PROJECT PROPOSAL
Project Title
Lawson Human Resource Information System Implementation at ABH

Sponsoring Organization
AB Hospital (ABH) is the Sponsoring Organization responsible for implementing the project.

AB Hospital is a nationally recognized, 187-bed not-for-profit childrens hospital serving as the


primary teaching hospital for a major School of Medicine department of pediatrics. AB Hospital
is consistently named among the best in the nation in the annual U.S. News & World Report
Best Childrens Hospitals rankings. The mission of ABH reflects a dedication to improving
the physical and emotional health of children through family-centered care, research, education
and advocacy.

Project Description
In Jan/Feb of 2017 ABH will be implementing a new Lawson HR Information System module.
All of the 2200 ABH employees will need to be able to access and use Lawson Employee Self
Service. Lawson will be used for viewing, and changing where applicable, employee personal
data, employment data and benefit information. The current employee self-service functionality
is on an ADP system and this system includes payroll data. Initially the payroll data will remain
on ADP until the Lawson payroll module is implemented at some point in the future. This means
that the users will need to be able to use both systems, Lawson for personal, employment and
benefit data and ADP for payroll data until the transition to one system is complete.

Aim
Provide education so that every employee is able to effectively use the Lawson Employee Self
Service for viewing/verifying/updating personal, benefit and employment data.

Target Audience
All ABH employees
Ages range from 18 - 70
Male/Female
Employees may work at any time of day as the hospital operates 24/7
Various levels of education
New hires to long term employees

Delivery Options
The instruction will be delivered using a online format. There will be opportunity to take web
based courses on the LMS. A job aid will be created for the participants and available on the
login page. Participants will also have access to a job aid to assist them with using the LMS
where the course will be delivered.

FRONT-END ANALYSIS: INSTRUCTIONAL NEED


Instructional Need

According to Rossetts four opportunities for identifying performance


problems, the implementation of a new software program would be identified
as opportunity one, the rollout of a new product. (Morrison, Ross, Kemp &
Kalman, 2013, p.29) The opportunity for software training at the time of implementation is
critical. Not only is it important to train on the functionality of the new software, but the
workflow process will be changed as well and will require instruction. The workflow an
employee is using today will be changed to reflect the strengths of the Lawson software and the
most effective, efficient process flow determined by the Lawson implementation team.

The implementation is a planned change and identifies an anticipated need. (Morrison et al.,
2013, p. 33) The training will be provided prior to the implementation of the software in Jan/Feb
2017.

The implementation of a new software application does show that an instructional intervention is
necessary for the successful transition to the Lawson software.

FRONT-END ANALYSIS: LEARNER CHARACTERISTICS


Learner Analysis

Primary Audience (online training will be mandatory for these employees, in person is
preferred)

Entry Characteristics
Prerequisite skill and knowledge:
Most participants have computer skills and all have access to
computers
Most have background with Microsoft computer applications like Word and Excel
Most have background with Microsoft Outlook for email
Some have experience with the current LMS, but the LMS system is changing in June
2016 to Cornerstone

Attitudinal and motivational characteristics:


Most recognize the importance of learning the Lawson Employee Self Service system
Some employees have had difficulty using the current LMS and may be resistant to
the new Cornerstone system.

Prior experience:
Most employees have used the current ADP system for Employee Self Service
Many new employees have experience with some sort of Employee Self Service
system.

In reviewing the characteristics of the learner it is important to note that


some are relevant and some are not. The age of the participant may be
relevant as it is likely that younger participants may be more comfortable
using the Self Service system. Many recent graduates have experience with
entering data online as well as experience with mobile devices. Gender is
irrelevant. Education may have relevance as the more highly educated
participants may be brilliant at what they do (physicians and surgeons) but
may be intimidated by the fact that they are not brilliant about the Lawson
system. It is relevant that participants will have varying degrees of
experience at ABH. New hires may not have experience with some of the
terminology used at ABH for the current Self Service system. Through the
use of the Instructor Led and online availability of the course, we have tried
to make the employee work day characteristic (shift worked) irrelevant.

