WORK EXPERIENCE

Operations officer

My duties & responsibilities includes but not limited to:


Manage all budgets as provisioned on the main proposal in collaboration with the Senior Operations Manager and
the Field Manager.
Ensuring timely and complete collection of invoices and raising petty cash payment requests.
Management & maintenance of Dadaab and Kakuma petty cash in the office. Continually maintaining proper
systems of storing cash, making payments and keeping cash books and other financial records. Responsible for the
integrity of the petty cash system in Dadaab and Kakuma
Processing and submitting the petty cash vouchers to Dadaab and Kakuma Finance & Procurement Officer within the
stipulated timeline. This will be done at the end of each week.
Maintain communication and ensure timely payment of suppliers based in Dadaab and Kakuma as well as obtain
relevant documentation for transaction back-up.
Provide support and basic training for administration, program and production staff in the preparation of payment
and petty cash vouchers and other related finance transactions such as travel accountability, interpretation of
financial reports, communication and continuous staff on- job trainings.
On monthly basis, meet with Finance Officer & the Field Manager to review budget to actual reports to ensure
propriety of information.
Review and submit to Nairobi Finance monthly cash projections for Dadaab and Kakuma based on work plans.
Coordinate with Administration and Logistics Assistant and Field Manager to ensure timely funds transfer to Dadaab
and Kakuma Field office based on submitted cash forecasts.
Coordinate with Senior Operations Manager on monthly basis to review budget to actual reports to ensure
propriety of information
Ensure that financial procedures are followed by all program, production and administration staff based in Dadaab
and Kakuma.
Participating in budget preparation for Dadaab and Kakuma office and budget revision.
Prepare for internal and external audits and donor financial review as may be required.

Human Resource Support


Ensuring proper orientation of locally recruited staff.
Assist in maintaining the Dadaab and Kakuma staffs leave schedule for national and refugee staff with records of all
leave benefits.
In charge of coordinating the leave plan and communication to the Dadaab and Kakuma staff.
Maintain incentive staff files with proper records of dates of hire, staff contracts and staff leave, monthly payment
and any staff disciplinary issues(including the maintenance of up to date emergency contact list of all incentive staff)
Maintain absolute confidentiality of all information that he/she may have access to in the execution of his duties.

General duties
Oversee the development and execution of procurement plans for Dadaab and Kakuma office.
Support general finance and procurement processes by researching needed information

Be proactive in improving skills by keeping up to date with new / latest development in finance / procurement /
administration
Ensure clear and accessible record keeping and filing of all activities and expenses
Ensure good communication within and outside the project. Represent the project and its goals to callers, writers,
and visitors from the community, NGOs, and CBOs as needed

Supervision of non-formal schools in the slums and in the rural areas
