Overview
In SAP workflow, There are several standard columns in the workflow inbox
(transaction SBWP) that displayed essentially determine the appearance and
information content of the workflow inbox of the business workplace e.g.
Executable, Title, Status, Creation Date and time and so on. SAP business
workplace has an option to include the dynamic columns in workflow inbox display
which gives more precise information to the end user for their execution of work
item.

Scenario: Display Sales document details in Dynamic Column


The below example will explains how to display dynamic columns for the work item
in the SAP Inbox. Here, whenever the sales document is created, the workflow will
trigger and send work item to the users for commercial validation. The work item
appears in the inbox of the user with standard information for the task. The
Business wants to see the below sales information before validating the workitem
in their inbox. Thus, we need to configure the dynamic columns for the values,

Employee Responsible and

Now the user can able to see above the information in the workitem itself without
opening the sales document. This will help in the process where the approver or
the user wants to have a summary of some details at the first look of the work
item.

About Dynamic Column and Limitation


To access the dynamic columns you open the workflow inbox via transaction SBWP
and choose the Select Layout button and select 'Change layout'. If you scroll down
further in the Column Set section you will see 6 entries with 'Dynamic Column'
(With note 1659252 the number of dynamic columns was doubled from 6 to 12.
These are the 6 or 12 entries that can be customized in order to display data from
specific task containers.

Need to specify an element from the task container for each task, from which the
content of the column is established at runtime. Work items that belong to
different tasks are then also displayed with different information. Work items
belonging to tasks that are not used for these functions are displayed as empty
entries.

How to Configure Dynamic columns


Go to transaction SWL1 and Click on New Entries button.

Specify the username and the task number of the display activity and press enter.
Here you can mention a specific user name or mentioned as * for all the users.

Press F4 on Attribute field and able to see the all the container of the task. Select
the container element for Sold-to-Party name and specify a header for this
column. Simillarly for Transaction type, Sales office, Pricing Class L1, Employee
Responsible and business units are defined based on customer requirements.
Save the entries.

Testing after configuration


1. In order to replicate the dynamic columns, Click on change layout

2. Here, you can see the new columns are added to the column set.

3. Now move all the new columns to displayed columns and save the layout.

4. Once saved you can see the columns in your inbox.

Note: The column names will be displayed based on task and header specified
in the configuration SWL1. If the work item is not relevant to the defined task,
then system will use Dynamic Column as the header.
