Meeting Minutes
Denver Colorado
July 7, 2017
Call to order

President Donna Doolin called the regular meeting of the General Session to order at 2:00 pm on July
7, 2017 at the Doubletree “Colorado 1” meeting room.

Opening prayer: Lead by Dr. Edwin L House

President Doolin spoke of transition and new members to the board.

RaMan Evans, Vice President will officiate the meeting today.

President Donna Doolin introduced new Secretary LaToya House. LaToya House, Secretary asked
that when family speak to please state name as she is new to position and learning faces and names.

Vice President RaMan Evans first line of business was to appoint a Srgt. of Arms, a time keeper, and
Parliamentarian. He asked for three volunteers.

Approval of minutes from last year’s meeting

Vice President called for reading of last year minutes

LaToya House read the minutes from the last year meeting. Motion made by Marlene Washington,
second by Sherryne Evans. The minutes were approved as read. The “I’s” carried to accept minutes as
read.

Reports: President Doolin explained that the Executive team and Elders met together and would like
to continue it that way or at least while she is President because she felt it is important to have the two
teams to meet together as we move forward.

Next is the Vice President Report by Raman Evans:

Stated his job this year was to work on the Constitution and to work with the Area Representatives. He
gave an apology as to he feels that he did not do a good job but has plans to do better in the future and
has ideas to help this family and reunion grow and to be more involved and connected with each other.
He thanked the family.

Stated that we need Area Reps to take care of business with his help and we will need volunteers from
States. Talked about the importance of communication and reaching out to the family members.

The V.P. stated a new format for Area Reps to come soon. Stated he would like to have to get
volunteers for each State.

President Doolin asked that the existing Area Reps raise hands so the V.P. will know who you are.
Names are as follows:

 Danita Carter- Chicago, Illinois
 Edwin House- Oklahoma

President Doolin asked if there are individuals in the room that would like to be an Area Rep. and who
would like take on that role? Answer: Rita Grier- Michigan
No other response…

Vice President RaMan Evans asked are there anyothers willing?

Question raised by Danita Carter was what cities are you referring to that need a volunteer? RaMan
stated it is better to go by States and there is going to be a lot of recruiting going on.

Question asked by Jonece Tyler was what are the responsibilities? Vice President Evans stated
basically the responsibilities are to communicate with your local families

Question raised by Debra Washington was were the responsibilities of the Area Rep. in the
constitution? Answer by Vice President Raman Evans: Yes they are in the Constitution. I will not say
anything else on what they are; we will go by what is in the Constitution.

Reponses by Russell Tyler: He doesn’t know what the numbers are in Atlanta, Georgia but he
wouldn’t mind being an Area Representative.

Question raised by Michelle Hudson: Do you have a complete list of the Area Reps? Michelle
Hudson stated that she has a list from when she did some recruiting from when she was in office. They
may not be here at this reunion put we do have some recruited people on the list. Vice President
RaMan Evans requested the list that Michelle Hudson has.

President Doolin suggested that once the list is received from Michelle, to make contact with the
people on the list to verify that they still have an interest.

Vice President requested to meet with the Area Reps that just volunteered to hang out after general
session to meet.

Report form Corresponding Secretary

My name is Ajail Pete, I am the Corresponding Secretary. If you received any emails or any
information about this reunion it came from me. I am new to this position and currently working to
combine several list for this reunion. I just found out about a month ago in talking with Michelle that
there are additional or at least 2 other list out there that I was not aware of. I have for the past year
been working off of a list that was provided to me from our President Donna Doolin from the reunion
in Oklahoma. That is the only contact list that I have had, so I just want to spread the word if you
know of anyone that is interested in the reunion and I possibly do not have their contact information,
they can reach out to me. I can provide my email address, and telephone number again for those that
do not have it. The best to reach out to me is through email. I do have a Facebook account, and they
will make a comment and say send me information. Since I am not always on Facebook, the easiest
way to reach me would be through email. Please pass that along. I do have an updated list the
President and I have been working on so throughout the next couple days I can either leave it here or
in the hospitality room if you want to look it over to just make sure that I do have your update contact
information, email, phone number, and address so that I can continue to provide information to those
that are defiantly interested in the reunion, dues, and anything of that nature. Right now we are also
working to put a better system in place for those that do not have Facebook and do not have email,
because I do understand that not everyone has those means of communication. We are working to put
a system in place on how to mail out information. One of the things that we had discussed in our
Executive meeting was possible me getting to know who the Area Reps are, it was good to have that
discussion to find out who they are and I would really like to work with the Area reps a little better
that way the Area reps will know who the people are in their city that they can let me know that they
need information mailed out to them. I am new to this trying to learn who everyone is that I am not
familiar with and I don’t know who everyone is not by name or face. I am learning as well. I would
like to work with Area reps to get this directory cleaned up because to be honest it really is a mess.
When I was sending out information, I had about 3-4 different groups that I was sending information
to. I am just trying to keep those things straight in my email. I am just going to need help from the
family until I can get this straight with whom everyone is, and even if you know someone that is
interested and is requesting information if you want to send to me their contact information that would
be great. I do appreciate the family patience with me, as this will not be cleaned up overnight. I have
had a lot going on but if you want to provide your Area Rep your contact information and they give it
to me that will be fine also. Do you guys have any questions?

