The professional purpose of all staff members is to support the social and academic
development of our students. For that reason, students are at the top of this chart, and the
adults who work with the children are listed underneath. Ultimately, the school principal is
responsible for student academic achievement. It is the role of the administrative team to
organize the school for learning and the administrators depend on the instructional team to
facilitate learning and achievement. As we learned from Maslow, to maximize student learning,
basic needs must be met. The nurse tends to student health needs, the head custodian
oversees the cleanliness of the environment, the secretary organizes the environment, the
cafeteria manager removes hunger as an obstacle to learning, then teachers empower children
through learning. This chart does not depict power or importance; instead, it depicts the level
of responsibility / accountability for the success of the school mission.

Lunch Procedures 2017-2018

Teachers and assistants (if scheduled) are expected to accompany their students to the lunch
area at the times listed below. All students are to walk through the halls quietly, in a single file
line, to lunch, through the lunch line, and to the commons area.

Teachers should return promptly at the time listed on the master schedule, direct their
students to form a line, and exit quietly from the commons area.

Kindergarten and first grade teacher assistants will be accompanying their students to lunch
and remain in the commons area to help supervise all students. Special Education Assistants
will supervise assigned students during lunches.

Duties 2017-2018

It is very important for everyone to be at the assigned post by 7:35 a.m. Students begin arriving
shortly before 7:40 a.m. and proper supervision will help the day begin with as much normalcy
and routine as possible. Thank you!

Professional Appraisal Cycle 2017-2018


Each faculty member will have a Talent Ed. account and administration will follow the protocol
for the appraisal cycle each employee is on. Teachers will either be on the probationary
(P1-P5), transfer (T1-T2) or continuing contract (C1-C3) cycle. Faculty members and
administrators will follow the due date guidelines set forth in Talent Ed. Dr. Daniels and Ms.
Morris will conduct observations. During the month of September, Dr. Daniels will meet with
all faculty for their annual goal setting meetings. We will have a mid-year check in during
February and an end of the year review and summative during the months of April and May.

Interim Dates

Progress reports are a less-formal venue for communicating to parents information about
academic progress before that progress is reported formally on the student report card.
Progress reports are an important means of keeping parents involved in their childs education.

SECTION 2- POLICIES

Absences

All staff will use TimeLink when requesting time off for a planned absence.
All staff will communicate with Abby regarding TimeLink procedures when returning from an
unplanned absence.

Personal Leave Procedures


1. Complete a personal leave request through the TimeLink website at least 3 days in advance
a. Your ID number can be found on your identification badge
2. Fill out an Aesop absence request to tentatively secure a substitute
3. Personal leave will be granted by the principal through TimeLink
4. Confirm or cancel your Aesop request
5. Personal leave requests will be granted within 24 hours.
6. Personal leave requests will be limited to 3 employees on any given day
7. Personal leave requests for the month of May will not be accepted after April 15
8. Staff members requesting personal leave on any student contact day, immediately
preceding, or following a holiday, or during the last 8 days of school must deliver their
request in writing, to the Superintendents Office. A second copy of the request must also
be turned into the Jackson-Via office.

Personnel whose Absences Require a Substitute


Planned Absences Appointments, Personal Leave, Death in Family, Official Leave
For absences that are considered planned, please complete the appropriate Request Leave
through TimeLink as well as an Add New Absence form through Aesop. Please note that if a
request is denied by the building administrator, it is your responsibility to go into Aesop to
cancel your substitute.

Unplanned Absences Sick Leave, Emergencies, Miscellaneous


For Unplanned Absences, immediately submit an Add New Absence through Aesop to secure a
sub. Upon your return to school, Abby will communicate with you about any additional
information you might need to submit through TimeLink.

Instructions for accessing Aesop can be found in the front office. Please test your account in
the beginning of the year to make sure it is working properly. Your user ID (Employee ID) can
be found on your identification badge. See C. Morris if you need assistance with this process.
Substitutes will not be secured for General Education Instructional Assistants in Grades K & 1,
Gifted, Guidance, Instructional Coach, and the Math Specialist.

Emergency Lesson Plans


It is the teachers responsibility to see that adequate plans are provided for the substitute and
in cases of emergency. Each teacher must have on file in the assistant principals office a
substitute folder (the folder will be provided to each teacher) that the main office will distribute
to substitutes upon their arrival. The folder must be given to the Assistant Principal by
September ___ and must contain the following items:

1. Daily Schedule
2. Class roster
3. Seating chart
4. Names of two dependable students
5. Names of students who might need special attention
6. Schedule and room numbers for specials
7. Names and times for students who must leave the room for special programs
8. Names and times for students who must leave the room to visit the clinic and directions
for the substitute to use discretion in dismissing the students
9. Directions for where your emergency plans are housed in your classroom
10. Room number and name of a buddy teacher

If a teacher is ill or taking a personal day, they must request a sub in AESOP and enter
the absence in Time Link. It is the teachers responsibility to both request a substitute and to
enter his / her time in Time Link. Instructional assistants will not substitute for teachers; in
addition, we will not secure substitutes for instructional assistants who are out for the day
(exception: special education).

All requests for a substitute must be made before 6:30 a.m. the day that you will be out.
Please make every effort to make the request the night before if you are feeling ill and will not
be able to make it into work.

All requests for personal or sick leave, once approved, should immediately request a
substitute in AESOP.

The principal, Dr. Daniels, will approve personal days in advance. These requests should
be in Time Link.

Staff Leaving Early


All staff members should make every effort to schedule personal appointments before or after
school hours. In the rare case that an appointment needs to occur during school hours, keep
the following guidelines in mind:

Teachers **WITH VERBAL ADMINISTRATOR APPROVAL**


Early morning appointments can be made if the teacher will arrive by 9:00 a.m. and arranges
for coverage.
Later afternoon appointments can be made if the teacher leaves school after 2:00 and can
arranges for coverage.
Planning time is considered instructional time and may not be used during the day for
appointments.
Teachers can take a half day a.m. or p.m. or a full day absence following the above TimeLink
and Aesop procedures.
Instructional Assistants and Classified Employees

Instructional Assistants can take a half day a.m. or p.m. or a full day absence following the
above TimeLink procedures. In the event of an emergency, please speak with an administrator.

** Excessive absences or leave without a note will be documented.

Accident Procedures- Staff

Report all staff accidents to the office immediately. A First Report of Accident should be
completed and submitted to Ms. Harlow. The information will be forwarded to Ms. Donna
Seay. All claims for Workers Compensation benefits will be processed through Ms. Donna
Seay, Administrative Technician, Central Office, 1562 Dairy Road, 22903; telephone number:
434-245-2948. All accident information must be collected and proper forms completed and
forwarded to Ms. Seay at Central Office. All employees of the Charlottesville City Schools are
covered by Workers Compensation insurance. This insurance covers job-related injuries. In
case of injuries, employees shall go to approved physicians or health care centers for treatment
after proper notification has been given to the principal, Dr. Daniels. Treatment by any other
physician / hospital, without prior referral from the above, will not be recognized by the
Charlottesville City Schools for payment of claims. In the event of lost time on the job due to a
work-related injury, the employee will receive only a partial salary.

