Introduction
The topic that I have elected to manage as my course project management project is one
called The 7-Eleven Project, which took place last week here in Las Vegas, NV at the MGM
Hotel and Casino. I chose this particular project because I was directly involved with it as a
Computer Technician. The project was well organized, planned out, and a highly visible event
for the workers and Project Managers on site. There were executives from Microsoft, Lenovo,
and 7-Eleven on site from time to time to evaluate the progress of the project. Being involved in
a project like this was something I did not want to pass on; this project consisted of
approximately 26 Technicians, 2 Leads, and 8 Admin personnel to migrate user profiles, data,
and settings from 7-Eleven employees old Dell computers to their new Lenovo ThinkPad Helix
(Laptop/Tablet). The goal was set at accomplishing the migration of 400 systems per day as well
as deploying the new systems back to the 7-Eleven employees in a three day period, totaling
roughly about 1200 systems to migrate.

Scope Statement
This project will include a combined effort between the client; 7-Eleven, Vendors;
Microsoft and Lenovo, Staff Recruiters; Smart Source Inc., IT Staff both 7-Elevens IT Staff and
Computer Techs Hired for the Migration. There will be 1,200 Dell Laptops running Windows
XP that will be dropped off by 7-Eleven employees within a four day period in order to have the
user profile and data migrated to a new Lenovo Helix Laptop/Tablet. Once the old laptops are
dropped off, the Computer Techs will verify the laptop with its documentation, then proceed to
migrate the users data, once the data is successfully transferred the user will be contacted to
return and sign for the new laptop and will be shown how to use it. The goal is to complete 400
laptops per day in order to meet the time frame. There will be a Triage station setup in all three
of the rooms used for the migration of laptops. The main focus of the triage is to tend to the old

systems that are having difficulty transferring data in order to not keep the computer techs
spending too much time on any one machine.

Project Statement of Work (SOW)

This is the statement of work in which describes the organizations necessity for this
project; the end of life cycle for Corporate Manager Laptops has been reached. Therefore it is
necessary for 7-Eleven to purchase new equipment that requires a User Profile migration plan to
take place. The new equipment will allow 7-Eleven to be ahead of its competitors and increase
managers productivity. Although there may be some initial overhead costs, the returns will pay
for themselves in productivity and sales.

Communication Plan
The Communication Plan will be the means by which the Project Manager can track and
manage the work flow of the project by Information Distribution, Performance Reporting, and
Administrative Closure.
Information Distribution

How the Computer Tech Teams will be working for the day
o How the Computer Tech Teams are divided between the three
rooms used for migrating the computers.
o What time lunch is for each team.
The info will be disseminated at the start of every day and every shift, if
there is a change, personnel will be contacted via cell phone, Txt message,

or email.
The individual that is responsible for disseminating project information to
employees are the Project Leads of that particular group for which the
individuals belong.

Performance Reporting

All stakeholders, as a requirement must respond to any information

disseminated either by txt, email, or phone call to verify that they
acknowledge the information. If information is given out during an
informal meeting no verification is required, if during a formal meeting

those attending will be required to sign-in to verify their attendance.

The flow of Project Communications:
Project Managers
Project Leads
Employees
Status, Progress, and Forecast Reports are covered here and will be given
out whenever there is a change or a milestone is reached.

Administrative Closure

Projects success or failure will be reported here depending on the projects

progress.
A Projects documents will be organized and properly archived along with
the Projects Lessons Learned Report.

Risk Analysis and Mitigation Strategy

The purpose of Risk Analysis is to determine each identified risk's probability and impact
on the project. A Quantitative and Qualitative approach will be the best methodology to utilize
for an Information Technology Project Risk Analysis. The strategy used for performing this type
of risk assessment is as follows:

Have a Risk Management Plan developed

Assemble a Risk Assessment Team
Generate a list of risks
Rationalize the list of risks
Prioritize and Rank the risks according to severity
Write a Response Plan for the Risks
Review the completed process
Set a policy in place to ensure the review of the Risks are done periodically

Below is an illustrated version

of the overall Risk Analysis process as opposed to the more detailed broken down version above
that is focusing on the Quantitative and Qualitative portion of the Risk Analysis Plan. The
Quantitative and Qualitative methodology is more or less the meat and potatoes of this particular
Risk Analysis as would be a Risk Simulation Model or Monte Carlo Analysis methodology for
Risk Analysis.

Mitigation Strategy
After using the Risk Analysis Strategy and finding the potential risks and categorizing
them the next step would of course be to develop a Mitigation Strategy to counteract any risks
that you may have found or vulnerabilities that may affect your project. Below is the Mitigation

Mitigation Strategy
Mission Statement

Ensure to set Project Objectives, Milestones, and a Budget that are

achievable and that meets the needs of the organization as well as the
End-Users.

Application Compatibility Policy

Verify that all data that is being transferred from Windows XP to

Windows 7 is compatible during the testing phase.

Deployment and Migration Policy

Create a Step-by-Step guideline for the Computer Techs to follow in

order to avoid any mistakes, delays, and to limit any potential for
unforeseen issues during the deployment and migration process.

Cost and Resource Analysis

An Analysis should be done in order to identify any additional costs

outside of the Budget and any impact that can be reduced by devising
a strategy against it.

Pilot Project

Before initiating the Planning Process address all the stakeholders for
their input on the project. This will help identify any ideas that may be
beneficial to the deployment of the project roll-out at the worker level.

End-User Post-Migration Analysis

Conduct a Post-Project Analysis of the Compatibility, Migration, and

Cost of the Project in order to make improvements for future projects.
