About the Project Manager

About the Project Manager


Introduction
Project Manager assists in design control and management. It allows a project administrator
to do the following:





Create a project directory structure


Assign project parameters including line numbers, etc.
Create project users
Grant access to project directories and designs

Project Manager controls access to existing designs and project directories.


To provide a safe way of sharing PROCAD 3DSMART data and documents in a
network environment, you can create multiple PROCAD 3DSMART Users with different
Roles and Permissions. By default there is only one User in the system, Admin, that has full
access and all permissions granted.
Different functions, procedures and actions accessible for different Users according to their
PROCAD 3DSMART Roles and Permissions:

Elements of a Project
A project consists of the following elements:

Project Name and Folder - these are assigned in Project Manager when
you create the project.
Working Folder - this is the folder where you store design files associated
with the project. You must assign this folder before you create the project.
Units - this is a selection that determines how units are displayed in all
designs included in the project. You assign unit type and display options
when you create a new project using Project Manager.
Tags - these are project tags for line numbers. Specifications - these are
design specifications created using the Specifications Manager application.
You can use Project Manager to assign which specifications are available
for a project and designs.
Project Fields (Attributes) - these are attributes that define or describe a
project. You can create new project fields (attributes) and assign values
using Project Manager.
Users - these are the people authorized to work on a project. Use Project
Manager to create a master users list, and assign individuals to work on a
project.
Designs - these are the 3D models created using PROCAD 3DSMART.
Designs are always assigned to a specific project.

Project Manager Window
The Project Manager Application window is the main multi-document. You can open and
view several projects in the childs window at the same time.
The Explorer (see Main Project 1 folder in the image below) is a movable toolbar that
displays projects in a tree structure. Use this toolbar to open a desired project or subproject
in the Project Manager window.
The Project Manager window (right side of the image below) displays information for the
selected project or sub-project using tabbed pages. You can view information for multiple
projects or sub-projects in the data pane.
The toolbar and main menus provide access to all software functions.

Rename

Opens the projects Properties dialog box where you can edit the
project name.

Delete

Mark a project as "unavailable" remove it from the directory tree,


but not from the database.

Undelete

Mark a project as "available" and make it visible in the directory


tree.

Project Specs

Opens the Project Specs dialog box, where you can add, delete, or
edit the project specifications.

Project Lines

Opens the Project Lines dialog box, where you can add, delete, or
edit the project lines.

Project Location Opens the Working Folder dialog box, where you can change the
location of where the project is stored.

Export/Import

Opens a submenu to allow you to manipulate the location of the


project:


Export to External File: export the selected main project to


an external file that may be imported into another database

Export to SQL Server: export a copy of the selected main


project into a SQL server database

Import from External File: import a previously exported


main project into the current database from an exported
project file

Import from SQL Server: import a copy of a main project


from a SQL server database into the current database

Archive Project: remove the selected main project from the


current database and store the information in an archived
project file

Restore Project: create a project based on the information


stored in a previously archived project file

Move Project to SQL Server: move the selected main


project to a second SQL server database

Copy Project: make a copy of the selected main project


within the same database

View Projects

Opens a submenu to allow you to choose which projects you want to


view:


Available: view projects that are not checked out and the
user have access to.

Deleted: view projects that have been marked unavailable


and are not visible in the directory tree.

Access Denied: View projects that the user does not have
permission to access.

Suspect: Views the projects that are damaged, missing, or


corrupted.

All: View all projects in the database.

Refresh: Updates the information on the screen.

Open Containing Opens a new Windows Explorer window displaying the contents of
Folder
the folder associated with the selected object. This command is
available when a Project or an individual drawing/model is selected.
Refresh

Updates the information on the screen from the database.

Properties

Opens the Project Properties dialog box, where you can view the
tabs for: Project Name, Working Folder, Project Lines, Project
Specs, and Units.

Rebuild Shortcuts

Open the Update Shortcuts dialog box where you update shortcuts
to project folders and design files.
Project files receive a system-generated name when they are
created. You cannot rename these files. Instead, you can create user
named shortcuts to the project files.

BOM Settings
Manager

Opens the BOM Settings Manager application.

