Chapter 1: Introduction
1.1 Overview

170 MarkView Scan is the application that provides functionality to scan


documents into 170 MarkView for processing. Once scanned and reviewed for
quality assurance by the scan operator, images are routed into the appropriate
workflows and available for users to view and process as work items.

Designed with ease of use in mind, most of the standard 170 MarkView Scan
functions can be performed quickly and easily thereby streamlining the overall
process of scanning paper documents.

170 MarkView Scan supports a wide range of scanners -- many of which allow
you to process a large number of documents per day. It should be noted that
while 170 MarkView Scan enables you to configure different scanning
properties, the outcome of any scanned image is ultimately dependent on the
settings and specifications of the scan equipment. To learn more about these
properties, please contact the manufacturer of the scanning equipment you are
using.

1.2 Scan Process

A high-level overview of the scan process is outlined in the following process:

Prepare Documents for Scanning

A majority of the scanning effort should go into the document and batch
preparation prior to scanning. Spending a little more time making certain that
documents are adequately prepared and sorted makes for a much smoother

overall scanning process and allows you to utilize the many time saving
features of the scan software.

Preparing Paper Documents

After the paper documents are received, the Scan Operator begins the
preparation process by removing any tape, paperclips, staples or other
objects that may compromise the scanning mechanism. Remember that
the scanning lens is extremely delicate and necessary precautions should
be taken to ensure that the lens is not scratched or otherwise damaged
by foreign objects.

Sticky notes may be fed through the scanner, but be sure to position the
document with the adhesive end facing the scanner entrance to keep
them from causing a paper jam. Also, be sure that these notes do not
obscure any important information on the document.

Smaller documents or delicate/damaged documents should be either


taped to a blank paper or inserted into a transparent document holder
prior to scanning.

Separating Documents into Batches

Documents are scanned into 170 MarkView Scan grouped into batches.
Batches are made up of one or more individual documents. Documents
should be separated into batches based on your standard business
procedures in order to take advantage of the time saving benefits of the
scan software. Batches may be based upon any of the following:

Document type
Single-page vs. Multi-page
Single-sided vs. Double-sided
Page Orientation (Landscape vs. Portrait)
Documents with similar shading
It is important to limit the number of pages in a batch to a manageable
number (60 pages is the maximum) so the documents are available for
processing in the workflows in a timely manner and it is easy to locate
paper documents that may require retrieval for rescanning. Remember
the sooner a document is scanned and released into the workflows, the
sooner it can be processed.

Using Document Separators

There are two main ways to separate documents within a batch during
scanning. Documents may either be separated by multiple Bar Code
Coversheets placed in between each document in a scan batch (each
barcode indicating the beginning of a new document,) or they may be
automatically split by using the Auto Split functionality using one single
coversheet. (See page 19 for more details on using the Auto Split
feature.)

In most cases, 170 MarkView obtains information about the scanned


batches of documents through the use of bar codes, similar to the bar
codes used to identify products at a grocery store. Bar codes contain
specific identifying information about the document or set of documents
being entered into the system. They indicate document property values
such as document type, or communicate specific information regarding a
document image, such as the priority of the document or batch of
documents.

Complete Batch Cover Page

After documents are prepared and separated into a logical batch, the Scan
Operator fills out a Scan Batch Cover Page which is a form used to record
information such as his or her name, the date of scan, and the number of
documents and pages in the batch. Scan Batch Cover Pages can be printed
from the Utilities tab in 170 MarkView Home. The batch cover sheet is filed
with the hard copy documents. The information is helpful in insuring that the
correct number of documents is scanned and also provides information for
future reference.

Scan Document Batches

Whether scanning one document or multiple documents, a unique sequential


Batch Number is automatically generated for all new scan jobs. For auditing
purposes and to assist in locating previously scanned documents, batch
numbers are not reissued. The batch number is recorded on the Scan Batch
Cover Page and filed with the paper documentation, thereby providing an
efficient means of locating items that require rescanning.