Employees will not lose sick leave, personal leave, or vacation days if absent for a job-related
injury, if approved by Workers Compensation administrators. Employees absent from work, in
such instances, will be coded as Workers Compensation, and with the note attached to the
Employee Absentee Report that such absences are related to a job-injury.

Accidents- Students

Complete an accident report after taking care of the student. If case of an accident in which a
student is injured: Notify the nurse, who will take charge.

1. In case of a minor injury (no doctor necessary):


a. Send student to the nurse
b. Fill out the accident report for the nurse. (Form in office)
2. In case of a serious injury:
a. Notify an administrator and the nurse immediately.
b. The Administrator or nurse will call parent so they can advise, etc.
c. Move the student only if necessary to prevent further injury and then with great
care.
d. Permission for a student to go home will only be given by the office
(administrator, nurse)
e. Fill out accident report. Legal requirements mandate this report. Negligence can
be filed against the school if an accident is not recorded.
f. Check with an administrator before discussing accident or treatment with
parents.

Assemblies

Students will be involved in several assemblies throughout the school year. Please instruct
students as to appropriate assembly behavior.

1. Teachers and instructional assistants will sit with students.


2. Fill in rows one at a time using all space available.
3. As soon as the speaker steps to the microphone, eyes on speaker. No talking.
4. No whistling, booing, etc.
5. No student may leave the assembly unless there is an emergency.
6. Please have students use the restroom prior to the assembly.

Attendance Procedures

Teachers are responsible for marking student attendance daily in PowerSchool. Attendance
should not be entered until announcements are over, but must be entered no later than 9:30
a.m. All students arriving late to school are to report to the office to get a tardy pass before
they go to class. The reason for this procedure is to enable the office to remove their name
from the absentee sheet and mark them tardy. If a student reports to class without a pass after
the attendance has been entered into PowerSchool, please send the student back to the office.
Students should go to the cafeteria to make a lunch choice when tardy if the lunch count has
already been sent to the office.

Attendance records are important and teachers are asked to confirm attendance reports.
Check the reports and inform the office of any discrepancies.

Please:
1. Enter into PowerSchool
2. If a mistake is made, notify the attendance secretary of the error so the correction can
be made.
3. The office personnel will enter all symbols for students re-entering or withdrawing.

All students who return to school after being absent are expected to bring a note from their
parent stating the date and reason for absence. This note is initialed by the teacher and sent to
the office. Please do not hold notes.

Auditorium / Conference Room

You may reserve the auditorium / conference room by signing up on the Events Calendar in the
office. Provisions should be made to do this in advance. If you are using the auditorium, please
communicate your needs to the office staff and/or our head custodian at least one week in
advance.

Badges- Employee

The identification badge shall be worn at all times that the employee is serving in his or her
capacity as a school division employee (i.e., in the classroom, on field trips, attending meetings
within the city, during back-to-school nights, transporting students, performing maintenance
work, etc.)

Building Care

We all take pride in our school. Let us attempt to leave the building at the end of the school
year in the same shape that it is in now. Our clean school makes for a more conducive working
environment as well as shows people in our community that we care for the school and their
children. In order to keep the building clean, please keep that following points in mind:
1. In order to help keep our building clean, teachers are asked to encourage students to
clean out their desks each afternoon, pack books neatly, pick up paper, etc.
2. Teachers should set an example by keeping their rooms neat and clean.
3. Desks and chairs should be arranged so that the floor can be vacuumed to mopped with
relative ease. See that paper, pencils, and debris are off the floor.
4. Please turn off all lights when not in use. Conservative use of electricity will result in
substantial savings.
5. Requests for custodial-related supplies or services should be made to the office.
Damage or maintenance-related items should be reported to the office. Staff members
should not climb on chairs or tables to display items at any time. If a staff member
needs a ladder, please contact the custodian.

Building Hours

Jackson-Via School will be open Monday-Friday from 7:30 a.m. until 4:00 p.m. All faculty and
staff, with the exception of the custodial staff, must exit the building by 8:00 p.m.

Bulletin Boards

The quality of the work displayed in the halls and classrooms are reflections of the meaningful
learning experiences provided to our students and the successful accomplishments of our
students. Please follow these procedures:

All work displayed in the hall must have a Purpose of Work card
Work must be correct or corrected work. Students first and last name must be on the
work. All papers must be formatted correctly.
Reasonable display time is three-four weeks.
Expectations for work displayed in the halls should be clearly explained, verbally and
visually, to the students.
Work to be displayed should be obtained from all students.
Display of student work in the classroom is expected. Please follow the same procedures
listed above; however, the Purpose of Work cards are not required.
Student art work displayed on cork strips does not require the Purpose of Work card.

Various teachers, departments, or grade level teams have been assigned bulletin boards in
proximity to classroom locations. Each bulletin board is labeled with the grade level or
department responsible for changing the monthly displays.

Character Education / Houses

This program is a part of our school-counseling program and is also considered an integral part
of the prevention component in the discipline program. Every effort will be made to teach
children social skills that will help them with situations that they must deal with in elementary
school. A strong emphasis on good character will also be an important part of the Jackson-Via
community.

Child Abuse

According to section 63.1-2. 48.3-A of the Code of Virginia, any teacher or school employee
must report any suspected cases of child abuse to the local authority. Any person failing to file
such a report could be fined.

Suspected cases of child abuse at Jackson-Via should be reported immediately to the


administration.

CLASS Creative Learning After School

The after school program is available for students whose parents need supervision for their
children from 2:30 p.m. to 5:30 p.m. Supervision is provided by trained personnel and
enrichment activities are provided for students who participant in this program. Information
about fees and scholarships is available through the CLASS office or at their website:

Creative Learning After School and Summer, provides after-school care from 2:30 pm- 5:30 pm
and full-day care on teacher in-service days and during spring and summer vacations from 7:30
am - 5:30 pm. The CLAS/S program does not operate on days when school dismisses early due
to inclement weather.

Class Parties

Class parties may be held for specific events, but should not eliminate instruction nor take away
from instructional time. If food or drink is distributed, it must be in accordance to the CCS
Wellness Policy and meet all dietary or religious needs and/or family preferences.

Classroom Visitation
All visitors must report to the office and sign the Visitors Log. Visitors will be required to wear
a nametag while in the building. If an adult reports to your classroom without a visitors pass,
please direct them to the main office.

Comment to Media

In the event of any emergencies, it is best for official comment to come from the
administration. It is difficult in time of crisis to know if one has all the current facts. Incomplete
or incorrect facts may lead to statements that are not accurate. If staff members get questions
from the media, it is recommended that they be referred to the administrator in charge. If you
do make comments to the press, you will be speaking as an individual, not as a representative
of the system, and you will be responsible for your comments.

