OBJECTIVES OF THE STUDY


The organizational study was conducted at BULL MACHINES (P) LTD, Coimbatore. The
objective of the study is

To understand the organization structure, system and practice.


To understand and study the working of the functional departments.
To analyze and offer suggestions to any organizational concern like improvement
or development of any process, system policy or practice.
To enhance my practical knowledge of the current organizational practices
through observation and interactions the employees.

2. OVERVIEW OF THE ORGANIZATION
2.1. INDUSTRY PROFILE
Tractors are all purpose, off-road utility vehicles for everything from sophisticated
commercial farming and construction to personal gardening. There are tractor attachments for
just about any job to undertake. Tractors range from small ride mowers, or lawn tractors, for yard
and landscaping to very significant, heavy-duty equipment tractors made for agricultural,
excavation, farming and industrial purposes. Typically, a tractor refers to heavy equipment.
Most tractors attached that are used for jobs such as digging or cutting attach to a power
take-off (PTO) drive shaft. The PTO allows tractor attachments to run the power of the tractor
engine. This saves significant time and money as this turns the tractor into an all-purpose vehicle.
Most people who use a tractor on a regular basis will agree that a quick hitch is one of the
most important attachments available for a tractor. This allows all your tractor attachments to be
quick and easy. Before the introduction of the quick hitch, putting on and taking off each
attachment was a tedious task.
Some of the most common tractor attachments are backhoes, blades, buckets, bush hogs
(mowers), harrows, loaders, dozers and hole drillers. The backhoe is a valuable piece of
equipment as it allows you to dig precise holes from the comfort of your tractor. Many of the
more sophisticated ones have GPS and depth gauges to allow construction to dig specific
alignment for foundations.

Blades are great for plowing snow and large quantities of dirt. Tractor attachments also
offer snow blower attachments to move the snow out of range. Buckets, which are a semi-

permanent attachment can also be used for moving but also can carry rock, equipment and many
other options. They have a hydraulic lift for greater mobility.
Mowers come with a variety of capabilities. The typical bush hog is a large mower that
can comfortably mow acreage. Side mowers are tractor attachments that allow you to drive on
the road while mowing the side ditch, or any area that the tractor cannot reach.
Harrows and tillers drag, loosen and cultivate the soil in preparation for planting or
finishing the ground. Equine arenas and baseball infields are used for harrows. Whole diggers
and augers are used to drill for installation of fence posts, footings or drilling through soil be
dried, cured and prepared for baling, Balers actually from the hay into condensed hay bales.
Planting attachments create rows of seeds specific for the crop with the appropriate
distance in between. Spraying device prepare the soil with liquid nutrients and pesticides.
Spreaders are used for spreading manure or prepared compost or other soil composites. They
allow for even distribution and ease of removal of large mounds of manure.
For the lawn tractors, many of the tractor attachments available for the standard tractor
can be purchased for the smaller home versions. Snow blades and blowers, buckets, and wagons
are available. In addition, these Mowers have attachments that will bag the lawn clippings. This
vacuum device will store clippings until you are ready to empty. These tractor attachments are
available for the zero turn radius mowers as well.
A backhoe loader, also called a loader backhoe, a digger, and commonly shortened to
backhoe, is a heavy equipment vehicle that consists of a tractor fitted with a shovel/bucket on the
front and a small backhoe on the back. Due to its (relatively) small size and versatility, backhoe
loaders are very common in urban engineering and small construction projects.

Backhoe loaders are very common and can be used for a wide variety of task:
construction, small demolitions, and light transportation of building materials, powering building
equipment, digging holes/excavation, landscaping, breaking asphalt, and paving roads. The
backhoe bucket can also be replaced with powered attachments such as a breaker, grapple, auger,
or a stump grinder.
Enhanced articulation of attachments can be achieved with intermediate attachments such
as the tilt rotator. Many backhoes feature quick coupler (quick-attach) mounting systems and
auxiliary hydraulic circuits for simplified attachment mounting increasing the machines
utilization on the job site.