Question Russell Tyler: When you make list can you see what people preference is to be contacted
like email or regular mail. That way we don’t waste a lot of postage, if a person will put a preference?
Ajail Pete - answer yes, that will also save on postage by not sending information out to wrong
address.

Danita Carter added that there are a lot of deceased people on the list. Ajail Pete answered if you know
if someone is deceased to let her know so that they can be removed. That can be a job of the Area

Representatives to let Ajail know. Donna Doolin agreed with Danita on putting a notation if the person
is deceased or not on the directory.

Floor opened for questions or comments.

Danita Carter commended Ajail on a good for her post on the Facebook page. The messages on
Facebook have been the utmost and helpful.

Sonja House questioned would it be helpful to help Ajail Pete out on printer ink that she is using to put
in her machine to print out things to mail to family that need it in paper form? Billy Brown answered
that he would talk to her off line about if she is using ink for Tyler Family business then she should be
able to submit that to the President, if approved, it she could be reimbursed for that ink.

Treasure Report by Billy Brown . The 2016 report was read.

Treasure asked to get with Danita Carter to discuss how much was spent and how much came in on T-
shirts.

Also I need to get with Michelle Hudson about Tyler Tattlers for last year if you have that
information. We can do that off line

Billy Brown stated that he spoke with Jonece this morning and discovered that his numbers are off by
like one hundred dollars.

The Treasurer opened floor for questions.

Why were there just 75.00 on the photo? Billy Brown answered that went to the photographer that is
how much we paid the photographer to take the picture.

Michelle Hudson stated that she will send information on tattler.

Treasurer reports when he received the account from previous account was $9,229.64. Prior to
reunion the Treasurer collected another $4,724.28 and an additional $2,167.00 yesterday from the
registration table.

Prior to the reunion I paid out $2861.93 (does not include $800 for picnic, which is to be paid today)
$4,000.00 for banquet 535.00 for bus. Without those items balance in account is $11,211.99. This will
be updated once the reunion is over. Treasure opened for questions.

Sonja House Thanked the Treasure for the information that has been provided.

Council of Elders report by Milton Tyler

Milton Tyler reported that they meet with the President Donna Doolin and as you know the Council
members are Elderly and are not able to come to reunion, we are working to revamp and reorganize
ourselves. Review procedures and nomination procedures as talked about we have to consider the
Council members. We need more young blood

Sonja House stated we are getting older and we got to leave this to the children because we need them
to understand what has been going on in this family for 102 years. We want the young people to be in
orientation, we use to call it training. The young generation needs to step up.

Question Melba Coffee: I have been asked to be on the Council of Elders twice, look back in the rules
and regulation it says in order to be a member to the Council of Elders you have to be in training. I
have never got it because I was going by the rules and regulations of the Tyler Association. You have
to go through the rules and regulations and they have to teach you what to do. That is why I am not
there.

We have four members that would like to step up to the plate: Sherryne Evans, Ron Scott, Mary
Hutchins, and Russell Tyler.

President Doolin stated that what Sonja House was saying is rather than talking about it not training
but to refer to it as ‘orientation’ of what it is what the role is to be on the Council of Elders. This was
part of our discussion that we had in out meeting today. All were in agreement to change that from
training, Leon had commented about his mother had said the same thing. The Council of Elders will
look at changing the terminology to orientation.

Sonja House stated it took her about 10 years to get on the Council of Elders.

RaMan Evans stated one thing to remember that it is a great honor to be on the Council of Elders but it
is also a lot of responsibility. In order to get to that point you have had to already to have proved
yourself.

President Donna Doolin stated that there is no school or any class, but the Council of Elders will be
contacting those individuals to be in on that discussion that they will have.

Danita Carter I think it should be done this year, right after this meeting.

Sonja House stated that we have other Elder of Council that are not present and we need to touch base
with them to have them to understand what we are proposing to make some decisions. Think that is
fair that the other Council of Elders should be informed about what we are discussing. We are the
Supreme Court of the Tyler Family Reunion and we meet together and make decision for the Tyler
family.

Standing Committee Reports:

Education Committee report given by Ajail Pete

As you may not have known that my mother Avis Crosby was the chair of the committee and she did
pass away April 14 of this year (2016) so we did rec 2 scholarship applications this year, they are from
Nathanial Fort, Marchai Hudson, so Aunt Mary Hutchinson will be making a decision for those 2
applications.