Communication from Parents

All notes from parents should be kept on file by the teacher for the entire year and a copy
should be sent to the office. Notes are required for:
1. Excuse for absence, send copy to the office
2. Excuse for tardiness
3. Permission to leave school during the school day
4. Permission for field trips
5. Scheduling of conferences
Please make the Jackson-Via School Note form available to parents as needed. They are located
in the office.

Communication to Parents

A copy of all communications, notices sent home, newsletters, etc., involving the entire class
should be kept on file. Please place your newsletters, etc. in Mrs. Morris mailbox or email an
electronic copy. This will enable the main office to be kept informed of classroom plans and
activities and to answer telephone inquiries. PreK-1 grade teachers are required to send home
a newsletter at least two times per month to keep parents informed of the learning that
occurs in the classroom. 2nd -4th grade teachers are required to send a newsletter home at least
once per month. Such materials should be approved by an administrator before they are sent
home with students. The team leader will be responsible for coordinating this activity.

Conferences

Conferences between teachers and parents are the only way to ensure communication of the
schools purposes and the students success. It is an efficient way of securing parental
understanding and cooperation. Conferences are considered to be an integral part of reporting
to parents throughout the school year.

Conferences are scheduled twice a year. However, additional conferences will be held at any
time the teachers or the parents feel it would be helpful. At times, a telephone conference is
adequate. In other situations you may feel the presence of the Principal or the Assistant
Principal would be advisable. Do not hesitate to ask for assistance.

Corporal Punishment

The use of corporal punishment is prohibited by law.

Discipline

Discipline refers to the training methods that educators use to gain cooperation from their
students. Discipline is how we enforce our rules and procedures.

An effective classroom is like a table supported by four important legs: effective structure,
positive relationships, engaging instruction, and effective limit-setting practices. Not only do
the legs support the table, they also support one another.

We cannot teach our academic subjects effectively until we can establish an effective
environment for learning. Classroom management provides the foundation for all instruction.
Children who learn good work habits become successful students and successful people.

In order to maximize student learning, the teacher must establish a framework of rules and
acquaint the students with this framework. Students welcome clearly defined limits which are
enforced consistently and equally among all class members. The Code of Student Conduct and
the Jackson-Via School-wide Discipline Plan must be reviewed with your class at the beginning
of the school year. School-wide rules and class rules must be posted in each classroom.

Jackson-Via Elementary School Discipline Plan and Procedures


Jackson-Via students are expected to behave in accordance with the school rules listed below.
They should be aware that there are consequences for failure to observe the rules. We intend
that these consequences be logical and consistent. We plan to use our best judgment and to be
reasonable when dealing with individual students.

The primary mission of the schools discipline policy is to develop a structure of consistency in
discipline using a proactive, preventative approach where students develop a respect for
others, themselves, and learning. An important element of this plan is in how well the students
understand the rules and consequences. We will use the book Setting Limits in the Classroom as
a guide.

Classroom Rules and Consequences


Each teacher is responsible for maintaining student behavior through the use of our
school-wide classroom management system, Setting Limits in the Classroom. All teachers are
expected to have classroom rules and consequences posted in the classroom on the first day of
school. All teachers will take the necessary time to teach, model, and practice the rules. If a
child breaks a school or classroom rule outside of your class, you will be informed about the
action of the student and the consequence given by any teacher, administrator, or staff. Any
written referrals will be kept in the office.

Student Responsibilities (Specific Rules)


These rules will vary by grade level and classroom but be inclusive of the procedures that
contribute to the success of an organized environment. These rules might include procedures
for speaking in class, walking to specials, or unpacking in the morning.

Classroom Behavior Management


Teachers are expected to manage behavior in and out of their classrooms. A classroom
management system should be in place and followed consistently. An effective behavior
management system is one that reinforces positive behavior and has logical consequences for
negative behavior. All teachers are expected to implement Setting Limits in the Classroom. It is
our school-wide behavior management plan.

Each teacher is responsible for turning in their written classroom management procedures to
the front office during the first 10 days of school. This will help administrators in dealing with
children who are sent to the office. The procedure should indicate sequentially, by steps, when
parents are contacted and at what point a child is sent out of the room. Students are to be sent
to the office if they have committed a suspendable offense. When students are sent to the
office for support (or the office is called), we will assume that all steps of your management
plan have been followed and that all other efforts have been exhausted.

Studies show that 95% of all discipline related issues can be resolved in the environment in
which they take place.

Tips for Successful Classroom Management

Preferred Activity Time (PAT)


When students meet a goal set by the teacher, or students are working effectively on task
(transitions, work effort, individual goals met, etc) the teacher can award students Preferred
Activity Time. PAT time must be fun, structured, and agreeable to teachers and students. PAT
time can be lost as well if students are wasting time, as long as it is not done in a punitive
manner. Grades PK-1 are recommended to use a tally system (teacher vs. students) while G2-4
should use a timer system.

Two-Stage Take a Break Procedure


All teachers are expected to select a take a break buddy teacher. You and your buddy teacher
will exchange students for take a break as needed. Teachers are encouraged to select a teacher
from another grade level, if possible. The referring teacher will provide work or an activity for
their student to carry-out during take a break. take a breaks should not exceed 20 minutes.

Recess Academy
Recess Academy is a strategic skills-training procedure reserved for small groups of students in
the classroom who fail to master basic skills and procedures that are taught on a whole-class
basis. Recess Academy should last 3-5 minutes and involve three steps:
1. Teach the skill. Define it, break it into parts, model, and demonstrate.
2. Practice the skill. Rehearse and practice the skill under supervision.
3. Reinforce the skill. Acknowledge, encourage, and reteach if needed.

Administrative Consequences
When a student is referred to the office, the parents will be notified via a phone call and/or a
home visit. Students will receive the disciplinary action deemed appropriate, such as an
in-school or out of school suspension.

It is essential to remain calm and neutral at all times when speaking to students who are
pushing your buttons. Remember, you can be firm and polite. If you lose your cool, apologize
when the situation settles. Humiliating a child or lowering self-esteem with sarcasm and
punitive measures is an ineffective and inappropriate way to handle a discipline issue.

It is against state law for teachers or administrators to use corporal punishment. Remember:
NEVER strike a child.

Dress Code

Teachers and staff are expected to dress professionally and wear appropriate footwear as it

Plan ahead so copies can be made on both sides of the paper. Plan activities that use hands-on

Early Dismissal From School


If a student must leave early, the parent / guardian must report to the office to sign-out the
student, at which time the student will be called to report to the office for dismissal. Students
will not be called to the office until the parent / guardian is present and students will not be
released directly from the classrooms to parents / guardians. Safety is a priority for every child;
students will not be released to anyone other than parents / guardians unless prior
arrangements have been made in the office.

Do not dismiss a student unless you have been notified to do so by the office. All students
leaving school at unscheduled times must sign out in the office, (i.e., no student is to be
dismissed from a playground, classroom, or bus loading area without signing the child out
through the office).

