26.1 PE-LSO SAP Learning Solution

26.1.1 SAP Learning Solution LSO 600: Harmonize Booking Relationships


(Enhanced)

Use
As of SAP ECC Enterprise Extension Human Capital Management 6.0 (EA-HR 600), the booking
relationships have been enhanced. Database synchronization is required because SAP has changed some
booking relationships in the back-end system (Training Management) of SAP Learning Solution as of
LSO 600. SAP's recommendation is that you:
1. Execute the IMG activity Harmonize Booking Relationships if you:
a) Already use Training and Event Management and want to use SAP Learning Solution Release
LSO 600.
b) Already use SAP Learning Solution with a pre-LSO 600 release and want to use SAP Learning
Solution Release LSO 600.
2. Execute this IMG activity before going productive.
3. Do not set the parameter Lock Objects Involved for performance reasons when you execute the
IMG activity. This parameter locks all courses involved and prevents parallel processing in the
system.

Activities

The IMG activity Harmonize Booking Relationships contains the following steps:
The supporting program RHSETPADBOOK_LSO controls the enhancements to booking relationships
that are valid as of LSO 600. It runs the following sub-programs:
1. RHSETTPARTDOCNO_LSO
This program generates the field TPARTDOCNO in table HRPAD25 for all booking relationships
since this field is new in the table. Legacy data in table HRPAD25 in the new field
TPARTDOCNO is empty as a result. However, this field should not be empty.
The following fields were added to the booking relationship tables ( HRPAD25 and HRPAD61) for
follow-up processing of courses and course participation.
- CONFIRMED - Participation confirmed
- PASSED - Course passed
- FAILED - Reason failed
- FOLLOW_UP - Participation followed up
2. RHSETPAD25_LSO

In table HRPAD25 this program enters X (course passed) in the field PASSED and X (participation
followed up) in the field FOLLOW_UP for participation in courses (E) that have already been
followed up.
3. RHSETTPAD614_LSO
In the case that course participation was followed up but the course was not passed, the value in
field HRPAD614-PASSED in pre-LSO 600 releases was empty. As of LSO 600, the field
HRPAD614-PASSED contains the value - (minus) for failed. As of LSO 600, if the field
HRPAD614-PASSED is empty, it means that course participation has not been rated.
4. RHSETCONFIRMED_LSO
The table LSOLEARNCOMPL is no longer valid as of LSO 600. For all entries in this table
LSOLEARNCOMPL, the corresponding bookings are read from tables HRPAD25 and
HRPAD614 and flagged as confirmed. Confirmed means that the field HRPAD25-CONFIRMED
contains the value X and the field HRPAD614-CONFIRMED contains the value X.

Requirements

You have carried out the IMG activity Activate/Deactivate SAP Learning Solution.

Activities

Execute this IMG activity in line with SAP's recommendations.

26.1.2 PE-LSO-TM Training Management

26.1.2.1 SAP Learning Solution LSO 600: Curriculum (Enhanced)

Use
As of SAP ECC Enterprise Extension Human Capital Management 6.0 (EA -HR 600), there are
new functions provided for the curriculum. A curriculum is a structured training program designed by a
training provider.

It is made up of multiple courses, known as curriculum elements, which can all have different delivery
methods (for example, classroom training or Web-based training (WBT)), and which build upon or
supplement one another. In previous releases, you could create curricula, make bookings, rebookings and
cancellations, and perform follow-up processing for curricula. Now you can also:
- Change existing curricula
You can delete a course from a curriculum if it is no longer required as part of the curriculum.
However, you cannot remove a course from a curriculum if there are bookings for it. If you want to
remove a course for which participants are booked, you must either rebook the participants to
another course located at the same position in the curriculum, or first cancel the bookings, then
delete the course from the curriculum, and rebook the participants for the modified curriculum.
You can add a course as a new element to a curriculum if there are no participants booked for the
course.
- Use all delivery methods as curriculum type elements in the curriculum type, both with sequence
rules and without sequence rules. In other words, you can now assign WBTs to fixed positions
within the sequence of courses. In previous releases, you could only include WBTs without
sequence rules in a curriculum.
You can change the start and end dates of WBTs in the curriculum, regardless of whether they have
sequence rules defined.
The following rule applies to the start date of a WBT with sequence rules:
- If the preceding course in the sequence is not a WBT, the earliest start date of the WBT is the
latest end date of all courses in preceding positions. If several WBTs are to be released at the
same time, they must occur at the same position but belong to different groups.
- If the preceding course is a WBT, the earliest start date of the WBT following it is one day
after the start date of the preceding WBT. If several WBTs are to be released at the same time,
they must occur at the same position but belong to different groups.
The following applies for the end date of a WBT with sequence rules:
- The end date set may occur any time up to the maximum end date of the curriculum. No
difference is made between WBTs with and without sequence rules; their end dates may
overlap with courses positioned later in the curriculum (up to the maximum end date of the
curriculum).
- Use courses/course types exclusively in one curriculum
You can flag a course or course type as exclusive to a curriculum. Such a course or course type may
only be booked as part of one specific curriculum. You specify the booking options as follows:
For the course type, you select the booking option in the Course Type Info infotype (1029) or in the
field provided for this. You specify one of the following options for all courses of this course type:
- Courses may only be booked as part of the curriculum
- Courses may be booked independent of the curriculum as well
For the course, you select the booking option in the Course Info infotype (1026) or in the relevant
field. You specify one of the following options for this course:
- The course may only be booked as part of the curriculum
- The course may be booked independent of the curriculum as well
- The option for booking the course as part of the curriculum is specified at the level of the
course type (not at the level of the individual course).

