Carter's shop employee record so the Manufacturing Execution System functions
are available for the remaining workshops. This is not a function shop employees perform.
Navigate to Employee Maintenance.
Menu Path: Material Management > Data Collection > Setup > Employee
1. In the ID field, search for and select Linda K. Carter.
2. In the Status section, select the check boxes. This allows the employee to access to specific functions
throughout the Epicor application. For example, selecting the Material Handler check box allows access
to the material handing functions in Handheld and MES, while selecting the Production Worker check box
allows access to production functions.

on your handheld device.

The Epicor Handheld Menu contains the following submenus:

Handheld Labor Programs


When you select 2-Labor on the Epicor Handheld Menu, Labor submenu displays, and the following labor
programs are made available for use on your handheld device.

1-Clock In
Use the Clock In option to clock in an employee. When a shop employee arrives for the day, he or she must log
in (or clock in) to the handheld device to report his or her arrival for that day.
2-Start Indirect
Use the Start Indirect option to start indirect labor activity. Indirect Labor is time that is spent not working on a
specific job. Sweeping the floor and doing machine maintenance are examples of indirect labor.
3-Start Production
Use the Start Production option to enter job operation information for a production activity.
4-Start Setup
Use the Start Setup option to enter job operation information for a setup activity.
5-Start Rework
Use the Start Rework option to start rework activity on a job.
6-Work Queue
Use the Work Queue option to sequentially view all operations assigned to the logged in shop employee.

Workshop - Clock In
At the beginning of each day, an employee must clock in to the handheld device to report indirect time or direct
time. In this workshop, sign in as Linda Carter (shop floor employee).
Important For this workshop, the virtual handheld device is used.
Navigate to the Handheld Menu.

1. In the Employee ID field, enter 106 (Linda Carter).


2. Click Login or press F2.
3. Click the Clock button.
The Clock In window displays. Notice Linda Carter is clocked in by default.
4. Click the Close button or press ESC.
5. Remain in the Epicor Handheld.

Workshop - Review the Work Queue


Linda Carter needs to review the work queue to determine the job operations that are available for selection. In
this workshop, review the work queue for Linda Carter.
1. In the Epicor Handheld menu, click 2-Labor to display the Labor submenu.
2. In the Labor submenu, click 6-Work Queue.
The Work Queue window displays job 2031 assigned to Linda Carter.
3. In the Type field, Production displays.
This means that production on Opr 10 has already started.
4. Click the Close button to return to the Handheld Labor submenu.
5. Click the Back button (white left arrow within a green circle) to return to the Main Handheld menu.
6. Remain in Epicor Handheld.

Workshop - Start Operation Setup


In this workshop, start the machine setup for Job 2037, Operation 10, and review the work queue again.
1. In the Epicor Handheld menu, click 2-Labor to display the Labor submenu.
2. In the Labor submenu, click 4-Start Setup.
The Start Setup Activity window displays.
3. In the Job field, enter 2037 and press Tab.
4. In the Asm field, verify 0 displays.
5. In the Opr field, enter 10 and press Tab.
The SAW operation details display.
6. Click Save or press F2.
7. In the Labor submenu, click 6-Work Queue.
The Work Queue window now also displays Job 2037. This is because the production setup has started.

8. Click F4 to display Job 2037.


9. Click the Close button or press ESC.
10. Click the Back button to return to the main Handheld menu.
11. Remain in Epicor Handheld.

When you select 3-Material Handling on the Epicor Handheld Menu, the Material Handling submenu appears,
and the following material programs are made available for use on your handheld device.

Handheld Material Handling - Inventory Process Programs


When you select 2-Inventory Process on the Material Handling submenu, the Inventory Process submenu

Count Entry (Handheld)


Use Count Entry to add or update the physical count information for count tags or sheets in a selected cycle
sequence.
If the tag for which a count quantity is being entered was not originally generated as a blank tag, you cannot
change the displayed part number, bin, lot, unit of measure, or serial number information. Before you enter
count quantities for a tag or sheet, you must:
Create a cycle count schedule in Cycle Count Schedule Maintenance.
Use the Generate Tags selection from the Count Cycle Maintenance Actions menu to generate tags for the
cycle sequence.
Use the Start Count Sequence selection from the Count Cycle Maintenance Actions menu to start the cycle
sequence.

You can use handheld devices to issue job material only if the Advanced Material Management license is installed
in the Epicor application. Once this license is installed, use Shop Employee Maintenance to mark shop employees
as Material Handlers and allow them to use handheld devices to issue or move material on the shop floor.

Before you can start to work on a job, materials must be issued to the job operation on which you are going to

1. In the Epicor Handheld window, click the Back button twice until the 3-Material Handling option displays.
2. Click 3-Material Handling.
3. Click 3-Outbound Process.
4. Click 2-Issue Material.
The Issue Material window displays.

2. In the Labor submenu, click 6-Work Queue.
The Work Queue window displays two jobs, 2031 and 2037.
3. Verify Job 2031 displays.
4. Click the End Activity button or press F2.
The End Production Activity window displays.
5. In the Current field, enter 50 and press Tab.
6. Click Save or press F2.
If the Operation is over estimate. Do you want to continue? message displays, click Yes. This means
that a higher product quantity was produced then originally planned.
7. In the Work Queue window, verify Job 2037 displays.
8. Click the End Activity button or press F2.
The End Setup Activity window displays.
9. In the %Cmp field, enter 100 and press Tab.
This percentage means that the machine setup for Operation 10 is now 100% complete.

Use Material Queue to view all current queued unprocessed material movement requests. Several programs
(such as Receipt Entry, the Fulfillment Workbench and the Replenishment Workbench) automatically generate
these requests for items that have to be physically moved from one location to another. When you select specified
queued material transactions in the Material Queue, they also appear in My Material Queue (located on the
same Handheld Material Handling menu as the Material Queue), for processing of specific transactions by the
currently logged on user.

