Dear Instructor/Academic Advisor/Student
The below document has been prepared to list the rules introduced in
OBKAS course registration system over time. The date in parenthesis
indicates the semester in which the rule is enacted for the first time.

INSTRUCTORS:
Consents
1- The Instructors access to give consent for their courses will be
closed 2 hours before the registration system is closed for
students access. (Spring 2013)
2- Under the Consent Request page, the instructor may sort the
student list by clicking the corresponding header. (Spring 2013)
3- Instructors access to the transcript of the student requesting
consent will be limited to the registration period. (Fall 2013)
4- In case of simultaneous consent requests made to multiple sections
of a course, as soon as the student adds one section of the course to
her/his program the system will automatically revoke the remaining
consent requests. (Fall 2013)
5- The consent approvals have lifetime of 24 hours. If a course is not
added to the program in 24 hours after its consent approval, the
consent approval will automatically be revoked by the system. (Fall
2013)
6- Once approved, consent request may not be rejected or deleted.
(Fall 2014)
7- Consent Stats has been added to the Consent Request page. By
clicking Consent Stats the instructor may view various statistics
about his/her consent activities in the current registration period.

8- Under the Consent Request page, the instructor may send the
student request to a shortlist by clicking shortlist. (Fall 2014)
9- Under Course Description and Syllabus page, a new feature
Consent Notice has been added. The information entered here by
the instructor will be shown to the student who is requesting consent
for the course before he/she sends the request. (e.g: Do not send a
consent request if you are not a student in the Faculty of
Engineering.) (Fall 2014)
Other

1- When an instructor sends a message to the students enrolled in the


course, there will be a Bcc entry box where the message can be
forwarded to other parties by entering their email addresses (TAs,
instructors of other sections, etc.). (Spring 2013)
2- The file size limit for the course syllabus uploads is set at 1.5 MB.
(Spring 2013)

ADVISORS:
Program Preparation and Approval
1- Except those who are in senior status, undergraduate students
(including those on probation and repeating status) who take a
total amount of courses with less than 11 credits worth are required
to have the approval of the University Executive Committee to
complete their registration; those who take 11-14 credits worth of
courses are required to have the approval of the Faculty/School
Executive Committee to complete their registration. Such students
will not be able to send their underloaded course programs to the
advisor approval. Advisors will not be able to approve the
underloaded incomplete programs. (Spring 2013)
2- Failed courses for which the prerequisite has been waived by the
instructor and Faculty/School Executive Committee, will not be
automatically loaded to the students program. The waiver decision
must be renewed every term. (Spring 2013)
3- Students in repeating status will have to take their failed courses as
soon as they are offered. However, for students whose failed course
credits exceed the average term credit of their program, the failed
courses will be automatically and serially loaded to their program
according to the date of the first enrolment to the course. Ties will
be broken alphabetically. The instructor will receive a warning
message, which will list all the courses the students have failed.

4- The automatic pre-loading of required courses for freshmen will only
be made for students who are starting their program in the Fall
semester (i.e.: regular students). For those students, the required
courses in the first semester of their curriculum will be automatically
pre-loaded in the Fall semester and the required courses in the
second semester of their curriculum will be automatically pre-loaded
(provided that they have satisfied the pre-requisites) in the Spring
semester. Those students cannot drop these courses, however they
can make section changes, and they can add new courses before
they sent their program to their advisors for approval. (Fall 2014)
5- The automatic pre-loading of the required courses with F grade will
be done only if the course is offered to the students department in
respective term. [Spring 2014]

6- Term count filter have been added to student approval lists. Advisors

may filter the lists by preparation or 1st, 2nd, 3rd, 4th classes. (Fall
2014)
Course List Planner
1- Course name will be displayed when mouse is rolled over a course.
(Spring 2014)
2- DM (Double Major), Minor (Minor Program), Certificate (Certificate
Program) indicators have been added to student lists. Name of the
departments are displayed when mouse is rolled over these
indicators. (Spring 2014)
Co-Advisors
1- In case a student has been appointed more than one academic
advisor, only one of them will be given the permission to
approve/reject students program. (Spring 2013)
Minor Programs
1- The Major Program advisor can see the curriculum of the minor
program that the student is registered. (Fall 2013)
2- Student registered to a minor degree should mark the courses that
are taken as part of the minor programs requirement before sending
her/his program for advisors approval. (Fall 2013)

STUDENTS:

Program Hazrlama ve Onay
1- Son snf statsnde olan lisans rencileri dnda (snamal ve
baarsz statdekiler dahil), 11 kredinin altnda ders alacak
renciler niversite Ynetim Kurulu onay olmadan, 11-14 kredi
deerinde ders alacak renciler Faklte/Yksekokul Ynetim Kurulu
onay olmadan kaytlarn tamamlayamazlar. Bu durumda olan
renciler, ilgili ynetim kurulu karar olmayan az ders ykl
programlarn danman onayna gnderemezler. Danmanlar ilgili
ynetim kurulu karar olmayan programlar onaylayamazlar. (Bahar

2- nkoul krma kararlar dnemliktir. nkoulu krlarak alnm bir
dersten F notu alnm ise ders rencinin programna otomatik
olarak yklenmez. (Bahar 2013)
3- Baarsz durumda olan rencilerin F notu aldklar zorunlu dersler
programlarna otomatik olarak yklenirken, eer ortalama dnem
kredisi alyorsa, dersler en erken alnm derslerden balanarak
srasyla programa yklenir. Ayn dnem alnm birden fazla ders
bulunmas durumunda alfabetik srayla yklenir. rencinin F notu
olan ve tekrarlamas gereken tm derslerin listesi uyar mesajnda

4- Birinci snf rencilerinin zorunlu derslerinin otomatik yklemesi


programa Gz dneminde balayan renciler iin yaplacaktr. Bu
rencilerin Gz dnemi programlar Gz dnemi kaytlarnda
yklenecek, n koullarn saladklar Bahar dnemi dersleri Bahar
dnemi kaytlarnda otomatik olarak yklenecektir. renciler bu
dersleri brakamaz, ancak ube deiiklii yapabilirler. Programlarn
