1. Introduction
ESET License Administrator (ELA) is an all-in-one solution to manage licenses, either as a license owner, or as a
Security Admin. You can monitor your licenses and activated units, and observe license events such as expiration,
usage and authorization.
The ESET License Administrator main page is divided into two sections the License owner and the Security Admin
section.

As a License Owner you can:


See the state of your license(s) in real time
Monitor individual devices using your license with the option to deactivate them
Configure notifications for license events
Keep licenses in both the old and the new form for mixed environments
As a Security Administrator you can:
Exchange License Keys for email and passwords that can also be used to activate products
Assign multiple licenses to one account
Authorize third parties to use licenses (perform activations)
Configure notifications to help you monitor license status

2. What is ESET License Administrator?


The Username and Password used to activate earlier versions of ESET products have been replaced with a License
Key and Public License ID. The License Key is a unique string that is used to activate your ESET product and identify
the license owner. The Public License ID (PLID) is a short string used to identify the license to a 3rd party (for
example, the Security Admin responsible for Unit Distribution).
A Security Admin is a person that manages licenses for ESET products on your network and can be different from the
actual license owner. The license owner can delegate (authorize) a security admin to manage a license (the security
admin must accept the authorization before they can manage licenses). After accepting their role, the security
admin can manage the license (make changes, associate units, etc.) and can use the license to activate ESET products
(associate unit).
Licenses can be managed using ESET License Administrator, or using ESET Remote Administrator via Web Console.

3. License Owner
The License Owner section of ESET License Administrator, located at the top of the login page, contains the
following:

3.1 License Key


There are two ways to obtain a new License Key without converting your existing credentials; you can purchase a
license online or at a retail location.
1. If you purchased a license online, you should have received two license emails from ESET. The first email contains
your License Key, PLID (Public License ID), product name (or list of products) and quantity. The second email
contains your PLID and ESET License Administrator password.
To open the ESET License Administrator dashboard, enter your License Key (the letter/number combination you
received when you purchased your license) in the following format: XXXX-XXXX-XXXX-XXXX-XXXX and click Manage
License.

You will be prompted to enter your ESET License Administrator password (you can find it in the second license
email). Click Authenticate and you will be logged into the ESET License Administrator dashboard, for your chosen
license. If you do not know the Password, click Forgotten password? to have it re-sent via email.

2. If you purchased your license at a retail location, you must register it before you can activate your ESET product.
To register the License Key, enter the License Key (the letter/number combination) in the following format:
XXXX-XXXX-XXXX-XXXX-XXXX and click Manage License. The ESET License Administrator dashboard will display
the message License is not registered. Click register your license to register the license. You can choose to skip
registration, but it is recommend that you register your license as soon as possible to allow for the activation of
your ESET product.

3.1.1 Forgotten password - License Owner


If you forget your ESET License Administrator password, you can have the password re-sent by clicking Forgotten
password?. You will be prompted to enter your ESET License Administrator notification email address.

By default, this is the email that you submitted during the purchase/initial registration of your license. Click Submit
after you have entered your email address.

3.2 Convert legacy credentials


If you have an existing set of Username/Password license credentials, click Convert to convert them to a License
Key.

You will be prompted to enter your credentials. A new License Key will be generated for you. Select the check box
next to Resend license email to have your credentials sent to the email address you used when you purchased your
license.

When you click Convert a newly generated License Key will be displayed. A new ESET License Administrator
password that will be required to manage licenses in your ESET License Administrator account will be emailed to
you following the conversion of your license.
You can copy the License Key to the clipboard (Ctrl + V) and paste the License Key into the activation screen of your
ESET product to activate it.

Click Back to home to return to the homepage. Paste your License Key (or type it manually) into the License Key
field and click Manage License to log into the ESET License Administrator dashboard (as described in the License Key
section).

3.3 License
In the License section, you can view details about the license.

It is not possible to authorize a license for Security Admins unless the license is registered (associated with an email
address). Click register your license to register the license and enter the registration details.