Review Images & Accept Batch

After scanning is complete, the Scan Operator reviews the quality of the on-
screen document images to determine whether or not all images are
acceptable. If one or more images are unacceptable, the Scan Operator may
rescan individual pages in the batch. If the image quality of most or all of the

images is unacceptable, the Scan Operator may Reject the batch. For more
details about image quality, see Section 4.2.

If all images are acceptable, the Scan Operator Accepts the batch. Prior to
accepting the batch, the Scan Operator records the actual number of
documents and pages scanned on the Scan Batch Cover Page. This step ensures
there are no discrepancies between the actual and expected number of pages
and documents. The system then releases the documents into the appropriate
workflow queue based on the document type, assigning each document image a
text annotation, or Origin Information Markup, that specifies both batch and
scan information (e.g., the scan batch number, the Scan Operator username,
the date and time of scan).

Store Paper Documents

After the documents have been scanned, they should be filed in the order
which they were scanned with the completed Scan Batch Cover Page on top.
Batches should be filed by their scan batch number -- not by document
content.

If an original document must be retrieved after scanning for any reason, the
documents scan batch number is available in the Origin Information text
annotation on the document image. It is generally advisable to keep
approximately one month of paper documents readily available to Scan
Operators should a rescan be necessary. After a month, the documents may be
moved to a more permanent storage area or may be destroyed or archived
according to your companys business practices.

CHAPTER 2: Getting Started with 170 MarkView Scan
2.1 170 MarkView Scan Setup Options
Creating a Desktop Shortcut

In addition to using the Start\Programs menu option, users can also create a
desktop shortcut to the 170 MarkView Scan application. This creates an icon on
the desktop that users double-click to the open the application more quickly.

Navigation

To create a short cut or icon on your desktop that will allow you to open 170
MarkView Scan without going to the Windows Start Menu, do the following:

1. Locate the Start\Programs\170 MarkView Scan menu option.

2. With your mouse pointer on the 170 MarkView Scan menu option,
right-click to display a drop-down list of options, (see below).

3. Select Send To.

4. Choose the menu option Desktop (create shortcut).

5. Once complete, an icon for 170 MarkView Scan displays on the
desktop. Double-click this icon to launch the application.

2.2 Getting Started


Powering the Scanner

The scanner must be powered on prior to launching 170 MarkView Scan. When
the application opens, the system searches to find active scanning devices and
will not be able to locate the scanner if it has not first been powered on. Many
scanners require time to warm up and/or perform a self-test. Be sure to wait
until this processing has completed before launching 170 MarkView Scan.

Navigation

1. Launch 170 MarkView Scan by double-clicking a desktop shortcut


or locate the application under the Start menu. The Select Scan
Source window is displayed.

NOTE:
Typically only one Scan Source will be listed here. This is
dependent upon your companys individual configuration.

2. Select the appropriate scanner from the list and click OK . The
170 MarkView Scan application launches.

Logging In and Logging Out

After 170 MarkView Scan has launched, it is necessary for the Scan Operator to
log in to the application.

Navigation

1. Navigate to the File menu and select the Logon menu option. A
password prompt appears.
2. Enter your User ID and Password in the fields provided.
3. If your organization has more than one database, select the
correct account by clicking the drop-down arrow in the Account
field.
4. Click the OK button. The status bar updates to reflect your
username in the Connection field on the right-hand side of the
status bar.
5. To log out of 170 MarkView Scan, navigate to the File menu and
select the Logoff menu option. Once logged off, you will not be
able use the application until you log on again.

Adjusting Default Zoom Settings

Before scanning and viewing document images, the Scan Operator may wish to
adjust the Default Zoom settings. These settings designate how images will be
displayed in the viewing window after documents have been scanned. Default
Zoom is a user preference and does not alter how documents are scanned or
stored in the database.

If Zoom to Window is selected, the document is adjusted to fit the dimensions


of the image window, such that the entire document image is visible in the
window.

