Catering Policy
To ensure a successful and well planned event, we have developed the following policies regarding our function and
catering procedures for your review. All federal, state, and local laws regarding food and beverage purchases and
consumption are strictly adhered to.
Embassy Suites by Hilton Newark Airport Hotel reserves the right to inspect and regulate private meetings, banquets
and receptions in accordance with policy and established laws.
All food and beverage must be provided by the Embassy Suites by Hilton
A deposit of a minimum of (25%) of the estimated cost shall be paid to the hotel at the time of signing the contract.
We ask that one hundred percent (100%) of your estimated bill be received seven (7) working days prior to the function
date. The entire balance of your event (additional guests/billings) must be paid in full at the conclusion of your event.
Upon credit arrangements being approved thirty (30) days prior to the function by the hotels accounting department,
payment will be required upon receipt of a billing statement.
A (22%) Service Charge and (7%) Tax or current tax rate, applies to all food and beverage orders, room rental fees, set
up fees and audio visual charges.
To confirm function space on a definite basis, a group must provide the hotel with written authorization on an Embassy
Suites by Hilton Newark Airport contract or confirmed catering event order. Embassy Suites by Hilton Newark Airport
reserves the right to release function SPACE THAT HAS NOT BEEN CONFIRMED IN WRITING and no deposit has
been received. Function space is assigned ACCORDING to the ANTICIPATED guaranteed number of guests. If there
are FLUCTUATIONS in the number of attendees, the HOTEL reserves the RIGHT to assign the banquet room
accordingly.
Confirmation of the number of attendees to any food and/or beverage function must be submitted seventy-two (72)
hours in advance. Should the guarantee exceed five percent (5%) we reserve the right to serve a substitute to the
original entre ordered. All charges will be based upon the guarantee, or the actual number of guests served, whichever
is greater. If a GUARANTEE is not submitted, as required, the original attendee figure will be considered the
guarantee. Guaranteed for events on Monday or Tuesday will be required by 12:00 noon on Thursday of the previous
week.
All menu selections shall be considered DEFINITE and not subject to change fourteen (14) working days prior to
function. Items listed on our menus are by no means the only items available. We are customizable and our catering
specialists will be most willing to discuss alternate menu selections specially requested for your event.
All prices and menu items are subject to change due to market fluctuations, unless such prices are confirmed in
WRITING. Confirmed prices will be quoted no more than ninety (90) days prior to the scheduled function.
LIQUOR SERVICE HOST BAR Service charges incurred in relation to bar sales will be the responsibility of the
group or individual hosting the party.
CASH BAR Guests purchase drinks individually. Glasses, ice, and garnishes are provided at no charge. If the
service of a bartender is required the host will incur the cost of the bartender. Bartender charge of $100, plus tax and
service charge, per bartender. Bartender fees for cash bars will be waived with a minimum consumption of $500 in
bar sales.
FUNCTION TIMES Function times are based on your contracted guest arrival through the contracted guest
departure. Five (5) hours is a standard function time frame. You have the option to extend you event for an additional
one (1) hour only for a fee. Guests are to gather their belongings and vacate the premises immediately following their
event. The hotel considers one hour a reasonable time frame for representatives of the group or organization to remove
their property from the room. The hotel will not agree to hold or store items after the event for any amount of time.
DECORATIONS No items can be displayed directly on the banquet facility walls. The use of nails, staples, tape,
and decorating gum is not permitted inside the banquet rooms or the lobby. Consider the use of easels for all signage.
Client is responsible for bringing in any equipment necessary to complete decorating; i.e. ladders, tools, etc.
FOOD TASTINGS Food Tastings are offered on the last Thursday of every month at 6:30 PM for Weddings, and
functions anticipating a minimum food and beverage spend of five thousand dollars ($5,000) unless otherwise approved
by hotel management in writing. Tastings will only be offered after signed contract and deposit has been received.
Reservations must be made a minimum of seven (7) business days prior to the tasting day, and will not be scheduled
within thirty (30) days of the function, unless approved by hotel management in writing. Parties are allowed one
tasting with two (2) guests in attendance. Additional guests are twenty dollars ($20) each. Second tastings will not be
scheduled without approval of hotel management in writing. Tastings include salad, starches, and three protein or
entre choices. Tastings do NOT include buffets, stationed hors d oeuvres, desserts or full cuts of meat, and all items
are subject to market availability. Tastings of custom menu items outside of listings below must be scheduled fourteen
(14) business days prior to tasting.
CANCELLATION CLAUSE Should your organization cancel definite arrangements with the Embassy Suites by
Hilton Newark Airport, cancellation will only be accepted in writing on your company or organizations letterhead, and
the following schedule will apply:
DEPOSIT- Is non-refundable if the function is cancelled with a one hundred-eighty (180) days (6 months) prior to the
scheduled event. Clients with direct billing privileges will be charged the public room rental fee. If the meeting or
banquet space is able to resell to another function with equal or greater revenue, the deposit, or a portion there of, may
be refunded.
LOSS OR DAMAGES - To groups displays, decorations, or other property brought into the hotel premises will be the
sole responsibility of the group. The hotel will assume no liability. The group is responsible for the conduct of all
persons in attendance any for damages incurred upon the hotel or its guests by individuals associated with or
representing the groups organization.
If for reasons beyond our control, to include, but not limited tolabor strikes, accidents, government restrictions, or
regulations on travel, acts of war, or acts of Godthe hotel is unable to perform its obligations, the such nonperformance is excused with no other liability upon return of any deposit. In no event shall the Embassy Suites by
Hilton Newark Airport be liable for consequential damages for any reason what so ever.
The Embassy Suites by Hilton Newark Airport requires security for all groups whose size, program, or nature indicates
such need. The acquisition of security personnel is at the discretion of the group, but must be reputable, licensed guard
or security agency approved by the hotel management. If not, security services shall be supplied by the hotel at the
clients expense.
The aforementioned policies explain the basic guidelines for Embassy Suites by Hilton Newark Airport and will assist
you in the planning stages of your event. Specific details pertaining to menu selections, registration desks, ROOM and
table arrangements, entertainment and other matters will be discussed and established prior to the event. Every effort
will be made by the management of Embassy Suites by Hilton Newark Airport to ensure a successful event.