Bull Machines Private Limited (BMPL) is a part of 45 years old engineering group
sandfits foundries private limited. BMPL is situated in Chinthamanipudur, Coimbatore. The
sandfits foundries Pvt limited is started by his son Mr.V.Parthiban. Bull Machines Private
Limited is engaged in tractor attachment business since 1998.
BMPL is manufacturing tractor attachments such as LOADER, RADIAL LOADERS,
DOZERS and BACK HOES. The products are manufactured for various tractors like john Deere,
Mahindra & Mahindra, Sweraj Mazda, New Holland and the like. The company is
manufacturing equipments for municipal solid waste management such as self-propelled aero
tiller and pulverier with latest technology. BMPL is the leaders in this tractor attachment business
having more than 85% of market share. The annual turnover of this company is 60 crores. BMPL
has been recognized as in house R&D unit by Ministry of Science & Technology.
This company has strong work force of 800 employees in this unit. This company is
manufacturing agricultural products in harvester department. The harvester department is
established in 2004 for manufacturing harvest machine for paddy harvesting. More than 4000
machines are running successfully in various segments. The company is manufacturing 40 types
of industry specific interchangeable bucket options for loader.
BMPL has recently started its new unit for manufacturing tractor attachments in Sulur.
The main objective of this company is to expand the company units all over India by which
employment opportunities can be increased.
The products produced by this company are used in various segments such as
construction, stone crusher for lime stone, paper mill, river sand, brick handling, foundry, waste
management, Biomass, commercial, General excavation, Cement land development, salt
Industry, Power plant, Agriculture, Mines & Minerals, Road construction, steel plant, Garbage
(Municipal), Refinery.
The products manufactured by this company is low Diesel consumption and suitable for
all tractors. Nationwide, there are more than 600 dealers with strong sales and service. The Bull

India for serving the customers. The company has Marketing office in Nodia. The sales and
service is done in all the branches of the company. The production, Sales and service is done in

3.1 MARKETING DEPARTMENT
Marketing is the process by which companies create customer interest in product
or services. Marketing is a social and managerial process by which individuals and
groups obtain what they need and want through creating and exchanging products and
values with others.

company has 85% of market shares in tractor attachment business.

the requirements of the customers and to introduce new product. The task of marketing research
is to provide management with relevant, accurate, reliable, valid, and current information.
CHANNEL DISTRIBUTION
The channel of distribution refers to the pathway taken by the goods to move from the
production point to the point of consumption. For BMPL, National wide over 600 Dealers are
present for Strong Sales and Service Network.

Tax Procedures
A copy of invoice is filed for each transaction. If C-Form is present then Tax is 5% for
Tamil Nadu and 2% for other states. If C-Form is not present, 5% tax for other states.

3.2 RESEARCH AND DEVELOPMENT DEPARTMENT


BMPL has been recognized as in house R&D unit by Ministry of Science & Technology.
The company has a well-equipped in house R&D facility to support the development works and
getting solutions for the related problems in tractor attachments. Purchasing materials including
software and other services are budgeted and executed within due time. Senior Engineers will
monitor the research spending throughout the research process.

Finance department performs a vital role in every organization. The main function of
finance department is to procure funds required and it ascertains the profit and loss of the
company during a year. Finance Department keeps all relevant records of accounts. Finance is
the life blood of every business. Finance department takes care of all monitory transfers of the
firm.

The annual turnover of BMPL is 60 crores. This company has 85 percentage of market in this
tractor attachment business. The sources of funds are maintained in Finance department. They
are maintaining service tax separately, invoice payment, journal, ledger, transport copies. In

3.4 INDUSTRIAL ENGINEERING DEVELOPMENT DEPARTMENT


It is concerned with the development, improvement, implementation and evaluation of
integrated systems of money, knowledge, information, equipment, energy, materials and/or
processes.
It also deals with designing new product prototypes more efficiently. In this department,
CAD (Computer Aided Design) is used to develop new products for the production. The
engineers develop new products with different shapes and sizes. For example, they made design
for 40 types of buckets used for tractors.

In IED Department, complex processes or systems are optimized. A major aspect of


industrial engineering was planning the layouts of factories and designing assembly lines and
other manufacturing paradigms. This department instructs the Sub Contract department about the
type of product to be purchased from other companies.

3.5 PURCHASE DEPARTMENT/STORES DEPARTMENT


The purchase Department in BMPL is not meant only to purchase the raw materials needed
for the production purpose. It also helps as a way to gather auxiliary materials needed for other
departments.

In BMPL departmental documentation of major activities is carried out by specified forms.


There exists a provision of the call for the quotation and the same is wished to be enlisted
through from entries. Purchase orders are issued by the concerned officials entered through the
purchase order forms. Sales receipts are issued to the customer-dealers and agents, who buy the
pumps primarily through agency agreements.
Suppliers will deliver the raw materials directly to the industrial unit after they received the
payment. Payment is done through cash or cheque to the suppliers. Raw materials are purchased
inside Coimbatore. The purchase of large quantity of materials for the production is done to
control stock levels.

Period of Purchase
In off season the production is low, hence they will purchase low quantity of raw
materials. In the month of June March they purchase large quantity of products and production
is high.
Grading of Materials
In BMPL, ABC classification process is followed. This is an analysis of a range of object
into three categories. They classify the products based on the place of purchasing the materials.
A- Important; B- Average importance; C- Relatively unimportant as a basis for a control
scheme.
STORES DEPARTMENT
It is the secondary auxiliary department of the Purchase Department. The main duty of this
department is to store the inventory and to supply it to the various departments when it is
required.
They stores department update the availability of stock to top management in order to
purchase the raw materials at right time. Tendering system is adopted for the purchase of
materials. It helps to avoid the personal interest in selection of suppliers and favoring in the
purchase of materials.
The stores department of a firm handles stock control. It involves buying of raw materials
and components and controlling stock levels. However, this can lead to a number of problems
like increased storage costs and a greater risk of theft or deterioration.
If stock levels are kept low, there is a risk of running out of stock. Production may have to be
slowed down or even stopped. Wages will be given to the employees and payment for machinery
must still be paid for, whether the production is there or not. Kanban management is also
followed in stores department in order to maintain the stock level.

3.6 PRODUCTION DEPARTMENT


This department is responsible for the entire manufacturing process, turning raw
materials into finished goods. The production process carried out depends upon the instructions
given by the Production Planning Department.

BMPL is an engineering industry manufacturing tractor attachments. Production is done


based on the job order given by the customers. Process layout is used for manufacturing tractor
attachments. For manufacturing loader, dozer and back hose, they are using 5-63 mm sheet.
NC Section
In production process, first the metal sheets having 5-63 mm are sent to CNC
(Computed Numerically Controlled) section. In this section, the CNC machines cut the metal

sheets into different shapes depend upon the manufacturing product. With the increased
automation of manufacturing processes with CNC machining, considerable improvements in
consistency and quality have been achieved with no strain on the operator.
CNC automation reduced the frequency of errors and provided CNC operators with time
to perform additional tasks. CNC automation also allows for more flexibility in the way parts are
held in the manufacturing process and the time required changing the machine to produce
different components.
Grinding
After the CNC section, the small metal components are taken into grinding section to
reduce the unwanted small particles in the components by crushing.
Bend Removing
After grinding, the metal components are taken to bend removing section to remove the
unwanted bends in the metal components. The bends are removed depending upon the product.
Drilling
After the bends are removed, the metal components are sent to drilling section for making
holes. Drilling is a cutting process that uses a drill bit to cut or enlarge a hole in solid materials.
Different types of drilling like Spot drilling, Center drilling, Deep hole drilling, Trepanning,
Micro drilling. Then the metal components are sent to work center for further process.
Work center
In work center, all manufacturing process is carried out. The product is produced based
on the instructions given by the production planning and control department.