Contextual Analysis

Orienting Context
There are three considerations for the orienting context. First, managers and HR
personnel will need to be available to assist employees with the Lawson Employee Self
Service system. Second, the managers and HR personnel will need to encourage
employees to utilize the Self Service system to ensure that they have the appropriate
information in the Lawson system. Third, managers and HR personnel will need to assist
employees with adapting to two systems, ADP for payroll and Lawson for all other data
until the Lawson payroll module is implemented.

Employees know that they will use the Lawson system to enter all Personal, Employment
and Benefit information.
It is mandatory that all employees attend either an Instructor Led session or an online
session.

Instructional Context
Instructor Led sessions will be scheduled in Jan 2017 for all managers and HR personnel.
Once a session had been attended, the participant will be given immediate access to
Lawson.
General employee sessions will be available in Feb 2017 and once an employee has
attended an instructor led or online session, they will be given immediate access to the
Lawson system.
Instructor led sessions will be provided in two different facilities depending on which is
closer for the employee. Both facilities provide a state of the art classroom with 20
ergonomically designed workstations and a single projection system for the instructors
laptop.
Both facilities have window shades that can be adjusted for appropriate lighting in the
room. The instructor may need to turn off some of the lights for easy view of the
projection of the instructors screen.
Both facilities have the classroom in a quiet area with easy access to single student
telephone rooms if required.
The temperature in the facilities varies at times, so employees may want to consider
wearing clothing that can be layered.
Desks within the facilities can be moved to accommodate optimal viewing and facilitate
small group activities.

Technology Inventory
The instructor will demonstrate how to sign on to the Lawson system and how to access
the LMS in each Instructor Led and online session.
Employees will have access to the Cornerstone LMS for access to the online courses.
Open lab times will be available at the primary facility for practice and assisted
instruction.
ABH has noted that they would like to investigate implementing the online course for
mobile devices as well as traditional systems.

Transfer Context
Employees will be provided with hard copy job aids to assist in commonly used
features of the Lawson system.
Employees will be provided with immediate access to the Lawson system once they have
attended a training session.
HR will be providing initial support for the Lawson Employee Self Service application.
Employees will be provided with a number for phone support at the end of the Instructor
Led or online training session.

INSTRUCTIONAL IMPACT BASED UPON LEARNER CHARACTERISTICS
Application of Learning Theories
All employees at ABH are adults over the age of 18. The following accommodations will be
made in the educational process for the adult learners:

Some learners may be apprehensive about learning the new software and making
mistakes that other employees might see. Managers and HR personnel will be taking the
Instructor Led course and will be provided with answers for commonly asked questions.
Instruction will emphasis that all questions and comments be treated with respect. (RIT
2016)

Instructor led courses will start and end on time.

Each module will begin with the goal, benefit and objectives clearly articulated.
(Morrison et al., 2013, p. 58)

Each module will provide opportunity for hands on practice and small-group activity.

Employee experiences and case studies will be used in the training modules.

In addition to using principles from adult learning theories, principles from behaviorism, social
learning theory and minimalism will be employed in the instructional design strategies.
Behaviorism will be used reinforce correct responses, to use small steps in the instructional
process and to provide frequent feedback. By using small group activities and observation in the
instruction, principles of social learning theory will be utilized. Leveraging user prior
knowledge and the use of error recognition and recovery in the instruction will employ the
principles of Minimalism.

Application of Motivational Theories


Vanderbilt University (2016) provided some great strategies for motivating students to learn.
These will be used in the instructional design strategies wherever possible:
Deliver presentations of the material with enthusiasm, energy and passion for the subject
matter.
Show concern for each participant and their learning of the subject matter.
Use examples to show how mastery of the material will prepare them for effectively
using the Lawson software.
Use student-active teaching activities to engage students in the learning process.
Tests will be used to show students what they have mastered, not dwell on what they
have not mastered.

Participants will be provided with frequent, positive feedback on their progress.
Reduce participant anxiety to increase a motivation to learn.