26.1.2.2 PE-LSO-TM-PR Course Preparation

26.1.2.2.1 SAP Learning Solution LSO 600: Automatically Synchronize External


Learning Progress and Communication with External Training Providers Using
SAP-XI (New)

Use
As of SAP ECC Enterprise Extension Human Capital Management 6.0 (EA-HR 600), you can
specify whether progress made in external courses, which is not recorded in the Training Management
system (SAP system), should be updated to the system automatically or manually. For more information
about automatic synchronization of external progress, see the documentation for the LSO_EMS_TRACK
switch. You can override the setting in this switch by maintaining the External Course Catalog
Connection infotype (5042) for a specific course type.
Communication with external training providers and configuration of your Web services is handled by
means of SAP-XI. The standard SAP system contains the following integration scenario for SAP
Learning Solution:
CourseEnrollment: corresponds to service 02 Booking an External Course in the IMG activity Specify
External Service.

Effects on Customizing
Make the required settings in Customizing under Training and EventManagement -> SAP Learning
Solution -> Training Management -> Course Preparation -> Training Provider -> External
Training Provider -> Automatically Synchronize External Learning Progress.

26.1.2.3 PE-LSO-TM-DW Day-to-Day Activities

26.1.2.3.1 SAP Learning Solution LSO 600: Authoring Environment: Versioning

Use
As of SAP ECC Enterprise Extension Human Capital Management 6.0 (EA-HR 600) authors can
classify changes they make to content they have already published in the Authoring Environment of SAP
Learning Solution. For example, they can distinguish between minor changes (such as purely formal
changes) and major changes (such as content changes or structural changes when units are swapped
around or remoaved altogether).
For each change category the author can specify what the system reaction should be in the event of a
version update for a course. You define the system reaction using a combination of three parameters:
booking update, learning progress and price policy.

Effects on Customizing
Make the required settings in Customizing. To do so, choose Training and Event Management ->
SAP Learning Solution -> Training Management -> Day-to-Day Activities -> Versioning.

26.1.2.3.2 SAP Learning Solution LSO 600: Request-Based Correspondence


(New)

Use
As of SAP ECC Enterprise Extension Human Capital Management 6.0 (EA-HR 600), you can use
the new request-based correspondence function, which was developed in the context of SAP Learning
Solution. The new request-based correspondence function supplements the SAPscript-based
correspondence function, which is based on the correspondence function of Training and Event
Management and which was adapted to make it suitable for use in SAP Learning Solution:
Request-Based Correspondence
Request- and role-based correspondence is closely aligned with the business processes and roles (such as
learner, manager, training administrator, or recipient roles). This correspondence function offers the
following benefits:

- Enhanced integration options with the business processes of Training Management


- Flexible Customizing settings
- Enhanced usability
- For example, you can now
- Generate correspondence requests
- Change correspondence requests
You can change the e-mail address if more than one address is found in the address
determination process.
- Output correspondence requests
For the correspondence creation process, request-based correspondence uses the SAP tools
correspondence tool and theprint workbench.
These tools are also used in other SAP applications for correspondence purposes. The advantage of
integrating these tools in request-based correspondence of SAP Learning Solution is that it enables
standardized correspondence across multiple application components.
SAPscript-based correspondence
This correspondence function uses the SAPscript tool. It enables you to:
- Generate correspondence
- Output correspondence

Effects on Data Transfer


Note that request-based correspondence of SAP Learning Solution is a new function, based on a different
data model and data repository from SAPscript-based correspondence of Training and Event
Management.
SAP does not support data transfer between the two functions. This means that you cannot transfer legacy
data to request-based correspondence of SAP Learning Solution , nor can you use data from
request-based correspondence of SAP Learning Solution in the transactions or processes of
SAPscript-based correspondence of SAP Learning Solution.
If the LSO_CRP_HRLSO_CRPSP switch contains the value X, which means that request-based
correspondence has been activated, a return to using SAPscript-based correspondence would mean a loss
of any data that was created using request-based correspondence.
Request-based correspondence and SAPscript-based correspondence are two completely independent
applications in the SAP Learning Solution. This means that:
- They have no common Customizing settings.
- They do not share any forms.
- They do not share a common log for correspondence that has been output, is still to be output, or
that has errors. (This information is documented in SAPscript-based correspondence in the
correspondence history, and in request-based correspondence in the output log and the worklist.)
- SAP does not support data migration or data conversion in this context.

