INTRODUCTION

The tourist place is crowded with the people almost every season, it has been reported that the place
receives an average of 200,000 families every year. The management board, a team of people
responsible for the working and maintenance, is managing the tourist attraction. Due to the increase in
the demand of clients and latest rules of the government, the management board has decided to create
a new business information system. The board is planning to have a system, which can store the details
of all the visitors who come to visit the place every day. According to them, the software should have a
system, which could guide the tourist to the place and tell the route map for the visitors, which would
help the visitors to book prior and form a virtual queue, allows access to the staff so that they can
receive grievance call and identify any machine malfunction.

LIMITATIONS OF THE PRESENT SYSTEM

The present system does not have a good storage space.


The current system is able to generate management reports but has less efficiency
The current system of entry is tedious, people have to wait in long queues for the entry, 6
counters are open and 15 people have been employed especially to manage the rush at entry
gate and reception.
Currently, brochures and maps are printed and circulated for the tourist
Facility management is not efficient
Current infrastructure does not support mobile devices.

BACKGROUND

The tourist attraction has a large number of visitors every year, keeping this into account government has
sent a team for inspection and found that there is no effective system present for the storing the details
of the people visit the place. It was recorded that an average of 200,000 families. A large amount of
tourist without the record of identity can actually reduce the rate of security and the government is
concerned about the issue

Every touristic attraction is produced and managed by a board of members. The idea of the
administration is to have a program, which is a simultaneously new and integrated system, in order to
handle and save data of visitors. By doing so, the staff from these locations will have support and this will
result in easier management, making it easier to remind clients of appointments and other
arrangements. Still, the main function of this software is to deliver a high-quality service to the tourists,
only using the most recent wireless and mobile phones. With this new tactical and use of handheld
devices, it has been easier to the workers, especially for those dealing with tech. The current
infrastructure cannot support adequately either mobiles or any wireless devices. The proposal from the
directory is to create a project and a plan of management for it since the project presents with two
separated deadlines (the first has a 3 months and then a year). The first one is set to work as a
temporary fix, as a test of new functions and if those will or will not be receipted by the public to then
implement real changes.

The entrance of the attractions has a history of being difficult and clumsy, a point that can be widely
beneficiated by the use of the new device. The final goal is for the software to accurately instruct that
the quantity of people who have visited the place has a limit number. The proposal here is to use a
scheduling system in which the tourist can set a time and return to the attraction when the hour is
reached. Other than representing a tool that maximizes clients comfort and overall impression, this is
also an opportunity for more time spending in the stores around attractions, making a bigger profit.

Another idea is for the software to save money: with printed guides and maps which normally are put up
to inform the people about the several attractions that are near that region and also saving with many
brochures printed and are rapidly old, with the necessity to reprint and change again. By using a
machine, all that information could be set by the computer and then changed periodically. This point of
the software use comes in alignment with the climate changes and concern for the planets future, with
the example of the global warming. By advertising that as a justification is also positive media and will
indirectly attract more clients.

Once again, it is important to notice this current arrangement is not compatible with mobile, something
that is very important for costumes, in need of an urgent solution. The actual system of control from the
attractions, in general, is out of date, presenting problems since its manual handling adds more time
between accessing the problem and then resolving it with technicians. Once automatic, it will be
possible for the problem to appear spontaneously, after a perception from the software. Still, regarding
technicians needs, the current process is unproductive: they dont use mobile devices during the shifts,
which makes impossible for urgent information to be transferred directly, resulting in a waste of time,
once every technician needs to go by the administration floor before getting assigned to another task.
The security need also demand regulations, once no register is kept of the quantity and about any of the
people who access the attraction, as well as their belongings and the storage system in the attractions, a
point that violates federal law and is required update in 3 months or will be closed (Janice Milsom,
2012).

SKETCH OF THE JOB

The software is so promising, even expected to reduce working demands for employees. The system
works best with tablets, laptops, and mobile devices. Since the wireless is more accessible, it has also
facilitated the demands from every work environment. The highlights of its use are many, for not only
works but especially when it comes to clients: Now tourists can report adverse events from anywhere,
without going to an administrative office waiting for hours and losing their fun. With the system, the
staff goes to them.

With this, integration is also possible, allowing technicians and other workers to function better as a
team, with a more efficient and faster distribution and support.

To resolve another problem: the incapacity of data storage, the software creates bulks amount of data,
something that is created in order to save information from the double of visitors that come to us when

compared to now. The cost of saving information is not only digital, but it demands the use of physical
space for the servers. When considering these spaces could be used for incrementing and bringing more
entertainment, the idea of compact data is a great benefit [ CITATION Tar06 \l 1033 ].

