Executive Summary
The Deliverable at hand describes the updated Dissemination strategy as was outlined by
the VERITAS project in D4.3.1a and D4.3.1b, as well as takes onboard the comments that
were made at the 2011 review:

To elaborate and include in the D4.3.1.3 deliverable (due at month 23 of the project) a clear
dissemination strategy, which includes: (1) a coherent plan, describing events, conferences,
and other media which will be used for raising awareness on the project results; (ii) a clear
set of measurable indicators and related targets against which to measure the effectiveness
of the project dissemination activity

In reply to this, the Deliverable at hand took onboard these recommendations:

The dissemination strategy now contains a well-defined strategy that highlights on


the one side the actions undertaken, as well as their value in terms of impact
towards target groups, and their relevance to innovation:

o The list of events was further detailed, indicating their impact on the selected
target groups, while also indicating whether they were key events or not, and
the potential added value (technological, social, methodological issues).

o For the papers, a similar approach was followed, with in addition an indication
on the innovation that was delivered by each paper, as well as the potential
added value (technological, social, methodological issues).

The already existing Chapter on dissemination evaluation has been extended a


range of indicators against which the dissemination efforts will be assessed and
evaluated by the partnership. This set of indicators is based on good practice in the
AEGIS project, and uses the indicator approach as published on
http://www.evalutech.sreb.org/criteria/web.asp (as checked on September 2010).

We also look deeper into the events that were organised by the project (VERITAS 2nd
Workshop at JVRC 2011) and events that have been planned (VUMS workshop and VUMS
Special thematic Session, both organised by the EU-funded projects VICON, VERITAS,
GUIDE and MyUI at the 13th International Conference on Computers Helping People with
Special Needs).

The Deliverable also provides an updated overview of planned meetings, conferences and
other events that will be attended. These also include the VUMS (Virtual User Modelling and
Simulation) cluster (GUIDE, MyUI, VERITAS, VICON projects) meetings.

We also address the 2 released newsletters in 2011.

An update of this Deliverable will again be made available in Month 35, and will then also
include an updated status of the submitted papers and attended/organised events.

Introduction

The Deliverable at hand provides an updated status of the dissemination activities


undertaken in the context of the VERITAS project. The framework that has been applied is
based on the dissemination strategy defined in D4.3.1a.

Chapter 1 repeats the key message of the project, with emphasis on the application areas
VERITAS is targeting, as well as the end-user groups (developers/designers, and people
with disabilities and older people).

The next Chapter 2 addresses the multi-layer dissemination approach the project applies,
but since it has already been fully detailed in D4.3.1a, it has not been repeated in this
updated deliverable.

The projects updated dissemination material is presented in Chapter 3, and addresses the
new press release, the additional dissemination material that has been produced in the
context of conferences and workshops (pins, pens, bags, roll-up banner, lanyards, etc.). This
Chapter also presents in detail the online presence of the project and includes the web
statistics which are positive. Also the updates on the VUMS website are addressed, and the
respective Web 2.0 outcomes (Twitter page). The video as has been created is also
introduced.

Chapter 4 addresses the updated data on participation in events and conferences, and
focuses on the 2nd Pan-European User Forum and Workshop, and the SAB meeting that
took place. This reporting is now enhanced with the usage of indicators whether the reported
events were key events or not, quantifying also the potential added value (technological,
social, methodological issues). Finally, the events are presented where the project
disseminated, either via papers, presentations or posters, with in addition an indication on
the innovation that was delivered by the papers, and here as well the potential added value.

Chapter 5 deals with the dissemination evaluation for the 2nd year of the project (2011), and
now also contains a detailed range of indicators against which the dissemination efforts will
be assessed and evaluated by the partnership. This set of indicators is based on good
practice in the AEGIS project, and uses the indicator approach as published on
http://www.evalutech.sreb.org/criteria/web.asp (as checked on September 2010).

Chapter 6 focuses on the next steps; and more precisely on the forthcoming evenst thatw ill
take place at ICCHP 2012, and the paper submission to conferences and their potential
acceptance.

The Deliverable is completed with the Conclusion Chapter.