Effects on Customizing
If you do not change the correspondence switch LSO_CRP_HRLSO_CRPSP in Customizing, you use
SAPscript-based correspondence. This is the setting in the standard SAP system.
Make the Customizing settings you require. Choose Training and Event Management -> SAP Learning
Solution -> Training Management -> Day-to-Day Activities -> Correspondence -> Request-Based
Correspondence.

26.1.3 PE-LSO-AE Authoring Environment

26.1.3.1 SAP Learning Solution LSO 600: Authoring Environment (Changed)

Use
As of SAP ECC Enterprise Extension Human Capital Management 6.0 (EA-HR 600), there are
new functions in the Authoring Environment:
Metadata Support
The purpose of metadata is to provide basic information about a learning unit, for example, details of the
author or a description of the content of the unit.
You can now specify which metadata can or should be used in the Authoring Environment. The metadata
you define in Customizing is read when the Authoring Environment goes online. The author can edit this
data in the Authoring Environment and when the learning unit is being checked in.
You can flag a certain type of metadata as required. If this metadata is not appended to a learning unit on
check-in, the unit may not be checked in.

Effects on Customizing
Make the required settings in Customizing. To do so, choose Training and Event Management ->
SAP Learning Solution -> Authoring Environment -> Search Options -> Specify Metadata
Supported .
Storage Location for XSLT Files
XSL (Extensible Stylesheet Language) is a programming language that enables you to convert XML
documents (Extensible Markup Language) to any other XML format (XSL Transformation).
When you import an external course, you can use XLS Transformation to convert external metadata that
has a different XML format (such as LOM or Dublin Score Schema) to the XML format used in SAP
Learning Solution to make it compatible with the LSO system.

You can enter the address where you store your XSLT files locally. This might be a folder or a network
path.
If you make changes to your XSLT files, the corresponding files in the Authoring Environment can be
updated accordingly. For this to happen, you must enter the network path or drive address in
Customizing.

Effects on Customizing
Make the required settings in Customizing. To do so, choose Training and Event Management ->
SAP Learning Solution -> Authoring Environment -> Search Options -> Enter Address of Central
Storage Location for XSLT Files.
Storage Location for Templates
In Customizing, you can now specify a folder or network path where your standard templates for
instructional elements, learning objects, and learning nets are stored.
If you make changes to your templates, the corresponding files in the Authoring Environment can be
updated accordingly. For this to happen, you must enter the network path or drive address in
Customizing.

Effects on Customizing
Make the required settings in Customizing. To do so, choose Training and Event Management ->
SAP Learning Solution -> Authoring Environment -> Search Options -> Enter Address of Central
Storage Location for Templates.
Activate Confirmation When Publishing Course Content
You can now specify in Customizing whether authors must enter a reason when they publish content in
the Repository Explorer.

Effects on Customizing
Make the required settings in Customizing. To do so, choose Training and Event Management ->
SAP Learning Solution -> Authoring Environment -> Activate Confirmation When Publishing
Course Content.

26.2 PE-RA Recurring Activities

26.2.1 SAP Learning Solution LSO 600: Following Up Participation and Courses
(Enhanced)

Use
As of SAP ECC Enterprise Extension Human Capital Management 6.0 (EA-HR 600), the
functions for following up course participation and courses have been enhanced. The SAP system guides
you through the single steps for follow-up processing. You specify for a specific role (such as learner or
training administrator) which steps of the follow-up process are to be executed, for example, in the
Learning Portal or in the back-end system ( Training Management). Follow-up processing contains the
following sub-processes:
- Confirm participation
- Rate participation
- Follow up participation (without changing proficiency)
The training administrator or person responsible for follow-up processing is not permitted to change
the proficiency of a learner's qualification.
- Follow up participation (proficiency change allowed)
The training administrator or person responsible for follow-up processing is permitted to change the
proficiency of a learner's qualification.
- Follow up course
- Set historical record for course
Follow-up processing involves the following dialog steps in the SAP system:
- Follow up course
You select the delivery method and the course you want to follow up.
- Follow up participation
You specify, for example, whether a participant is included for follow-up processing or not. In
addition, you can confirm participation (present or absent) or indicate whether the course was
passed or not (pass/fail). You can also specify a reason for a fail result.
- Transfer qualifications
The course objectives can be awarded to the participant as qualifications for course participation.
- Follow up courses
You can follow up and set a historical record flag for the whole course, including the contents of the
preceding steps.
- Save follow-up processing
Before you save the course, an overview of the dialog steps you have processed is displayed.
There are settings for follow-up processing in Customizing and in the following infotypes:
- New: Follow-Up Control Options infotype (5047)
- Changed: Learning Portal Control Options (5044)
This is the new name for the Electronic Signature infotype (5047).

Make the required settings in Customizing for SAP Learning Solution before starting follow-up
processing. To do so, choose Training Management -> Recurring Activities -> Follow-Up -> Control of
