Printing Spring PK-K Progress Reports in Chancery SMS

This document covers the printing of Pre-Kindergarten and Kindergarten rough and final drafts of the progress
reports for active and inactive students. Progress reports by default will display in Adobe Acrobat (pdf) format.

In Chancery SMS there is one report for Pre-Kindergarten and Kindergarten. Progress reports (PK and K) can be
printed by grade level, grade level teacher, or individual student. The following pages cover these methods of
printing.

The final Spring progress report will need to be printed on plain white 8.5 by 11 paper. You should print the
rough draft progress reports on colored paper so not to confuse the two. Your principal and teachers should
sign the progress report cards prior to parent conferences.

Progress reports may be printed using the Ricoh copier, the Lexmark printer or other printers/copiers capable
of printing large jobs.

Printing Progress Reports Overview

To print progress reports, log into Chancery SMS and from the Control
bar, select Reports. Scroll down and locate the Pearson Custom
Reports panel and select the AACPS Elementary Report Card Grades
PK-K.

Preferences
1. Choose a Grading Period from the
drop down menu: Spring.
2. By default only active students’
report /progress reports are printed
unless the Active + Inactive with
Grades in Specified MP radio button
is selected instead.
3. By default, reports will print
alphabetically by Homeroom.

Additional Options

When printing rough draft progress reports you will want to place a check in the Exclude Spanish Version so
not to print the Spanish version to conserve paper. Print Additional Contact Mailings when running the final
draft progress reports. For more information regarding these options, please read the Additional Report Card
Mailing Options on page 5 of this document.

Printing Progress Reports for All Students
In the example below the progress reports has been set up to run progress reports for all Pre-Kindergarten
and/or Kindergarten students for the Spring reporting term. Progress reports will print alphabetically by
homeroom teacher. If you do not choose to Exclude Spanish Version, a Spanish progress report will print after
the English if applicable.

Printing Progress Reports by Homeroom Teacher(s)


To print progress reports for your teachers, you will want to print a homeroom list from the Scheduling section
in Chancery SMS.
From the Home page, select Scheduling from the Control
Bar (blue bar on left). Go to Step 3 and click on
Homerooms. From the Actions on the menu bar, scroll
down and select Print. The Grid Print Options window will
open. Give it a name then click the Print button.

Note: Having this list is important when entering Homeroom names. They must be typed exactly as they
appear on the list.

Enter the Homeroom name in the Enter Homeroom(s) field exactly as it appears in the HR column of the
Homeroom list. Separate more than one homeroom with a comma and no space after the comma. Names are
not case sensitive.

In the example below the report has been set up to run Spring progress reports for PK-K students for the
homerooms listed.

If you forget to select a grading period, the following message displays: “No results found for the parameters
selected. Please select a Marking Period of Fall or Spring.”

Separate homeroom names with a
comma.

Printing an Individual Active Student(s) Progress Reports


Type the student’s ID in the Enter Student Number(s) field. Separate more than one student ID with a
comma. In the example below the report has been set up to run Spring progress reports for three Active
students in PK-K.

Printing Individual Inactive Student(s) Progress Reports
Select Active + Inactive with Grades in Specified MP option in the Students to Include area. Type the
Inactive student’s ID in the Enter Student Number(s) field. Separate more than one inactive
student id with a comma and no space after the comma.

Printing Grade Level(s) Progress Reports


When printing by grade level, type PK for the Pre-
Kindergarten or K for the kindergarten in the Enter
Grade Level(s) field. All progress reports for that
grade print alphabetically sorted by homeroom
teacher.

Spring Progress Reports display a footer that has the student’s promotion status and projected grade
level for the next school year. The date of 05/23/2013 is part of the grading set up in Chancery SMS
and cannot be altered.

Your principal and teachers should sign the progress reports prior to parent conferences. Completing the steps
for retaining students will trigger a message on the report card stating that the student has been retained. The
process of retaining students is addressed in your Grader1 Check List for the Spring Progress Reports
document.

Additional Report Card Printing Options

Printing Additional Mailings


Chancery SMS has the ability to print student report cards
for additional contacts. Contacts must be selected to “Gets
mailings for student” in the contact record with the
exception of the first contact. The first contact is excluded
from receiving additional mailings. To make this section,
you must edit the student’s contact information first.

 On the report card print options page,


if the “Print Additional Contact
Mailings” is selected, the name &
address of the student’s additional
contact(s) flagged as “Gets mailings for student” in the contact record prints a cover page with the
Contact name and mailing address printed on the upper third of the page, positioned to display within
a standard #10 window envelope.
 Some students may have one or more additional contacts who receive mailings.
 If a student has no additional contacts flagged to receive mailings, the student will be excluded from
the report run.

Spanish Report Cards


For Contact 1 only, select Spanish in the Home
Language field and select the Requires Translator
box; both English and a Spanish progress reports for
the student will be printed sequentially.

 By default, and if applicable to the student,


both English & Spanish versions of the
progress report will print within the same
report run unless the “Exclude Spanish Version” option is selected on the report interface.

The contact information on the School Specific tab for the student displays the “requires Spanish translation”
flag.

Customizing the Home Page in Chancery SMS
For reports that you use frequently, such as the elementary report cards or attendance reports, you have
the option of bypassing normal navigation from the Reports page by creating a
shortcut, or quick link, to one or more reports.

You can create as many quick links as you need. Quick links you have created are
available to your role from the Actions menu on the home page.

Adding Elementary Report Cards

1. From the Home page click on Actions from the task bar then select Customize Home Page….
2. To add the elementary report cards
Grades 1-5 and PK-K, highlight the two
AACPS Elementary Report Card
reports from the Available Reports on
the left hand side.
3. Click the Add button to add the
Reports on the Home Page. The
reports are listed alphabetically on
your Home page located on the upper
right hand side.
4. Click OK.
5. The two elementary report card reports are now located on the
Home page.