At this point we will need to find another chair. In her absence we will need another chair to assist
Mary Hutchins. Generally up to 2. We have 2 applicants and up to 2 can be awarded.

Ajail asked for anyone interested in being the chair for education committee. We need somebody.

President Donna Doolin stated might I suggest that not everybody is here that an email be sent to the
body about to recruit individual to be part of the education committee and contact Mary Hutchinson if
interested.

Ajail Pete- stated that the person that maybe interested in the chair position might be able to make
some ideas to do a lot more with the education committee and try to promote it.

Russell Tyler- one reason that we don’t have any applicants is that most of us in here are grandparents,
we are aging out of ourselves and so that is the reason we need to get some of these people that have
children that age involved.

Lovenia House stated I had a son to graduate this year and I forgot about it.

Michelle Hudson - part of it I think is the requirement is dues paid or I have not paid, so do I qualify?
We need to work on communicating that or adjusting the requirements so that the young people can
apply. I just so happen to have paid my dues but some of the young folks see it and say I can’t even
put in for that my mom and dad haven’t been to the reunion for 10 years, my grandma and grandpa
have. We may need to explore that as a family and change that up a little bit.

Ajail Pete - I think that would be a good discussion for the new Chair of the education committee,
maybe along with Mary to work that out and formulate different plan to reach out to those and
possibly have more applicants.

Donna Doolin- stated I think that the education committee can come up with some strategies and if it
goes back to the general body , As being the first recipient of the scholarship you know that they too
can become the president of the Tyler Family Association if they so desire. I think that it is the
promotion that has not happen to the extent of when Aunt Jo (JoAnn Tyler) was the Chair as she was
in people’s face all the time about it, and that is needed also.

Mary Hutchison clarified that you do not have to come to the reunion but you have to have paid your
dues for 2 years.

Billy Brown stated that 5 dollars of every $15 of dues is supposed to go toward the scholarship fund. I
do not have good past records of how much, but now I am keeping track of that so for 2016 there is
$450.00 in the scholarship fund.

Scholarship is given based on how much funds we have in the account. At this time it is open
anywhere from $300-$500 per applicant.

Finance Committee Chair report

Shirley King

Audit of funds collected in 2016 have been submitted to President Donna Doolin, then once approved
submitted to Billy Brown. As of now, 2015 has not been completed cause I wanted to bring that

information to this reunion then I found out that Phyllis could not be here and it has not been done.
There is somethings that we have to find out due the spread sheet was too much for me to try to figure
out how it should have been for transactions. It has been sent to Billy I want to contact Phyllis and
Ralph and see how we can go about doing 2015 so it hasn’t been completed. 2016 is done I think the
President is going to give us a deadline in 2 months to get it done.

We have discussed on how long to keep records and we will keep them for 3 years for auditing. Also
do some researching on what is a good time length to keep records and incorporate it in to the auditing
procedures.

Billy Brown explained that the Association is registered in the State of Kansas as a non-profit one
thing that I am going to research is how to take full advantage of that we may not be taking full
advantage of that right now, but I will be looking into that non-profit status. I will also be looking into
IRS to make sure that we are reporting to them correctly.

Jonece Tyler- we are not a 501c so we do not have any requirements.

Billy Brown stated that yes but he wants to check into that just to make sure.

Sonja House why is it Kansas?

Billy Brown answered I do not have an answer for you.

Jonece answered the former Treasurer at the time did the 501c in Kansas.

Old Business

My name is Edwin House and I presented this potation last year and we had to wait until this year to
vote on it. Edwin House read petition (see attachment) in reference to adding the Gracey name back to
the reunion. Tyler Family Association now was previously known as the Tyler-Gracey Reunion.

Applause

Motion was made to add the Gracey name back to the reunion by Edwin House. Second by Eugene
House

It has been moved and second to need a Tyler Gracey Family Association

All in favor say Aye , the Aye’s carry.

The proper name will be changed on all legal matters and papers.

Announcements:

President Donna Doolin asked Shirley King come forward as she had been Acting Chair of the
Financial Committee in the event of the death of CousinTyler Smith. She was presented with a
Certificate of Appreciation for her dedication and leadership for The Tyler Family Association related
to financial audits.

Names of the dues card still to be picked up were read to make sure no one was missed.

Any host city suggestions for 2018 reunion discussion that we go somewhere else, but not have to
have someone in that city. If we go to Las Vegas we would need someone to plan it. It works better if
you have a host committee for all the details.

Lovenia House we will have tickets available for raffle tickets to win 1 free night off

Russell Tyler- According to the Constitution then Kansas should be the next place we go.

