Barriers to good communication appear when the person sending a message uses the wrong
communication style for a situation or fails to express his thoughts adequately. The receiver of
the message must be able to interpret what the sender says. Confusion occurs when that doesnt
happen. When the sender cant anticipate possible causes of confusion, poor communication also
tends to occur. Similarly, failing to give background information or sufficient details can also
lead to problems. Lack of perspective on how people may receive the message, particularly on a
complex issue, may lead to difficulties. Choosing the wrong mechanism, such as email,
voicemail, letter or conversation, can complicate things as well. Poorly organized or written
documents, including typos and mistakes, can also lead to misconceptions.
Looking in depth of the messages, the first message was, after subordinates clock in, they will
proceed to their work station and should be ready to begin work promptly at the start of the work
period. Analysing the first message, it is shown that subordinates tend to leave working area
sooner than it supposed to be. According to the communication in business, it is following the
procedures and the message is delivered well. This message concerns about the punctuality of the
subordinates in getting start to their work period.
Apart from that, the second message was explaining that subordinates should not take coffee
break or consume coffee on the job at the beginning of the work period. They should wait until
their designated break times. Upon analysing this message, it shows that there is a
misunderstanding which took place. This is because, subordinates tend to think that superiors are
controlling and increasing stress level which was led by high amount of workload without break.
Their emotions tempt superiors to make quick decisions based upon superficial evidence
which may not reflect the true nature of the problem. The manager assumed that the poor
appearance of the store was due to the employees lack of effort or attention. He failed to
consider that several store employees had been terminated due to the financial situation, while
the stores workload remained the same. Each assistant manager was responsible for more areas
with fewer people to do the work. The superiors memo attacked the character of each
subordinates by implying they were lazy, derelict, or had betrayed him. The implications
intensified the emotional context of the memo, overshadowing its factual content and purpose.
The third message was, subordinates should not participate in social gathering at any time
during the work day except during designated break periods. This message reflects to
subordinates in a way where, subordinates tend to feel dissatisfied and controlled excessively.
Subordinates fail to develop their social skills among colleagues. Better social skill may increase
their job satisfaction and also job rotation.
The last message was, they should terminate work activities no longer than 10 minutes prior to
the end of the work period. They should use the 10 minutes to put up equipment, clean
equipment, and police the work area. This message in unclear and doubtful, which drove
subordinates into confusion. People work best when they know what is expected of them. Good
managers identify the goals and measures in simple, understandable terms, assign responsibility
unequivocally, and confirm that the information is understood by those to whom it is directed.
Good managers follow up and give corrective input to ensure that each of his subordinates is on
the same page and working toward the same objective. Managers should always remember that
no employee takes a job with the expectation that he or she will be overlooked, ignored, or
insignificant at work. Employees want to be liked and respected by their peers and proud of their
employer. Managements challenge is to maintain and further develop this employee enthusiasm
and commitment, even during times of stress.