E-Mail, Staff Mailbox, Canvas

Please check your Email and staff mailbox in the office in the morning and before you leave
the building. Routine school communications will be distributed in this manner. Please check
the CCS Canvas Site for important school documents, bulletins and the Administrators Weekly
Bulletin. For the 2016-2017 school year, we will be using a shared Google Calendar for
Jackson-Via events and happenings. We will also be continuing our development of Canvas.
Many common documents and links will be housed on these sites.

E-mail should be limited to professional dialogue. Please be cognizant that any e-mail has the
ability to be forwarded. All e-mail messages must contain a confidentiality statement and
messages should not contain student names, student initials, or sensitive information about
students or families. E-mail correspondence should never take the place of telephone calls
and/ or personal interactions.

Emergency Closing Procedures

A form will be sent to parents requesting specific information about where to send children in
the event of an emergency early closing. Please collect a form from each student in your
homeroom class; keep forms in a handy place in your classroom so you are able to refer to this
information in case of an emergency.

Employee Assistance Program (EAP)


The school division provides free access to all contracted employees to IQ Health of Virginia for
services related to issues of a personal or problem resolution nature under what is known as an
Employee Assistance Program, or EAP. These services are strictly confidential and, again, are
free to all contracted employees. IQ Health has recently added elder care services to their EAP
for staff that are facing elder caregiving issues. The first link below is to the IQ Health web site

Entrances, Transfers, and Withdrawals

The school secretary will handle entrances, transfers, and withdrawals. Teachers should notify
Ms. Harlow if a child or parent notifies them of an impending transfer or withdrawal. Teachers
should notify the librarian and collect any materials / textbooks that belong to Jackson-Via
Elementary School.

Exchanging Gifts

The Charlottesville Public Schools prohibits the exchanging of gifts between students at school.

Faculty and Staff Arrival and Dismissal Procedures

Teachers will arrive each morning by 7:25 a.m. and must be in their homerooms or on their
duty post at 7:30 a.m. to receive students. Please check mailboxes and school email in the
morning and in the afternoon. Please do not send students to check your mailboxes.

Daily attendance and lunch count needs to take place prior to 8:00 a.m. Information required
by the office must be sent by 8:30 a.m.

1. Children may be dropped off at 7:30 a.m. All students will be held in the doorway until
7:40 a.m.
2. Students will be dismissed at 7:40 a.m.
3. All teachers must stand in their doorways in order to greet children and to supervise
children en route.
4. Children who arrive after 8:00 a.m. must check in at the office and pick up a tardy slip to
give to the teacher.
5. Children should walk in an orderly manner when going to and from the buses.
6. Children who are dropped off by parents should not arrive before 7:30 a.m.
7. Children may not change buses without written permission from their parents and the
approval of the principal. The office will issue bus permits and students should come to
the office to pick up the bus permit before boarding the bus in the afternoon. The child
must present this permit to the driver.
8. Parents must come to the office when taking children from school during regular school
hours. Teachers should not release children from the classroom at any time. Children
will be called over to P.A. system and must report to the office and be signed out prior
to leaving. Any parent who comes to the classroom to pick up a child should be referred
to the office.
9. At 2:25 p.m., Pre-K, Kindergarten, First grade, CLASS, walker, and car riders will be
dismissed. At 2:28 p.m., 2nd, 3rd, and 4th grade bus riders will be dismissed.
10. Faculty and staff hours are 7:30 a.m. until 3:00 p.m. Workday hours are 8:00 a.m. until
4:00 p.m.

Fire Alarms, Extinguishers, and Drills

Red fire alarm boxes are located throughout the building. In case of fire, pull the handle down
to break the glass and set off the alarm. All teachers should locate the alarm and the fire
extinguisher nearest their classroom. The custodian will be glad to show you how to operate
the extinguisher. Signs should be posted in each room indicating the nearest exit. Please notify
the assistant principal in writing if this information is not posted in your room.

We are required to hold two fire drills during the first month of school and one monthly
thereafter. Please observe the following procedures:
When the horn sounds, vacate the classroom quickly and quietly, moving to the nearest
exit. Teachers must have a copy of their class roster when vacating the building.
Teachers should bring their emergency backpack. Effort should be made to close all
classroom doors and turn off lights.
If a student has been excused to go to the restroom, move your class into the flow of
the traffic from the building and return to the restroom to see that the student has
vacated the building.
Account for all of your students as soon as you have cleared the building. Notify the area
contact person if you are unable to locate a student.
All staff members should vacate the building during a drill.
If your regular exit is blocked, use an alternate one.
One long ring of the bell will signal that classes may return to the building.
Please do not obstruct the fire alarms or extinguishers with posters, furniture, etc.
Field Trips

Field trips can be a meaningful experience and a valuable part of a schools instructional
program. All field trips must have value as an extension of the instruction going on in the
classroom and must be planned as a learning experience in the same way as other lessons are
planned.

Field trips guidelines below should be followed:


1. A request form for a field trip must be filled out a minimum of 2 weeks prior to the trip
and turned in to the Assistant Principal
2. Lunch requests to the kitchen staff must be made at least 1 week prior to the trip
3. Permission forms for each student must be returned, signed by a parent
4. Make every attempt to have the participation of every student. Always welcome
parents, if space is available
5. If you are including Instructional Assistants or other personnel on your field trip, please
request permission in advance from the office
6. Consider your overall costs to accommodate any additional needs for your field trip,
especially if you are asking or requiring chaperones or supervision

Specific duties of the Field Trip Coordinator include:


1. Provide a written itinerary to the office and all chaperones as soon as possible
2. Provide directions or map, if possible, detailing the destination to the office, as well as,
to parents that may be following the bus
3. Provide several contact numbers (cell phone numbers) to the office on the day of the
trip
4. Notify the school nurse of the trip date and arrange for pick up of first aid materials and
kits
5. Check out a school camera to take with you

Fourth Grade Step Up Ceremony

At the end of the fourth grade year, students will be honored during a ceremony at Jackson-Via
Elementary School for completing the fourth grade. This is a special celebration that requires
appropriate dress (girls: dresses, skirts, and blouses, dress slacks and tops, suit, dress flat shoes;
boys: dress slacks with shirt, with or without a tie, pull-over shirt, suit, dress shoes) and their
personal best behavior.

Gifted Education
Teachers should of course, strive to meet the needs of all students in their classes, including
those who may be advanced. QUEST is the consultation / collaboration model used to deliver
services to identified gifted students and is designed to meet the unique educational needs of
students with exceptional general intellectual ability. The gifted educator and general
educators work together to plan and deliver appropriate differentiated instruction. Teachers
may nominate students for QUEST by completing the Teacher Nomination form found in the
main office and submitting it to the Gifted Education Specialist. The Gifted Education Specialist
will collect additional information for review by the QUEST Identification Committee. Students
found eligible will enter the program at the beginning of each academic quarter.

Guidance Program

At Jackson-Via, the school counselor, Kristin Ullrich, serves as a critical facilitator in removing /
minimizing obstacles that prevent youngsters from learning. The school counselor may be
called upon to act as a liaison between home and school, to connect community services to
student needs, and to counsel children experiencing behavioral difficulties.

