CHAPTER 2

REVIEW RELATED LITERATURE & TECHNOLOGY

Every piece of ongoing research needs to be connected with the

work already done to attain an overall relevance and purposes. Base on
hand process we relate our system with some of the related literatures
for the better understanding on how to improve the system. The review
of literature thus becomes a link between the research proposed and
the studies already done.

Student Registration System

According to Sardar Nauman Khalid (December 7, 2009), this

project is aimed to design an online based course registration system
for Bangsar International College of Technology. Prior to this
project, Bangsar International College of Technology uses Oracle
Relational Database, running on its old Legacy IBM Mainframe Server
System to store/retrieve data. The institution recently decided to
upgrade its IT resources to a much more recent technology applying the
online Client-Server architecture, in order to save/store and retrieve
data from its database. Prior to this initiative, Course registration
at the college is done by hand. Students fill out forms that contain
their course selections and return the forms to the registrar.
Clerks then enter the selections into a database and a process is
executed to create student schedules. The registration process takes
from one to two weeks to complete. The university decided to
investigate the use of an online registration system. This system
would be used by professors to indicate the courses they would teach,
by students to select courses, and by the registrar to complete the
registration process.
The new on-line registration system will allow students to
select four course offerings for the coming semester. In addition,
each student will indicate two alternative choices in case a course
offering becomes filled or canceled. No course offering will
have more than ten students. No course offering will have fewer
than three students. A course offering with fewer than three
students will be canceled. Once the registration
process is completed for a student, the registration
system sends information to the billing system , so the student
can be billed for the semester. This system is designed in such a
way that Professors must be able to access the on-line system to
indicate which courses they will be teaching. They will also need to
see which students signed up for their course offering. For each
semester, there is a period of time that students can change
their schedules. Students must be able to access the on -line
system during this time to ad d or drop courses. The billing
system will credit all students for courses dropped during this period
of time.

Online Registration System

According to ATANU MAITY (January 2010), the students currently

submits hardcopy of filled application form to the college/university,
office staff enters all data into excel file and write same in manual
register. Issue hall ticket / admit card to student and conduct test
for student. Student comes to college and gives test for the specified
date. Office staff checks all the papers calculates results and type
all the details for taking printout and display it in college
premises. College inform student to check the result, student comes to
college and view the results.

Proposed online student registration system will eliminate all

the manual intervention and increase the speed of whole process.
System will allow student to fill the form online, system has inbuilt
validation system to validate the entered data. After successful
submission, the system will give unique registration no for each
student. Student can login into system by using registration no and
give online test. System will show the result after instantly and
stored the results for further use. Today internet become reality and
usage of internet become very much popular and there is tremendous
increase of internet in all over the world for education purpose. The
Online Student Registration System is easy to use, full-featured and
flexible Student Registration, Testing and Assessment web portal. This
project report describes the software functional and nonfunctional
requirements for release 1.0 of the Online Student Registration
system. This document is intended to be used by the members of the
project team that will implement and verify the correct functioning of
the system. Unless otherwise noted, all requirements specified here is
high priority and committed for release.

Computerized Enrollment System

According to Lexter Ilagan (October 12, 2010), computerization is

a control system that manages processes in industrial workplace. It
reduced human errors and processing time, thus it can boost
productivity and resulted into high quality of product produce. In
Information System, computerization is concerned about interrelating
different but interdependent transactions. This can result in a system
with well-integrated processes that can perform much faster and more
accurate than a manual system. Enrollment is the process of entering
and verifying data of student to register on a particular school.
Different interrelated processes build up enrollment procedures called
Enrollment System (ES). ES are used particularly in recording and
retrieving students information. Tracking students information is
also one feature of ES, in which the school can trace the standing of
a student. Verifying payments was also added to update or browse
students billings. Enrollment System is a good example of a computer
generated process. This can lessen the workload and provides accurate
information needed of the school. As a result, it will benefit not
only the student but the administration as a whole.

