ONLINE RESERVATION FOR THE TOUR IN


VETERANS MUSEUM LIBRARY, ARCHIVES AND THEATER

Veterans Museum of the Philippines was opened and inaugurated on


April 06, 1998. And was open to public the next year, 1999. Since then the
museum attracts a thousand visitors a day. But the time and day goes by.
The Veterans museum now is not as popular as the old days. We want to
create a website that can reserve a specific date and time for the visitors,
and also advertise the museum by posting the pictures in the page, of what
artifacts, portraits, statues and books you can see on the museum.
Business Process

Scheduling and Reservation


Interested visitors may get in touch with the museum's curator for inquiries. If in any case the
curator is not around, the interested visitor may speak to the librarian. Inquiries can be done over the
phone or personal visit. From there, the personnel who accepts the event reservation must obtain the
following information: coordinator's contact and number, area to be reserved (entire museum or
theater/lobby only), time and date of arrival, number and type of vehicle to be used, and approximate
number of visitors. We give tour coordinators three days from date of reservation to pay the partial
payment required. But if the coordinator/visitor have not yet paid the partial amount within three day
timeframe, that schedule may be given to another client who would like to pay for it at a sooner time. The
situations like, if the tour coordinator/visitors still wants to get and pay for that schedule but is over that
three day timeframe, but not more than a week from the preferred date, the museums curator will
consider it as the coordinator/visitor will notify the curator of coordinator/visitors intent then proceed to
the reservation but if the coordinator go over a week the museums curator wont accept the payment and
cancel the reservation since its too close and it is in the rules of museum that you must pay within the
three day timeframe upon reservation and if the coordinator wants to schedule an event the next day of
reservation in an available time slot and is willing to pay upon reservation still the museums curator will
follow the standard procedure that the coordinator must request for reservation two weeks from prior
date. The museums curator do not recommend coordinators to reserve at a very close date from their
inquiry. The curator will advise the coordinator about the standard procedure. Tour coordinators are

required to confirm the museum's personnel of their intent to visit, at least two weeks before preferred
date, along with 50% payment upon reservation. A reservation form must be filled out for those who
intend to visit the museum, which will be done in triplicate. One form will be given to the tour
coordinator, one for the museum personnel who accepted the reservation and the last is for the curator's
office record.

Payment Processing
Payments are always needed to finalize a reservation, to which it has to be in cash basis, so tour
coordinators are required to visit the museum for the processing. The coordinators have two options:
First, the coordinator can pay the first half upon reservation, and the after half is after the event. Second
option is, to pay it in full upon reservation as well. It is not possible to happen if the coordinator would
like to pay the full payment after the event because in the rules of museums transaction, the coordinators
required to pay at least half of the entire fee for the arrangement and preparation of museum. The librarian
then accepts the payment and issues a receipt as proof of transaction. The curator wont accept
reservations without a down payment. Payments accepted by the librarian will then be remitted to their

accountant. There are also other payments like museums theater rate, museums lobby,
performances that will be held in the museum and other surcharges which are ..

Rescheduling and Cancellation


As long as the schedule is tentative (partial payment of 50% is not yet settled), the rescheduling
or cancellation of reservation may take place any time. The coordinator shall call the museums curator
for the rescheduling of reservations or cancellation of reservation. In rescheduling, the coordinator is the
one who decide for the new schedule and the curator will check in the log book or calendar if the chosen
schedule of coordinator is available. If not, the curator will advise the coordinator to pick other schedules
that is available. If the reservation is cancelled after its completion, 25% of the entire fee shall be retained
by the museum.

Monetary and Artifacts Donation


Most of the museum's display came from the donations of the war veterans and their families. The
institution also welcomes donations from anyone. Similar to inquiries, interested donors may talk to
the museum's curator to discuss the potential donation, to which it includes the verification of the
artifact's authenticity. Most of the artifacts and items displayed are donations. The donors will first
have get in touch with the museums personnel and have their information (name, address, contact
details, and the intended donation and its overview) registered. There are also times that museums
librarian looks into the donation in case the curator is unavailable, which then results to us
reaching out to the Board of Trustees for the report, thus, for the approval of display.
The personnel who coordinated with the donor notifies the Board of Trustees to request for
permission to display new artifacts. The museum does not accept monetary donations. These
transaction normally goes directly from the donors to the Board of Trustees'.

Museum's Promotion
The marketing management will take care for the promotion and marketing of the museum.
The marketing management is the one who promotes the museum to find and invite potential
viewers. They have pamphlets that contains the structure's overview. However, it is not enough to
promote the museum. They get the best publicity when it's the Veteran's Week, to which various TV
stations holds their events there, such as documentaries, interviews and photo shoots which greatly
helps for the museum's publicity. Those events may last up to half a day at most. Interested media
groups coordinates with letter of permission to Taguig City's local government along with the
museum's Board of Trustees before TV stations events take place. Then the museums curator will
get notify by the board of trustee for the incoming events for the promotion.

General Problem
The BTVWWII is experiencing inconvenience in the management of the museum, from the
reservations, scheduling and rescheduling, cancellations, payment processing, donation registration, and
even with the promotion of the institution which could affect its business and state in the long run.

