Examine the extent to which school records of students data are useful to school based

guidance and counselling.


Introduction
For a guidance and counselling session to be a success, it depends on the nature and amount of
the background information the counsellors has. This paper shall examine the extent to which
school records of student data are useful to school based guidance and counselling. A definition
of the key terms relating to the examination shall be done, the words to be defined will include
guidance, counselling and school records. An examination shall be done from which a
conclusion is drawn.
Definition of key terms
Guidance is the process of helping people (in this case student) make important choices that
affect their lives.

Records are essential for furnishing the department of Education with an overall picture of the
school, which is based on facts and figures. These data are utilised for planning future
programmes in budgetary form but the school based counselling and guidance can also make use
of the same records. The records include attendance register, school leaving certificate,
admission record and performance records.
The school register contains the names and attendance history of the entire student in the class.
Thus if the entire class is to be taken for a guidance class, then the register forms an important
document, which provides the attendance behaviour of every students. Thus guidance can be

given to student as to make more effort in some subjects as the attendance information can
indicate the attendance behaviour. For example, it is realised that for a physics class eighty
percent of the student are present, but for a shona class, only ten percent are present, this gives
the guiding office the starting point, the indication that student have a problem with the shona
class. With this in mind, the guiding office can work on a set of assumptions as to why the
students show such kind of attendance, the reason might be that the subject is too simple and
they need to make more time for demanding subjects. The school register is also a good source
of individual student attendance; one can draw a number of deductions just by looking at the
attendance registers. Given that a student is always absent on every Friday of the week the by
using the register the counsellor can drive a set of possibilities as to why such a student portrays
such an attendance.
Another set of important school record is the school report/certificates; these largely apply to
those students that have joined the school system at entry level or during the course of the year.
These report/certificate show the previous academic performance and comments from the
previous teachers; the counsellor can utilize the information in this document and make an
informed comment or advice based on the history in the document. Say a student show that their
performance in mathematics was exceptionally well in the A grade order, when they attended
school with institution A, but when they joined institution B, their marks dropped to a D grade
or even worse. The information provided can assist the counsellor to use history of the academic
performance to predict the current performance and provide counselling accordingly.
Performance records show the general performance of the student and of the class in general.
These records can provide a good starting point if the group or class is to undergo a career
guidance exercise. Performance records show shos how the students perform in particular subject
over a time period, say in a given form two class the average mark in mathematics is eighty-

seven percent for all student for the whole year. With this information it would not be wrong if
one recommends that these students pursue mathematics related subjects in the future. The same
performance records can be used to advice those students who might be struggling in some
subject to attempt other option other than force themselves do subject they are not very strong at.
Lastly how one gets into a system is of great importance in is important for the counsellor to
know how the students have been admitted into the curriculum. Before the counsellor can begin
working on the student, they need to be aware of their admission background. The admission
back ground may include the social setup (family structure, father, mother or guardian
information) the previous reports from past schools attended, the results if any of any national
examination and lastly the admission criteria. This information is important say for a student who
exhibits some element of problematic social orientation; before counselling can proceed knowing
their social background would be a major milestone. When counselling a student who might be
on the trail of being expelled from school, it is also important to have a knowledge of the
admission history, it might be such that the student was admitted based on a sporting talent, but
they had been expelled from the previous school because of unacceptable behaviour.