View SQL Error


Log

PROCADs technical support staff may request that you send in the
error log file if you are experiencing technical problems with the
Project Manager. In general, you should not need to access this
information.

Alias ISOGEN
Activation

Activate or deactivate the ISOGEN module that synchronizes the


ISOGEN settings with the Project Manager. This must be activated
in order to automatically generate isometrics from a 3D model
within the Modeler application.

Alias ISOGEN
Config

Configure the settings for ISOGEN, mainly the location of the IConfigure files that control the appearance of the various output
styles, and the output styles to be included by default, with each
PROCAD 3DSMART Project.

Export Project to
External File

Exports the selected main project to an external file that may be


imported into another database.

Export Project to
SQL Server

Exports the selected main project to an external file that may be


imported into a SQL server database.

Import Project from Imports a previously exported main project into the current
External File
database from an exported project file.
Import Project from Imports a copy of a main project from a SQL server database into
SQL Server
the current database.
Archive Project

Removes the selected main project from the current database and
stores the information in an archived project file.

Restore Project

Creates a project based on the information stored in a previously


archived project file.

Move Project to
SQL Server

Moves the selected main project to a second SQL server database.

Copy Project

Makes a copy of the selected main project within the same


database.

Window Menu

Select this

Cascade

When more than one project is opened in the child window,


they will cascade down and overlap each other, so all the
title bars are displayed.

Tile

When more than one project is opened in the child window,


they will be tiled across the window, so they can all be

About Project
Manager

View information about the program.

Toolbars
The toolbar may be toggled on or off from the View menu.

Open the Create Project Wizard and create a new main project.
Open the Create Project Wizard and create a new subproject.
Note: The subproject is added to the currently selected main project.
Copy the currently selected project.
Opens the Project Properties dialog box, where you can view the tabs
for: Project Name, Working Folder, Project Lines, Project Specs, and
Units.
Opens the Create New User Wizard to add a user to the list.

Deletes the currently selected user from the database. This button is
only active when a user is highlighted in a project.
Opens the Users Properties dialog box to add or remove roles
assigned to the user. This button is only active when a user is
highlighted in a project.
Opens the Users Properties dialog box to change their password.
This button is only active when a user is highlighted in a project.
Import project from an exported project file (*.pef). Projects may be
exported using the Export Project to External File command from
the Tools menu.
Exports the selected main project to an external file that may be
imported into another database.
Removes the selected main project from the current database and
stores the information in an archived project file.
View information about the program.

Force current user of a design to check in the design.


Note: Project Manager does not allow two designers to
simultaneously work on the same design.

Check Out

Allow you to make the design unavailable to other users while


you work on it.

Create

Opens the Create New Design dialog box where you can create and
configure a new design.

Create Copy Of

Opens the Create New Design dialog box where you can create a
copy of a design by choosing the lines you want included in it.

Rename

Allow the design name to be edited.

Delete

Mark a design as unavailable and remove it from the design list,


but not from the database.

Other Tasks

Opens a submenu to allow you to choose one of the following, only


if the design has already been deleted:


Undelete design: makes the design visible in the directory


tree and marks it as available

Purge design: deletes the design entirely from the


database.

Design Specs

Opens the Design Specs dialog box where you can add, remove, or
change the specs for the design.

Preview

Open the selected design in the Preview window.

History

Opens the History dialog box so you can view the design history of
whom and when checked the design in or out.

View Designs

Opens a submenu to allow you to choose which designs you want


to view:


Available: view designs that are not checked out, and the
user have access to.

Deleted: view designs that have been marked


unavailable and are not visible in the design list.

Suspect: view designs that are damaged, missing, or

Checked Out: view designs that are being used by other


users.

All: view all designs in the database.

Refresh: update the information on the screen.

Large Icons: displays the designs with a large icon.

Small Icons: displays the designs with a smaller icon.

List: displays the designs in a vertical multi-column list.

Detail: displays the design list in Report view.

Open Containing Opens a new Windows Explorer window displaying the contents of
Folder
the folder associated with the selected object. This command is
available when a Project or an individual drawing/model is
selected.
Refresh

Updates the information on the screen from the database.

Properties

Opens the Properties dialog box to display tabs for General, Design
Specs, and History.

Project Explorer Right-Click Menu


This menu appears only when no projects are currently open.