NOTE: Remember that the email address entered here will be used to authenticate your license.

After you click Register License, you will receive a ESET License Administrator password that will allow you to log
into the dashboard.

1. The top section of ESET License Administrator contains the language bar, a link to the user guide, information
about your active license (the License Key you entered) and the Logout link, which allows you to log out of the
license management screen and navigate back to the start screen.
2. On the left is the main navigation pane, which is divided into the following sections - License, Unit Management
and Settings.
3. The main section of the License section contains the following information about the active license:
Product type - The ESET Security product the license is for.
Overall status - Shows the state of the license. If the license is expired, overused, or at risk of expiration or
overuse, a warning message will be displayed here.
Activation/Expiration date - Here you can see the activation date (the day the license was activated, it can
differ from the day the license was purchased) and the expiration date.
Usage status - Shows how many of the available units for this license are used.
License information - The email address used when purchasing the license, the License Key itself and the
legacy/license file export functionality.
Bundled products - If your product uses a bundled license (a single license for multiple products), you can
view bundle information here.
4. Administration - Here you can view the administration status of your license(s) - possible statuses include waiting
for confirmation (from the Security Admin), authorized or declined.
5. If you want to authorize a Security Admin to manage your license, use the Authorize Administration option.
NOTE: If you want to download offline license files or legacy license files and the corresponding Username/
Password combination, please see Downloading Offline/Legacy Licenses.

3.3.1 Authorize Administration


Click Authorize Administration to authorize a Security Admin to manage your license(s).
In the License section, click Authorize Administration.
You will be prompted to enter a Security Admin E-mail and then confirm by clicking Authorize Administrator
(shown below). An invitation will be sent to the email address that you specified. The Security Admin will be
notified via email, as well as in the Dashboard when they log into the Security Admin section of ESET License
Administrator.

The Security Admin will now be notified (optionally via email) when they log in with their Security Admin
account. The new admin will be displayed in the Dashboard.
When the Security Admin accepts the license, its status will change to Administration authorized. The Security
Admin can now manage the license.

3.4 Unit Management


In the Unit Management section, you can view all clients activated with a specific license.
The status icons
denote the current status of each unit. Click any status icon at the top of the unit list to
include or exclude it from the units being displayed. The meaning of each icon status is as follows:
The license is valid and activated.
The license is about to expire, or action is required for you to continue using it.
The licensed is overused or expired with active units.

Here you can monitor the status of client computers. If a client has not been connected for more than 14 days, its
status will be displayed as orange. If a client has not been connected for more than 30 days, the status will display
in red. To sort units by a specific attribute, click the respective column. Activated from ERA means an ESET product
was activated in ESET Remote Administrator. The number of Subunits relates to ESET server products for
example, a number of email addresses in ESET Mail Security for Microsoft Exchange Server.
As a License Owner, you can deactivate all units activated with your license. For example, if a client is not active,
you can use the Deactivate option to deactivate the unit which will free a unit in the license. The application will be
deactivated during the next sync interval - the sync runs every 6 hours. Select the applicable check boxes and click
Deactivate to perform this operation.
NOTE: As a License Owner, you can deactivate all client computers activated with your license or by any Security
Admin credentials tied to your license.

3.5 Audit log


In this screen you can see the history of various actions executed in ELA. The logs are ordered in timely order from
the latest to the oldest events. You can revert the order by clicking the label of Time column.
Some of the logged actions are as follows:
login, logout - The action of logout is recorded only if the Logout button was used to exit ELA.
generating, downloading or removing an offline license file
viewing the details of a legacy license file
authorization offer
cancellation of authorization offer
acceptance, refusal of authorization offer
cancellation of authorization
changing settings
registration of a security admin account, confirmation of registration
password change
seat deactivation
activation, dissociation of a unit

3.6 Registration
Personal information about the license owner is stored in the Registration section.
If you bought a license through your ESET retailer and it is not registered yet, you will be redirected to this section
once you enter the License Key into the License Key field on the main page. Please enter your personal information
and click Register License to register the license in your name.
If you bought the license online, registration information is already populated using the information you provided
during your purchase. You can edit registration information any time by entering new information into the
respective field and clicking Update Registration Attributes.
NOTE: Keep in mind that the email address of your license owner account entered here is used to authenticate the
license when you enter the License Key on the main page. This is also the default address where you will receive
notifications configured in the Settings section.