Handling Money

All money collected must be receipted and sent to the office the same day. Do not leave any
money in your classroom. Never take money home. All funds should be properly labeled and
placed in an envelope provided by the office. Copies of receipts should be turned in to the
office at the end of each day. Copies of receipts and money will be stored in the office safe.

Health Care

If a student needs care for illness or injury, send them to the Nurses Office with a completed
clinic slip. Do not call parents from your classroom or allow students to call home without
seeing the nurse first. Do not make assumptions about a childs condition or attempt to make a
diagnosis.

The School Nurse provides the following services:


1. Give first aid care for accidents or sudden illnesses
2. Administer, store and account for medications prescribed for students during the school
day
3. Provide vision and hearing screenings for students who request this service who are
referred by a teacher, parent and for those new to the school system
4. Check and maintain student immunization and health records
5. Hold individual student-nurse conferences
6. Hold individual teacher-nurse conferences
7. Hold parent-nurse conferences to discuss student health problems and school needs
8. Meet regularly with the Public Health Nurse
9. Communicate with community health agencies making immediate referrals when
needed
10. Make home visits when necessary
11. Provide information to teachers and administrators regarding serious health problems
12. Does not treat teachers and staff unless it is an emergency situation

Holiday Observances

Classes may have three celebrations during the school year- Holiday Celebration (winter),
Spring Celebration and at the end of the year. Other holidays such as Halloween and
Valentines Day may be observed with a small treat, preferably healthy snacks such as fruit, for
the children. It is recommended that these be learning experiences in connection with a unit of
study. In all instances, good nutrition, rather than an excess of sweets, should be emphasized.
The teacher is responsible for celebration activities and seeing that the classroom is left in
order. Celebrations are to be held to one hour and must be scheduled between 1:30-2:30 p.m.
This time frame has been established to protect instructional hours.

Homework Policy

Homework is an important aspect of the educational process and is a natural extension of the
school day. Homework should be assigned in accordance with the guidelines below. In all
cases work assigned for home study should supplement and reinforce work done in school.
Students must understand homework assignments. It is essential that assignments are made at
a time when questions may be asked and misunderstandings clarified. Individual differences
and needs of students should determine the kind and amount of homework that is assigned;
therefore, teachers will be encouraged to make differentiated assignments.

Homework should never be assigned as a disciplinary measure and generally should not be
assigned during extended school holidays. Also, under no circumstances should teachers assign
homework requiring students to work with skills or concepts that have not been developed in
the classroom.

Jackson-Via students in grades K-1 should spend between 10 and 20 minutes per night on
homework, including working on projects or other special assignments. Students in grades 2-4
should spend between 20 and 40 minutes per night on homework, which may or may not
include working on projects or other special assignments. Spending more than the outlined
amount of time on homework might indicate a problem with a task, in which case the child
should stop working and the parent / guardian should write a note to the teacher explaining
the situation.

Homework will be assigned in the subject areas of Math and Reading Monday through
Thursday.
Teachers should always assign homework with specific directions. All written homework should
be evaluated and returned promptly with appropriate feedback. Other homework may be
discussed informally.

Hospitality

There are occasions when the faculty and staff of Jackson-Via will need to present a colleague
with a gesture of sorrow or celebration. Additionally, there are occasions throughout the
school year when the faculty and staff need to celebrate. Each faculty member is asked to
contribute $25.00 (all other staff $15.00) to the Hospitality Fund to offset the expenses of these
events. Contributions should be submitted to the hospitality chairperson by the end of
September. Thank you.

Housekeeping

Rooms will be cleaned and checked daily. Your cooperation in helping the custodian keep
rooms neat and clean will be greatly appreciated. Refrigerators and microwaves are only
allowed in designated areas.

Children should be encouraged to practice good housekeeping habits in the classroom,


restrooms, special rooms (gyms, auditorium, and cafeteria), the corridors, and the outside
areas adjacent to the school.

Illness / Universal Precautions

All students sent to the nurses clinic must have a Clinic Referral Form. Please be sure to
practice universal precautions when treating a sick or injured child.

Injuries and Accidents

Accident reports must be written for all accidents to students. When warranted, the nurse or
office personnel will contact a parent and report the injury.

All staff members are covered by workmens compensation, regardless of the extent of the
injury. Please complete the appropriate form, which is available in the office.

As a result of the potentially infectious nature of blood and other bodily fluids, any illness or
accident in which human blood or bodily fluids are evident, warrants the use of the following
precautions:

1. Wear disposable gloves and avoid exposure to open skin lesions and mucous membrane
to blood
2. Notify custodians for proper cleaning of contaminated area
3. Wash hands after gloves are removed
4. Wash skin thoroughly with soap and water if inadvertent contamination of the skin with
blood occurs

Use of the intercom will be kept to a minimum. If you need to call a teachers room while you
are in the office, please check with Abby Harlow or an administrator before using. Teachers
may use the intercom after the students have left in the afternoon.

Keeping Children After School

Teachers are responsible for notifying the parents when it becomes necessary to keep children
after school. You may telephone or send a note home. Parents should sign and return the
note. If you keep a child after school, you are responsible to make sure the child gets home
safely.

Laminating Machine

To conserve costly laminating film, the librarian, or a trained staff member will do all
laminating. Only materials for instructional use will be laminated. Please laminate only
materials that will be used long term. Place items in the box labeled laminating with your
name written on the item. Mrs. Dixon will deliver these items to you when they are ready.

Lice
Procedures for Pediculosis (head lice):

When suspected that a student or students may have head lice, the student should be referred
to the nurse or administrator / designee to be diagnosed. The signs and symptoms are as
follows:
Tickling feeling of something moving in the hair
Itching, caused by an allergic reaction to the bites
Irritability
Sores on the head caused by scratching. These sores can sometimes become infected.

If the person checking the student locates either crawling lice or nits within a inch of the
scalp, the student is confirmed to be infested and should be treated. If the nits are more than
from the scalp and no lice are moving, the infestation is probably an old one and does not
need to be treated.

If treatment is required, the nurse or administrator will contact the parent or guardian. The
parent will be instructed to come to the school to get the child, and will be given information
about treatment and prevention. A student may return to school once treatment has occurred
and must bring the box from the medication.

The nurse or administrator / designee will check all students in the class to determine if the
case is isolated or if other students are also infested. If the case is isolated, the nurse or
administrator / designee will recheck the student one week after the initial diagnosis. No
notification will be made to other families to guard the confidentiality of the one student.

If the case is not isolated, the administrator will notify all parents of students in the class that
multiple students have been infested. Information will be provided to parents about the
treatment and prevention of lice. Any students infested will be required to be treated prior to
returning to school and will bring the box from the medication. All students in the class will be
rechecked after one week of the initial diagnosis.

