1 INTRODUCTION

This procedure defines the document numbering and revision systems to be followed
by MDC Oil and Gas (SK 320) Limited (COMPANY). The purpose of the procedure
is to ensure that all documents are systematically numbered and to allow systematic
registration, revision, filing and traceability.

2 DEFINITIONS

COMPANY MDC Oil and Gas (SK 320) Limited, a Mubadala Petroleum
affiliate

Project A phased field development

Contractor The party selected to provide services to COMPANY

Sub-Contractor Any organisation appointed by a Contractor to perform


work on a Project.

Purchaser The party acting on behalf of COMPANY, or COMPANY


itself, who procures the item.

Vendor The main supplier of the item of equipment to which this


document applies, including items designed and
manufactured by others.

Manufacturer The party selected to manufacture equipment or materials


in accordance with the specification.

Document A document is any deliverable that is capable of being


produced in ‘hard copy’ format. It includes all drawings,
text based deliverables, printable spreadsheets and
databases, etc. If necessary, the electronic version of a
computer programmes and results may be allocated a
document number to permit its e-filing within the procedure.

3 REFERENCES

3.1 Order of Precedence

The reference documents listed below, including industry codes and standards and
COMPANY specifications form an integral part of this general specification. Unless
stated otherwise the applicable version, including relevant appendices and
supplements is the latest revision published at the effective date of the contract.

The order of precedence of the applicable documents shall be:-

1. Government Laws, Rules and Regulations


2. COMPANY Project Specification
3. COMPANY General Specification
4. International Codes and Standards
5. Referenced Documents

Any conflict shall be reported to COMPANY for decision. In such a case, and unless
otherwise agreed by COMPANY, the more stringent requirement shall apply.

Exceptions to or deviations from this document are not permitted unless accepted in
writing by COMPANY.

4 APPLICABILITY AND SCOPE

This numbering procedure is applicable to all documents produced on a Project by


COMPANY or its Contractors and Sub-Contractors.

All Contractor numbered documents shall take the COMPANY number as the primary
number. Contractors may choose to allocate a secondary number to documents if it
suits their own internal systems. All lists and registers of documents shall use the
COMPANY number.

All cross referencing between documents, including drawing continuation numbering,


shall use the COMPANY number. Continuations and cross references across the
boundaries of scopes of work between Contractors shall be points of interface. The
Contractors’ interface procedures shall ensure the correct allocation of continuation
and cross reference numbers.

Documents produced by Sub-Contractors shall similarly take a COMPANY number as


the primary number. The Contractor shall issue appropriate numbers to the Sub-
Contractors and shall record all Sub-Contractor documents in the lists and registers of
deliverables.

All Vendor document numbers must be preceded by the COMPANY purchase order
number. The individual Vendor document numbers shall use a numbering system
agreed with the Vendor.

Once a document has been assigned a number, it will retain that same number
throughout its life.

5 RESPONSIBILITIES

The revision and reissue of this procedure is the responsibility of COMPANY. Any
request to expand any of the tables of identifiers shall be routed to COMPANY. New
identifiers shall be used only when approved by COMPANY.

The Contractor primarily responsible for the work on each facility shall maintain a
document register and allocate document numbers both internally and to Sub-
Contractors as required.

6 DETAIL

6.1 Document Numbering Format

6.1.1 Design Document

All design documents shall be allocated a number conforming to:

6.2 Facility Identifier – LLFA

Documents developed specifically for a Project shall be identified by a three digit


facility code followed by a single digit location within the facility code.

The sequence code, A, defines the sequence of installation, ‘A’ is the first, ‘B’ the
second and ‘C’ the third etc. The same sequence code may not be repeated within the

This table can be extended as required by the project.

6.5 Sequence Number

A four (4) digit number, commencing at 0001, allocated in sequence utilising the next
available number.

A sequence number can only be used once. If a document is formally issued to the
Project and is then cancelled, that sequence number cannot be reused.

6.6 Sheet – SS

The individual number of each sheet or subset, if a document is in multiple parts. It is


omitted if the document comprises a single part.

If multiple sheet drawings or subsets are used then each sheet shall carry the same
document number and be clearly marked as Sheet 01, 02, etc. of XX (the total number
of sheets). All single sheet drawings shall be marked as Sheet 01 of 01.

6.7 Revision

All document changes are governed by a revision code, an alphanumeric code is used
to represent the current life cycle state of each document.

Numeric codes ‘0.n’, ‘1.n’, ‘2.n’ etc. are used to differentiate the phase of the project i.e.
concept, FEED, Detail Design, etc. See table 6.7 below.

Single decimal numeric code n.0, n.1, n.2, n.3, etc. depict the document or drawing is
currently in a state of review and approval process and it will sequentially increase the
decimal point number throughout the process until the document is approved for its
intended use.

Alphabetic codes F1, D1, C1, Z1 etc. are assigned to documents which have already
progressed through the review and approval life cycle stage and reserved for
documents or drawings which are deemed to be for final intended use such as those
under the status of Approved for Design, Issued for Use, Approved for Construction or
Approved for Purchase etc.

Next subsequent number to be used and propose of revision to be stated Re-Approved


for Design, Re-Issued for Use, Re-Issued for Purchase, Re-Approved for Construction.