Ajail Pete - I hear what you are saying about Kansas in the Constitution and I don’t have a problem
with Kansas I think that if we are trying to move in the direction of attracting younger generation,
nobody is going to want to come to Kansas. I am just being honest because last time the reunion was
in Wichita hardly anyone came.

Anita Bryant-Ray, host committee report gave information on transportation on how to get to off
campus activities.

Kansas was not confirmed but it is what is right.

Donna Doolin stated that she can contact the event coordinator in Las Vegas. There is a lot of things
that can be done technology wise but will need people in place to do registration and other things.
Sonja House stated that Benny Clay Jr. is in that area.

Ref : Tyler Association, previously known as the Gracey Family Reunion and then Gracey /Tyler
Reunion and later Known as Tyler/Gracey Reunion and then Tyler Family Reunion and now Tyler
Family Association.

Hopeful outcome: The Gracey name would be added back to the Reunion. Example Tyler/ Gracey
Association or Gracey /Tyler Association

There are a lot of Gracey decendants, especially those that live in Oklahoma that feel they were
excluded from the Tyler Family reunion when the Gracey name was dropped from the name of the
family Reunion and also the historical aspect of the Gracey name, Simon Peter Gracey was a very
influential man. Simon Peter and Harriet E (Tyler)Gracey started the family Reunion at the Gracey
Farm in Dover Oklahoma. They are the parents of 1. Millie Ann Gracey, 2. Ardelia Mae Gracey
(1883), 3. Luther Gracey (1885), 4. Samuel Edward Gracey (1886), 5. Earl James Gracey 1887), 6.
George Milton Gracey (1888), 7. Elizabeth “Lizzie” Gracey (1891), 8. Simon Peter Gracey Jr(1893) 9.
Almeada Cora Gracey (1895), (10) Winnie Jean Gracey (1898), 11. Harriet Gracey (1899), 12. Virgie
Ailene Gracey (1904), 13. Booker Telefaro Gracey (1905), (1st President of Gracey/ Tyler Reunion.
14. (Roosevelt (Doc) Trosky Gracey (1906).

He started out Simon Peter Grayson a young boy (slave) in Western Kentucky near Christian County.
His family was sold off and he and part of his family wound up on a plantation in Missouri. During
this time the civil war was approaching the northern half decided to stay with the union. The southern
half remained loyal to the South. The Grayson family escape from Missouri to Kansas (Fort
Leavenworth).

The only formal education Simon received was part of three terms. (A term was five months)

The first day he enrolled and gave Simon Peter Grayson as his name, the School told him the
Government had a “Fugitive Slave Law” and the whole family was in danger of being picked up and
returned to their master.

Then and there he changed the family name to Gracey. Simon learned to spell and write his name that
day!

Free land opened for settlement in the western counties of Kansas. They made plans to homestead
there. They moved west about 1868 and homesteaded eighteen miles south of Great Bend, Kansas and
immediately dug water wells and built Sod Houses on their quarter sections.

There were only about sixty – five Negroes in Barton County but Simon Peter decided to run for
County Clerk. He had the qualifications – a good public speaker and he knew his reading, writing and
arithmetic

The first generation, Germans, Russians, and Irish were his close friends. They preferred him a Negro,
for the office than one of their group. They almost hated those of the opposite national origin. Simon
Peter served four consecutive terms.

Simon Peter met and married Harriet Emily Tyler, a daughter of an Indian Tribal group, who had
moved from Rockford, Indiana and homesteaded three miles south of St John Kansas.

Simon and his wife and two children moved to Dover, Oklahoma, November 1892 to live again in a
pioneer country. God blessed his efforts and he continued to be active in his Church and the welfare of
our social structure.

It was said that he was on his way to Langton Oklahoma where plans were being discus to begin a
black college. They stopped to rest in Dover and people were very helpful to him and his family. He
made friend easily with both black and white

His expertise was in horses and he established a business of raising thoroughbred race horses breeding
and Donkey – Horse crossbreeding to produce Mules. People came from near and far for his breeding
services. He was also a farmer and land owner. He accumulated approximately 640 acres three fourth
of a mile south of Dover In 1920 the Rock Island Railroad and Highway 81 divided his property,
previously known as the Chisholm Trail.

Simon peter was also instrumental in Starting a Black College in Dover (Cimmaron Industrial
Institution) and a black high School in Dover. He had to send his children to Hennessey for High
School and Langton for College. Most of his children were Educators. There is much more to be said
about Simon Peter Gracey and Harriet E. (Tyler) Gracey from Slavery to This.

Simon Peter Gracey ended his life December 1, 1927 and Harriet E (Tyler) Gracey ended her life
March 16, 1937 after seeing most of her thirteen children grown and holding various school rating.
They both are buried in Burns Cemetery in Dover, Oklahoma where I put flowers on their Graves May
26, 2014.