Lunch Duties

Teachers and staff on lunch duty will arrive and depart the lunch area on time. It is important
that scheduled times are followed carefully. Teachers and lunch duty staff share responsibility
for communicating about appropriate student behavior. Teachers are responsible for lining up
their students quietly. Pride and good manners need to be a part of daily living at Jackson-Via.

If you are unable to supervise your assigned lunch duty for a particular day, please try to find
coverage and/or notify Ms. Morris in advance so that coverage can be provided.

Lunchroom Discipline

Students are encouraged to use an inside voice while they are in the commons areas. When
students become too loud, they will be asked to lower their voice. If the problem continues,
they may be moved to an alternate seat for the remainder of their lunch period. Students are
expected to obey all of the school rules during the day; therefore, the consequences outlined in
our school lunch discipline plan can be followed.

Medication for Students during School

Charlottesville City School personnel may give prescription medication to students only with a
physicians written order and written permission from the students parent or guardian. Such
medication must be in the original container and delivered to the school nurse by the parent/
guardian of the student.

Charlottesville City School personnel may give nonprescription medication to students only with
the written permission of the parent or guardian. Such permission shall include the name of
the medication, the required dosage of the medication, and the time the medicine is to be
given. Such medication must be in the original container and delivered to the school nurse by
the parent/ guardian of the student.

Medications shall be stored in a secure place in the clinic and administered under the direct
supervision of a staff member in the clinic.

Moment of Silence

The daily opening routine will include a moment of silence during which students may engage
in any lawful activity, such as prayer, meditation, or reflection, however students must remain
seated and quiet.

Nondiscrimination

The Charlottesville City Schools does not discriminate on the basis of race, color, national origin,

Resources shall act as the Compliance Officer for discrimination issues regarding employees and
the general public under Title IX. The Director of Student Services shall act as the Compliance
Officer for discrimination issues regarding students under Title IX and Section 504 of

Office Efficiency

The administration and office staff are here to serve the students, parents, and teachers and to
perform necessary duties to run an efficient school. We will be able to perform our
responsibilities to everyone in a more efficient manner if we work together cooperatively.
Please refrain from using the office as a meeting place, or for socializing, during school hours.

Parent Contact

At Jackson-Via, we serve a community of students and their families. Our students benefit
most when parents/guardians and school staff work together. Teachers are expected to reach
out to all of our parents. At least once each nine weeks, classroom and reading teachers are
expected to call or make personal contact with each students parent/ guardian. A contact log
must be kept by each teacher to record telephone contact and/or conferences. Phone
numbers are kept in the front office on registration cards. If you find that phone numbers
change, please let the front office know so that we can maintain accurate emergency numbers.

Parent Teacher Organization

Active participation by staff in the PTO is one way to show parents that we are invested in the
success of all children. All staff members are encouraged to attend PTO sponsored functions in
an effort to build and improve relations with our most immediate community. PTO Meetings
are scheduled on the evenings of school events or are otherwise noted on the division calendar.

Performance Improvement Plan

Any teacher whose performance does not meet division expectations on any criterion may be
place on a performance improvement plan at any time during the school year.

Phones / Cell Phone Usage

Cell phone use during instructional time is reserved for emergencies only. If you find that there
is a need to use your cell phone for educational purposes, please speak with an administrator
or ITRT so we can try to accommodate your instructional needs.

Incoming telephone messages from the office will be placed in mailboxes or forwarded to your
classroom phone. If an emergency call is received, the person will be notified promptly.

Texting, social media, checking voice

Students must have written permission from a teacher to use the office telephone.

Pledge of Allegiance

Effective July 1, 2001, the Code of Virginia requires that all students be required to learn the
Pledge of Allegiance, to demonstrate such knowledge, and to recite the Pledge of Allegiance in
each classroom of the school division. During the Pledge of Allegiance, students must stand
with their right hands over their hearts. No student can be compelled to recite the if his parent
or legal guardian objects on religious, philosophical, or other grounds. Students who are thus
exempted must remain quietly standing or sitting at their desks while the others recite the
pledge and must not make any display that disrupts or distracts others.

Professional Ethics and Standards

We have a great school! Our pride should be conveyed through a professional attitude
governing our relationships with other staff members, the children, and the community.

1. Be positive! Never criticize other teachers or co-workers either to children, parents, or


to members of the community. If a parent makes a verbal attack on the work of
another teacher, be careful not to voice agreement and, thereby endanger the
reputation of that teacher. Suggest that the parent make an appointment with the
teacher and / or the principal or assistant principal to discuss concerns. Use every
opportunity to give our school a positive image in the community.
2. Be selective of comments made in front of children. They will repeat remarks, often out
of context.
3. Be supportive of another teachers authority when reasonable requests are made of
children. All children are to be corrected by any adult staff member whenever they are
in need of correction. If necessary, the teacher should follow-up on this correction.
4. Be confidential! Do not make remarks about a child that reflect upon the reputation of
that child. Discuss problems with the principal or assistant principal instead of passing it
on as gossip. Confidentiality in professional matters must be maintained.
5. Be focused! Keep school problems at school. Do not discuss the details of problems in
the community. They can be greatly misconstrued and damaging to the reputation of
the school and individuals involved. Only speak of what is happening to you and your
children in terms of their education. Avoid lending an ear to criticism.
6. Be respectful! Follow the chain of command in making suggestions and requests.
Faculty meetings, grade level meetings, and individual conferences with the principal
provide opportunities for discussions and / or resolution of problems.
7. Be interested in school activities and be willing to work for the improvement of the
school and the school system. The success of many projects and / or programs often
means caring people go beyond required duties. Please make an effort to attend PTO
sponsored activities.
8. Be involved! Actively support school policies. Teachers are asked to help to determine
policies and make suggestions for improvement whenever possible.
9. Be a team player! The strength of our school is build upon the diversity of our staff.
Accept the fact that others can be equally successful even though they dont do it your
way. Spend the majority of your time recognizing and reinforcing the good things you

Professional Growth

Teaching is a profession that requires continuous professional growth. With increasing


demands from a rapidly changing society, teachers must be aware of current trends and issues
in education. Teachers are encouraged to work toward an advanced degree, take advantage of
available workshops, in-service trainings, conferences and graduate courses and to read
professional journals.

Near the copier in the office, we will post professional learning opportunities. Flyers providing
information about college courses, workshops, and division staff development opportunities
will be posted on the bulletin board. A number of professional readings are available as well.
Check with the principal, assistant principal, instructional coach, or librarian for professional
titles available.

Pupil Personnel Services


The services of the resource teacher, speech therapist, the social worker, and school
psychologist are available to teachers and to students who qualify. Eligibility for services is
determined according to procedure delineated in Federal Regulations 6-28.1. Student Based
Intervention Team meetings are scheduled on a regular basis and as needed for the purpose of
reviewing student progress and determining possible need for referral for evaluation. A
Student Based Intervention Team meeting may be called at any time when a particular situation
requires immediate action or to meet timelines specified in special education regulation.

Recertification

The certification of school personnel within the Commonwealth of Virginia is a constitutionally


authorized responsibility of the Board of Education, as stated in the Virginia Recertification
Manual. The process are the development of professional goals, and a plan of activities to
meet the goals, with the assistance of the principal and assistant principal.