EXPLANATION OF THE ASSIGNMENT

For the project to function, it is necessary the proper management and business knowledge, also
creating it perfectly for being accessed on laptops, tablets and on the go. With this new assessment,
space will no longer be an issue for storage of the two hundred thousand families that visit us every year.
In another scope, the program should also function for management and contribute to the control of
employees payroll and presence, with the guarantee that all financial movement and currency is being
properly registered and updated.

The final function is to make attractions more accessible and accountable for, something that could be
done with providing the user access to many details of the attraction, a map for helping with locations
and also a virtual brochure. In it, some information about the attractions could be informed such as
working hours and age restrictions, for example.

In another matter, the possibility to leave commentaries and evaluations and critics should be added to
the system, once the clients feedback is important for the continuous improvement of the attractions.

In final, the staff and technicians should have private functions to access that ensure functioning of the
system and also a connection to the central, for situations like responding live to compliments and calls,
locating the closest tech to take care of the problem as a result, the clients will remain satisfied and
feel cared for. The fast resolution of problems also protects from the problem of overcrowding in other
spaces in response to reduced variability.

REQUIREMENTS FOR THE PROJECT

In order to ensure big changes for using a newer and modern program, it is necessary a few
modifications in the structure and organization in general, with the admittance of few computer
operators, purchase of more systems and to provide service for information storage, among others.
Additionally, it is necessary to prepare the team to work with the new instrument, by offering instruction
classes, then having the new model installed and defunded through all employees. It is also needed that
the alterations happen gradually following a structured order from first allocating tasks, then scheduling
and finally the work cessation.

The attractions are under warning and have been fined by the government for using an off to date
software, being granted a 90-day time to adequate with an alternative system in and then a year to
implement the permanent one. Moreover, this process is divided considering units with smaller memory
capacity and facilities yet to be constructed in the time of 80 days, being fully tested and also repaired if
showing any abnormalities before start running.

With the success of the alternative system, the main software expected to have a bigger capacity and
cover the entire region should be designed in a three months time. Each scope should present a
separate assignment and a group of IT workers should be allocated for each smaller tasks. All of the tasks
are separated into 4 milestones that are also fragmented in another non-principal task [ CITATION

Each sub task should be assumed with a separate deadline. In the same way, the budget is different and
limited for every task.

COST OF THE SOFTWARE AND OTHER MISCELLANEOUS WORK

A detailed study has been done on out sourcing the work and doing it in house. Even though the
administrative section has few programmers and IT related people, they are not proven potent enough
to bring out new software according to the requirements. Out sourcing, the work always creates a
concern of security and the large amount, which the board has to spend. Thus, it was decided
unambiguously that a consultant and few senior programmers will be appointed on fixed term contract
basis for a time span of one year and they are supposed to complete the project with in the time limit.
They are supposed to get help from the employees of the institution who are IT based.

The software is supposed to have a large data storage capacity as it the place is experiencing a large n
number of visitors every year. In order to store such data, a server needs to be bought. Programmers
salary and other expense will be part of the project cost. The current infrastructure of the place is not
suitable for hand held devices so a renovation is mandatory.

Server Cost ( Including maintenance charges) = 1100 AUD

Salary for the consultant = 15000 AUD

Salary for 2 senior programmers = 20,000 each

Renovation= 10,000 AUD

Other Expenses= 2000 AUD

Total =68100 AUD

When considering the customer satisfaction and ease of work this is a very small amount that the
management can get it back within a year. The software can create a new work environment and reduce
the strenuous works as it makes communication easy and it handles entry passes.

ENDORSEMENT AND CONCLUSION

In final words, the software comes with the proposal of reducing unnecessary costs such as printing
brochures (that can be constantly updated) and maps, making them also more interactive, with the
program containing more information than the one available on brochures, for example. This will also be
widely approved by visitors that wont go through the difficulties of getting passes, but all that will be

replaced with technology, by booking specific time settings, with guarantees no lines and more time to
appreciate attractions.

The system will reduce the work demands from the employees and require low investment and
maintenance, something even more positive when considering the quality and comfort present in the
work environment, something that also leads to more productivity and better work relations. In addition,
most importantly the customers will be on edge. For any initiative, the main function is to satisfy the
client, since their presence is what keeps your business running; that includes having a more efficient
system that grants precise information and fast support with more spare time to enjoy the attractions
they want.