If Zoom to Width is selected, the document is adjusted such that the width of
the document is equal to the width of the window.

Navigation

1. Navigate to the Scan menu and select the Default Zoom menu
option. The Zoom to Window and Zoom to Width options appear.

2. Click once on either menu option to place a check next to the


selected field. As demonstrated above, this system is set with a
Default Zoom of Zoom to Window.

Chapter 3: Using 170 MarkView Scan
3.1 170 MarkView Scan Navigational Overview

The Application Window

The 170 MarkView Scan application window consists of the following


components:
Title Bar As in other Windows-based applications, the Title Bar is
located at the top of the 170 MarkView Scan application window and lists
the name of the application.
Menu Bar Provides access to all functionality within the system via the
File, Scan, Page, Zoom and Rotate menus. See the 170 MarkView Scan
Menus heading for additional details.
Toolbar A shortcut bar that includes icons capturing the most common
functionality of 170 MarkView Scan. See the Toolbar section for
additional details.
Window The grey area of your 170 MarkView Scan application window
that displays document images after they are scanned.

Status Bar Displays current scanner status and application setting
information. See the 170 MarkView Scan Status Bar heading for
additional details.

To simplify and facilitate speedy navigation, the most commonly used functions
in 170 MarkView Scan can be accessed in a number of ways. These include
menu selections, toolbar icons, and keyboard shortcuts.

170 MarkView Scan Menus

The menu bar is located at the top of the 170 MarkView Scan window. The
menu options allow you to perform all functions available through the toolbar
icons and shortcut keys and also provide you with a means to access more
advanced scan features.

The File menu provides most fundamental scan functions such as:
Logging On/Off
Creating a New Batch
Accepting and Rejecting Batches
Manually Categorizing Documents and Batches
Accessing 170 MarkView Scan Preferences

The Scan menu is used to begin scanning and gain access to advanced scan
functions and settings. These functions are covered in depth in later sections
of the manual.

The Page menu provides basic document navigation utilities used to review
scanned images, as well as editing capabilities enabling pages to be Cut/Copied
and Pasted to new locations.

The Zoom menu allows users to adjust the current magnification of the
document(s) being viewed. It should be noted that these features are view
only, and do not impact the way the document appears to users who later
retrieve the document. These include the following:
Zoom to Window
Zoom to Width
Zoom Closer
Zoom Farther

The Zoom menu also provides access to the Thumbnail View used to display all
batch images simultaneously. This view allows you to reorder and delete

pages, and categorize documents and batches. See Reviewing Documents
Using the Thumbnail View in this section

The Rotate menu enables users to change the orientation of the document
being viewed. As with the Zoom menu functions, rotation features are view
only, and do not impact the way the document appears to users who later
retrieve the document. If a document has been scanned with an incorrect
orientation setting, it is recommended that the document be rescanned prior
to being released into the workflow. The Rotate menu includes the following
rotation capabilities:
Clockwise
Counterclockwise
Upside Down

NOTE:
Accelerator keys (if available) are listed to the right of all menu
options, as shown:

The 170 MarkView Scan Toolbar

The 170 MarkView Scan Toolbar, located across the top of the application
window, contains a basic set of commonly used tools. These include Scan Next
Page, Index Document, page navigation functions (Previous Page and Next
Page), Cut Page, zoom functions (Closer, Farther, and Fit to Window), and
rotation tools (Rotate Clockwise, Rotate Counter-Clockwise, No Rotation,
Upside Down.)

The 170 MarkView Scan Status Bar

At the bottom of the scan application window you will find the Status Bar. The
Status Bar is an important tool used in determining the current status of the
scan application as well as the current document or batch being displayed.