The assistant principal will meet with the teacher to discuss the individualized recertification
plan. It is the responsibility of the certificate holder to insure that all requirements for
recertification are met. While the certificate holder is primarily responsible for documenting
recertification activities, each professional employee has a recertification folder housed in the
assistant principals office. Please be certain to provide the assistant principal a copy of
documentation of recertification activities.

A Recertification Manual is available in the assistant principals office and a list of recertification
options is included in the appendix.

Recycling

We recycle newspapers, schools papers, magazines, catalogs, junk mail, plastic bottles,
aluminum cans, etc. Each classroom should have at least one recycling receptacle. If you do
not, let our head custodian know. Students should empty these into the appropriate large blue
container in the hallway near the head custodian office. All recyclables can go into the same
container. CCS has a contract with a single stream recycling company, which means that all
recycling materials can go into one bin. Please note any documents with confidential
information or student identification must be shredded.

Reimbursements for Travel and Conferences

All requests for reimbursement must be placed on purchase orders through Abby. The
procedure is as follows:
1. Be sure the individual receiving the reimbursement is on the system vendor file. If the
individual is not an employee then we do not need a W-9 from.
2. A purchase order would need to be created by the responsible administrator of the
in-service account once he/ she has received the request to attend a conference. This
request should be filled out through TimeLink. attached to the purchase order that
comes to the finance department. Do not enter a purchase order that comes to the
finance unless the request to attend the conference meets with approval. Only enter
the amount that you have approved. No more than this amount will be reimbursed to
the employee.
3. Once the request for reimbursement has been forwarded to the Finance Department,
with the appropriate back-up information, then the request for reimbursement will be
processed. Payments will be made on a list of claims check and will not be placed on
the payroll check as in the past. Reimbursements will be processed twice a month.
4. This procedure only applies to request for reimbursement for supplies, travel,
conferences, etc. IT DOES NOT APPLY TO THE PAYMENT OF A SALARY OR OVERTIME
PAY TO ANY EMPLOYEE.
5. The PURCHASE ORDER NUMBER MUST be placed on the REQUEST FOR
REIMBURSEMENT FORM by the employee before the reimbursement can be processed.
Be sure to communicate this number back to the employee so they will know the P.O.
number. This number should be placed in the section account code. Process of the
Request for Reimbursement cannot be made without the purchase order number
appearing in the account code sections of this request. This is extremely important.

Religious Expression

Everyone has the constitutional right to religious expression as long as the expression does not
infringe on the rights of others. Religious customs may be shared by students and teachers.
However, religious indoctrination is prohibited. If a child of any religious faith would like to
share customs, teachers should permit this if in doing so the sharing (1) does not interfere with
planned instruction or (2) does not promote the acceptance of the religion.

Requisitions

A purchase order must be completed by the staff member that includes the following
information: vendor address, ship to information, quantity, order item number, unit price, and
total. The completed purchase order must be submitted to the Principal for approval.
Purchase orders are approved by Central Office every Thursday.

You will be notified if you are given permission to purchase items. Reimbursements will not be
approved unless the Principal grants permission. This is reserved for rare circumstances.

When supplies are ordered and received, you are to check the items against the packing sheet
and mark with a check the items that are received. Return the checked packing slip to the front
office as soon as possible so that payment can be authorized.
Report Cards

K-4 1st, 2nd, 3rd, 4th quarters Interim every 4.5 weeks, excluding report card
dates

Report cards are to be completed with input from specialists and specials teachers. Report card
comments are to include students academic achievement toward learning targets and goals
each quarter. Report cards are not to give lengthy descriptions of what students have learned.
This is more appropriate for the bi-monthly or monthly newsletter. All report cards must be
previewed by administration before dissemination.

Response to Intervention Team (RTI)

Purpose:
The purpose of the RTI team is to respond to student needs within the guidelines of federal,
state, and local special education policy. The committee will review data, decide if additional
information is needed, and develop a plan to help individual children. If necessary, children will
be referred to the Early Intervention Team (EIT).

Procedures:
RTI and EIT are school-based problem-solving groups whose purpose is to design useful
interventions to allow students to make progress in his or her present environment. The
Response to Intervention Team meets throughout the school year to determine whether a
childs speech / language difficulties, learning problems, and emotional / behavioral difficulties
may warrant a Special Education Evaluation. The Response to Intervention Team is comprised
of the assistant principal, school psychologist, school counselor, visiting teacher, speech /
language therapist, learning-disabled resource teacher, specialist teacher, and the referring
teacher.

Prior to referring a student to the committee, teachers must inform parents / guardians of their
concerns and the intention to refer the child to the Early Intervention Team. Following this
contact, the teacher may refer the child to the Co-Chairs of the Early Intervention Team.
Parents / guardians will be invited to attend this meeting.
Retentions

Teachers should keep data on all students they serve. This may include but is not limited to
formative assessments, performance assessments, portfolio work, classroom assignments,
behavior charts, and anecdotal records.

Students who fail to make satisfactory progress may considered for retention. Students being
considered for retention require a Collaborative Plan For Student Success completed by the
teacher in consultation with the Principal. Such plans need to be developed in order to provide
appropriate counseling and remedial help and assist endangered students with their
schoolwork. A retention notice should never be a surprise in June. Let the Principal know of
any problems. A retention list will be compiled by the Principal in order to carry out this policy.
Our goal is to promote students to the next grade.

Ringworm

When suspected that a student or students may have ringworm, the student should be referred
to the nurse or administrator / designee to be diagnosed.

If treatment is required, the nurse or administrator will contact the parent or guardian. The
parent will be instructed to come to the school to get the child, and will be given information
about treatment and prevention. A student may return to school once treatment has occurred
and must bring the box from the medication.

Room Safety

Each teacher is responsible for the classroom or teaching area to which he or she has been
assigned.

Never leave money in the area during the day or overnight. Do not leave a purse in the
classroom unless it is locked up in the desk or cabinet. Do not leave personal items of value
overnight. The school system is not responsible for theft, misplacement of personal items.

Students should be taught to respect the property of others. They should never be allowed to
go into the teachers desk or the desk of other students except under very unusual
circumstances. The teacher should avoid creating any situations that are tempting to students.

The security alarm is activated by the custodian as he leaves on school nights. The system is
armed all weekend.

Notify the Administration immediately of any evidence of tampering or break-in. Do not move or
clean up any debris.
Safety Information

Protocol and Procedures


1. All exterior doors, except main entrance will remain locked during school day
2. Students are prohibited from letting adults into the building
3. All staff must wear their ID badge
4. All visitors and parents must enter through the main entrance and have a visible badge or
sticker
5. All homeroom teachers must be in their classroom (preferably at the doorway) at 7:40
a.m.
6. If a classroom is vacant, the classroom door must be locked
7. Students are restricted from entering classrooms alone
8. Students must be supervised at all times. If you need to leave your classroom as a result
of an emergency, please notify the office and/ or a colleague to arrange for supervision
of your students
9. The main entrance will be locked at 3:30 p.m.
10. All personnel leaving and entering the building during school hours must sign in and out at
the front office
11. All personnel using the building on weekends must notify the office

School Board Policies and Regulations

Copies are located in the school library and the principals office. You can also locate the
manual on the Charlottesville City Schools website.

