Exhibitors Key Information Guide

Please take a moment to read this comprehensive exhibitors guide which has been designed to make
clear all that you need to know about your involvement at The UK Wedding Event at York Racecourse
on Sunday 20th March 2016.

When can we setup our stands?

Exhibitors will have access to the venue from 13:30 on Saturday 19th March 2016, until approximately 6pm.
Please be aware that our shell scheme team will be on site too setting up the stands and staging area, so
we would appreciate prior warning of your arrival time. Emma ONeill is your main point of contact on the
Saturday and can be reached on 07786 025371.
The building is locked overnight with on-site security but it should be noted that goods left prior to the
event at York Racecourse are done so at the exhibitors own risk.

Bright and early start on Sunday morning!

Most exhibitors are planning to setup their stands for The UK Wedding Event on the day, and access
to the venue on Sunday will be permitted from 7:40am onwards. We advise an early arrival so you are
not rushing around when visitors are coming in.
Our staff will be at the venue to help unload and direct you to your exhibition space.
A badge stating that you are an exhibitor with The UK Wedding Event will be issued upon your arrival
and must be worn at all times for identification purposes.

Exhibitor Parking/Unloading
All exhibitors are advised to use the parking facilities behind the Knavesmire Stand for speed and ease
of access when unloading equipment. Please enter York Racecourse through the main entrance, come
down to the end of the buildings and use Gate 9 to access the venue.
Turn right after the Portaloos and follow the road around until your reach the parking area. If you need any
assistance locating where to go, please dont hesitate to ask a member of our staff.
Please do not leave any vehicles in the front courtyard as this area is strictly reserved for outdoor exhibitors.

Dressed for Success!

We often get asked how best to dress your shell scheme

stand and our advice is always the same. Make your
stand reflect your personality and business, as well as
making the best use of the space you have available.

The more effort and love you put in, the better the
impression you give off to potential customers. Dont
arrive too late, and then have to run around getting

setup. Make sure you arrive at the venue in good time

to ensure that you are ready for the start.

Use pop-up roller banners, posters, and even

drapes or throws to make your stand look the
part, but above all else, enjoy yourselves and get
chatting!

Love on the Mezzanine Level

As ever we have been inundated with interest from wedding suppliers expressing a desire to be part of The UK Wedding
Event and not everyone has elected to go on the ground floor.
On the Mezzanine Level, you will once again find a number of fantastic businesses who have signed-up for an upper
level stand and hopefully by viewing these images below, you will be able to form a better idea on what to expect.

I would also advise that patience is the key if you are exhibiting
upstairs for the first time, as the visitors do make their way to the
second floor, but they wont necessarily start there!
Dont take our word for it though, just ask KL Photographers
and other returning exhibitors who soon re-booked for upstairs
spots after enjoying success there in the past.

SAFETY BRIEFING/FAQ

If you have ordered power in your shell scheme a single power socket will be provided,
so we recommend that you bring your own extension leads.

Please ensure that all of your equipment and furniture is kept within the confines of your
shell scheme to comply with health and safety policy.

Wi-Fi is available FREE of charge in the Events Hall to all exhibitors. Just select the York
Racecourse network to get online.

Food may be purchased from the refreshment area within the Knavesmire Stand.

There will be no negotiation on stand positioning on the day.

Toilets are provided around the hall.

Event organiser Phoenix Multimedia Productions Ltd are not liable for any theft, damage or
loss of any displayed items at this event, unless it is a result of negligence by one of our
staff.

If you have pre-booked a table, this will be delivered to you at your allotted stand.

Table cloths will NOT be provided by the organisers, so remember to bring your own.

If you require use of a table on the day and have not pre-booked you can hire one at a cost
of 18 inclusive VAT.

Chairs or small round tables can be provided on request.

Exhibitors utilising the outdoor spaces will be advised on their exact positions upon arrival.

The event is scheduled to finish at 15:00 although we could run over if the Events Hall is still
busy. Please do not start to close down your stand early as it is a breach of health and safety
regulations.

HOW TO FIND YORK RACECOURSE

TRAVELLING BY ROAD
York Racecourse is located within a mile of the A64 - one of Yorks main trunk roads.
A frequent bus service runs every ten minutes to get you to the racecourse, or a five minute taxi journey will
cost less than 10.
Alternatively it is approximately a mile and half to walk there.

TRAVELLING BY RAIL
York is one of the UKs major railway stations and connects with many routes. Fast and frequent trains run
from Kings Cross.
There are also direct trains from Edinburgh, Manchester and Birmingham.
TRAVELLING BY AIR
The nearest International Airport is Leeds Bradford which is approximately 50 minutes away.
