Subject: New Mentoring Program
Mrs. Perkins,
I am sending this memo to inform you of the new mentoring program we are
starting at the company. Through this program, I will get to work one-on-one with you to
help improve your writing skills. I am here to work with you and do whatever I can to
help you become a better writer.
As your mentor, I would like to help you learn the newest ways to do research,
brainstorm, organize, and develop your writing. My goal is to help strengthen the writing
skills you already have, to make them the best they can be.
To contribute to this companys success, I strive to produce the best work possible, and I
would like to assist you in doing that as well.
It is very important to communicate strategically and thoughtfully in the work
place. Good writing is the result of a logical process. It can be hard at times, but you can
make it easier with the nine-step writing process. I have picked out the key points of each
step and to start, I would like you to go over the nine-step writing process so you can start
getting acquainted with it.
Nine-Step Writing Process
Step One: Research
-Begin your research by defining the documents purpose
-Research to the target audience of the document
-Gather information about the medium or media youll be using
Step Two: Creativity/Brainstorming
-Some documents require a high degree of creativity
-Here are a few steps the creative process consist of;
-Gathering research
-Thinking about your research
-Concentrating on other matters
-Recognizing when your subconscious reports back a great idea
-Refining the great idea
-Brainstorming is usually a group activity
-Tossing out ideas, building on those ideas, and reviewing your findings
Step Three: Organizing/Outlining
-You must gather all the necessary information

-Identify a key message


-Develop a creative approach
-Outlining is used to refine and remember your documents organization
Step Four: Writing
-Writing is the hardest part of the process
-It is most important to get your ideas and meaning right
-Dont worry about getting the words right, this is where having many drafts
become helpful
Step Five: Revision
-There will be many drafts at this point
-Return to it fresh and be critical
-Try reading your document aloud, a great way to catch mistakes
Step Six: Editing
-You should be the documents first editor
-Macroediting is looking at the big picture
-Microediting is proofreading
Step Seven: Seeking Approval
-Keep an open mind
-Be open to change
Step Eight: Distribution
-Sending your document into the world
-Where it is going and how it is getting there
-Be sure that it got there
Step Nine: Evaluation
-Consider different creative approaches, revise, edit
-The Big Evaluation; Did your document succeed?
I hope you find this outline of the nine-step writing process helpful. You can start
with going over this outline to start familiarizing yourself with this process. I am here to
help you better your writing skills and help you flourish as an employee.
