1 Description
Staples is one of our largest clients. The Performics team manages the client and need to be able to
report on all their media buying across 10 different European markets.
A dashboard has been created and is being used on a daily basis by the client but also the performics
team at ZO to report on historical campaigns, build their forecast and optimize their campaigns.
The dashboard is more importantly used by the Performics team on Monday morning for their weekly
reports. Staples needs to be prioritize over other projects on Monday morning.
The dashboard includes a tab per channel as well as a weekly reporting tab. Note that the weekly
reporting tab does not include SEO and Prospecting. If new channels are added to the dashboard, the
Performics team as well as the client will need to approve if the new channel needs to be added in the
weekly reporting tab.
Refresh: The dashboard is refreshed daily at 7am. If there are any missing unmapped campaigns some
users will receive an email from support@globalanalytics.com for GA missing campaigns or DS or both.

Performics:
1- Mark Burns:
Mark manages all channels for this client. Mark has however moved to a new role but his replacement
hasnt started yet and wont be in place before 3 months so Mark is still the main person to contact for
Staples. If not then he will direct you to the right person.
2- Stefania Bafico:
Stefania has been working on this account since the beginning and knows it inside out. She heads up the
search and paid social team so will be able to direct to the right person if we need details.

Guneet direct the Staples team on the client side. Please go through Mark first to contact Guneet.
4 Data sources
1- Campaign mapping:
Campaigns in DS and Campaigns in GA are not named the same. In order to be able to report the 2 sets
of metrics together the Performance team needs to map the 2 files and categorize the campaigns under
the same names.
The mapping sheet is saved in the FTP and is controlled by the PPC team ( Stefanias team).
This can be done any day of the week but the performics team tends to wait Monday morning to do all
in one go.

Once they have mapped the files they will need to dashboard to be refreshed. (this needs to be done by
you using the QMC)
Note that the 2 files only includes the latest campaings. Historical campaigns are saved in the
GACampaign_Mapping_historical file
Affiliates and paid social data cant be automated fully. The 2 teams need then to upload an excel
document in the FTP which will be automatically uploaded in the dashboard when the refresh is
happening.
Note that the paid social data in the weekly report is being fed from this report and not the granular
report ( see point5)
- We need to have a file per Period per year. If we have within different files data for the same
period and year, the dashboard will add the 2 together
- QV imports all the files in the FTP meaning historical data shouldnt be deleted but can be
updated by just overwriting the data
- The file needs to be uploaded weekly before the dashboard is being refreshed on Monday. If not
then the Affiliates team will send an email and ask us to refresh the dashboard manually again.
- The file needs to be weekly but the data is shown by date ( only one date per week)
3- Paid social:
The paid social tab is being populated using an excel file managed by the paid social team.
4- SEO data:
SEO has been integrated in the dashboard and should be updated by the client directly. This hasnt been
done in ages.

Frauds sometimes cant be deleted from the data sources. A fraud file has been set up in the FTP> Fraud
If new frauds need to be uploaded then add the frauds details at the bottom of the document. The
below details will need to be supplied by the performics team: Data, Campaign name, source,
transaction revenue, transaction tax and order ID. The rest will need to be filled using details from the
database.
7- Forecast
Each period the client sends the new forecast to the performics team. The forecast should be sent to us
to upload in the FTP ( and be picked up automatically during the dashboard refresh) but if not ask
Stefania or a member of her team to send you the forecast for all channels.
It is crucial that the forecast is uploaded in the FTP BEFORE the beginning of this periods reporting date.
2 tabs need to be updated: the cost and the revenue. Note that we have only one sheet for all the
forecast therefore all historical shouldnt be touched.
Note that the split is by week. Data will need to be divided by 7 to get the data at a daily level. The
split has been initially sent by Mark Burns. If we do need to change it then this needs to be
confirmed by him.
- The new file needs to be updated in the FTP and replace the old one. I strongly suggest to keep a
copy of the old one in the forecast folder.

- Budget is old forecast so when the team sends a new forecast for a period that has already been
imported in the dashboard, move the old forecast to the budget column and add the new
forecast in the reforecast column

8- Rates
All data is shown in euros in the dashboard. However many countries send us their data in their local
currency. A rate has then to be applied. This is done automatically by the system using the rates file we
have saved in the FTP called Rates. Note that we have only one file for the historical and actual rates
so if new data needs to be uploaded then use the same file and add new rates at the bottom in the
same format as we have for the historical data. Once again, we have no backup so please ensure you
save a copy of the old file.
This file is the date master file. This is where we tell the system how to allocate a period to a date.
Copy the list to a chosen location, update the list (one tab per source), save it and upload it back to the
FTP in the same location. The file name has to be the same as the original name meaning you will be
overwriting the original doc with the new one.
5 Tasks
Monday:
1- Check all jobs ran successfully in the DMT. If not restart them
2- The PPC team will update the campaign mapping file and will let us know when it has been
updated
3- Connect to the QMC and refresh the dashboard
4- Affiliates and Paid social data should have also been updated, if this hasnt been done by the
time the dashboard is refreshed, they will ( if not contact them) let you know when to
refresh the dashboard again
5- The Paid social file will be uploaded by the paid social team. Same thing they might ask you
to refresh the dashboard if they cant wait for Tuesday 7am to see their new data in the
dashboard.
Daily:

1- Check we have no issue with the DMT and all jobs have worked. If some are stuck or not
working, restart them ( do not click on refresh) or contact Glance or Marcel
1- Ensure you have been sent the new forecast for the new period
2- Upload the forecast
3- Check this has been uploaded correctly in the dashboard
1- Logon and check that everything seems fine. All the tables are working, all tabs are active and
you dont have any missing data
2- Ensure that the weekly tab matches the other individual tab
3- Check that we dont have any people who have left the company & all access has been removed
( this needs t be done through the DMT)
6 Common issues
1- Reset a password to access the dashboard:
This can be done directly by the user by clicking on Forgot your password.
2- Access denied:
This probably means that the password has expired therefore the user needs to reset his/ her password
Ensure the spelling is correct and we dont have any spelling mistake
This can happen from time to time when we have had an issue with the API or if the data extracted from
the API has been modified by the supplier. In this case logon to the DMT and run a backfill. We will need
to name of the market, source and the start and the end data. Once the job has been run, remember
that the dashboard will need to be refreshed.
If this is for a personal use ( not a modification to the shared dashboard) then ask exactly what the
requirements are. If all the data is already in the dashboard then Marcel can set up a new table for the

user. If it is something totally new we need to add to the system, we need to have confirmation from
Mark Burns that we dont need to charge the client, write a change request or new requirement form,
send this to Glance or a QV developer to get time estimates, add cost estimates based on our rates and
send it to the client/ Performics team. Once it is agree we need a PO. Nicola will then show you what to
do with the PO.