As illustrated below, the Status Bar contains the following information (in the
same order as displayed):

1. The System Status field indicates the current status of 170 MarkView
Scan. This field indicates whether or not there are any processes
running and the readiness of the system to receive additional commands
or images. Possible system status includes Ready, Copying Files and
Not Ready.
2. The Page Split Settings field indicates the current number of pages set
to Auto-Split. If the Auto-Split settings are inactive, this field is blank.
3. The Document Separator field reads DocSep when document
separators (or bar coded cover sheets) are in use. The Document
Separator option should be set to DocSep for most scanning procedures.
4. The Paper Size field indicates the currently set paper size for
documents being scanned. This value is set from the Scanner Properties
window, accessed by selecting Scanner Setup from the Scan menu.
5. The Paper Orientation field indicates the current setting for paper
orientation. It reads L when set to Landscape and P when set to
Portrait. This is set from the Scanner Properties window, accessed by
selecting Scanner Setup from the Scan menu.
6. The File Size field lists the size of the batch file.
7. The Batch Number field lists the current unique scan batch number.
The batch number is assigned when the scan batch is created.
8. The Batch Page field indicates the current page of the overall batch.
9. The Document Number field indicates which of the total number of
documents within a batch is being viewed.
10.The Document Type field indicates the type of the document currently
being viewed. Because multiple document types may exist within one
batch, this field will indicate the type for the page that currently
appears in the document window.

11.The Document Page field displays which of the overall number of pages
within a single document is currently being viewed.
12.The Connection field displays the username and database connection
used to log into the system. The username displayed is associated with
the scanned documents as the Scan Operator name.

3.3 Scanning Images with 170 MarkView Scan

After documents and batches are prepared, the Scan Operator can begin
scanning the images into 170 MarkView Scan. Prior to scanning, however, it
may be beneficial to utilize the Auto Split functionality if the documents in
your batch have the same number of pages.

Setting Page Splits

In addition to using cover sheets to separate documents, batches may be


automatically split into documents of equal length as long as the documents
are of the same Document Type.

This can be extremely useful if you are scanning a batch in which you know all
of your documents are the same number of pages and type. For example, if a
scan operator is processing several 3-page documents that are all of the same
Document Type, a single bar-coded cover sheet may be used in conjunction
with the Auto-Split feature, eliminating the need to use a new coversheet
between each document.

Navigation
1. Navigate to the Scan menu and select the Auto Split Setup menu
option. The Auto Split Setup window opens.
2. Indicate the number of pages in each document within the batch, and
click the OK button.

3. Once the number of pages is setup, you must set the Auto Split to be
active. Navigate to the Scan menu and locate the Auto Split option.
Clicking Auto Split will enable or disable the feature. If the Auto Split
option is checked, Auto Split is active.

Creating a New Batch

Prior to scanning, you must create a batch to scan the documents into.

Navigation

1. Select the File/New Batch menu option, or press [F6] (the accelerator
key.)

2. The Batch Information window opens. Record the automatically-


generated Batch Number on your Scan Batch Cover Page.

3. If desired, you can enter an optional Description. The description field


is for informational purposes only and is not displayed on the document
image.
4. To ensure that expected number of documents and pages equals the
actual numbers scanned, select the Expected Number of Pages
checkbox and enter the number of pages in the batch. Dual-sided
documents are counted as two pages.
5. For further accuracy, select the Expected Number of Documents
checkbox and enter the total number of documents in the batch.

NOTE:
170 MarkView Scan tallies the pages scanned and compares the
actual number of pages and documents against what was
expected.

6. Click OK after all information is entered in the Batch Information


window.

As an alternative to the above process, scan operators may also create new
batches by selecting Scan Next Page from the Scan menu (or by pressing the
[F9] accelerator key.) Doing so prompts you with the following window:

Clicking Yes prompts the New Batch Number window as above. If No is clicked,
you will not be permitted to scan any additional documents until a batch
number exists.

Scanning a Batch

Once a new batch has been created and the documents to be scanned are
placed in the scan feeder tray correctly, scanning documents may begin. There
are three ways to initiate the scan process:
Navigate to the Scan menu and select Scan Next Page.
Press the F9 accelerator key (Scan Next Page.)
Click the Scan Next Page toolbar icon.