The learner characteristics identified influenced my decision to use Adult Learning,


Behaviorism, Social Learning and Minimalism theories. First of all, the learners are identified as
adults so principles of andragogy are appropriate to use. Second, the learners are mostly at the
novice level with the Lawson software so I feel that principles of Behaviorism to reinforce
concepts and immediate feedback will be useful. Third, most learners will be anxious about
using the new software and Social Learning theory with the principles of small group problem-
solving activities and observing others using correct techniques will be employed. Lastly, most
learners have prior knowledge with completing benefit tasks, some with self-service systems and
some with paper systems. Minimalism acknowledges that learners bring prior knowledge and
insights to their learning environment. Minimalism also seeks to use error recognition and
recovery in the learning process, something that adults will find useful as they transfer the
knowledge.

Impact of a Diverse Audience on Instruction


Although ABH employs a diverse population of employees, all employees have selected English
as a primary language. Online courses will have audio and a scripted text provided.

The two facilities will allow for each employee to use their own machine for practice exercises.
Instructors should be sure that each user is comfortable logging into the machine and able to
access the Lawson and LMS systems.

Acronyms and jargon will be clearly defined in each session.

TASK/GOAL/PERFORMANCE ANALYSIS
Task Analysis Method
I completed a procedural task analysis for my instruction. I used a procedural analysis because
the tasks required of the user involve a series of steps for completion. I am acting as the SME
for this instruction. I walked through each task in the Lawson Self Service System on the
computer and wrote down the sequence of the steps required to complete each task. I asked a
coworker to work through my procedural analysis to identify any missing steps or incomplete
information.

Task Analysis
AIM: Provide education so that employees are able to effectively use Lawson Employee Self
Service for viewing/changing personal, employment and benefit data

1. Logon to the computer and go to the ABH Intranet screen.


a. Under quick links select Lawson Employee Self Service
b. At the Lawson sign on screen enter the generic first time user name and password
provided at the New Employee Orientation and hit Create New User
c. Create a username and password
d. At the Lawson sign on screen enter your username and password. Hit the login
button
e. If you get the message, username and password not found, try again to be sure
you have not misspelled anything
f. If you are sure the information has been entered correctly, contact the helpdesk.
2. From the Lawson Welcome screen click on the FAQ link to review the Frequently Asked
Questions
a. Select Help from the main menu for help on any of the Self Service functions
3. At the Lawson Welcome screen, select Personal Data from the main menu
a. Select General from the Personal Data menu
i. Verify that all personal data is correct, Name, SSN, Birth Date and Phone
ii. You will not be able to update any information on this screen
iii. The name on this screen will be used for your paycheck
iv. Contact HR via the link provided if any data is not correct
b. Select Addresses from the Personal Data menu
i. Verify that the Home and Mailing addresses are correct
ii. Update any data that is incorrect and click the Save button
iii. Your paycheck will be sent to the Home or Mailing address provided
c. Select Emergency Contacts from the Personal Data menu
i. Click on an existing name to update or delete the contact data
ii. Click the Save button to save your changes
iii. Click on the Add button to add a new emergency contact
4. Select Benefits from the main menu
a. Select Welcome from the Benefits menu
i. Review the Total Rewards benefit information for the current year

ii. Use the links to the provider websites located on the right hand side of the
screen if more detail is required/desired
b. Select Health and Welfare from the Benefits menu
i. Click on Annual Enrollment to make your benefit selections
ii. Click on Update Benefits to change your benefit selections due to a life
event
iii. Click on Dependent Information to update or add dependents
iv. Click on Beneficiary to add, update or delete beneficiaries
5. Select Employment from the main menu
a. Select Career Profile to add new skill, license or certification data
i. Click the Save button to save your changes
ii. Click the Print button to print the screen data
b. Select Training Summary to review current course enrollment and completed
course data
i. Click the Print button to print the screen data

INSTRUCTIONAL OBJECTIVES
Project (Instructional) Goal
The goal of the course is for participants to view, verify and update personal, benefit and
employment data using the Lawson Employee Self Service system. Participants will be able to
distinguish data edits that require HR assistance.
