Introduction
Welcome to FinancialForce Human Capital Management.
This document highlights the new features introduced in the V16.0 release of FinancialForce
Human Capital Management (HCM).

Before You Start


Before you install this version of FinancialForce HCM, FinancialForce Enterprise Resource
Planning (ERP) V2.2 or later must be fully installed, licensed and configured in your organization.

New Features and Enhancements (16.0)


The following new features have been introduced in the V16.0 release of FinancialForce Human
Capital Management (HCM).

Scheduling and Shift Management


Scheduling Features
HCM Scheduling and Shift Management enables you to produce schedules for your workers
based on custom shift patterns.
Schedules enable you to apply shifts to a selected group of workers over a specified period.
Once configured, you can use HCM to:
n

Create as many shifts, shift patterns and schedules as you need

Add shift patterns to schedules and specify their order

Assign workers to schedules by position, job or location

Specify the time zone for each schedule and its associated workers

Define the first day of the week for shift patterns to support business processes

Clone schedules

View your own schedules or schedules for groups of workers

Create one-off shift additions for individual workers

Specify how you want HCM to display absences on schedules

We have added a new permission set, HCM - Scheduler, to provide access to view and manage
schedules. See the Online Help for full details of the scheduling objects included in this release.
You can use the Manage Schedule page to help you organize groups of workers into schedules
and assign shift patterns to them.

You can easily create shifts using drag-and-drop functionality on the Manage Shift Pattern page.

When a schedule is applied, shift workers can view their own shifts and absences from the My
Schedule page.

Schedulers can view worker availability from the Schedule Overview and create one-off shifts, as
required.

HCM Absence Management also includes new features to enable you to request time off for
specific shifts.

There are two new fields on the Absence Request object to provide extra information when
requesting time off for shift workers.

Shift information for the selected day, such as name, start time and end time.

For half day absences. Determines which half of the shift is the requested
absence, either "First Half" or "Second Half".

There is also a new checkbox on the HolidayCalendar object.

Payroll Connect
Payroll Change Reports
You can now use payroll change reports to review the information exported from HCM for a
particular pay calendar. Each change report describes changes made in the selected pay
calendar and enables you to compare the new values with previous values.
You can view change information for:

Benefits deductions

Demographics

Payable time

HCM generates change report information each time you create a payroll export. Change reports
are displayed in a related list on the pay calendar record, grouped by type.

You can compare current and previous values for the selected type by clicking the payroll change
report ID.

We have added two new custom settings to help you manage the batch process that generates
payroll change reports:

Payroll Interface Definition Groups


You can now group payroll interface definition records. If your organization regularly exports
multiple payroll interface definitions for the same pay group and pay calendar, grouping payroll
interface definitions speeds up the payroll export process.
See "Creating a Payroll Interface Definition Group" in the Online Help for more information.

Pay Calendar
We have added a new Payroll Status field to the Pay Calendar object to enable you to record and
track the progress of payroll exports for a particular pay calendar.
When you have completed a payroll export, you can select a status of "Complete" on the pay
calendar to remove it from the list of pay calendars on the Payroll Export page.
By default, the Payroll Status field is not visible on the pay calendar.

Performance
Sharing
If your organization is configured to share performance reviews with managers, HCM now shares
the performance review with the worker specified in the review and all managers in the reporting
line above them. This includes any records that are linked to a performance review or are created
as part of a performance review.
To ensure that all existing records associated with a performance review are shared correctly,
select Share Performance with Manager in Core HRSettings and run the Recalculate Worker
Sharing Groups and Rules job from the HCMSystem Maintenance page.
In addition to this, the Share Objectives with Manager field in Core HR Settings has been
deprecated.

Employee Acknowledgment
You can now configure performance reviews to include an employee acknowledgment stage
using the new Enable Employee Sign-Off checkbox on the Performance Type object. When
selected, this enables the employee to add final comments to their performance review and
acknowledge that the review has taken place. When the employee signs off the review, HCM
updates the review status to "Employee Sign-Off Complete".