My Material Queue (Handheld)


Use My Material Queue to review material requests assigned for the current user, process them, and print tags
for them. These are material requests that have been previously selected in the Material Queue for the currently
logged in user.

Process by Queue ID (Handheld)


Use Process by Queue ID to process an item by Transaction ID or Queue ID, which you enter. This window is
valuable to directly process an item without first navigating to it.
When you access a transaction, the Epicor application sets the Transaction Status to USER-LOCK in the Material
Queue Manager and the Material Request Queue; this prevents other users from accessing the same transaction
at the same time. If you do not complete the transaction and release it, this status is automatically set to RELEASED.

Auto Select Transactions (Handheld)


Use Auto Select Transactions (Handheld) to select the next transaction that needs to be completed in the
warehouse for the logged in user. It allows shop/warehouse personnel to view and complete queued transactions
without having to interact with a manager to retrieve a Transaction ID or Queue ID, or having to log into the
Material Queue and select transactions for processing.
This program displays the next five transactions that are queued for the logged in shop floor/warehouse user,
based on the priority coding assigned by a manager. The Epicor application generates the list of the transactions
based on the warehouse team to which the user is assigned in Warehouse Team Maintenance, and the allowable
types of transactions that can be assigned for warehouse team. The same five queued transactions continue to
appear on the handheld device until the original transactions are completed or until the user logs out of the
device.

UOM Split/Merge (Handheld)


Use UOM Split/Merge to split an inventory quantity expressed in a specific unit of measure (UOM) into one or
more alternate unit of measure quantities or to merge inventory quantities expressed in several alternate units
of measure into a single unit of measure quantity. It can only be used for parts for which the Track Multiple
UOMs check box has been selected in Part Maintenance.
To display the Split UOM sheet, enter the part, warehouse, bin, lot, and quantity/UOM code and click the Save
or Merge button. Use the Split UOM sheet to select or enter specific merge or split quantities for each alternate
UOM code.
Example Use a Split UOM transaction to break down a quantity of 100 base units stored on a single pallet
into one Bag (with two base units), one Box (with four base units), nine Cases (with 10 base units each or
90 total), and four Each. Conversely, if your inventory is originally stored in Bags, Boxes and Eaches, you
can use the Merge command to merge them into a single Pallet of 100 base units.
When you save the transaction, the Epicor application uses the conversion factors defined in UOM Class
Maintenance to determine if the quantities selected to merge or split add up to the resulting UOM merge/split
quantity. This transaction has a net affect of zero on the total physical on-hand inventory quantity for the part.
The program updates two or more part on-hand tracking records and creates STK-ADJ PartTran records to reflect
the changes.

Kanban Receipts (Handheld)


Use Kanban Receipts to report production quantities to create a Kanban job and receipt of material.
Note For more information on the Kanban functionality, review the Kanban Implementation topic in the
Application Help.
Based on entered information, the Epicor application generates a job, pulls methods, and backflushes all materials
and labor to complete a job. This program also includes any subassembly that uses bills of material (BOMs). It
then adds the good quantity to Finished Goods inventory, scraps the scrap pieces, and moves discrepant pieces
into Quality Assurance (QA) inspection. If no pieces are discrepant, the application closes the job.
Kanban Receipts also handles processing of lower level lot tracked component and phantom BOM parts. The top
level assembly parts themselves can be non-tracked, lot tracked or serial number tracked.
If the top level assembly contains a bill of materials with one of more lot tracked components, a Lower Level
Job Materials window displays after you click Update in Kanban Receipts.
Lower Level Job Materials prompts for entry of lot numbers for each of the lot tracked components. If the
specified lot does not have enough quantity to fulfill the required Kanban quantity, you must enter multiple
lot numbers to cover the requirement.
Note If any of the lower level components in the method of manufacturing defined the part are flagged
as serial tracked, Kanban Receipts does not create material transactions for that component in the completed
job.
Note An error message appears if you attempt to enter an assembly part number designated as a Pull as
Assembly item in the Engineering Workbench > Method of Manufacturing > Materials sheet. This
processing restriction applies regardless of the type of components (normal, lot tracked or serial tracked)
associated with it.

When you select 4-Shipping / Receiving on the Epicor Handheld Menu, the Shipping/Receiving submenu
displays, and the following shipping/receiving programs are made available for use on your handheld device.

1-Inbound Process
Use the 1-Inbound Process option to display the Inbound Process submenu. The submenu contains the following
programs:
Container Arrival - Handles the arrival of all container lines for a specified Container Shipment ID. You can
only mark the entire container as Arrived. You cannot process individual lines or update any details.
Container Receipts - Handles the mass receipt of all container lines or individual lines from a given Container
Shipment ID.
Intercompany Receipts - Receives an intercompany shipment.
PO Receipts - Receives a shipment from a purchase order.
Transfer Order Receipts - Receives a transfer order into this company, shipped from another company.
2-Outbound Process
Use the 2-Outbound Process option to display the Outbound Process submenu. The submenu contains the
following programs:
Confirm Customer Shipment - Confirms shipments that have not been confirmed.
Master Pack - Combines separate pack IDs (master packs) into one master pack group to ship as one shipment.
Confirm Misc Ship - Confirms and receives miscellaneous shipments that were sent in Miscellaneous
Shipment Entry.
Confirm Subcon Ship - Confirms subcontractor shipments.
Customer Mass Ship - Mass process customer shipments.
Picked Orders - Ship orders that have been picked.
Transfer Order Shipment - Enters pack information and make the shipment.
Packout - Processes pack, and unpack Pack IDs.