3.7 Settings
In the Settings pane, you can set various notifications, warnings and specify which license files (Legacy and Offline)
will be available for download.
You can also set the email address for notifications. By default, this is the email that you submitted during purchase/
initial registration of your license. You can also change the email address that is associated with your license and
used for notifications about your account:

Warnings
Disable "License overused" warning License will not be marked as overused, will not be highlighted, and the
alert status will not be populated neither in ELA nor in ESET Remote Administrator
Disable "Close to expiration" warning License will not be marked as "about to be expired", will not be
highlighted in orange, and the alert status will not be populated neither in ELA nor in ESET Remote Administrator
Notifications
Send email notifications to this address By default, the email address from your Security Admin account.
Use email address from license/account The default address from your Security Admin account will be used
Email notifications will be sent in the following cases:
Authorization request You will be notified when a license authorization is requested.
Expiration You will be notified when a unit distribution is expired.
Overusage You will be notified when a unit distribution is overused.
Close to expiration You will be notified when a unit distribution is close to expiration (14 days or less).
Close to overusage You will be notified when the license uses almost all available units.
Connection from offline machine If a computer that uses an offline license connects to the Internet (and
license servers), you will be notified at the email address specified.
License files
Legacy license files If a license allows you to download a license file (.lic) and a Username/Password, those
credentials can be used to activate older products.
Offline license files If a license allows you to download an offline license file (.lf) that file can be used to
perform offline activation. The number of offline licenses will be subtracted from the total number of available
licenses.
To confirm any changes, click Save Settings. Your new settings will be saved.
NOTE: Notifications regarding an Authorization request and Connection from offline machine are sent immediately,
all other notifications are sent once a day.
You can change password for your account by clicking Change password button.

4. Security Admin
The bottom section of ESET License Administrator is the Security Administrator section.

Security Admin account


If you already have a Security Admin account created, enter your Username and Password and then click Login. After
a successful login, you will be redirected to the Dashboard. If you forgot your password, click Forgotten password?.
An email containing a link that allows you to reset your password will be sent to your account email.
Register a Security Admin account
If you do not have a Security Admin account, you can create it here. This account is completely free, and allows you
to manage multiple licenses and receive important notifications. Enter the requested information and click Register
to create a new account.

4.1 Dashboard
The Dashboard gives an overview of the licenses a Security Admin is authorized to manage.

1. The upper section of ESET License Administrator displays a link to this user guide, your user name (for a Security
Admin) and Logout. Clicking the name of your Security Admin account will display information about the account.
Here you can change your information, change your password or even delete your Security Admin account. Also,
you can choose language for the ESET License Administrator so that whenever you login you'll see the portal in
selected language.
2. The menu on the left contains the main sections of the Security Admin part of ESET License Administrator - Unit
Distributions, Unit Management and Settings for your Security Admin account.
3. Unit distribution requests In this section, you can see license authorizations from license owners. You can
choose to Accept administration or reject the administration by clicking Cancel - you will no longer see a rejected
unit distribution request.
4. Unit distribution issues You can see and manage unit distribution issues license expiration, overusage ,etc.
5. Unit distribution overview Here you can view a comprehensive overview of the unit distribution Licenses
for individual product types, quantity of units, available/used units, etc.
NOTE: Computers running legacy products are counted only if managed by ESET Remote Administrator. Legacy
products are products activated using a Username and Password. They are only taken into account by ESET License
Administrator if they are a client of ESET Remote Administrator.