1 Core message to convey


VERITAS has a core message it aims to convey to the end-users/beneficiaries, and which is
also part of the projects posters and leaflets, and the website:

VERITAS aims to develop, validate and assess tools for built-in accessibility support at
all stages of ICT and non-ICT product development, including specification, design,
development and testing. The goal is to introduce simulation based and virtual reality
testing at all stages of assistive technologies product design and development into the
automotive, smart living spaces (buildings & construction, domotics), workplace, e-
health and infotainment applications areas. The goal is to ensure that future products
and services are being systematically designed for all people including those with
disabilities and functional limitations as well as older people. Furthermore, VERITAS
plans to promote its results to the appropriate standards organisations for consideration
and potential adoption and also to make them available through an open framework.

This core message on the one hand needs to inform the end-users (developers and
designers) on the expected tools VERITAS will deliver, while also inform the beneficiaries
(people with disabilities and the older people) on the advantages they will experience from a
design for all approach, accommodating also their specific needs in the design of products in
any of the five application areas.

2 Multi-layer dissemination
The multi-layer dissemination approach as outlined in D4.3.1a is applied throughout the
project. Because it has already been fully detailed in D4.3.1a, it has not been repeated in
this updated deliverable.

3 Dissemination material
3.1 Press release
Several press releases were published to announce the 2nd Pan-European VERITAS
Workshop and User Forum in Nottingham, United Kingdom on 20-21 September 2011 in the
context of the 2011 Joint Virtual Reality Conference. It was disseminated both via
mailinglists as well as via the project website (http://veritas-project.eu/category/press-
releases/).

3.2 Leaflet
The leaflet has already been fully described in D4.3.1a and has been and will be used till an
updated version will be created that focuses on the first prototypes.

3.3 Poster
The 2 different posters (a technical and less technical one) have been used throughout the
project so far for evens participation, etc.

3.4 Banner
For the User Forum and Workshop, the previously produced roll-up banners were used
again, and were installed at the entrance of the meeting rooms. These will continue to be re-
used for future events.

3.5 Additional material


As deemed necessary, additional dissemination material was produced throughout the
duration of the project. The following provides an overview of the items that had been
produced already and have been used for the 2nd User Forum and Workshop in Nottingham.

3.6 Website
The VERITAS website www-veritas-project.eu has been continuously updated (see
screenshots below) and was also used to launch simulation videos on the different
application domains.

In these 2 videos, two different desk prototypes were evaluated: one having its drawers above the desk and one
having them below. Two virtual user models were tested: normal user and user having rheumatoid arthritis on his
left arm. The users asked to perform four tasks: a) locate the bottom drawer, b) reach its handle, c) grab it and d)
pull the drawer.

3.6.1 RSS feeds
The project websites RSS feed (see Error! Reference source not found.) is published at
http://veritas-project.eu/feed/ and is used for automated publishing to the VERITAS Twitter
page (http://twitter.com/VeritasProj/). A similar approach is used for the VUMS Twitter page
(http://twitter.com/VUMScluster).

3.6.2 Online presence


The VERITAS website and its various subpages can be easily found back in search engines
such as Google, whether on project name or on specific search terms, which also means
that the pages have been optimised for search engines..

3.6.3 Website statistics
Google's Analytics is used to analyse the traffic to the VERITAS website. Since the launch of
the website end of January 2010, there were over 9200 unique visitors. Following overview

Looking at the bounce rates1, it becomes obvious that the lowest rates and also longest visit
duration is obtained from well targeted media. These generate visitors that tend to stay
long on the website, and also visit the most pages:

VERITAS also continues to maintain the VUMS (Virtual User Modelling and Simulation)
cluster website, accessible via http://www.vums-cluster.eu/.

3.8 Twitter pages


3.8.1 VERITAS Twitter page
VERITAS continues to update its own Twitter page at twitter.com/VeritasProj and an
accessible variant can be accessed via www.easychirp.com. Tweets are automatically
updated using the Twitterfeed application that allows RSS feeds from the VERITAS project
website to be automatically pushed to Twitter. There are at present 72 tweets and 66
followers (among which eInclusion/Eur.Comm., European Innovation Partnership on Active
and Healthy Ageing, Design for All Foundation, research centres, individual researchers,
end-user organisations, ETSI Standards, TalkStandards.com, etc.).

3.8.2 VUMS Twitter page


Just like with VERITAS, also VUMS has its own Twitter page at
http://twitter.com/VUMScluster. There are at present 18 tweets and 23 followers (among
which eInclusion/Eur.Comm., research centres, individual researchers, end-user
organisations, ETSI Standards, etc.).

