2016/17 Position list

Position of Responsibility and its Job Role


1. President
Being a spokesperson/figurehead and representing Surrey
ABACUS anytime
Designing future directions and actions of Surrey ABACUS,
leading the team to achieve its aims
Setting agenda and chair for each regular meeting
Delegating tasks to team members and stay tuned to
members work progress
Understanding core values and aims of Surrey ABACUS to
maintain the enthusiasm towards the society
Be responsible for the members e.g. check society emails,
respond in time
2. Vice President
Knowing everything that president does and provide support
whenever in need; taking up president's role in his absence
Examining meeting minutes every month for any potential
situations and issues
Researching markets to identify opportunities for potential
events
Communicating with other societies for up-to-date events
from other societies and possible liaisons; Proposing key and
up-to-date events of other societies for possible participation
internally
Responsible for internal relations including members and
committees
Point of contact for other societies inside and outside of
University of Surrey
3. Secretary
Taking care of society administration Organise and take care
of ALL administrative documents related to Surrey Abacus,
maintain up to date membership records
Provide any technical help during meetings; arranging
meetings and book rooms or venues
Keeping and organising meeting minutes, posting the records
to Google group in 5 working days
Being aware of key dates for your society throughout the year
and up-dating regularly with the ABACUS committees and
members
Updating committees about details of all ABACUS events 2
weeks before they happens
4. Treasurer

Filling the Student Union start-up funding request form to


acquire reasonable amount of funding
Designing, forecast and analyse budget plan before and after
each event and promotion; present annual financial report at
the end of the year
Understanding the Students Union financial system;
organising ABACUSs funding account
Organising fundraising or sponsorship; apply for the annual
grant and extra funding from the Union as necessary
Keeping track of all income/expenditure; countersigning
every claims form
Keeping the committee and members informed of the
societys financial situation

5. Social Secretary
Producing detailed proposals for feasible events (e.g.
timelines, venues, budgets) with insurance, legal, health and
safety obligations are adhered to
Understanding the rules and how to utilise the support from
USSU in order to optimise the benefit of the events held
Liaising with other committees to promote the events, plan
budgets and organise the production of tickets, posters,
catalogues and sales brochures, plus social media coverage
etc.
In charge of the events actual preparation and delegate
tasks during event meetings, preparation and at the day of
the event
6. Publicity Officer
Producing ideas for social events each month (e.g. pre-drinks,
bar crawl, bowling, air hop)
Hosting and directing the proposed social events for
ABACUSs members
Keeping the online section of ABACUS on SU page up to date
with detailed and clear information about ABACUS,
committee list and up-to-date events
Setting up and managing ABACUSs social media tools such
as Facebook
In charge of advertising upcoming events with flyers, posters
and leaflets
Taking photos during the events
