CIRCULAR

All employees should take note of following Rules & Procedures related to
HR Functioning, Leave Sanction & Compensatory Off:

(A) Leave:

1. Any Employee who is on duty on pre or next day of weekly rest will only
be entitled for weekly off. This will not be applicable in case of
unauthorised absence.

2. No shift change will be allowed to the employees. In exceptional cases,


an application for shift change duly signed by both employees and
authorised by H.O.D, may be sent to HR Department for necessary
action. In case prior approval is not taken the employee will be marked
as absent if he is not present in his original shift.

3. One weekly off to be given to every employee. No C/off against weekly


off. If a person is called on weekly off day due to any urgency in plant, he
may be given alternate weekly off within next three days.

(B) Compensatory Off:


1. Employees performing “G” shift duty shall not be entitled for any C/off.
However if any staff below the level of Asst. Manager or equivalent is
detained for more than 4 hrs.in G Shift, he may be given C/off for the no.
of hrs. he has actually worked extra. In such case specific reason for
detention has to be clearly given in the C/off slip. Repeated instances of
such nature to be avoided.

2. Extra duty compensation will be given only to employees performing


relieving duty in Shifts where an employee work extra hrs.in absence of
his reliever . This is applicable when the plant is in operation and the
shift cannot be left vacant.

3. C/off slips should be sent daily to HR Department for previous day


clearly mentioning reason for detention . CO slips will not be considered
by HR if same is not submitted in time.

With Immediate effect it has been decided to mark attendance of


all employees based on timing recorded in face reading machine
on day to day basis. Further attendance will be marked as per the
shift schedule available with HR department. The following norms
will be followed:

 Face reading should be done within +15 min. of the scheduled


timing at beginning of each shift and when leaving duty site at
end of shift or before or later as the case may be. In case face
reading is not done within stipulated time,the employee will be
marked ½ day absent, after 3 such instance of late face
reading/ early leaving in a month.

 All employees should do face reading at the beginning and end


of the duty.In case of single face reading,employee will be
marked half day present.
