The internship is taking place in the HQ Procurement Unit providing support in contract
administration and daily procurement activities. The intern will carry out activities under the
supervision of a Supply Officer.
A. Context
The Procurement Service consists of the Procurement HQ Section and the Procurement Field
Section. The Intern would support the HQ Procurement Section which buys goods and services
required by all sections of the three headquarters (Geneva, Budapest, and Copenhagen). Examples of
procured services can be amongst others: conference services, interactive learning solutions, medical
services and goods, insurances, financial services and HR Services. The internship provides a
framework by which interested candidates from diverse academic backgrounds gain exposure to the
work of the UNHCR. This internship endeavours to attract qualified candidates, offering them an
opportunity to enrich their educational experience through exposure to the work of the Organization
in the area of Supply Chain Online trainings that are available for interns and relevant training and
coaching will be provided.
B. Objectives
Provide support in Contract Administration and archiving (physical & electronically), Assisting the
procurement team while they are drafting vendor contracts and running tenders, assist in the
evaluation of offers and draft bid-tabulations.
C. Tasks:
Cross-check physical and electronic files for completion against a checklist and follow up;
Assist in reviewing submissions and bids ;
Maintain the eSafe Repository with procurement documents;
Create and maintain an internal procurement knowledge bank
Review historical procurement data and develop templates for procurement
As a closure the supervisor and the Intern will analyse the interns achievements and functional
knowledge level together and appropriate feedback and guidance will be provided by the Supervisor.
The intern will not have access to ERP systems or to highly confidential procurement data. The
intern must keep confidential any and all unpublished information made known to them during the
course of the internship and shall not publish any reports or papers on the basis of information
obtained during the internship.
Languages:
Minimal Competencies:
Recent graduate or student status in economics, engineering, international relations, political
sciences, public administration, law or related field;
Proficiency in Excel;
Desired competencies:
Experience working in the intergovernmental, governmental or NGO sector
Experience working in supply chain/procurement
Excellent organizational skills and time management
Good drafting skills in English
Commitment to the cause of UNHCR