Once this function is accessed, documents will begin feeding automatically on


most standard scanners. Some scanners may require additional action to be
taken prior to the documents being fed. Contact your scanners manufacturer
for additional information about your model.

As documents are fed into the scanner, the images of those documents are
displayed in the image window. Scan Operators can monitor the document
types, page numbers and document numbers by viewing the appropriate fields
in the Status Bar.

Reviewing Scanned Documents

Once scanning is complete, the Scan Operator must review each scanned page
to verify that the documents have scanned correctly. Using the navigation
tools such as Page Up, Page Down, Rotation and Zoom, the Scan Operator
reviews the images to verify the following:
All images are legible
No blank pages exist

Pages are sequenced correctly within a document
The correct document type and document properties are applied to each
document
Documents are split correctly
All pages are valid documents

NOTE:
You can also review documents using Thumbnail View. See
Reviewing Documents Using the Thumbnail View in this section.

After review, you may find that you need to modify the batch by deleting
images, relocate images, split documents and manual categorize documents.
The following sections describe these actions in detail.

Deleting Pages from a Batch

If an image or an entire document must be rescanned, use the following


procedure.

Navigation

1. Use the navigation tools to locate and display the page or pages
to be deleted in the viewing window.
2. Select the Delete option from the Page menu. Alternatively, press
[Delete] on the keyboard or click the Delete Page icon on the
toolbar. The page is removed from the batch. You can also delete
pages while in the Thumbnail View. See Reviewing Documents
Using the Thumbnail View in this section.

NOTE:
Use care when deleting pages and documents from batches. You
will not be prompted to confirm a Delete operation. Once deleted,
there is no option to undo the action or restore deleted pages.

Rescanning Pages into a Batch

If individual pages must be rescanned into existing documents either


because they were initially omitted or because they were deleted, the
following procedure may be used.

NOTE:
If a full document must be scanned into an existing batch, this
step is not necessary. New documents may be scanned in at the
end of the batch.

Navigation
1. Navigate to the location of the page before the incoming images.
2. Locate the paper document and rescan the page using the Scan
Next Page function. The rescanned page will be inserted into the
document following the current page.

Relocating Pages in a Batch

In addition to deleting and rescanning pages into a specific location, 170


MarkView Scan also provides you with the ability to cut and paste pages
of a document into specific locations.

Navigation
1. Navigate to the page you want to move
2. Select the Page\Cut menu option or the [Ctrl+X] accelerator key.
The page will be copied to the clipboard (for pasting in a new
location) and cut from the current location.
3. Navigate to the new location using the navigational tools.
4. Press [Ctrl+V] to paste the page into the position following AFTER
the current page of the document. Press [Ctrl+B] to paste the
page into the position BEFORE the current page of the document.

Documents can also be easily reordered using the drag and drop feature
in the Thumbnail View. See Reviewing Documents Using the Thumbnail
View in this section.

Splitting Documents

As pages are scanned into the system, the Auto Split configuration or the
Bar Code Cover Sheets designate where and/or how the documents
should be divided. However, if it is determined during the review
process that two or more documents were incorrectly scanned as a
single document, it is possible separate the documents by navigating to
the first page of the second document and inserting a document break.

For example, to split a 6-page document into two documents composed


of pages 1-2 and 3-6 respectively, navigate to page 3 and select the
Split/New Document option form the File menu. The original document
is split into two separate documents.

Navigation
1. Navigate to the location at which the split should occur. The
image window should display the first page of the second
document.
2. Select the Split/New Document option from the File menu (or
press the [F5].accelerator key.) The original document is split
into two separate documents.

NOTE:
The split operation causes the first document to be accepted.
You should verify the first document is ready to be accepted
(categorized correctly) before performing the split operation.

You can also use the Thumbnail View to insert document breaks. See
Reviewing Documents Using the Thumbnail View in this section.

Manually Categorizing Documents

Documents need to be manually categorized only if they were scanned


into 170 MarkView without a bar coded cover sheet. Documents can also
be manually re-categorized if the wrong bar coded cover sheet was
used.