Set All Members of Project

Gives all users in the list access to the project.

Reset All Members of Project

Allows the user to undo the setting of all members


in a project, giving access to only those who had it
initially.

Making a Project: Basic Steps
To create a new project, ensure you address each of the steps listed here:


Create a working folder, or use an existing folder, for the new project using
Windows Explorer. Do this before you create the project using Project
Manager.
 Using Project Manager, create the Project and associated subprojects (if
required). See Creating a New Project.
 Assign users to the project. Admin is always a member of the project, so it
does not need to be added again.
 Assign one or more specifications to the project. Create specifications using
the Specification Manager application and then assign them to the project
using Project Manager. See Assigning Specs to a Project.
 Create and/or assign attributes information to a project. Attributes are
additional information that helps define or distinguish one project from
another. See Adding a Project Field (Attribute), and Assigning a Value to
a Project Field (Attribute).
When all these steps are complete, the project is fully defined. You can now create designs
for the defined project.

Creating a New Main Project


Use this procedure to create a new root project directory.

To create a new project...


1.

Select New Main Project from the Projects menu.


OR
Right click in the Project tree and select New Main Project.
OR
Click the Create New Main Project button on the toolbar

Step 1 of 5 of the Create Main Project wizard appears.

Enter a name for the new project.

3.

Click Next.
Step 2 of 5 appears to assign the working folder.

4.

If you do not choose to use the default location, click the Browse button.

The Get Folder Path page appears.


5.

Select a working folder for the project.

6.

Click Next.
Step 3 of 5 appears to create/select project lines.

7.

Create and select the lines to be used in the project.

8.

Click Next.
Step 4 of 5 appears to choose specs.

9.

Choose the specs to be used in the project.

10. Click Next.


Step 5 of 5 appears to define the project units.
11. Select the required unit options.
12. Click Finish to create the new project directory in the Project Manager
Browser, OR click Cancel to exit the dialog box without creating a new root
project.

Creating a Subproject
Use this procedure to create a new subproject directory.

To create a subproject...
1.

There are two methods:


a. In the Project Navigator Toolbar, click the project for which
you want to add a subproject folder. Then from the Projects
menu, select New Subproject.

b. Right click on the project and select Subproject in the menu.


The Create Subproject wizard appears.
2.

Enter a name for the new subproject.


The Project Lines dialog box appears.

3.

Create new or select from the available project lines you want to appear in the
project.

4.

Click Next.
The Project Specs dialog box appears.

5.

Select from the available specs you want to appear in the project.

6.

Click OK to create the new subproject directory, OR click Cancel to exit the
dialog box without creating a new subproject.

Assigning Additional Users to a Project


Use this procedure to assign users to access a project.

To assign additional users...


1.

Open the required project.

2.

Click the Users tab.


The tab displays a master list of users.

3.

Click the check box beside a name to add that user to the project.
 Note: You can assign multiple users to the project.

4.

When you have added all required users, close the Project Window.
 Note: The user assignments you made are automatically saved.

You create specifications using Specification Manager. All existing specifications appear in
the Project Specs tab of the Project Manager window.

1.

Open the required project.

2.

Click the Project Specs tab.

3.

Click the check boxes beside all the specs you want to assign to the project.
 Note: For the main project, all existing specs are available. For the
subproject, only the subsets of specs from the main project are
available.

Deleting a Project
There are two ways you can mark a project as "unavailable" and remove it from the project
tree.

To remove a project...
1.
a. In the Project Navigator Toolbar, click the project or subproject you
want to remove.
b. From the Projects menu, select Delete.
c. A message box asks you to confirm the delete.
d. Click OK to remove the project from the project tree.
2.
a. Right click on the Project.
b. Select Delete from the menu.

You can also remove a project from the database entirely by selecting Archive Projects:
either by right clicking on the project or choosing it from the Projects menu.

To rename a project...
Either click the project or subproject you want to rename, and select Rename from
the Projects menu
OR
Right click on the project and choose Rename from the Projects menu
OR
Select Properties from the Projects menu, and click on the General tab.
The projects Properties dialog box appears.

Enter a new name for the project.


