Title: The Foundation - PSM


Transcript: Portable Storage Media, or PSM, is generally known as 'mountable onto a device.' Besides being mountable onto a device, PSM provides
a means of storing electronic and/or magnetic data that can be removed or warehoused. PSM can include magnetic tape, removable optical disks,
such as CDs and WORMs, magnetic (floppy) disks, and tape cartridges. No other devices are to be considered part of the PSM process, unless
specifically stated in the customer's security document. Portable (Custodial) Storage Media is not backup media (for example, operating system
backup), vendor media (for example, software or hardware related to their products), or hot swappable storage media. For more information on

Transcript: So how does PSM relate to e-TOC? enterprise-Total Operations Control (e-TOC) is a PSM tool that provides total media inventory
management. e-TOC is an IBM proprietary solution developed by IBM Global Technology Services (GTS) in Japan in 2000. e-TOC is deployed in in
multiple countries throughout Europe, Asia Pacific, the Americas, and in Japan. e-TOC tracks media items using barcode labels and scanners. e-TOC
is the Global System Server Operations (SSO) standard solution for media inventory management.

Title: Benefits of e-TOC


Transcript: Prior to e-TOC deployment, most sites managed PSM using spreadsheets to record media movements. However, spreadsheets provided
unreliable audit trails. When 'proof of transfer' (between IBM and an off-site storage vendor) became an issue, it was often difficult to use these
spreadsheets as evidence. The implementation of the e-TOC solution offers several important benefits: tracks all media movement, destruction, stock
control, and media inventory performance; manages every major aspect of media library functions; increases overall library efficiency; reduces the
need for multiple recording tools and logs; provides access from remote locations; provides a reliable audit trail; stores history of all actions; allows
minute-to-minute viewing of information about media across IBM.

Title: Business Impact


Transcript: When looking at e-TOC as the system that IBM uses to manage media and their respective movements, it is vital to understand the impact
of proper media management. First and foremost, it instills trust in IBM. When we correctly manage our clients' media, it supports our marketplace
image. However, If e-TOC is not maintained properly and the PSM environment is not controlled, it can lead to business controls issues that are
typically highlighted in audits and reviews. In extreme cases, our business growth can be hampered by the loss of profitable contracts, regulatory
sanctions, and potentially costly litigation. In addition, critical client information, such as employee Social Security numbers, can also be lost or
exposed.

Transcript: e-TOC was developed to conform with IBM's corporate security standards, ITCS104, Physical Access Control, together with corporate
audit requirements for the control and management of custodial portable storage media. e-TOC meets Requirements 3 and 4 of section 1.9.2, Physical
protection and inventory control of storage media. Take a moment to review the specifics of how e-TOC addresses each of these requirements.

Title: e-TOC Deployment Sample Hardware Configuration


Transcript: e-TOC is a server-based, client application written in Visual Basic which uses a DB2 database. It was developed for use in IBM Media
Library environments. Operators access the master database via the IBM network through the e-TOC client application. e-TOC manages media on a
site level and customer level. All media when registered on the database is considered to have a Home Site. The Home Site for media is the site where
the media is mounted on drives.

Title: e-TOC Overview The Media Life Cycle


Transcript: Let's look at the life cycle of a piece of mediafrom birth to destruction. Media that is active within a library environment is often referred to
as 'The Inventory.' Therefore, media is either subject or not subject to Inventory. Media movements can be either permanent or temporary. Movements
to the Third Party Vault location are always considered temporary. Shipment to another IBM or customer site can be either permanent or temporary. A
permanent shipment removes media from the inventory. Responsibility is then passed to the customer or IBM site. Media is introduced into the library
inventory via 2 methods: (1) Received via the mail room using a courier such as UPS. (2) Transferred out of the pool of blank media usually held by
each site. When the media received has been checked against the delivery note or media registration request for any discrepancies, the media is
registered onto the e-TOC database. It is now subject to the annual inventory. After the media has been received into the library, it will either remain
static in the data center or shipped to the offsite storage facility and remain there. Some media will alternate locations between the IBM site and the
offsite storage facility depending on the data contained on the media. The inventory scan compares the scanned media against the e-TOC database.
Media is removed from the library inventory via 2 methods: (1) Transferred out via the mail room using a courier such as UPS (2) Destroyed either on
or off site by burning or shredding When the media for destruction or permanent shipment to another site is received and has been checked against
the shipment request or media destruction request for any discrepancies, the media is removed from the e-TOC database. It is no longer subject to the
annual inventory.

including blank media; shows the location of media; serves as an inventory tool; provides reports on operational metrics, offers a barcode printing

Transcript: There are five key e-TOC user roles. Super Users support e-TOC users. This role is used by technical leads. Super Users have access to
all functions, but cannot move media. The Country Administrator can set up sites and view all media registered, but cannot move media. Site
Administrators can set up customers and move media, but only have rights to view sites. The Operator can move media, but only has rights to view
customer and site set-up. The Inventory Controller can search media and carry out all Inventory functions.