If your configuration requires you to manually categorize documents,


you have the option to categorize either before accepting the batch or
as part of the acceptance process. If you are not sure whether or not
your document is categorized, check the Document Type field on the
status bar at the bottom of the 170 MarkView window. Documents may
be categorized either as individual documents or as batches.

Navigation

To perform the categorization before the batch acceptance process:


1. Navigate to the first document of the batch.
2. If you wish to categorize each document individually, select the
Categorize Document menu option from the File menu (or press
the F8 accelerator key).
3. If you wish to categorize the entire batch as the same document
type, select the Categorize Batch menu option (or press the F7
accelerator key). The Document Categorization window opens.

4. Locate and select the appropriate document type from the Batch
Categorization window.
5. If your system has been configured with a Document Identified
field, click in the Document Identifier field (text box at bottom
of window) or press the [Tab] key until the cursor is in the field
and then type the correct identifier.
6. According to the field label, enter the data in the correct format.
7. Once the document type is highlighted and the necessary
identifier entered, click the OK button. The document or batch
(depending on your initial selection) is now categorized.

To perform the categorization as part of the batch acceptance process:


1. Select the Accept Batch option from the File menu (or press the
[F4]accelerator key). A message appears indicating that all
documents have not been categorized.
2. Click Yes to accept categorizing now. The Document
Categorization window appears. Use the same process as outlined
above to categorize each of the documents in the batch.

NOTE:
When you categorize as part of the acceptance process, be sure all
documents are properly categorized. Once you categorize the
final document, the batch is immediately accepted and no
additional review is possible.

Reviewing Documents Using the Thumbnail View

The Thumbnail View is a useful tool for managing and reviewing multiple
documents and images. It allows you to display all of the pages in a current
batch simultaneously. You can use Thumbnail View to:
Navigate quickly to specific images
Delete images

Accepting or Rejecting Batches and Documents

Once documents have been scanned and reviewed, the scan operator must
Accept the batch in order for the documents to be released into the workflows.
Once accepted, the images are converted to 170 MarkView documents and
routed to their respective entry queues in the appropriate workflow based on
document type.

Alternatively, a scan operator may reject a batch if the scanned images are all
of poor quality or the documents have been categorized incorrectly.
Documents in a rejected batch are not released into the workflows.

Navigation

To accept the batch:


1. Select the Accept Batch menu option from the File menu (or
press the [F4] accelerator key).
a. If the actual number of documents and/or pages tallied by 170
MarkView Scan differs from the expected numbers, an
Inconsistent Batch Statistics pop-up window is displayed detailing
the discrepancy.

b. Click Yes to continue accepting the batch, or click No if you wish
to go back and rectify the problem.
2. After accepting the batch, a message appears on the left side of
the status bar indicating that the files are copying to their
respective queues. When the status indicates Complete, the
documents have been released into the workflow and the image
window clears.

3. Once the images have entered their respective entry queues, a


confirmation pop-up window will be displayed detailing the actual
number of images and documents captured. Record these actual
numbers on the Scan Batch Cover Page and justify any
discrepancies.

To reject the batch:


1. Select the Reject Batch option from the File menu (or press the
F12 accelerator key.). The following pop-up window displays:

2. Click the Yes button to indicate that you wish to reject the batch.

NOTE:
Scan Batch numbers are unique and are not reissued. For tracking
and auditing purposes, it is recommended that rejected batch
numbers be recorded on the Scan Batch Cover Page and filed.

Chapter 4: Advanced Scan Settings
Your 170 Systems Consultant has pre-set your scanning configurations to the
optimal settings for your scanner and there should be minimal need to adjust
any of the advanced scanner settings referenced in Section 4.1. Please refer to
Section 4.2 of this manual for additional details on the specific scanning
configuration options that can be adjusted through the application.