User Interface Improvements


We have improved the Performance Review pages in HCM to make them easier to use.

The buttons in the Performance Detail section at the top of the page are now also displayed in the
Performance Summary section so you can quickly complete the performance review.
We have added larger text boxes to make it easier to view and edit comments in each section of
the performance review. Also, each section of the review is now collapsible to help you navigate
to the relevant section.

You can specify who can see the rating scores on the performance review using the following
new fields on the Performance Type object.

Translation
You can use the Translation Workbench from Salesforce.com to relabel text displayed on the
performance review pages. See the Salesforce Help for more information.

Form W-4
We have updated the Form W-4 to use the 2016 details specified by the Internal Revenue Service
(IRS). US employers use the Form W-4 to determine the correct amount of federal income tax to
withhold from a worker's pay.

Benefits Transmissions
We have made a number of changes to improve the benefits transmissions process.

Dependent Beneficiary Enrollment Fields


The following fields on the Dependent Beneficiary Enrollment object enable you to transmit
additional details to eBenefits Network (eBN).

Absence Entitlement Detail Fields


The Absence Entitlement Detail object contains an additional field.
HCM creates absence entitlement detail records automatically. When HCM creates an absence
entitlement detail record on the carry over expiry date for the related absence type, this checkbox
is selected by default.

New Hire Wizard


CustomSettings
We have added a new field to New Hire Wizard Settings called Use New Hire Wizard for Hired
Workers. This enables you to launch the New Hire Wizard when you click Hire Candidate on a job
application for an external candidate. If deselected, HCM launches the Rapid Hire page. This
setting is deselected by default.

Address Fields
It is now easier to enter address details for new hires. The address fields displayed in the Contact
Details section of the Worker Information tab change dynamically when you select a country code.

HCM displays fields relevant to the address format specified for the selected country code.
If you select a country code that does not have an address format set up, HCM displays all
address fields. You can set up address formats from the Country Code tab.

Permission Set Improvements


We have relabeled all HCM permission sets to make them easier to identify. For example, the
Vana Employee permission set is now called HCM-Employee. The API names remain the same.
We have also added a new permission set, HCM-Scheduler, to grant access to view and
manage schedules.

If your organization has an external careers site set up with the Create Contact from Candidate
checkbox selected in Core HR Settings, we recommend that you:
1. Clone the HCM-Candidate Guest permission set.
2. Update the new permission set to include Read access to the Contacts object.
3. Use the new permission set to control access to the external careers site.

absence entitlement record. When HCM creates an
absence entitlement detail record on the carry over
expiry date, Ignore Accrual Date is selected by
default.
You can correct any absence entitlement detail
records that are incorrectly affecting the last accrual
date on absence entitlement records. To do this,
select Ignore Accrual Date on the latest absence
entitlement detail records created on the carry over
date.

Enabling Apex Classes and Visualforce Pages on


HCM Permission Sets
When you have installed an upgrade to FinancialForce Human Capital Management you must
enable access to any new Apex classes and Visualforce pages included in the upgrade package.
If you miss this step your users will be excluded from important parts of the application.
You must be signed in as System Administrator to complete this task.
To enable Apex Class Access on an HCM permission set:
1. From Setup, click Manage Users | Permission Sets.
2. Click an HCM permission set label.
3. In the Apps section, click Apex Class Access.
4. Click Edit.
5. Select any Apex classes with a prefix of VanaHCM in the Available Apex Classes list (on the
left) and click the Add button to move them to the Enabled Apex Classes list (on the right).
6. Click Save.
7. On the same permission set, click Visualforce Page Access.
8. Click Edit.
9. Select any Apex classes with a prefix of VanaHCM in the Available Visualforce Pages list (on
the left) and click the Add button to move them to the Enabled Visualforce Pages list (on the
right).
10. Click Save.
11. Repeat the process for all other HCM permission sets.
Note:
In some circumstances, the enabling of Apex Classes and Visualforce pages must be done at
profile level. Your FinancialForce Implementation Consultant will tell you when this is the case
and advise if necessary.