School Crisis Plan

All staff members will receive the School Crisis Plan. Read carefully and be sure you understand
your role. Keep it in a safe place for easy access in event of an emergency. Safety drills will be
pre-scheduled as outlined by Charlottesville City Schools.

School Procedures

Specific procedures have been developed to use in the commons areas of the school. All
procedures have been developed to keep an orderly and safe environment.

Staff Meeting Dates

All staff members are required to participate in professional meetings every Monday from 2:45
p.m. to 4:00 p.m. Agendas for meetings will be organized by the Principal, Assistant Principal,
and Team Leaders.
Student Recognition

Teachers and administrators will plan ways to recognize students who exhibit appropriate
behavior. We want to create a culture at Jackson-Via that promotes positive behavior.

Substitute Folders

An up-to-date emergency substitute folder should be kept in your room preferably in the
hanging rack by your door. Lists of minimum requirements for the folder are as follows:

1. Daily schedule with brief description of each segment

3. Location of special materials
4. Emergency procedures and materials
5. List of routine procedures and how to handle them
6. Special duty list for students
7. Schedule
8. Bus/car/walker/CLASS lists

Supervision of Students

Classroom Supervision

Students must be supervised at all times. Under no circumstances should a staff member leave
his or her students unattended. In an instance where a faculty member must leave the
classroom for an emergency, another staff member should be asked to supervise the class.
When small groups are working in the commons areas, monitor them frequently.

Playground Supervision

While your class is at recess you need to walk around and continually scan the area. Monitor
how playground equipment is used and how organized games are played. If you must sit down,
strategically place yourself so that you can monitor most of your students. If playground
equipment is in need of repair or there is something dangerous on the playground, let Mr.
Williams know immediately. It is the responsibility of each class to gather equipment to be put
away at the end of recess. Remember, recess is a great time for students to work off extra
energy and to be creative. Your job is to make sure recess is a safe time. Close supervision with
constant scanning is the best way to stop accidents, disagreements, etc. from happening. Do
your part to help keep recess safe and fun.

If you allow kick-ball or a competitive game to be played during recess, you should monitor the
game as well. Games allowing physical contact (tackling) are not allowed.

Students should not sit out during recess. Rather, work with the student and make an attempt
to correct the problem. You can also give students the option of walking (not running) around
the field or blacktop (weather/child health permitting). Please see the Setting Limits book and
the Jackson-Via Behavior Plan regarding Recess Academy.

Common Area Supervision

Common areas, hallways, library, lunch line area and lower level areas are shared by everyone.
Teach your students to walk silently and orderly in these common areas. When a student is
setting a good example, please reinforce his/her good behavior with a positive comment.
REMEMBER: A note/pass must always accompany a student who is sent to the office or he/she
may be sent back.

Tardiness

Any student arriving at school after 8:00 should report to the office before going to the
classroom. Tardies will be recorded in the computer by main office. Students should not be
admitted to class without a tardy pass from the main office.

Teacher Evaluation Protocol

Performance appraisal for teachers is a continuous process that takes place in a three-year
cycle. It consists of two types of appraisals, the formative and the summative. Formative
appraisal involves the process of gathering performance data, analyzing it and using the results
to improve teaching. Often this data is gathered through structured, and at times informal,
classroom observations. Summative appraisal is the process of using performance data to
make a formal written judgment about the quality of teaching using the criteria for teacher
performance established by the school division. The plan establishes clear lines of delineation
between the formative and the summative and appraisal cycle requirements for tenured and
nontenured teachers.
Team Leader Performance Expectations

In addition to the basic expectations outlined for a classroom teacher, a team leader
coordinates the efforts of staff members within the school, and assists the principal and
assistant principal in sharing information with his/her team. All of these responsibilities are
directed toward providing the best possible education for the children of the school.

The team leader works with the grade level in the following ways:

2. Becomes knowledgeable of supplies and materials available and needed
3. Monitors grade level pacing guides
4. Coordinates grade level special resources and events such as field trips and guest
speakers

Teacher Performance Expectations

A teacher employed at Jackson-Via Elementary is responsible for planning and delivering


effective instruction that is aligned to grade level Standards of Learning that includes reading,
mathematics, social studies, and science; and is designed to prepare children for the Standards
of Learning Assessment and the next grade level.

Staff members are in the building and at duty stations promptly at 7:30 a.m.
Staff meetings and/or professional development will occur every Monday of the
week from 2:45 4:00 p.m. It is expected that the staff will not schedule
appointments that require them to leave the building prior to 4:00 p.m. on
Mondays. Permission must be granted by an administrator in order for staff to
leave early.
Maintains, upholds, and enforces school policies, procedures, and administrative
regulations.
Avails themselves to staff development opportunities and fulfills professional
growth plan requirements
Attends and participates in faculty, team, RTI, and other PLC meetings, including
grade level team planning one day each week for 45 minutes.
Instructs and supervises the student(s) in the locations and at the times
designated.
Maintains students grades and attendance, student records, and lesson plans.
Provides information and files reports in a timely manner as required by law,
school policy, and administrative regulations.
Establishes and maintains cooperative relationships with colleagues and
administration.
Makes provisions for being available to students and parents for
education-related purposes.
Provides adequate plans and instruction for substitutes.
Complies with school satisfactory attendance criteria.
Inventories equipment, materials, and supplies and completes orders for
approved purchases.
Performs related duties as assigned by the administration in accordance with
school policies and practices.
Conducts all interactions in a professional manner.
Video Usage Guidelines

As part of classroom instruction teachers may show any of the following video programs:

those downloaded and available from approved vendors (Brainpop, Discovery Education
/ United Streaming, etc)
those purchased by school media center, IMS (central media), or dependent within a
school.
those taped from ITV, network, cable, or satellite which are not restricted and have not
expired.
those rented or borrowed or face to face teaching which have the approval of
department chairperson, instructional coordinator, assistant principal, or principal.
These may not be used for recreational entertainment purposes.

Videos with questionable rating or content should be previewed and parental approval for each
student viewing should be obtained in writing

Any movies shown must be related to school instruction and not shown for entertainment
purposes

If you are uncertain whether or not something should or should not be viewed by students,
please see an administrator

Unannounced Visitors and Checking Out of School

If a parent comes to your room unannounced at any time during the day (whether seeking a
conference or to pick up a child, she/he must have a visitor pass sticker that is visible to you.
No one should be allowed to take a student from your classroom unless you have received
notification from the office (a note or call over the intercom). If you have questions, notify the
office immediately.

Work Hours

Work hours for staff members are from 7:30 a.m. to 3:00 p.m., Monday through Friday. It is