Do one of the following:
 Click OK to accept the new name.
 Click Cancel to exit the Project Properties dialog box without renaming
the project.

Setting the Working Folder


When the program is first used, the first path entered for the project working folder becomes
the default.
You assign a working folder (either local or on the network) when creating a project, but you
can change this folder at any time.
You can assign any folder accessible on your network as the working folder for a project.
When you are assigning a working folder, you should use the network path to a shared
folder, so the project is accessible to all users. If you assign a local path, a warning will
appear that the project will be stand-alone.
To access multiple users through the network, provide the network share and appropriate
permissions.

To assign a different working folder...


1.

In the Project Manager browser, select the project to which you want to assign
a different working folder.

2.

From the Projects menu, select Project Location.


The Project Properties dialog box appears with the Working Folder tab.

A warning message appears.


Read the warning message carefully.
Click OK to proceed, OR click Cancel to terminate the operation.

4.

If you click OK, the Get Folder Path dialog box appears.
Select the folder you want to use as the working folder.
5.

Click OK to select the folder and close the Get Folder Path dialog box.

6.

The Assign Working Folder tab displays the name of the folder you selected.

7.

Click OK to accept the selected folder and close the Working Folder dialog
box.
Alternately, click Cancel to exit the Working Folder dialog box without setting
a new working folder.

Viewing Project Information


When you open a project or subproject using the Explorer, a project window opens. The
window has five tabs that contain all project information and attributes. Click on the tabs to
view the following project information:

Updating Project Shortcuts


Project files and folders receive a system-generated name when they are created. You cannot
rename these files. Instead, you can create user named shortcuts to the project folders and
design files (using the Project Name dialog box or tab).
You can update shortcut file names to reflect the most recent list of user defined design and
project names at any time.

To update shortcuts...
1.

From the Tools menu, select Rebuild Shortcuts.


The Update Shortcuts dialog box appears.

2.

Click Start.
The Status bars indicate update progress.

3.

When all projects and design shortcuts update, click Done to close the Update
Shortcuts dialog box.

Exporting Project to External File


There are times where it will be desirable to move a main project from one database to a
second. Using the export project to external file functionality will allow main projects to be
moved between MSDE databases. The Exporting Project to SQL Server command allows
transferring of a main project to any SQL Server that is accessible through the network.
The exported project file will contain information on all sub-projects, line numbers, specs
selected, drawings and user roles and permissions. The original project will remain intact in
its original location.

To export a project to External File...


1.

Highlight the project that you wish to export.

2.

From the Tools menu, select Exporting Project to External File.

3.

The file Save As dialog appears. Select the name of the exported file and the
location where it will reside. The file extension is *.pef.

Importing Project from External File


The Importing Project from External File command allows transferring of main projects
into a project database. This is particularly useful for MSDE Databases.

From the Tools menu, select Importing Project from External File.

To export a project to SQL Server...


1.

Highlight the project that you wish to export.

From the Tools menu, select Exporting Project to SQL Server.

The Select SQL Server dialog appears. Select the server you wish to export
the project to from the drop down box.

4.

Click the Finish button to export the selected project.

If the project or any subproject has an identical name to any existing projects, a dialog will
appear asking for a new name for the project being imported.
Note: The correct permissions are required on the destination SQL Server to be able to write
the project information.

Importing Project from SQL Server


The Importing Project from SQL Server command allows transferring of main project data
into a projects database.

Resolving Project Name Conflicts


The Project Manager does not allow duplicate project names. When a project is being
imported or restored from archives, the project names are compared against those already in
existence in the database. If there is a repetition, the Resolve Project Name Uniqueness
dialog box will appear.

The projects on the destination database that have the same name as the project that is being
imported or restored will appear in red. In order to complete the import process, a unique
name must be entered in the text field. As soon as a unique name has been entered, the
Apply New Name button becomes available.

If any of the sub-projects being imported have duplicate names of any existing projects, the
Apply new name button will again become greyed out and the next project name that
requires modification will appear in the text box. Once all name conflicts have been
resolved, the Continue button will become available for use. Clicking this button will
complete the import process.