4.1.1 Security Admin Profile


Clicking your account name on the top-right corner next to the Logout button will redirect you to the Security Admin
Profile.
Here, you can configure settings for your profile. You can change the password for your account any time, this
change will not affect managed licenses and activated products. Account customization options include name,
language, country, timezone, password and account deletion. These settings are saved for future sessions as well. If
you delete your account, all authorizations and requests will be revoked, but activated products will not be
affected.
Click Save Settings for changes to take effect.

4.1.2 Accepting Administration


A license owner can authorize a Security Admin to manage a license and then use this license to activate units
(clients) and monitor the license. For security reasons, the Security Admin does not see the whole license, but only
the Public License ID - a short string (XXX-XXX-XXX) to identify the license.
When an authorization arrives
1. You will be notified about the authorization in the Dashboard section.

2. In the Actions section on the right, select Accept and then confirm the action when prompted.

3. Now, you can manage the license and manage units.

4.1.3 Request unit distribution


Using the unit distribution request, you can request distribution from a license owner.
1. Click Unit Distributions > Request Unit Distribution on the bottom of the Dashboard page. Enter a public key for a
specific license and click Send Request.

2. You can see the request waiting for confirmation from the license owner in the Unit Distribution Requests
section (marked in red).

3. When the license owner confirms your request, the license will be added to your managed licenses list.

4.1.4 Add License by License Key


To add a License to your Security Admin account enter the License Key and ESET License Administrator password
associated with that particular license.

When you click Add license, the license will appear in the dashboard and can be managed from then on.

4.2 Unit Distributions


In the Unit Distributions section, you can see what units are activated with what licenses - how the licenses are
distributed and the status of the licenses. You can switch the view from all licenses to only particular licenses with
issues using the icon switch

under the Logout option of the Security Admin account.

The status icons denote the current status of each unit. Click any status icon at the top of the unit list to include or
exclude it from the units being displayed. The meaning of each icon status is as follows:
The license is valid and activated.
The license is about to expire, or action is required for you to continue using it.
The license is inactive; it is either expired or there are no units included in the license, or further action (such as
activation) is required.
The licensed is overused or expired with active units.

Licenses are uniquely identified by their Public License ID. Each license displays the security Product for which that
License is intended, the license Owner, overall Status of the license, number of Units that can be activated with this
license, number of Subunits (for server products - their clients), whether it is possible to generate an Offline license
file (for offline activation) or a Legacy license
(username/password and a license file) and the Expiration date.
NOTE: The offline and legacy options must be enabled in the Settings section.

4.2.1 Downloading Offline/Legacy Licenses


If you want to download offline or legacy licenses that can be used to activate offline products or older products
that use a Username and Password, follow the steps below:
1. Offline license download

Offline license download
1. Navigate to the license for which you want to download the offline license file. Remember that licenses are
platform specific - you need to download a specific license type to activate the specific product. Click the
document symbol under Offline.

NOTE: If the license has already been used to create offline license files, the document symbol will be replaced
with a number. In this case, click the number.

2. Check the license information and then click Add License File.

3. Select the specific product from the available Product list, set the number of Units you want to activate offline,
enter the desired name (will be shown in the list of generated offline licenses) and click Generate.
If you want the particular ESET product activated by this offline license file to be able to receive updates directly
from the ESET servers (if the target machine has internet access), then check the Include Username and Password
checkbox. Otherwise the product will have to be updated from a different location (mirror) configured by you.
If you select the check box next to Allow management with Remote Administrator, you will be asked to provide a
Server Token. To obtain the Server Token, follow the instructions in the online help of ESET Remote

Administrator. Once the Server Token is listed, make a note of it and type it into the Server Token field in ESET
License Administrator.

4. New offline license files will be generated. As you can see, the number of available units decreases as the offline
licenses are subtracted from the total number of units. If you have multiple licenses listed, you can sort them by
Name, Product and Units. Just click the label of the desired column. Check the chekbox next to the generated
offline license and click Download.

