Subject: Regarding notice dated 12/04/2017 relating to vacating of hostel rooms during
Summer Internship Break.

Respected Sir,

We hope you receive this letter in good health and spirits. We are writing this application in
response to the notice issued in relation to the vacating and reallocation of hostel rooms
during the summer internship break.

It is our humble request that the 2013-2018 batch be exempted from the said notice due to the
existence of the following factors:

1. A majority of the students from our batch would be returning to the University only in
August or September after completing their internships. Further, the application of the
first-come-first-serve rule would be problematic if the students return over a period of
more than a month. Moreover, the management of the storerooms would also be
difficult as people who return late might find some things to be misplaced or lost, as
we have suffered before.
2. Our batch only has about six months left in the University, and thus it would be a
tremendous financial burden on the students to purchase steel trunks at this stage,
only to be used once. Laying more stress on the fact that we have only six months left
in the University, we appeal to your kind self to allow us to live out the remainder of
our tenure here in our existing rooms.
3. There are many students in our batch who face different health conditions, due to
which it would be a great physical as well as mental strain on them to ask them to
pack all their belongings and carry them two-three floors, both now and in the next
semester. It is also an unnecessary strain and burden on the remaining students to ask
them to pack and carry all their luggage twice, even when their rooms might not
require any repair or maintenance work.
4. There are about 20 boys in our batch who were left with no option but to change their
rooms in the last semester, due to the sudden accommodation of girls in the BH-2.
This change was neither informed to us before leaving, nor were we given any other
alternative or help in shifting our rooms.
5. In a clarification issued by the Office of the Chief Warden dated 03/05/2016, it was
informed to the students that students' whose rooms do not require any maintenance
or repair work are not required to vacate their rooms. However, they must intimate
the same in advance to the hostel authorities who will verify that no maintenance or
repair work is necessary in their rooms. A copy of the said mail is attached here for
your kind perusal. Needless to say, even though the said mail was sent by a different
person, it was done in the capacity as the Chief Warden of National Law University
Odisha and students have a legitimate expectation that such statements may be relied
upon.

Considering the abovementioned points, and putting even greater emphasis on the stress and
hardship the students would face in vacating their rooms every semester, we humbly submit
to your kind self and pray that you generously grant us exemption from the said Notice.
