Chapter 1

Executive Summary

Technology is fast rising. Human and technology nowadays cannot be separated, society
has a cyclical co-dependence on it. We always use technology in our daily lives thats why our

needs and demands for it keep on rising. Humans use technology to travel, to communicate, to
learn, to do business and to live in comfort.

With regards to businesses, some companies/institution uses technology in their


advantage. One of this is the Information Systems. Idea of combining technology and business is
not new to us because its already been implemented to some.

Most companies develop information system to improve productivity, deliver the


information and intelligence needed to make innovation, reduce cost by automating business
processes and to improve customer service. This IS also help them to keep up with competitors.

The assigned company to us, the Digos Central Adventist Academy has one running
information system which is the grading system. But, this is not enough to keep up with the pace
of other school. We decided to develop a plan for an Information System we think they need. As
of now their enrolment process is still done manually. This means they use a lot of paper for
documents and spent a lot time before finishing the process that results to increase in money
spent which means less efficiency. So we chose to plan to develop an Enrolment System for
them. The system is expected to store student information, add fees to be paid, make a schedule
for the student and assign teachers to subjects that will be taken. With the use of the system,
efficiency is expected to increase because the process will be automated.

Purpose
The purpose of the information system is to provide more efficiency in data storage and
retrieval. It makes the school more productive in terms of quality service.
Scope

The objective of the system is to reduce human error and provide accurate data in an
efficient manner.

An organization is a systematic combination of people, functions and physical facilities.
It is the relationship of persons operating at various levels, to accomplish common objectives.
Flexibility is a necessary trait for any organization that hopes to survive doing business in the
real world. Without the ability to change goals and reconfigure tactics in the face of changes and
challenges, an organization cannot hope to function efficiently or to accomplish its aims. Lack of
clarity both in vision and in structure hamper an organization's ability to get things done and
remain a peaceable work environment. Having a clearer structure and vision ensures that the path
forward is always clear and that people will understand precisely how responsibility is assigned
and to whom they should turn. Also, a common salient feature of all organizations is the focus on
careful examinations to maintain a successful and profitable organization. In Digos Central
Adventist Academy, they prefer less head working and their organization is grouped into factions
to provide more enthusiasm to their work.

The School has no IT managers present.

Grading System.

The IS has a lot of impact to the school especially on their working speed and
efficiency. Less time is needed to process the students grade and it requires less paper for
documentations.

The system is connected to the two offices of the School, the Registrar and the
Finance. The Registrar is in-charge of the student records while the Finance takes charge
of the students account balance.

The Development Strategy used is the System Development Life Cycle which
means the overall process of system development starting from planning and analysis to
implementation and maintenance.

Firewall

The servers from the Finance and Registrars office cannot be easily access by the
desktop computers since it has a firewall that serves as the security.

5.2.1 Network Topology / Present the Network layout

The school uses Tree Topology as their network topology, it means the
combination of characteristics of linear bus and star topologies. It consists of groups of
star-configured workstations connected to a linear bus backbone cable. Tree topologies
allow for the expansion of an existing network, and enable schools to configure a
network to meet their needs.

When facing network traffic and system lags, the person in-charge immediately restart
the unit.

The School use routers, UTP cables, RJ45 and switch as their media devices.

The school are using the Windows 7 ultimate as their network operating system.

Their network hardware is AMD A4-6300 with HD Graphics. It has a built-in
graphics card.

All of the computers in their school are in Windows 7 Ultimate.

Their system software are Photoshop, Microsoft Office and Virtual DJ.

They only have Photoshop, Microsoft Office and Virtual DJ as their application
software. They dont have any Antivirus applications since their Local Disk is on Deep
Freeze.

Information System. They should also know the step by step process of Enrollment.

Impact of Information Systems to the
Organization

7.1 Social Issues

As we all know Information systems support the problem-solving and decision-making


needs of the management and users. Information systems have changed the face of almost every
aspect of our societies, most remarkably it changes the individuals, especially the social
interactions, on how we communicate, socialize, learn and do business. The social issue related
to enrolment system or other system is that we are now depending on it though some of us are
not computer literate and also having difficulties in adopting especially the fast development of
the technology.

7.2 Ethical Issues

Ethical issues define as a problem or situation that requires a person or organization to


choose between alternatives that must be evaluated as right (ethical) or wrong (unethical).
Ethical issues create new ethical dilemmas. The ethical issue there relating to the system we
recommended, the Enrolment system may be because it inputs personal information about the
student. In accessing the information and the information transparency should be controlled by
the administrators of the school.

7.3 Political Issues

Information systems are now being involved in politics due to the growth of the World
Wide Web, electronic government, and the increasing digitization of information of all kinds.
Some experts agree that the current issues now are breaking down in the information age. The
ease with which software and digital content can be copied and contributed that makes us a
society of lawbreakers. The issue there in relation to the information systems is that the creation
of new property protection measures to protect some of the web crimes or computer crimes.

8.1 Over-all time frame (prioritize the IS to be developed, phasing of IS development


We decided to develop an Enrollment system for the Digos Central Adventist
Academy. The development of the IS is divided into four phases. The IS when implemented, is
expected to provide more overall efficiency in the service the school can offer
Gathering of Information

-refers to the studying of the information gathered.

-includes data models, diagram and databases needed for the system

-refers to the user training and deployment of the IS

Billing System

The first Interface is consist of four buttons: Student Information, Fees, Report Generation and
Exit Button.

In the Student Information field, there are two fields: the Add Student field and the Existing
Student field. If you click the Add Student field, a fill up form would appear. Here you can input
the students information. Click save if done and you will be directed to the first interface. If you
click the Existing Student button, you will be directed to the first interface immediately.

In the Fees button, there are the Tuition Fee


button and Miscellaneous Fee button, once
you click both, you will be ask what year
level are in. Once the program reads the
students year level it will
automatically generate all the fees the students
need to pay. You can also add fees in the Add
Fees button, an Input Dialog Box will pop up and ask you to enter amount to be added. After this
again you will be directed to the previous interface and just click the submit button if youre
done.Note: Every year level has its fix fees to be payed.

The Report
Generation
Button, one will show the final assessment of the student including all the subjects the student
will attend and all the fees the student should pay. At the rightmost part, there is the Pay button
and once you click it a text field will appear asking how much you want to pay. After this, a
receipt will be generated.

The Exit
button terminates the program.

P.S. If there are any changes in the


tuitionrate/miscellaneous fee, call the programmer to make changes. Additional labor fee will be
charge.