NOTE:
If your organization has implemented Kofaxs Virtual Rescan (VRS),
do not adjust any of the image enhancing options detailed in
Section 4.1. Any modifications made to these settings could cause
conflicts with VRS that could adversely impact scan quality.

4.1 Preconfigured Scan Settings

The settings outlined below are saved as an information file named


markview.ini. Your System Administrator should save a copy of this file
somewhere on your network. The ini file provides a means of restoring original
settings if the configuration is changed in error. For more information on
where this file is located, contact your 170 Systems Consultant.

NOTE:
Your 170 Systems Consultant enables the majority of these
settings. It should only be necessary to alter these settings under
rare circumstances.

These options are explained in more complete detail below.

Deskewing

During mechanical paper feeding, documents may get out of alignment


during the scanning process. The Deskew Properties window provides
tools to prevent document images from appearing skewed. Select the
Deskewing Setup option from the Scan menu to open the Deskew
Properties window.

NOTE:
It is recommended that the Deskew Properties be set as indicated
in the screenshot above.

Enabling both the Detection and Correction modes and setting the
minimum angle to 0.0 and the maximum angle to 12.0 in the Deskew
Properties Window corrects maximum skew angles up to 12 degrees.

Black Border

Black borders often appear on images as a result of using a scanner with


a black belt or drum. Select the Black Border Setup menu option to
open the form.

White Noise Gap (pixels): Set the pixels as indicated in the Black Border
Removal properties dialog box above. This specifies the number of
consecutive pixels to be ignored within the black border.

Setting the White Noise Gap too high will impede the black border
removal process. Setting too low will propagate the removal
process.

De-shading

When documents contain text within a shaded or grayed area, these


often obscure the text during scanning. The Deshade function removes
the speckles that make up the shaded area while preserving the text
inside the shaded area. Select the Deshading Setup option from the
Scan menu to open the Deshade Properties window:

NOTE:
It is recommended that the Deshade Properties be set as indicated
in the screenshot above.

Enabling both the Detection and Removal modes removes shaded areas
and improves OCR (Optical Character Recognition) accuracy if you are
using this technology. Setting the Minimum Width and Height Area
properties too small could cause the Deshade function to detect text
objects as shaded areas

Despeckling

The Despeckling feature removes unwanted dots or speckles on an


image. Select the Despeckling Setup option from the Scan menu to
open the Despeckle Properties window.

It is recommended that the Despeckle Properties be set as
indicated in the screenshot above.

Enabling the Removal mode removes speckles providing a cleaner image


for OCR processing. You can select any Height or Width value between 1
and 32 pixels. Using large values for these properties could remove
characters or other important portions of the image.

Image Filtering Setup

170 MarkView Scan features a series of image filters which enhance the
edges of lines and characters on an image by providing a cleaner image
and increasing OCR accuracy.

To access Image Filtering, select the Image Filtering Setup option from
the Scan menu. The Image Filter Properties window opens:

It is recommended that the Image Filter Properties be set as
indicated in the screenshot above.

When using the image filters, it is recommended that you process a test
image to determine the best settings for your application. The default
settings, which have been calibrated for typical, real-world images,
should work in most cases. No adjustments should be necessary. If
adjustments are necessary, they should be made carefully to achieve the
desired results.

Enabling the Algorithm in the Image Filters Properties dialog box allows
you to use one or more of the image filers at a time. Highlight only the
properties you need to enhance your images. Not all properties need to
be enabled at once.

Line Removal

The Line Removal tool enables the scanning software to detect and
remove unwanted horizontal and/or vertical lines from the, image as
well as enable horizontal and vertical reconstruction to repair text that
intersects the lines that are removed. Select the Line Removal Setup
option from the Scan menu to open the Line Removal Properties window.

NOTE:
It is recommended that the Line Removal Properties be set as
indicated in the screenshot above. Enabling the Horizontal,
Vertical, Horizontal Character Reconstruction, and Vertical
Character Reconstruction removes lines on the document, but may
also remove characters and other information.

