Planning Calendar 2016/2017
(subject to change as things arise)

August:

Before first day of school:

Process paperwork/create schedules for new students


Finalize all student schedules-print & distribute @Registration (Aug4)
Attend FMS Registration Day on Aug 4
Send out withdrawn students records
Request new students records
Plan Accelerated/Honors Parent Meeting
Host GT/Accel/Honors Parent Meeting before first day of school or during Open House
Schedule PSAT prep instructor for end of Sept/early October

After first day of school:

Attend all first day academic team meetings to do a quick blurb about Guidance
Perform Classroom Guidance w/ Beginning of Year Powerpoint
Attend FMS Open House Night
Begin preparation of PSAT administration
Update FMS Guidance Dept. Planning Calendar for the year
Coordinate CCU Mentor Program
Re-evaluate Bullying Plan for FMS
Re-evaluate Grief Plan for FMS
Re-evaluateSuicide Threat procedures (threat level determines pickup)
Update the Records Room procedures
Begin planning Backpack Buddies for the year
Set goals for District Goals Based Evaluation Report (GBE) &
Guidance Accountability Report for HT Lee
Begin registration for career inventories(Kudar) through classroom visits
Choose date for Career Day

September:

Send out PASS reports through HRs (Friday before Labor Day)
Put PASS labels on perm records

Put SC Ready labels on perm records (when they come in)


Put EOC labels on perm records
Put ESOL labels on perm records
Run schedules for all students alphabetically so that front office has paper
copy in case anything ever happens where the power goes out.
Run schedules and rosters for the Emergency kits (2 sets)
Meet and train all CCU mentors; coordinate schedules
Begin preparing P-SAT prep classes
Continue preparation of PSAT administration
Get folders donated for 8th grade IGPs
Begin working on IGP folders
Begin Parent IGP conferences
Distribute DUKE Tip information
Distribute Johns Hopkins information
Begin career assessments through classroom visits
Begin booking speakers for Career Day
Arrange South Carolina Governors School for the Arts
and Humanities presentation (not yet sure of a date)
HTC Reel kids letter due to us for nominations
Begin and finish doing Interim conferences with failing students
Begin preparing for CoGAT testing

October:

PSAT administered to eligible 8th grade students


Work with Leadea on 45th day GT report
Continue parent IGP conferences
Continue career assessments through classroom visits
Continue booking speakers for Career Day
Attend district SAT/ACT training
Attend district COGAT training
Administer CoGAT
Attend Parent/Teacher Conference Nights
Promote NCDA Poetry and Poster contest
HTC Reel Kids nominations due
Begin getting names ready for Shop w/ a Cop
Advertise the Secondary Ed options Parent meeting
Wonderworks Trip with CCU Mentors

November:

Administer COGAT testing


Begin preparing for Angel Tree set deadline for cutoff date, shopping date
and distribution date
Attend the Secondary Ed options for Horry County
Assist with 1st Quarter Awards Program
Continue parent IGP conferences
Continue career assessments through classroom visits
Continue booking speakers for Career Day
Begin preparing SAT on-line prep classes for DUKE Tip and
Johns Hopkins students
Submit school NCDA winners to region

December:

Begin creating Career Day schedule


Request food donations for hospitality room for Career Day
Begin and finish Interim conferences with failing students
Angel Tree - list, donations and shopping
Plan timeline for PSAT result dissemination
Host SAT on-line prep (1x during Gator Time)
Continue parent IGP conferences
Continue career assessments through classroom visits
Begin preparation of PASS PreCode (collect special education
accommodation information from IEP teachers, 504, and ESOL)
EEDA Report (1of2) due before we leave for Christmas break
Do Pre-Code for PASS & SC Ready
Assess what extra materials we need for testing and order them (ie. Headphones,
pencils, post-its, calcs, etc)

January:

Make confirmation calls for Career Day


Finalize schedule and all details for Career Day
Complete 1st semester EEDA Report/ State Accountability Report
Before Semester 2 schedules go out, run list of all new kids that have come to
us and make sure they all have S2 Exploratory.
Submit official PSAT timeline to District Office
Host PSAT Parent Program

Host PSAT Student Assembly (teachers do this (or us) and go over results)
Meet and train new CCU mentors for 2nd Semester; coordinate schedules
Continue parent IGP conferences
Continue career assessments through classroom visits
Order PASS/SC Ready materials via Pre-Code
Attend Parent/Teacher Conference Nights

February:

Assist with 2nd Quarter Awards Assembly


Attend SCCA Conference, if approved.
Finish all parent IGP conferences by Feb. 28
Meet with Socastee High School re: high school course offerings
and successful transition
Begin planning 8th grade transition activities (create course
registration timeline)
Begin planning 5th grade transition activities
Wrap up all Career Day Thank You letters & be sure the spreadsheet is updated.
Coordinate Junior Scholars College Readiness visit to CCU (are we doing it this
year)
Begin and finish Interim conferences with failing students.
Begin preparing for PASS/SC Ready.

March:

Work with Leadea on 135th day GT report


Coordinate Mentor Trip to CCU
Begin planning of EOCs (submit info to DRC)
Coordinate 8th Grade Course Request forms be sure we get all of them
and send over to SHS
Continue working on 5th grade transition
Coordinate 7th grade visit to Horry Georgetown Technical College (are we doing it
this year?)

April:

Attend district PASS & SC Ready training

Continue planning May PASS & SC Ready


Facilitate teacher training for PASS
Assist with 3rd Quarter Awards Program (recognize Jr. Scholars)
Plan course registration for next year for rising 6 th graders (send
registration forms to elementary schools)
PASS & SC Ready Administration

May:

PASS & SC Ready Administration


Host 5th Grade student visits
Host 5th Grade Parent Night
Coordinate EOC exams
Order PSAT materials for next year
Work on registration for next year
AP will coordinate 8th Grade visit to SHS
Begin to create master schedule for next year
Arrange for transfer of records (5th and 8th grades)

Send email out that has list of perm recs,

list of IEPs, list of IHPs and list of 504s)

Support administration with end of year activities


Recognize Partners in Education, PTO, School Improvement and
Volunteers at the Volunteer Appreciation Breakfast
Complete district Goals Based Evaluation
Do the EEDA report (2 of 2) for Semester 2
Complete the Workbased Learning items and log into PS
Approve all the summer school Virtual School registrations

June:

Help Leadea with end of the year report cards.


Assist in the following before report cards go home: pull report cards for
those that have fines and attach Summer School letters.
Get Transcript Labels put on Perm Records - Have Exploratory Teachers do
labels of promoted students on Perm records (Divide them out by 6 th,
7th, and 8th)
Closeout records and send 8th grade records to high schools
Send out EOC letters and do parent link call home
Make sure all high school credits are on transcripts for
Google and Digital classes.
Do Accelerated End of the Year letters for Geom, Eng I, Alg I,

Make phone calls to the EOC kids (Geom, Eng I, and Alg I) that made C or
lower and document it in Log Entries
For SummerSchool kids: put in log entries why they are attending SS (Academic or
Attendance). Once SS is done, put in Log Entries that they attended Summer
School and that they passed or failed. Note that the full SS grade report is in
Perm File.
Be sure to work with Leadea during the July rollover that anyone who failed is
rolled back.
Submit 2nd semester State Accountability Report(EEDA)
Finalize registration and master schedule
Do the GPA GT report for Buffy
Do PASS Continual Enrollment report for Assessement Office (45 day to 135
day)
Monitor Summer Virtual school
Update Guidance Accountability and Guidance Timeline for next year

Help SHS with SC High School League grade verifications
Run list of schedules for all students and give them front office and put in the
emergency box.

Send out the Report Card & Verification Tips each Quarter

Evening events for guidance to attend throughout the year