Or click the offline license and from the popup menu select Download.

If you want to create another offline license file, click Add License File.
Legacy license download
1. Navigate to the license for which you want to download the legacy license file. Remember that licenses are
platform specific - you need to download a specific license type to activate the specific product. Click the
document symbol
under Legacy.

2. To download the file, click Download next to License file. If you need the Username and Password, they will be
displayed here.

3. Click Download to start downloading the file to your computer. You can use it to activate legacy products.

4.3 Unit Management


In the Unit Management section, you can see all managed licenses, units activated with the licenses and their
status.

denote the current status of each unit. Click any status icon at the top of the unit list to
include or exclude it from the units being displayed. The meaning of each icon status is as follows:
The license is valid and activated.
The license is about to expire, or action is required for you to continue using it.
The licensed is overused or expired with active units.

Individual licenses are identified by their Public License ID in the Distributions column. To see more information
about the licenses, click the down arrow in the Distributions column and select an attribute to be displayed.

NOTE: As a Security Admin, you can only deactivate units, that were activated using your Security Admin account
credentials. You can't deactivate units, that were activated using different Security Admin account or were activated
directly by License Key. This is a security precaution, to prevent unauthorized deactivation.

4.4 Audit log


In this screen you can see the history of various actions executed in ELA. The logs are ordered in timely order from
the latest to the oldest events. You can revert the order by clicking the label of Time column.
Some of the logged actions are as follows:
login, logout - The action of logout is recorded only if the Logout button was used to exit ELA.

to account details (e.g. registration of a security admin account), then the being logged in security admin sees the
logs related solely to his own account.

4.5 Settings
In the Settings pane, you can set various notifications and specify which license files (Legacy and Offline) will be
available for download.
You can also set the email address for notifications. By default, it is the email address of the Security Admin account.

4.6 Forgotten password - Security Admin


If you forget your ESET License Administrator password, you can reset the password by clicking Forgotten password?
. You will be prompted to enter the email address associated with your Security Admin account.

Enter the email address that you used to register your Security Admin account and click Submit.

An email message with a link that allows you to reset your Security Admin password will be sent via email.

5. FAQ
How do you change a License Owner? For example, if the IT manager was the License Owner, but is no longer with
the company, how would they designate a new owner in the License Administrator site?
Sign in as License Owner to ELA portal and you can change the email for password reset emails in the Settings
section in ELA portal and then reset the password by clicking Change password button. If you do not have any access
to the License Owner account, you need to contact ESET Customer Care who can change the email associated with
the license in Dexter portal.
What is the easiest way to remove a system from your license? What if you have 5,000 clients on your license, how
do you find that system in ELA?
By using filters or search field at the top of the Unit management section in ELA + clicking deactivate button.
Why can you run a task to apply a license to activate a client, but you can't remove a license using a task?
Only removing clients license in ERA and leaving it in ERA structure is not a standard scenario. You either run a task
to activate a client with the new license (no need to deactivate previous License Key) or remove the client
completely from the ERA structure and delete the computer.
The ELA portal Unit management displays some client that can be deactivated and some can't.
As of now, we do not have any granular user control or access rights setup for individual security admins.
So it works this way:
1. Security Admin is able to deactivate only units that were activated using his security admin account
credentials.
2. License Owner, as the highest entity is able to deactivate all units, from all security admin accounts
associated with that particular license.
How to troubleshoot error: "Failed to add license by license file: The provided license file is not issued for this ESET
Remote Administrator Server"
The customer tries to enter an Offline license file which was issued for other ERA Server instance. It is necessary to
re-generate the Offline license file for that certain server. When an Offline license file is generated in ELA portal,
the option of Allow to manage with Remote Administrator must be checked. During that operation ELA requires the
token (HW fingerprint) of the ERA Server for which the file is issued. The ERA Server token can be obtained in ERA
Server Web Console in the Offline license file section when adding a new license. For details please refer to the
ESET Remote Administrator Online help.
