Checklist Analysis

Risk identification checklists are developed based on historical information and

knowledge that has been accumulated from previous similar projects.
The lowest level of the RBS (Resource Breakdown Structure) can also be used as a
risk checklist.
A checklist may be quick and simple and it is impossible to built an exhaustive one.
Care should be taken to ensure the checklist is not used to avoid effort of proper
risk identification.

The team should also explore items that dont appear on the checklist.
The checklist should be pruned from time to time to remove or archive related
items.
The checklist should be review during project closure to incorporated new lessons
learned and improve it for use on future projects.

What is Checklist analysis (CLA)

The term Check list analysis or CLA for short, denotes a very simple technique which
uses a list of items, steps or tasks with which the correctness or completeness of a
procedure is analyzed

Checklist Analysis

Checklist analysis is one of the tools and techniques of the Identify Risks process.
Checklist Analysis can provide ideas for risks on a current project.

http://www.justgetpmp.com/2012/02/checklist-analysis-is-one-of-tools-and.html

Checklist analysis is quick and simple can be used by team members who have
relatively less experience in similar projects.

But, the project manager has to understand that it is impossible to build an

exhaustive checklist so care should be taken to also explore risks that do not appear
on the checklist, because even highly similar projects will have their own, unique and
different risks.

Checklists should be reviewed during project closure to incorporate any new lessons
learned and also to improve the checklist for future projects.

Checklists can be developed based on following

Historical information

knowledge from previous similar projects

Other sources of information.

It is also possible to use the lowest level of Risk Breakdown Structure (RBS) as a
checklist.

13

Characteristics of Checklist

http://www.oshatrain.org/notes/4bnotes07.html

14

A systematic approach built on the historical knowledge included in checklist

questions.
Used for high-level or detailed analysis, including root cause analysis.
Applicable to any activity or system, including equipment issues and human factors
issues.
Generally performed by an individual trained to understand the checklist questions.

http://www.oshatrain.org/notes/4bnotes07.html

15

Sometimes performed by a small group, not necessarily risk analysis experts.

Based mostly on interviews, documentation reviews, and field inspections.
Generates qualitative lists of conformance and nonconformance determinations,
with recommendations for correcting nonconformance's.
The quality of evaluation is determined primarily by the experience of people
creating the checklists and the training of the checklist users

16

Beneficial for Project Manager

http://getpmpcertified.blogspot.com/2012/06/checklist-and-assumptions-analysis.html

17

As a project manager, when you sit down to identify risks for your project, it may look like a
daunting task because there is so much information to understand and analyze.
In such situations if you use a checklist, it can not only make your job easier, but also ensure
that our analysis is thorough.
In this stage, practically speaking we are combing through every single area of our project
looking for risks.
Checklists can help us confirm that we have looked into everything.

18

Scenario Activity

Your instructor may assign a variety of case studies for your analysis, either
individually or in groups.

Criteria to Evaluate Checklists

Applicability to full range of intended uses

Clarity
Comprehensiveness
Concreteness
Ease of use
Fairness
Parsimony
Pertinence to the content area

Good Checklists

Precise

Practical

Economical

22

Format of Checklist

Checklists are often presented as lists with small checkboxes down the left hand
side of the page.
A small tick or checkmark is drawn in the box after the item has been completed.

Three Essential types of Checklist

Procedural checklists
List steps that must be followed in order.

Communication checklists
Encourage communication in organizations.

Project checklists
List tasks that must be completed

26

Different Types of Checklists

Task checklist
Take the form of a how-to list. They outline a procedure step-by-step, listing
instructions that must be followed in order to complete the procedure

Troubleshooting Checklist
This type of list is very similar to a task checklist, but instead of outlining a procedure,
it offers a solution should the procedure go wrong.

Discipline Checklists
Discipline checklists are composed to prevent you from making bad decisions in the
heat of the moment. When you are calm and in a reasoned state of mind you compose a
checklist of procedures that you want to follow or questions you want to ask yourself
during the decision-making process.

http://www.lexician.com/lexblog/2010/02/six-types-of-checklists/

27

Different Types of Checklists

Coordination Checklists
Also known as submittal schedules, co-ordination checklists are often used in large
businesses or organizations where the nature of business is such that no one person can
understand the whole endeavor.

To-do Lists
The list consists of several tasks that need to be completed. These could be listed in
order of importance or just noted down randomly. It is not considered a failure if the
list is not completed immediately; some to-do lists include long-term tasks or goals.

28

Limitations of Checklist Analysis

http://www.oshatrain.org/notes/4bnotes07.html

29

Although checklist analysis is highly effective in identifying various system

hazards, this technique has two key limitations
The structure of checklist analysis relies exclusively on the knowledge built into the
checklists to identify potential problems. If the checklist does not address a key issue, the
analysis is likely to overlook potentially important weaknesses.
Traditionally only provides qualitative information. Most checklist reviews produce only
qualitative results, with no quantitative estimates of risk-related characteristics. This
simplistic approach offers great value for minimal investment

Risk Management Checklist

Risk is a potential probability of suffering loss. In project development,
implementation, the loss assumes the impact to the project which could be in the
form of reduced quality, extra costs, time shifting, procrastination, or even failure.
Risk Management is a complex of methods and controlling measures aimed to
prevent risks and reduce their negative consequences over the project. Use a Risk
Management Checklist to find out what type of risks you should manage and,
therefore, to eliminate or minimize risk outcomes.

Gender Analysis Assessment Checklists

This Checklist is designed to assist policy makers in ensuring that policies,

programs and services meet the needs of both women and men in the community.
It is not essential to complete every step this is merely a guide to assist policy.
Makers to question how policy is developed, who it affects and why.