With this approach, the overall functionality of the system is

broken down into feature sets. These feature sets, often based upon
cases from the analysis stage, contain a group of individual features
that are related, typically by functional area. In most cases, the
entire set of feature required to support a functional area and will
be too large to be considered a single feature set, and must be
further divided to reduce the size. Conceptual Framework of study is
essential in the progress of the study and researchers frame. The
Framework of this design starts in knowing specific System Requirements
of the school. This includes identifying problems regarding existing
processes of the school. Due to the increasing population and in
demand popularity of NSI, proponents focus on Enrollment System since
every school has their own way of accepting student. As study goes on,
proponents noticed that NSI uses a manual enrollment system that can
result errors, redundancy and lots of time to process. This gives way
to the second phase, the Data Gathering. Assorted in data gathering
are Background Research (includes company background, mission and
vision), to know their existing I.T. Infrastructure and different Process
Interrelationship on their Enrollment System. The product of the
requirements and data gathering would be the Analization. In this
phase different processes and transactions involves on registration of
students. These include paying tuition fees and initialize different
reports for every department. All of these are conceptualize to decide
a Design Proposal.
Samar State University Automated Enrollment System

Technology innovations had influenced man's work, from data

processing, business transactions, research, planning, monitoring and
even in medical operation of mans body is now entrusted to computer
technology. Samar State University (SSU) as one of the University in
Samar Island aims to be the center of excellence in education had
recently made changes to some of its existing systems. The enrollment
system of the university is now computerized, and other systems are on
its way. This only show that they are coping with the latest
technology. The Automated Enrollment System of Samar State University
aims for an accurate, user friendly, efficient system that can help
both the student and personnel for fast data processing of enrollment.
Engr. Hediki Hashimoto (October 12, 2010), a Japanese volunteer headed
the creation and conceptualization of the system. The information
technology faculty from the College of Engineering and Arts and
Sciences assisted him. The system that is web based uses PHP
programming language with data stored in MySQL is run through the
intranet of SSU.A dry-run for this automated enrollment was done last
summer and the first semester of this school year. Offices affected
with the automation were the registrar, cashier, accounting, and the
Colleges of Education, Engineering, Arts and Sciences, Industrial
Technology, Nursing and Graduate Studies. Feedbacks from the students
were formulated when the first semester started. Over 75
of them say that the automation process of enrollment was better
compared with the old system. With the good result of the dry run the
automated enrolment system will be finally implemented this 2nd
semester.

Enrollment System

According to Ace Adrian Sandoval (October 2010), enrollment

System is useful especially when the school retrieves the
important information from the student. The school can trace what is
the standing of the students. Lack of Enrollment System in a school
can lead to chaos and troubles. Students will be confused on what they
should do to be able to enroll. It is extremely useful in the school
in the way of working processes of enrolling become much easy.

Descriptive Method of Study

According to (Jenny Anto), the main goal of this type of research

is to describe the data and characteristics about what is being
studied. The idea behind this type of research is to study
frequencies, averages, and other statistical calculations. Although
this research is highly accurate, it does not gather the causes behind
a situation. Descriptive research is mainly done when a researcher
wants to gain a better understanding of a topic. For example, a frozen
ready meals company learns that there is a growing demand for fresh
ready meals but doesnt know much about the area of fresh food and so
has to carry out research in order to gain a better understanding. It
is quantitative and uses surveys and panels and also the use
of probability sampling. Descriptive Research Is also called
Statistical Research.

Synthesis

The review of related literature and studies serve as a guideline and

foundations of the proponents on their design proposal. Proponents
used the idea of Sardar Nauman Khalid (December 7, 2009) and Atanu
Maity (January 2010) of student registration system. Student
Registration System is very important in a school especially in
Registrars Department wherein master lists of students in CHMSC-
Binalbagan Campus being manage. They are the one who records and
retrieves all the data of the students enrolled in every department
and releases important files such as grades, transcript of records,
certification of grades, enrollment form, etc. We also used the
information of Mr. Ace Adrian (October 12, 2010) Sandoval and Lexter
Ilagan (October 2010), of enrollment system. Enrollment system is very
essential in a school. It is very useful in retrieving vital
information of the students. Without it, it can lead difficulty both
for the school administration and a student during enrollment
processes. Since the proponents engage on ARRS of CHMSC-Binalbagan
Campus, observation and describing of processes will be the key in
enhancing both strengths and weaknesses of the registrars manual
system.