Welding
In welding section, two metals are joined into a single material. There are different types
of welding used.

Reaming
A reamer is a metal working tool used to create an accurate sized hole. The process is
called reaming. In BMPL, sometimes they outsource the reaming work to other companies.
Assembly
In assembly section, all the products manufactured in different section is assembled into a
single product.
Quality control
Quality control is a process by which entities [Companies Survey review] the quality of
all factors involved in production. If any defect is found then it is sent back to work center
section for correcting the problem.
Painting
After the quality inspection is done the products are taken to painting section. Based on
the order, different types of colors are used.
Testing

After painting is done, the loader and dozer are tested by attaching with tractors.

Dispatch
Finally, the products are dispatched to the customers.
BMPL is using 4000 machines in various segments in manufacturing. Hoist crane and
trolley are used for handling materials. Break down maintenance is used in the industry. The
production is done based on the task given by the PPC department.

resources is done to bring about the successful completion of specific project goals and
objectives. In PPC Department, they analyze the engineering or technical aspects required for the
production process. This department plan for production and monitor the progress carried out by

Production planning and control is the element of a production that keeps it on-time, offtime and within budget. Physical resources and labour are the largest costs a manufacturing firm

In BMPL, Quality Control department review the quality of all factors involved in
production. Quality is a measure of how closely a good or service conforms to a specified
standard. Quality standards may be any one of a combination of attributes, varieties of project of
the product being manufactured and the attributes includes performance, reliability, appearance,
commitments to delivery time and like. Wastage can be avoided if the production process is
monitored carefully.

Limited (BMPL), Human Resource Department follows certain policies, rules and regulations
for the employees. This department maintains all the records of the employees working in the
company. This department controls the process of recruitment, selection, compensation, and
development of employee in order to achieve the company objective. The recruitment and

The working time of the company is classified into factory shift.

For attendance, all the employees are required to work for the minimum of 8
hours.

The permission time given for the employees is maximum of 2 hours per month.
If the employees are coming late, then the permission time is reduced depending
upon their late coming.

Bull machines private limited believes that the human assets is the exclusive contribution to the

(A) Recruitment is made only as per manpower planned / manning table and against
established vacancies that may arise due to the following reason:

3.9.1.5. Leave & Holiday Policy for office and factory employees

Privilege leave (PL) / Rest Leave allowed for the employees is 15 days per year.

Maternity leave is provided for 12 weeks per year according to Maternity Benefits Act
1961.

The holidays include 4 National holidays and 5 festival holidays.

3.9.1.6. Policy on Salary Advances

Advances will be granted based on the Marriage/Medical/Education/Death in the


family/Natural calamities.

Quantum of Advance

Maximum up to 2 months salary (or) 10,000, which is recoverable in minimum of five


equal monthly installments and maximum of ten equal monthly installments.

The employees have to follow certain procedure for applying advance.

3.9.1.7. Security Personnel: Rules and Responsibilities

To regulate the points of entry and exit in order to prevent entry of unauthorized persons.

To provide sufficient number of security guards for protect companys property and

In BMPL, 85 computers and 25 printers are used. The company use Windows XP as an
operating system. The company has appointed separate people for developing new software.

The burden of keeping all the paper records are avoided with the help of computers.

All the details with regard to different departments such as Purchase, Finance, Marketing,
Human resource are fed into the system.

The retrieval of information regarding any specific matter is carried out.

The chances of getting error is also very rare.

In case of purchase, all the details regarding the purchase materials, vendors list amount
paid is stored in the computers.

In the case of Human resource, all the details regarding the employees and their monthly
salary are stored.

In Production department, the quantity of materials produced and records of previous


years are stored in the computers. Without computers, it is impossible to maintain all the
bills and transactions in the Finance department.

3.11 SERVICE DEPARTMENT


BMPL have more than 600 dealers for strong sales and service network. The pre-sale
service for the products is done for one year from the date of purchase. If the problem is within
the guarantee period, the parts are well checked and if needed replaced completely and then

alone is prepared along with the service.
