REQUEST FOR APPROVAL FOR POLYTANK INSTALLATION, PLUMBING

WORKS AND DRAINING OF MANAGEMENT CAR PARK

Please find attached quotations from Macniel Enterprise for the installation of a Polytank with
associated plumbing works and the clearing of debris and construction of underground drain, 8
inches in size to join the roadside drain.

The cost of the installation of the Polytank, which does not include the supply of the Polytank
itself, is WR1,206.00. The Polytank will be Rambo 600 (6,000 litres capacity) and will be installed
within the space behind the generator set. A pipe line will then be laid to connect to the water
pump on the ground.

The installation of the Polytank has become necessary in view of the fact that any time the Head
Office is supplied with water by a water tanker, there are not enough containers to receive the
water. The tanker drivers sometimes are reluctant to take the water to the Accra Zonal Offices
because of heavy traffic.

The capacity of each of the existing three Polytanks is about 1,700 litres, giving a total of 5,100
litres. This is highly inadequate and can not serve the over 100 staff at the Head Office. When this
number is added to the numerous visitors who also use our facilities, the water definitely can not
last a day, hence the need to increase the capacity.

The other quotation of WR 4,095.00 is for the evacuation of the waste materials that have been
dumped at the back of the generator set during the renovation of the Head Office in 2009. After
the clearance, an underground drain of 8 inches will be constructed to drain the water in the
Management Car Park and the area behind the generator set. This drain will discharge into the
drain along the main road.

These works are very important and need to be carried out urgently. The Head Office Annex may
even need a separate reservoir to serve staff that may occupy the offices and the drain will have to
be constructed to quickly drain away the water before some gets into the septic tank thereby
requiring frequent dislodging.

Considering the scope of works, it is therefore recommended for your consideration and approval
the total amount of WR 5,298.00 for the above mentioned works to be executed by Messrs Macniel
Enterprise. It is further recommended that an amount of WR 3,000 be released for the purchase
(including transport) of Rambo 600 for installation.