Archiving Projects
At the completion of a project, it may be desirable to archive the project so that it no longer
exists in the project database and is no longer displayed in the project manager. The Archive
Projects command allows the project information to be transferred from the database to
Archive Project File format. The original project will be completely removed from the
database. This functionality will work for both MSDE and SQL server databases.
The exported project file will contain information on all sub-projects, line numbers, specs
selected, drawings and user roles and permissions. The physical drawing files (*.dwg) such
as the models, orthographics and isometric drawings will all remain in their original location.

To archive a project...
1.

Highlight the project that you wish to archive.

2.

From the Tools menu, select Archive Project.

3.

The Save As dialog appears. Select the name of the exported file and the
location where it will reside. The file extension is *.arh.

4.

Click the Save button to export the selected project.

5.

A final warning will appear indicating that the project settings will be
completely removed from the database.

6.

Click the Archive button to complete the archiving process.

Restoring Projects
The Restore Project command allows archived project files to be returned to the database.
The imported project file will contain information on all sub-projects, line numbers, specs
selected, drawings and user roles and permissions.

You can change the name for an individual user, except for Admin.

Change the Users name, and then click back into the Users tab to save the

Editing User Roles


You can add, or remove the roles assigned to an individual user, except Admin who has full
access and all permissions granted.
To edit user roles
1.

In the Project Manager window, click on the Users tab.

2.

Right click on the user whose roles you want to edit.


The right-click menu appears.

3.

From the menu, select User Roles.


The User Properties dialog box appears.

4.

Select the roles you want the user to have, or deselect currently checked roles
so the user doesnt have access to them.

5.

Do one of the following:


 Click Apply to save the changes to the users roles, while the User
Properties dialog box remains visible.
 Click OK to save the changes to the users roles, and close the User
Properties dialog box.
 Click Cancel to close the User Properties dialog box without saving the
changes.

Deleting a User
You can delete a user from the PROCAD 3DSMART Database, except the Admin system
account.

Setting all Members of a Project


Setting all the members of a project allows you to give access to all users without clicking
each individual user.
To set all members of a project
1.

In the Project Manager window, click on the Users tab.

2.

Right click in the Users tab.


The right-click menu appears.

3.

From the menu, select Set All Members of Project.


All members in the Users tab become checked, giving them all access to the
project.

Resetting All Members of a Project


Resetting all the members of a project allows you to undo the setting of all members in a
project. All users who initially had access to the project will remain checked and have
access, while the others will no longer have access.
To reset all members of a project
1.

In the Project Manager window, click the Users tab.

2.

Right click in the Users tab.


The right-click menu appears.

3.

From the menu, select Reset All Members of Project.


All the members who were not initially given access to the project will be
denied access again.

Designs
Creating a New Design
Any user with permission to access a project can create new designs for the current project.
1.

Open a project or subproject.

2.

Click the Designs tab to view a list of designs in the current project or
subproject.

3.

Right-click in the Designs tab, and select Create from the menu.
Step 1 of 2 of the Create Design Wizard appears.

Deleting a Design from a Project


You can delete a design two different ways. To make a design unavailable and hide it from
view, mark it as deleted. To remove the design from the database completely, you use the
Purge function.

To make a design unavailable


1.

Open a project or subproject.

2.

Click the Designs tab to view a list of designs in the current project or
subproject.

3.

Right-click the design name you want to remove.


The right-click menu appears.

4.

From the right-click menu, select Delete.

A message box appears, asking if you want to continue deleting the design. Click
OK to continue, or Cancel to return to the Project Manager window.
If you click OK, this marks the design as "unavailable" and removes it from the
project.
You can retrieve the design at any time by right clicking in the Designs tab,
selecting Other Tasks, then Undelete Design. Or view the deleted designs by right
clicking in the Designs tab, choosing View Designs from the right-click menu, and
selecting Deleted.

To delete a design from the database


1. Open a project or subproject.
2.

Click the Designs tab to view a list of designs in the current project or
subproject.

3.

Right-click in the Designs tab, choose View Designs, and then select Deleted.

4.

Right-click on the design that has already been marked Deleted that you want
to delete from the database.
The right-click menu appears.

5.

Choose Other Tasks from the menu, and then select Purge Design.
A message box appears asking you if you are sure you want to permanently
delete the selected design from the database.

