Media Classroom Confluence User Guide

(and other notes)

Classroom Directory
Log into Confluence and visit the Electronic Classrooms space. Click on the Instructor Stations and Media
Carts subspace. By Campus will list Chemeketa main campus and all outreaches. Classrooms with Media
fixtures will be displayed by building (if applicable or otherwise noted). For reference, building layout
plans will be attached to each respective campus building directory.

Future Additions
Under the Instructor Stations and Media Carts subspace, the Classroom Information Template is stored.
This template is the structure that is intended to be copied via Confluences edit function into the
Campus/Building to add a classroom not already present. Please do not make changes to the template
before copying it to the intended Campus/Building. Additionally, pages made in error can be moved via
Confluence edit to the subdirectory of the template, and renamed to something to clearly indicate is it
meant for deletion at a later time.

Classroom Information
The goal of Confluence is to provide a quick reference guide for all classrooms utilizing Media/IT
equipment. At the time of initial creation, the primary objective is to record tag numbers,
specifications/model numbers, serial numbers, and other information that a Media technician should
know before walking into a classroom. Consideration has been taken to allow for the information to
expand into things such as network addressing, network closet port numbers, and other information
that could potentially save a lot of time in the troubleshooting process due to manually inspecting on
site.

Links and Attachments


Classroom Maintenance and Classroom Instructions are pointing back to Google Drive, to file names as
of June 2017. IF ANY CHANGES ARE MADE TO ANY FILES IN MEDIADATA, PLEASE RECHECK/RELINK
FILES IN CONFLUENCE! Steps are being taken to move Drive files into a system that allows for the most
current revision to be stored as a single file name that shouldnt break the link when it is overwritten or
replaced by a file of the same name. This is a work in progress as of June 2017. Classroom Maintenance
links back to GNote.

JIRA Ticket History will open a custom filter that will display any and all tickets that mention that specific
classroom at all. Please take care in not overriding the JIRA filter used to create this, unless it is to
display more tickets that were previously overlooked by the filter.

The query algorithm for the filter is:

"Managing Team" = "Media Services" AND (("Campus & building" = Salem OR


"From campus & building" = Salem) AND ("Campus & building" = "Building 9"
OR "from campus & building" = "Building 9") AND (Location = "112" OR
Location = "112")) OR (text ~ "9-112") OR (text ~ "9/112") ORDER BY duedate

Replace Salem, Building 9, 112, 9/112, and 9-112 as needed.

When CREATING a JIRA filter for a classroom, edit the above query with the relevant
campus/building/classroom information, and then save using the following naming conventions:

S9112
S 9 112
Campus Building Number Room Number

Campus letter codes:

S = Salem
B = Brooks
Y = YVC
E = Eola
C = CCBI
D = Dallas

When the filter has been saved: copy the URL, edit the JIRA Ticket History link on the Confluence page
for that classroom, and paste the URL. Save the changes, and test by clicking on the link to confirm.

As a final note, the logic behind the filter algorithm is to search for ANY ticket that references that
particular classroom in text or by location selection in JIRA. In initial testing, it appeared the filter was
working as intended- but will likely need to be bug tested in the future to confirm accuracy. JD

Attachments
The aforementioned Building Layout maps should be uploaded for each campus/building as of June
2017. These are intended to be directly attached to the Building number per Campus, as mentioned
previously.

Classroom Pictures are intended to be taken using a smartphone or other device that is capable of a
quick upload to Drive or a PC. Examples are to include the instructor station, projector(s), document
camera, amplifier, remote control system, classroom ports, or anything else considered useful for a
technician to be able to see as a quick reference. These are intended to be uploaded directly to
Confluence, while links to documents on Drive for revision updating purposes.

Legend
Superscripted numbers are used to indicate the note on the legend. Please follow the existing format for
additions to the legend in the future.

Other Notes
June 7th, 2017

Eola 102 (Chardonnay), Eola 127, and Salem 9/112 have attachments that I do not have the correct
access to remove. In addition there are now errant pages under the follow directories:
