PHYSICAL SURVEY

Physical Survey is defined as the technique by management to inspect every


areas of the specific department to determine their smooth running operation
and effectively utilising budgets.
In Housekeeping, The Executive Housekeeper inspects every micro-detailing of
its department and ensures that every function is carried out properly and
checks every area whether it is cleaned, maintained, aesthetically maintained or
not.
Eg. If the total area of hotel which is under control of Housekeeping department
is 1000 sq.ft. Then selection of equipment and cleaning agents which is to be
used for smoothly functioning of department and procurement of budget and its
effective utilisation comes under physical survey.

SPECIFICATION
Specification is defined as detailed description of the procedures, equipment,
agents, process, service, system or work which the organisation must deliver.
It is the procedure where the EHK has to specify two main area i.e.

Each and every area must be clean at one time.


Which equipment and solutions will be require to clean their area.
WORK SCHEDULE/SCHEDULING
It means the process of making the process of chart of the employees for
the duty timings amd duty roasters according to duty timings and duty
roasters according to workload of the organisation. There are three steps
of scheduling.
STEP 1: Prepare morning chart.
STEP 2: Preparation of duty rota.
STEP 3: Preparation of work schedule.
STEP 1: Prepare morning chart
It means how many number of employees are required for each
department. In hotel the no. of employees are divided according to the
number of room and total area of the hotel.
STEP 2: Preparation of duty rota.
To prepare duty rota, Executive Housekeeper have decided what kind of
shift should be present and timing of the shift and total no. of employees
coming for each and every shift.
STEP 3: Preparation of work schedule.
Finally the Executive Housekeeper prepare the work schedule for the
employees the Executive Housekeeper has to remember the following
points :-

Work Load of the hotel.


24*7 Rule.
No leave on festive season.
Minimum off given for weekends.
No employees will do same shift continuously for more days.
More no. of employees to be taken employees to be taken for crisis
management.

DUTY ROTAS
Duty Rota is defined as the list showing when the person has to do a particular
job in specific period of time.
The objective of duty rotas are:

The number of leaves (off) to be equal.


The amount of work done by an employee should be equal for other
employees on same designation.

In 5 star hotel there can be four types of shifts:


STRAIGHT SHIFT
This is kind of shift where the person has to work continuously within the
shift hours, although the person will get breakfast, lunch, snacks and
dinner break.
Eg: Morning, Afternoon, Evening, Night and General Shift.
BREAK SHIFT
If the total shift hour is divided into two parts then it is called break shift or
split shift.
Eg: If the swift hrs is 8hrs and one person has to come in the morning for 4
hrs and 4 hrs in Night.
ROTATING SHIFT
If the shift for a group of employees with either clockwise or anticlockwise
and maintained a particular duration of time then it is called rotating shift.
ALTERNATE OR ALTERNATIVE SHIFT
If the shift for a alternative week after specific duration of time then it is
called alternative shift.