3.9 YouTube channel


To increase the coverage of interested parties, AccessForAll.eu YouTube channel
(http://www.youtube.com/AccessForAlleu) has been used where the project has also been
publishing its videos. Over 1000 views in total were registered across all videos.

3.10 Newsletter
4 newsletters have been prepared (2 in 2010 and 2 in 2011) and were made available as
accessible PDFs via the project website (http://veritas-
project.eu/category/dissemination/newsletter/), and were also disseminated via dedicated
mailings.

While the newsletter focused in the first issue on explaining the project to the reader, the
second version reported on the 1st Pan-European Users and Beneficiaries Forum and
Workshop, introduced the first outline of the VERITAS multi-sensorial platform, and

concluded with an interview with a potential beneficiary and the barriers he meets in using a
car.

The 3rd newsletter disclosed the views of some of the main industrial and research partners
of the project concerning their work within VERITAS but also the expected outcomes. These
interviews illustrated how the VERITAS tools will impact the four application fields and
showcase the market potential of the developed technology. In addition, there was a short
description of the Simulation Viewer as well as a first call for the VERITAS future events.

The 4th newsletter shared some interim project results and took stock of the feedback
received during the latest VERITAS events: the User Forum and the Workshop that were
held in Nottingham in September 2011. At the political level the European Year 2012 and
the proposed EU Accessibility Act was introduced as momentum to achieve tangible results
for products and services accessible to all. Also the synergies between VERITAS and other
relative initiatives became apparent, and external but related news and events in the area of
accessibility were reported on.

3.11 Mailinglists
The project continues to maintain a number of dedicated project mailinglists (each
addressing specific stakeholders, end-user groups, etc.). These lists have been updated with
the subscriptions received via the project website, as well as with the participants to the user
forums and workshops.

3.12 VERITAS video


During the 3 days project meeting in Turin (Orbassano), Italy at CRF (Centro Ricerche Fiat
S.C.p.A.) on 14-16 December 2011, the main filming took place of the VERITAS video.
Additional filming took place at the 2nd User forum in Nottingham in September 2011, at MCA
premises in Plovdiv during measurements with beneficiaries (people with disabilities, older
people) in December 2011, while also additional footage and video was provided by
CERTH-ITI (simulations), University of Trento (GaMoCap), and Virtual Reality & Multi Media
Park S.p.A. (avatars).

The video has been released and can be seen on the project website on the opening page.
Subtitles have been provided in all partner languages. Below are some screenshots.

3.13 Planned activities


3.13.1 VUMS (Virtual User Modelling and Simulation) cluster meetings
An fourth and fifth VUMS (Virtual User Modelling and Simulation) cluster (GUIDE, MyUI,
VERITAS, VICON projects) was organised, respectively in Stuttgart (Fraunhofer IAO) on 17-
18 March 2011 regarding the user modelling and standardisation, and in Nottingham, UK on
the 21st September 2011 with the participation of all VUMS partner projects.

VERITAS created and maintains the VUMS portal on www.vums-cluster.eu.

3.13.2 Future activities


A VUMS Special Thematic Session (STS) will be organised at the 13th International
Conference on Computers Helping People with Special Needs, organised on July 11-13,
2012 (Pre-Conference July 09-10, 2012) at the University of Linz in Austria. More details can
be found on http://www.veritas-project.eu/vums/?p=153, and it will be reported on in the
updated deliverable at hand in Month 35. Link to STS page: http://www.icchp.org/node/349.

VUMS will also organise a workshop as the same event. This workshop will present
prototypes and discuss concepts of generic interoperable user models that describe the
relevant characteristics of users, who will interact with products and user interfaces. These
include physical cognitive, and sensory attributes, habits, preferences and accessibility
capabilities. With such a model designers can define as many user interaction profiles as
needed to address the whole range of requirements from a target population. It will also help
designers and developers to maximize the level of accessibility of products and services by
providing a comprehensive set of Human Factors design guidelines, which could be used in
virtual spaces to visualize accessibility and usability issues. More details can be found on

3.14 A green dissemination approach


Just like in the first year of the project, we continued to limit the ecological impact of the
project. It re-used the re-usable strong large VERITAS banners, as well as roll-up banners.
Also re-usable USB sticks were used again, and demonstration screens were present at the
booths where VERITAS was presented.

