Add Your Gmail Account to Outlook 2010 using POP


Are you excited about the latest version of Outlook, and want to get it setup with your Gmail
accounts? Heres how you can easily add your Gmail account using POP to Outlook 2010.
Getting Started
Log into your Gmail account an go to your settings page. Under the Forwarding and POP/IMAP
tab make sure POP is enabled. You can choose to enable POP access for all new mail that arrives
from now on, or for all mail in your Gmail account. On the second option, we suggest you chose
keep Gmails copy in the Inbox so you can still access your emails on the Gmail server.

Add Your Account to Outlook 2010


If you havent run Outlook 2010 yet, click Next to start setup and add your email account.

Select Yes to add an email account to Outlook. Now youre ready to start entering your settings
to access your email.

Or, if youve already been using Outlook and want to add a new POP account, click File and
then select Add Account under Account Information.

Outlook 2010 can often automatically find and configure your account with just your email
address and password, so enter these and click Next to let Outlook try to set it up automatically.

Outlook will now scan for the settings for your email account.

If Outlook was able to find settings and configure your account automatically, youll see this
success screen. Depending on your setup, Gmail is automatically setup, but sometimes it fails to
find the settings. If this is the case, well go back and manually configure it.

Manually Configure Outlook for Gmail


Back at the account setup screen, select Manually configure server settings or additional server
types and click Next.

Select Internet E-mail and then click Next.

Enter your username, email address, and log in information. Under Server information enter in
the following:

Account Type: POP3

Incoming mail server: pop.gmail.com

Outgoing mail server: smtp.gmail.com

Make sure to check Remember password so you dont have to enter it every time.

After that data is entered in, click on the More Settings button.

Select the Outgoing Server tab, and check My outgoing server (SMTP) requires authentication.
Verify Use same settings as my incoming mail server is marked as well.

Next select the Advanced tab and enter the following information:

Incoming Server (POP3): 995

Outgoing server (SMTP): 587

Check This server requires an encrypted connection (SSL)

Set Use the following type of encrypted connection to TLS

You also might want to uncheck the box to Remove messages from the server after a number of
days. This way your messages will still be accessible from Gmail online.

Click OK to close the window, and then click Next to finish setting up the account. Outlook will
test your account settings to make sure everything will work; click Close when this is finished.

Provided everything was entered in correctly, youll be greeted with a successful setup
messageclick Finish.

Gmail will be all ready to sync with Outlook 2010. Enjoy your Gmail account in Outlook,
complete with fast indexed searching, conversation view, and more!

Conclusion

Adding Gmail using the POP setting to Outlook 2010 is usually easy and only takes a few steps.
Even if you have to enter your settings manually, it is still a fairly simple process. You can add

Two questions
- Why would I choose POP or IMAP, since both are possible with GMail?
- Is it possible to acces an @live.be, or @hotmail.com email account from Outlook?

I have used Gail with Outlook 2007 and thought that IMAP was the preferred method for
using the two together. Is this not the case? Is POP3 preferable, and if so could you
describe why? Thanks.

I have upgraded to Office 2010 and cannot, even using your instructions send gmail
(receive is fine). I had to change to an IMAP setting which I hate.
HELP.

@Sally Hayward Make sure youve check the My outgoing server (SMTP) requires
authentication in the Outgoing Server tab as above. Leaving this unchecked is a
common problem that makes it impossible to send Gmail.

@Don Moore IMAP is preferable if you want to keep your email synchronized between
Outlook and the cloud. But if you simply want to use Outlook as your main email
program and never/rarely login to Gmail.com, then using POP3 may make your email
work better/faster. Also, some people use this just to backup their Gmail offline; POP3 is
fine for this. Basically, each solution has its use, so just pick the one that works best for
you!

Nice article. But how can I write using Outlook from my own smtp server, and let gmail
fetch using pop, and then grabbing with outlook, leaving pop empty in outlook shows
always an error message

@Bingo Try entering your Gmail info for your POP3 server, and your own SMTP
server info in the Outgoing mail server info on the same account in Outlook. On the
Outgoing Mail settings tab, you can even have your SMTP server use different
credentials than your POP3 incoming, so that should work fine.

Why do private people still prefer the hassle to use Outlook compare to a webmail like
Gmail or Hotmail? I can understand in the scope of a business of company, but why
bother for your home private address ?
What features Outlook (or other email clients) are offering that webmail apps do not
provide?

Hi, can someone advise on how to change the location of MyGmail.pst file? Seems by
default, it will be loaded, after you setting up POP3, at the following location:
C:\Documents and Settings\Administrator\My Documents\Outlook Files
The problem is, obviously, the size is keeping growing and fill up your C drive. Thanks,

@lenny Yes, you can move your .pst files location heres an article from Microsoft

Your instructions are very clear and easy to follow but my connection still doesnt
work. I have tried the quick setup and the manual settings. I have double and triple
checked everything. Ii still get the following error:
Log onto incoming mail server (POP3): Your e-mail server rejected your login. Verify
your user name and password for this account in Account Settings. The server responded:
-ERR [AUTH] Username and password not accepted.

Yes, instructions very clear and easy to follow, thanks.
Since my Outlook 2010 settings were not working with the settings I had used with all
my previous Outlook versions, I was stumped why my Outlook tests kept failing.
I tried sending a separate test message from my Outlook 2010, which tried to send, but
failed.
When I changed the Outlook 2010 setings per your article, the Outlook 2010 tests worked
just fine.
However, although my other two email settings have no problem sending and receiving
after following your Gmail articles instructions when I tried to send my own test
message with my new Gmail settings, nothing happened: Outlook didnt even try to send.
Any ideas what is going wrong with my Outlook 2010 now?

I was just having an issue with sending email via Outlook 2010. I was receiving fine.
Interestingly after checking and rechecking the port settings I clicked the use defaults

button setting them back to ports 110 and 25and its working beautifully.
As for why I use Outlook instead of the web interface, really its the rules option. I have
Outlook setup to automatically move incoming messages based on who they are from and
such to certain folders. Last I looked Google would not allow folders and certainly not
automatic sorting. Outlook also has a better contacts manager, calender (although I am
STILL waiting for Google Calendar Sync to work with 2010). Outlook just has a lot more
management features right at your fingertips.

Just had the same experience as Bill. Downloaded my Office 2010 apps today and
struggled with outgoing Outlook email via my google account. Tried the suggestions
above and the only thing that worked was clicking the use defaults.

Anyone knows why Gmail help site does not list Outlook 2010 as a compatible email
client program? My experience indicates not 100% compatibility. One of my PCs uses
Office 2007, Student and Home version, and Outlook 2010. I first tested IMAP settings
and everything appeared OK. So, I changed to POP settings. Now I can not get messages
although I can send out messages. Outlook testing does not report any error. The same
settings (except port number for outgoing) on Outlook 2003 and Office 2003 work fine.

Does anyone know how to re-forward gmail messages into Outlook? I recently fried
my laptop and have set up my gmail accounts on my new laptop in Outlook 2010.
Everything is fine but I can only bring in new messages from my gmail inbox that have
arrived since I set up the Outlook account. All the messages in my gmail that were there
prior to this dont come in. Im hoping theres a way to get them all back into my new .pst
file.