Alias ISOGEN
Activate Alias ISOGEN
The very first time that the Project Manager is run, the user will be prompted to activate
Alias ISOGEN. This must be done in order to automatically generate isometrics from the
3D model. ISOGEN should only be activated on computers that have an appropriate license.
Note: The ISOGEN license is always standalone, and therefore resides on individual
computers. This is the reason that not all computers should activate this module.

To activate ISOGEN...
1.

If it is the first time running the Project Manager application, the PROCAD
3DSMART ISOGEN Activate dialog box will appear automatically. To
activate the module at a later time, select the Alias ISOGEN Activation
command from the Tools menu.

The Login dialog box is available for installations that have a security level higher than No
Security.
The current version of PROCAD 3DSMART uses the following levels:
 No Security: Admin (without a password) is the default and the only
user in the system.

the only user in the system.
 Intermediate Security: Admin and other users with different roles and
permissions are configured in the PROCAD 3DSMART system.
 High Security: Admin (with the password protected) and other users

Update Shortcuts Dialog Box


Project files receive a system-generated name when they are created. You cannot rename
these files. Instead, you can create user named shortcuts to the project files (using the
Project Name dialog box or tab).
Use this dialog box to update shortcut file names to reflect the most recent list of user
defined project names.

To access this dialog box...


From the Tools menu, select Rebuild Shortcuts.
The Update Shortcuts dialog box appears.

To create new lines...


1.

Select the project you want to create new lines for.

2.

Either click the project to highlight and choose Project Lines from the Projects
menu, or right-click on the project and choose Properties from the right-click
menu.
The Project Properties dialog box appears.

3.

Click on the Lines menu and choose Create.


A new line appears in the dialog box, allowing you to rename it.

4.

Do one of the following:


 Click OK to save the changes and return to the Project Manager window.
 Click Cancel to exit the dialog box without saving the new line.
 Click Apply to save the new line and keep the dialog box open.

Menu, or right-click the project and choose Properties from the right-click
menu.
The Project Line Properties dialog box appears.

You can edit the project lines name, as well as the color of the line.

4.

Do one of the following:


 Click OK to save changes and return to the Project Manager window.
 Click Cancel to exit the dialog box without saving the data.
 Click Apply to save the new data without closing the dialog box.

The Project Specs dialog box is used to add or remove existing specifications for a project.

You can add specifications to the project, or remove them, as long as theyre
not in use at the time of edit.

Project Settings Dialog Box


The Project Settings dialog box is used to add or remove existing specifications for a project.

modified by the user.
Min Pipe Cut Length

PROCAD 3DSMART will provide a


warning if any length of pipe being
places is smaller than this ratio value
multiplied by the pipes outside
diameter.

Alias ISOGEN Styles

There are 8 possible output styles that


can be used by default for all new
drawings within this project. These
styles may be customized using the IConfigure application.

User Roles Dialog Box


The User Roles dialog box is used to assign or remove roles the user has, which determines
the access they have to a particular project.

To access this dialog box


1.

Select the project you want to edit the user roles for.

2.

Click the Users tab to view the master list of users for the project.

3.

Right-click on the user that you want to edit the roles for.
The right-click menu appears.

4.

From the right-click menu, select User Roles.


The User Roles dialog box appears.

5.

Click on the roles you want to add for the user, or click the currently
roles to remove them.

6.

Do one of the following:

General Dialog Box


The General dialog box is used to view a designs ID number, its path, status, and when and
who it was created by. The user is also able to edit the design name.

In the Designs tab, right-click on the design you want.

From the menu, select Properties.

Design Specs Dialog Box


This dialog box is used to select from the available list of specs which ones you want to use
in the design, or which ones to remove.

To access this dialog box


1.

Select the project you want to edit the specs for.

2.

In the Designs tab, right-click on the design you want.


The right-click menu appears.

3.

From the menu, select Properties.

4.

Click on the Design Specs tab.


The Design Specs dialog box appears.

5.

Select the specs you want to use for the design, or click on the specs already
selected to remove them. Only specs that are not open and in use can be
removed.

6.

Do one of the following:




Click OK to save the changes and return to the Project Manager


window.

Click Cancel to exit the dialog box without saving the changes.

Click Apply to save the changes and keep the dialog box open.
