Gene called the meeting to order at 2:30 PM, April 10, 2010. The meeting was
held at the Texaco Station at Brook’s Powerland.
Attendees: Gene Walker, Pat and Carol Smith, Gary Kelley, Tom Krise, Tom
Ruttan, Woody Woodson, Scott and Kathy Gee, Don and Gail Woodard, Chuck
& Jackie Hodson, Bjorn Klingenberg, Terry Wolbert, and Toaster Jim.
Correspondence/Reports - Tom reported the dollar amount in the vault.
Letters to members in arrears went out in March. 61 letters were sent. Mailing
cost was $42.65. Results so far:
- 4 have been returned, with no forwarding address
- 6 members have sent checks
- 4 members paid online
- 3 have called, but not sent their checks
At the end of the membership drive (April 30), Shannon will provide Kathy Gee
a list of names being removed from the roster June 1st. Kathy will publish the list
in the May newsletter as final notification to those that remain in arrears. Members
currently receiving the newsletter by mail must renew their membership or shift
delivery to email to continue receiving the newsletters. (Please note, this list will
not be in the newsletter until the July issue.)
Tom Ruttan mentioned Paypal fees charged for OTC online financial
transactions. For a $10 membership transaction, the 30 cent transaction fee and a
2.9% charge amounted to a 59 cent (5.8%) reduction in dues payments. Gary
mentioned the 30 cent transaction fee weighed higher on smaller transactions. For
Road Run registrations, the 30 cent transaction fee would have minimal effect on
the overall percentage of 2.9%. For example, PayPal fees would reduce a $100.00
Road Run registration by $2.90 + 30 cents ($3.20) to $96.80 (3.2%).
Gary also added that providing similar, secure online transaction processing is
not within OTC’s current capabilities or budget. Gary felt member convenience
outweighed the transaction fees. Gene suggested an end of year review of total
processing costs to determine cost/value.
Gary turned over membership dues received so far to Tom Ruttan.
Road Run Committee Report: Gene provided a direct phone number for
McMinnville Road Run reservations 503-472-5187. Gary gave Woody run maps
from a previous McMinnville run. Tom Ruttan will print the Flyer from the web site
and distribute copies at upcoming events. Kathy included the flyer in April's
newsletter.
Old Business - Magnets/stickers. Gene led a discussion on vendor, style, and
quantity. By majority vote OTC will purchase 500 magnets with cost not to exceed
$150.00 and 250 Oval stickers at a cost of $147.00 from Portland Business
Graphics. The style uses the current OTC logo with a Green background. Jackie will
direct vendor art questions to Gary. Magnets/stickers are give away incentives to
new members and included in Road Run packets.
2009 Road Run T-shirts are available. $12 each for standard sizes. A few XXLs
are also available. See Gene to get yours now!
New Business - Web Site: Gary mentioned that continued promotion of the web
site is needed to help build a viable online community. All members are asked to
invite fellow enthusiasts to join our forum increasing participation and shared
knowledge. Gary also described the operation of the Club Store and provided an
example of Chapter-branded Cafe Press products.
National AMCA Obligations: A review of AMCA and OTC bylaws resulted in
these clarifications:
- OTC is a subordinate chapter to the national AMCA. We are AMCA members
providing OTC members with an organization to conduct activities related to
antique motorcycling.
- Membership in the national organization is required to be a member in good
standing with OTC.
- To participate in nationally-sanctioned OTC events, you must be a OTC
member in good standing.
- Non-sanctioned events do not require membership in either club. Non-sanc-
tioned events are not organized or insured by the national AMCA or OTC.
- Non-members are welcome as spectators at sanctioned events and as guests
at OTC meetings and functions.
- Copies of both the National and OTC bylaws are available for review on the
OTC web site http://www.amcaotc.org OTC dues provide minimal revenue to
cover newsletter postage, meeting space, event meals, and other annual
expenses. OTC volunteers provide labor, expertise, and funding for most of what
OTC accomplishes each year. Club officers, event committee members, and party
hosts contribute hundreds of hours each year to make OTC events fun and
successful. Be sure to thank our volunteers and think about joining in to lend a
hand.
Tom Krise asked if June 12th would be a good date for his annual BBQ. Tom will
finalize details at a later time and add the event to the club calendar.

PRESIDENT’S PARAGRAPH
I’m very satisfied that the Oregon Trail Chapter members voted to become a club associate with the
NWVCMM. I’m also certain that for the long term we will greatly benefit from the Powerland excellent
location, and their well known events. I’m on a small committee of design and display for the new
facilities, which meets twice per month. Naturally my main objective is to convey to them that the
motorcycle portion is a major enhancement to the museum.
The NWVCMM has planned their first display to coincide with the annual steam-up scheduled for the
last two weekends in July-August 1. The theme is an international display in which we need two
motorcycles each to represent the U.S.A., England, Germany, Italy and Japan, preferably 1960 and older. I
have volunteered to secure these 10 motorcycles for the 4-days on display. Which means I need your help,
primarily for Germany, Italy and Japan?
The bikes will be displayed next to the cars representing each country. The machines need to be in good
O.E.M. originality or well restored. All the vehicles will be manned and totally secured during the
showing. Please try to enter for two-days at least, if not four.

Just a small note to say welcome/ welcome back to Vahan, Jack, Neal, Steve, and Dave. And if the
club ever gave out an award for the youngest ride, it would probably have to go to Dave S., since his

Oregon Trail Chapter Members - I’m not sure if anyone in our club is certified as a Judge, but here is an
invitation from the Fort Sutter Chapter asking for judging help at their Dixon Meet in June, 2010. If you’re
interested, contact Jim Moore for more details.

April 14, 2010 - To: All previous volunteer judges and prospective judges.
I am contacting all the great volunteers I can reach, to invite you to help out this year. This invitation
includes anyone who would like to become an AMCA Judge at our Fort Sutter Chapter Dixon Meet. You
are invited to attend the “judging seminar” to be conducted by National Chief Judge Steve Dawdy during the
Meet. Check the Meet program for times and location.
In order for the Chief Judge to maximize the accuracy of his records, please remember to bring your
judging or apprentice certification card, and present it to him at the judging. He will endorse your card so
that you are properly certified to judge in the appropriate categories.
If you are a first time volunteer, the Chief Judge will issue you an apprentice card, so that each judging
experience you have can be recorded properly. Remember, without an endorsed card, you will not get credit
for your judging efforts.
We particularly need help in judging British, European and Japanese motorcycles. If you have expertise
related to any of these marques, we can use your help.
Judging will commence Saturday June 19th 2010, with the judge’s meeting and complimentary luncheon
at 1pm with the actual judging starting at 2pm. Again this year, certificates will be awarded immediately
after the judging is completed. Trophies will be shipped directly to the winners.

can count on you to help out. The more judges we have the less work for everybody and we get finished
earlier.

membership a clear and obvious requirement for participation. As a policy going
forward, we'll counsel those who register and require national membership on how to

we'll let participate. Validation of same day registrants occurs as soon as
possible.
This policy was reviewed by the national board.