Additionally, information material required by stakeholders or end-users is mainly provided in


an electronic format. The same applies for the newsletter, and the production of other
dissemination material which will be mainly disseminated via online means such as Dropbox
facilities, etc.

Finally, for events organised by the project so far, meeting rooms and hotels have been
selected that are within walking distance of each other, and are easily reachable with public
transportation means, thus minimising the carbon footprint of VERITAS project.

4 Participation in events and conferences


4.1 Events calendar
VERITAS continued to maintain a monthly calendar which it provides to all partners in
electronic format, while it also maintains an online calendar (see Figure 15). This consists of
an overview of clustering events (http://veritas-project.eu/category/news/veritas-
events/clustering-events/), past events (http://veritas-project.eu/category/news/veritas-

4.2 VERITAS User Forums


The 2nd Pan-European VERITAS User Forum Defining simulation task models for everyday
solutions, designed for all took place on the 20th of September 2011, and was hosted at the
Crown Plaza Hotel, in Nottingham, UK.

The meeting mainly targeted people with disabilities and older people that will be the
beneficiaries of the VERITAS system while the parallel workshop that was organised in the
frame of the Joint Virtual Reality Conference in Nottingham attracted designers and
developers. In total 33 participants attended the User Forum, mainly representing
beneficiaries and the academic community. This event provided a platform to engage more
beneficiaries in VERITAS and was the occasion for the VERITAS partners to cross-check

some interim project outcomes, namely the task analysis. Overall this was considered a
successful and interesting meeting as shown by the collected evaluation questionnaires.

The User Forum is entirely captured in ID4.3.2b User Forum meeting proceedings, and will

Prof. Qin Gao (P.R. China): Assistant professor in the Department


of Industrial Engineering at Tsinghua University, specializing in
human-computer interactions and usability engineering. She
received her B. S. in Mechanical Engineering at Tsinghua
University. M. S. in Production Engineering at RWTH-Aachen, and
Ph.D. in Human Factors at Tsinghua University. Her research interests include
human-computer interactions in context-aware applications, user behaviours and
experiences in social computing, universal design and cross-cultural studies. Dr. Gao
has published papers on these topics in HCI and related journals and conferences.
She is a member of the Human Factors and Ergonomics Society.

Prof. Ettore Pennestri (Italy): Professor of Mechanics Applied to


Machines, University of Rome Tor Vergata (November 2002-
present), and works at Department of Mechanical Engineering -
University of Rome Tor Vergata, via del Politecnico, 1, 00133
Roma ITALY. His research areas are Mechanism design,
Kinematics and Dynamics of Machines, Biomechanics

Following SAB members could not come but are scheduled to attend the next SAB meeting
on 10 July in Linz, Austria, in coincidence with ICCHP 2012.

Dr. Toshiyo Tamura (Japan): He is Professor and Director of the


National Institute for Longevity Science (Aichi, Japan). From 2003,
he is Professor at the Department of Biomedical Engineering, at
Chiba University, Graduate School of Engineering. His research
and teaching activities focus on biomedical transducers involving
non-invasive apparatus and bio-signal analysis. He is an active
member in several national and international societies. He has served as a chair of
IEEE/EMBS Tokyo Chapter in 1996-2000, and the Asian Pacific representative for
the EMBS from 2000 to 2004. He is currently a President of the Japanese society of
Medical Electronics and Biological Engineering and a President of the Japanese
Society of Life Support Engineering.

Professor P.L. Patrick Rau (P.R. China): P.L. Patrick Rau is the
Director of Human Factors and Ergonomics Institute, and the
Professor of Industrial Engineering Department at Tsinghua
University in Beijing. He has founded and directed Human-
Computer Interaction (HCI) and Usability research centre at
Tsinghua University. He was a Visiting Scholar at Microsoft
Research Asia in China, Visiting Professor at the Aachen University of Technology in
Germany, and a Visiting Professor at the Chuo University in Japan. His research

themes include Human Factors Engineering, Human-computer interaction, cross-


cultural design, Design for Elderly, Web Usability, Mobile Interaction, Game Study,
Human-Robot Interaction, and Customer Experience Management.

Prof. Doru Talaba (Romania): Doru Talaba obtained the PhD in


Mechanical Engineering at the University of Brasov. In 1988 he joined
the University Transylvania research department of Product Design
and Robotics in the successive positions of associate researcher,
assistant, lecturer, associate professor and since 2001 - full professor.
He is President of the European Association for University, Industry
cooperation in Brussels.