NOTE:
For best results when removing horizontal lines: Set the Minimum
Length parameter to a large enough value that text objects such a
horizontal T are not mistaken for horizontal lines. Set the
Maximum Break parameter to a max value of 2-3 pixels at 200 dpi.
Doing so will prevent text from being considered a line.

Streak Removal

When streaks appear on an image after scanning, it may be a result of


any number of conditions, such as marks on the original, dust in the
scanner assembly or a faulty scanner camera. The Streak Removal
Setup option in the Scan menu allows access to the Streak Properties
window, from which the Scan Operator can enable Streak Removal and
adjust the streak width detected.

NOTE:
It is recommended that the Streak Properties be set as indicated in
the screenshot above. Enabling the Streak Removal function in
Streak Properties dialog box decreases streaks on the image.
Setting the width too high could have an adverse effect on the
image by eliminating image data. Set the Width to a value of 1-2
pixels.

4.2 Configurable Scanner Settings

170 MarkView Scan provides direct access to your scanner's settings eliminating
the need to utilize a separate utility provided by your scanner's manufacturer.
Availability of the features and settings described in this section, such as
brightness, paper size, orientation and resolution may vary by scanner model
and manufacturer. For additional details about your scanner's features and
settings, please refer to the documentation provided by the manufacturer.

Scanner Properties

The most commonly changed scanner settings include:


Paper Size (full range of US and European paper sizes)

Sides (Single-sided vs. Duplex)
Contrast
Threshold

To change any of these settings, select the Scanner Setup option from the
Scan menu to display the Scanner Properties window. The options available in
the Scanner Properties window vary depending on the type of scanner being
used.

NOTE:
It is recommended that the Resolution, Scan Start and Color Mode
be set as indicated in the above screenshot. 170 MarkView Scan
does not support scanning in color.

Scanner Properties Options

Clicking the Options button at the bottom of the Scanner Properties window
opens the Source Properties window. The properties set here vary depending
upon the type of scanner in use. It is recoded that you consult your scanners
manufacturer for additional information about these settings before adjusting
any properties in this window.

Advanced Scanner Properties

The Advanced Properties window contains additional settings that vary by


scanner. Included in the Advanced Properties window are the
Threshold/Brightness and Contrast settings, which may be adjusted for rescans
or to enhance image quality on documents with lighter or darker printing, as in
the example pictured below.

NOTE:
Your 170 Systems Consultant will adjust the Contrast and the
Threshold/Brightness of your scanner. The Scan Operator may
adjust these properties on documents requiring rescanning due to
shading that obscures text, as in the example below.

NOTE:
Contrast and Brightness/Threshold are the only settings within the
Advanced Properties that should be changed. Consult your scan
manufacturer for details about the other settings displayed here.

Kofax Virtual Rescan (VRS)

170 MarkView Scan interfaces with Kofax Corporations Virtual Rescan (VRS) --
an optional software application package used to enhance image quality. VRS
allows the Scan Operator to adjust images and immediately view the results.
You can also save settings if you routinely receive documents that are difficult
to scan without enhancement.

In the following example, the original document contains several


characteristics that could impact scan quality: a low-contrast logo, dot-matrix
text, highlighted areas and a coffee cup stain. When the document was
scanned without VRS enabled, several areas of the image were illegible. When
the document was scanned with VRS enabled, the scan operator was able to

correct the problem areas and make the necessary enhancements so that all
areas were legible.

Depending on the Quality Control (QC) mode selected, the image will either be
updated automatically, or the changes will apply to the next image scanned.
The following QC modes are available:

On Errors: VRS will automatically open the VRS interface when the
software detects an error.
First Page: the VRS interface will open on the first batch page and when
an error is detected thereafter.
Every Page: the VRS interface will open after each document
Disable: VRS is disabled.

Almost all of image-quality issues can be fixed by simply adjusting the


Brightness (vertical slide bar) and Contrast (horizontal slide-bar.) Brightness
diminishes background colors revealing clearer text. Contrast enhances text
and lines.