Specific Problems

Conflict on Reservation, Scheduling and Rescheduling, and Cancellation


The curator is experiencing conflict in scheduling and reservation because they dont
have an easier and more organized way to take care of the schedule of tours and events. This is

due to them using calendars and a list of reservations in monitoring the availability of date, as
well as to proceed with rescheduling and cancellations.

Promotion of The Museum


The curators attention has been caught by the rapid decrease of the number of the
visitors, over the past months. They have pamphlets given away, but does not help much on their
publicity.

Donation of Artifacts
Donation of the artifacts requires the donor to call the museum to notify of his/her intent.
Insights and details in relation to the artifacts are also briefly provided by the donor. The standard
procedure is that the donor personally goes and hands the artifacts over, or the museums staff
picks up the artifacts if the donor is distant. However, these days, donations also gone down,
same as the number of viewers.

Inconvenient Billing Process


In payments, tour coordinators and interested leasers are required to pay in cash basis.
This may cause inconvenience to the payers, especially for those who comes from a distant area,
since at least a partial payment is needed to complete the reservation a couple of weeks before the
scheduled arrival.

Report Generation
Due to the labor intensive way of keeping records, reports may also cause difficulty in
generation. It will take time to be produced, for example, a statistical report for a certain period.

General Objectives
The developers goal is to develop a dynamic and user-friendly website for both the museums
personnel and potential viewers convenience. This is to make the institutions processes (scheduling and

reservations, payment processing, rescheduling and cancellations) more reliable, hassle-free and
systematic to aid the management of the museum.

Specific Objectives

To develop an easier way for coordinators to address reservations and related requests.
The developers aim to provide coordinators a worry-free way of booking their visits or
events through an online portal which simply requires them to quickly sign up for an account
before completing the said process, as an alternative to calling the museum. From the developers
point of view, a great number of people are using the internet frequently these days, to which it
could help interested viewers look into visiting the museum while they are simply sitting in front
of their computers. Options in rescheduling and canceling reservations will also be available
when logged in to ones respective account.

To help promote the museum to the public.


An informative, user-friendly, and inviting website is aimed to be developed. Through an
online system that stimulates interest by using certain ways, such as sneak-peeks by photographs,
slide shows and other mediums of showing the museums features and collections. The
development of this website is also intended for easy sharing, as aforementioned, due to the vast
use of social media, and other online features.

To provide a quicker way of donation registration.


Instead of going to the museum, the developers also intent to design a module that will
allow donors to provide details of their donations, including its location, the story behind it, and
even its images. This way, the museums personnel will have the ability to look at the artifacts
overview, thus saving them time to do it in person after waiting for the items to arrive or be
brought.

To give an alternate option in making a payment.


Payments for the museum rental is always in cash basis and is received by the librarian.
As this system is developed, we also have the goal of including a billing system in relation to the

online reservation. This is to allow the tour coordinators to settle the needed fees without them
showing up in the museum. It would be convenient to the said people to be able to do so, as it will
save them time, money, and effort to complete their reservation.

To provide an easier and faster way of report generation.


This system is also geared towards the easy production of reports. Instead of checking the
papers one by one to create a report, we intend to develop a system that would allow the user to
accomplish this task with high reliability, in just a few clicks.

LAUNDRY SHOP ONLINE SERVICES REQUESTING


USING ANDROID MOBILE APP WITH SMS NOTIFICATION
Laundry shop is on-demand business now. People with no time to wash,
dry and fold their cloths are counting on their things to the laundry shop. As
it say, time is very crucial for the customer of the laundry. So we decided to
create a mobile application that has the most convenient way to do laundry
and dry cleaning. By just clicking your mobile phone the laundry shop will
wash and fold your clothes, dry clean and deliver it to you at home. Also
remind you about your clothes when if it is ready to pick-up, using SMS
notification.

COOKING RECIPE WITH AUTO ADJACEMENT OF THE


INGREDIENTS

Cooking is fun and exciting. Also its not that easy to follow a recipe
books, and you may be wrong when it come on estimation of the ingredients.
Thats why we decided to create an app that may help the users when it
comes to estimating the ingredients. The app will automatically do that for
you, depends on how many people you are preparing for. Also it give the
users an example videos on how to cook the recipe they choose.

GOOGLE MAP VIEWER WITH SUGGESTIONS FOR


NEARBY FOR ANDROID MOBILE APPLICATION

A budget wise and good food is what people needs. Searching for that
kind of place is hard, also when youre not familiar at the place you are at.
We decide to create a mobile application powered by google maps that can
help the users in choosing what or where they want to go, by suggesting the
popular places near them.

ONLINE POSTING OF THE ITEMS AND TRADING


FOR ANDROID MOBILE APPLICATION
Its hard to throw old things also when it is completely fine. Trying to
sell them because you want to get rid of it is a long process. We want to
create a mobile application that can help user with this problem. An online
posting of your items in this android application will grab an attention for a
possible buyer and you may also find a user who will make a swap for your
item on his/her item.
