Introduction:
A presentation is a means of communication which can be adapted
to various speaking situations, such as talking to a group, addressing a
meeting or briefing a team. Presenting informations, ideas, concepts or
issues effectively and clearly to a group or audience.
Presentation is used in most of the fields like Educational
institutions, Business organisation, Government offices etc. Presenting
skills are required in almost every field. Making presentation is a way of
communicating your thoughts and ideas to an audience.

Aspects in development of a good presentation:


Subjects centered (Material)
Audience centered (Audience)
Self centered (Self)

Key factors of presentation:

Who is your audience?


What do you want to present (content)?
Why do you want to present (purpose)?
Where will you be presenting (place)?
How do you want to present (words to be used or slides to be used)?

Steps involved in presentation:


1. Audience Analysis:

What is the audience interested in?


What does the audience want?
What does the audience already know and needs to know?
What are their needs, expectations from this presentation?
How will the audience benefit from this presentation?

2. Preparation:

Structure the content in line with the audience's needs.


What do you want to tell the audience?
What is your objective?
Prepare keeping in mind on the time alloted.
Anticipate the questions and prepare for presentation.
Collect material from variety of sources.
Arrange points logically and sequentially.

3. Structuring the presentation:


Time assignment- 2-3 mins for opening /beginning, 20-25 mins
for middle section, 2-3 mins for closing section, 5-10 mins for
answering the questions.
Sequence should be logical and understandable.
Interim summaries- Recaps.
Value of visual aids- flip charts, handouts etc.
Use the 4 P's - Position, Problem, Possibilities, proposals.

4. The Beginning:
Talk naturally to the audience- Read short passages, avoid
reading from script for the majority of your presentation.
Stand, rather than sit, and move around but avoid pacing
backwards.
Vary the tone, pitch and volume of your voice to add emphasis
and maintain the audience's interest.
Aim to speak loudly and clearly while facing your audience.
Make your eye contact with your audience- Do not stare the
podium and avoid looking directly at any one person for more
than a few seconds, gain eye contact with the individual
members of the audience.

5. Visual aids:
Use visual aids where appropriate graphs and charts, diagram,
pictures and video but dont overdo it.
Visual aids should help to illustrate and strengthen your points
not be a distraction from what you are saying.
While using the over head projector face the audience while
talking and point with pen.

6. Timings:
Rehearse your talk and check your timings.
Always aim to finish you talk in time remembering to allow
time for questions if appropriate.
Stay focused throughout your presentation- avoid

irrelevance and unnecessary detail.

7. Sensitivity to the audience:


"see" the audience
Take non-verbal feedback- congruent and non-congruent body
language.
Modify to meet audience needs
Don't just make it as a presentation.

8. Verbal Communication- barriers:

Speaking too fast.


Using Jargon.
Tone and content.
Complicated or amiguous language.
Not questioning.
Physical state of the audience.

9. Handling questions:
Learn to channel any nervous energy, relax but stay alert.
Do not get confused, You are not supposed to know
everything.
Anticipate and keep answers ready.
Something questions themselves give you a lead to highlight
your point of view.
Answer any questions as honestly and concisely as you can.

The Closing:
Last 2 to 3 mins are as critical as the first 5 mins for a
successful presentation.
Summarize- highlight important points.
Suggest action- what to do and when,where and how to do.

Conclusion:
The one who performs the presentation; he/she must always be
prepared with various information and have the ability to satisfy the
audiences needs by interacting with them without any fear.