Documents rejected during review by COMPANY shall be revised and reissued at the
same status, and shall not progress to the next revision status until accepted.

6.8 Cancelled Documents

A document or drawing which is no longer used on the project shall not be removed
from circulation or destroyed without clearly indicating on the document / drawing as to
the reason for removal.

A document / drawing may become void for various reasons examples of those are:

a) Breaking up a previously issued drawing into multiple sheets.

b) The document or drawing is no longer needed or the content of the document /


drawing has been incorporated into another document / drawing.

c) The document or drawing has been assigned a new document number because
it contains information that has been transferred to another document or
drawing.

Where a document / drawing becomes redundant in its entirety due to for example, the
removal of equipment; then the document / drawing shall be reissued at the next
revision status with the word "CANCELLED" as the reason for re-issue. The document
/ drawing register shall be amended to indicate the document / drawing status revision
and the word "CANCELLED" added to the document / drawing title.

The revision code of the cancelled document / drawing shall be set to ‘X’ meaning
voided or cancelled.

If an existing document / drawing becomes redundant because of the issue of another


different titled document / drawing, the original existing document / drawing shall be re-
issued at the next revision and the words "CANCELLED AND SUPERSEDED BY (the
different titled document / drawing)" as the reason for re-issue. The document / drawing
register shall be changed to indicate the document / drawing status revision and the
words "CANCELLED AND SUPERSEDED BY” (the different titled document /
drawing)” added to the document / drawing title.

Records of documents / drawings shall not be deleted from their Document Registers.
If a document / drawing is intended to be issued and a record is entered in the register,
but for some reason the document / drawing is not issued, then the existing document /
drawing title shall be removed along with issue status and the words "CANCELLED
WITHOUT ISSUE" added to the title box.

Voided or Cancelled Document / Drawing numbers shall not be re-used, should it be


necessary to re-use a voided or cancelled document number permission shall be
obtained from COMPANY prior to re-use.

6.9 Specific Deliverable

With the approval of COMPANY some types of deliverable may be allocated sequence
numbers that depart from this procedure but lend themselves to a better understanding
of the engineering design. The same overall field formatting must be maintained.

Examples are:

• Piping isometric drawings shall be issued by system and by facility using a


conventional document number, whilst the individual isometric sheets shall be
numbered utilising the line number.
• Heat tracing isometric drawings shall be issued by system and by facility using
a conventional document number, whilst the individual isometric sheets shall be
numbered using the line number.
• Piping support drawings shall be issued by facility using a conventional
document number whilst individual pipe support drawing sheets shall be
numbered using the module location identifier and support sequence number.
• Instrumentation loop diagrams numbered utilising the loop number as detailed
below:

NNNN Sequence Number. The four digit system code and sequence number,
taken from the instrument tag number, as defined within procedure
MPMY-PM-PRC-0002.

SS A sheet number. The individual number of each sheet or subset if a


document is in multiple parts. See Section 5.6.

6.10 Document Number Visibility

The document number and revision shall appear clearly on every page of any
document.

6.11 Change of Document Number

The number of a document shall not be changed within the same revision sequence. If
necessary, the original document should be issued as cancelled and a new document
allocated with a newly started revision sequence.

6.12 Electronic Document Format

All electronic documents shall be saved with the same file name as the original
document number, with the revision code preceded by the letter ‘R’. Electronic file
name shall not have a description of the document included.

The electronic file names are as follows:

If the sheet number is not used then it need not be identified in the electronic file name.

"Native" and "pdf' file formats of the same document shall have the same electronic file
name with the different file extension (such as .dwg or .doc etc. and .pdf).

All native file format documents shall be self-contained, links to other files should be
removed prior to issue, unless the linked files are also provided.

Electronic files and data submitted shall not contain any password protection.

All documents issued to COMPANY for review shall be native documents or in .pdf
format generated directly from an original native file. Colour copy shall be provided
where necessary to understand the content.

Only the front cover shall be scanned to capture wet signatures following approval by
COMPANY and at ‘as-built’ status.

Scanning of the wet signed front cover shall be a minimum of 400 dpi to a maximum of
600 dpi in greyscale except where colour is necessary to understand the content. Once
the front cover has been scanned; OCR (Optical Character Recognition) shall be
applied to enable indexing and search ability, on completion cover to be inserted into
the main .pdf file. Scanned documents shall be quality checked to ensure that all
details are legible and drawings are not skewed.

Documents scanned in their entirety, or in picture formats, will not be accepted by


COMPANY.

7 IDENTIFICATION OF CHANGES WITHIN DOCUMENTS

Documents such as Specifications, Reports, Calculation etc. which are produced in


.doc format or similar text documents shall indicate the location of the change by
marking a vertical line on the outside border of the page.

Drawings shall indicate the location of the change by including a cloud around the
revised part of the drawing or document with a small triangle inserted adjacent to the
cloud with the new issue number marked within it.

For documents where the use of clouds may be un-suitable, confusing or inadequate,
then in-place of a cloud, a vertical line or a revision column may be added.

When the drawing or document is updated again to the next issue, the previous vertical
line or clouds must be removed and only the new revision vertical line or clouds must
be shown.

When a document reaches the issued ‘As-built” status, it shall be issued as “cleaned
copy” with no “change identification” marks from earlier issues showing.
