Description Our college has a centralized enrollment system use by the


registrar’s staff and students every enrollment period, but
because enrollees are still experiencing the inconvenience
of standing in a long line with aching legs and hungry
tummies, we decided to develop the additional system
called Electronic Counting System.

ECS is a network based system developed and designed as


an additional features of our NQCI Intelligent Admission
System which is capable to utilize the school computer
network and sound system. Using this feature each enrollee
will be required to get number stub from the assigned
student assistant/registrar staff/security guard. While
sitting and relax, each of them will be waiting for their
number to be called. The stub will be used once their
number is called on the specified counter/window.

Admission System

Beneficiaries 2 registrar staffs for evaluation, 1 registrar staff for


assessment of fees, 1 registrar staff for printing of
Certificate of Matriculation and more than 2000 enrollees
every semester.

Budget None

Income Generated Saving is on the part of the enrollees since they will only
spent a short period of time for the whole process of
enrollment.

Testimonies If there is a will, there is a way. I really admired the
determination of NQCI to provide efficient and easy
enrollment process in these past semesters. This is of
course with the help of its ITs that is why they come up
with Electronic Counting System in the process of
enrollment. I am a living witness how effective was the ECS
to the fast procedure of NQCI enrollment process.
As Vice President of the Supreme Student Council when it
was first implemented, I observed how ECS helped students
to enroll easily, and comfortable. As SSC Officer, we used to
help as part of our swear obligation to them. I was
impressed with their positive feedback on how effective is
the ECS to them.
In fact, I have a cousin from Panukulan, Quezon, a third
year BSBA student during that time who witnessed and
experienced this new way of enrollment process. She
travelled from Panukulan that day and able to finish her
registration process the same day. She can return to her
town the same day which she never experienced before.
With the use and involvement of ECS, no one is waiting in
line, they can sit while waiting for their turn, they can chat
with their friends while waiting for their number to be
called and some are going back home to do still some
things and just asking their friends to phone him /her if it
was their turn.
Many were impressed and some found it just fine. Still I
believed that NQCI is finding ways to still offer more
effective, efficient enrollment process with the involvement
still of the proven effective Electronic Counting System not
for them but for their students.

The Electronic Counting System utilized by the NQCI played


a significant role in enrollment system. Here are some of its
benefits:
• The students can leave their queue without the risk of
losing their place or position.
• The numbering system serves as a guiding step for the
students especially to the freshmen.

• The students can check their number through the
monitors that are located in the lobby area of the
school.
• The students are getting used to this system since it was
used before.
• It avoids congestion of enrollees in the lobby area.
• The system itself serves as an innovation in the
enrollment system of NQCI.
• The system was already proven effective and reliable.
• It doesn’t need rigid maintenance since it is a compact
and sturdy system.
• Since the system is a simple yet an effective program, it
doesn’t require high tech equipment.

The Electronic Counting System has been helping the


registrar during the enrollment period. It helps to make the
enrollment process be organized. It is also time saving for
the registration officer does not need to stop the admission
to tell or remind the students from time to time to fall in
line properly and to approach the counter one at a time.
Using the ECS, the students may take their seats randomly
while waiting for their turn. They can see at the monitor
the number that each counter is currently serving. The
students may also be able to estimate how long it will take
for their numbers to be called so they can go and be back
again. The Registration officers do not need to call on
manually the next student for the ECS has a default
program that when you press the next number button it
automatically speaks the number.