Travel expenses of all SAB members were covered by the project.

Dr. Gary Moulton (USA) from Microsoft is no longer member of the SAB after expressing
doubt about his possible contributions.

4.5 VERITAS Conferences


To ensure the highest impact of VERITAS events, the consortium decided to organise
instead of conferences, a range of dedicated workshops and thematic sessions that coincide
with other major events. JVRC 2011 (UK) and ICCHP 2012 (Linz, Austria) were selected for
this.

4.6 Dissemination activities


In the following sections, we provide an overview of the attended events, workshops and
conferences, the presented papers as well as the journal submissions.

This reporting is enhanced with the usage of indicators whether the reported events were
key events or not, quantifying also the potential added value (technological, social,
methodological issues), and an indication on the innovation that was delivered by e.g. the
papers.

5 Dissemination evaluation
The overall dissemination evaluation takes place at the end of every year. While the
previous year we used the success criteria set forward by the project itself, this year we have
extended this with an additional and specific set of indicators against which the
dissemination efforts will be assessed and evaluated by the partnership. This set of
indicators is based on good practice in the AEGIS project, and uses the indicator approach
as published on http://www.evalutech.sreb.org/criteria/web.asp (as checked on September
2010).

5.1 Basic set of success criteria


Following success criteria have been evaluated for 2010 and 2011 and indicate a positive
outcome of the work undertaken so far by the project in term of these indicators. While a
conference was planned for year 2, the consortium agreed that it would be more efficient to
focus on dedicated workshops in coincidence with major conferences (see JVRC 2011 and
ICCHP 2012).

All Partners have been requested to complete an overall dissemination evaluation for the
second year of the dissemination. The consolidated results can be found below and in
orange the areas are identified that need to be (further) improved. As this will be an ongoing
effort, results of future yearly evaluations will be reported on in the updated dissemination
plan, scheduled for Month 35.

The above outcomes are positive, but clearly indicated a need for a more intensive
dissemination by the project towards the different application domains. Immediately after
these results were collected, all industrial partners were requested to identify events where
VERITAS could be presented towards the industry. This will however also need the
availability of demos to be presented towards the future customers of the VERITAS assets
(exploitable outcomes of the project).

For this reason, the project has committed to have in the second half of Year 3 the needed
demos available, while it will also use the project video to approach the industry players.
These activities will be intensified in Year 3 and will be reported on in the next version of the
Deliverable at hand. Equally, efforts towards the standardisation community have been
intensified (see WP4.5 reporting).

For the website of the VERITAS project, specific quality criteria have been applied to assess
the effectiveness of the project website. These criteria were assessed by all project partners,
and will guide us in assessing the efficiency of the website dissemination strategy.

The evaluation that was undertaken for the second project year can be found below.

- Demonstration videos of the various Multisensorial Platform supported

6 Next steps
6.1 Workshops
In the next update of the Deliverable at hand (Month 35), full details will be provided on the
Workshop organised at ICCHP 2012, including pictures and if possible also video material
(interviews, etc.) which will be posted on the project website.

6.2 Papers and publications


Every updated version of this Deliverable will continue to provide an overview of the
submitted, accepted and presented papers, as well as publications, adding every time now
also the impact as well as whether the events were key events or not. Just like now it will
also every time include a clear indication on what target groups and/or stakeholders were
addressed at the respective events.

6.3 Additional dissemination material


Any additional produced dissemination material will be presented, and its usage will be
reported upon.

7 Conclusion
The Deliverable at hand builds further on the dissemination strategy that was defined in
D4.3.1a and the reporting that took place in D4.3.1b, and reports on the various activities
undertaken, and outlining future activities that have been planned.

This time however, also a quality assessment was performed so as to evaluate the
dissemination activities, and also measure its impact. The events/paper/journal reporting
outcome clearly indicates that the project has succeeded in being present at major key
events, as well as has presented at various conferences in various application areas, with a
focus towards developers and researchers. In the next period, additional effort will be made
to target also more the application domains with presentations and early demos. This will be
further intensified in the final year of the project when the piloting will take place.

In the next version of this Deliverable, we will report on the new dissemination activities
undertaken, as well as will report on the Workshop that took place at ICCHP 2012.
