Abstract

This research will focus on the problem of classifying the books based on searching its

category and has its accession number and call number (using of Library of Congress) for

the library. Classifying the books based on searching its category with the use of accession

number can determine the sequence with the issuance of books in the library it also denotes

the number of pages that the librarian will consume in the record. For instance, the librarian or

the student’s wants to view the book that has been issue in the library, they will just type in the

search box the accession number and it will display the entire possible book that they want to

view. Embedding an accession number is useful to the user including to the searching of

books because it will display all the records that has been issued. In the case of placing a call

number(Library of Congress), it is also useful for the user by its locator to determine what

section, categor y ,year publish was the book. Moreover, placing a call number will make the

record of the book formal because of the layout in each book.

This research also give emphasize the use of World Wide Web (www) because of

the modern years that we faced and to achieve the online viewing. This is important because

most of the user is now interested in using the internet from doing their assignment, projects,

attaching to social media (facebook, twitter), and the online games. So it will make sure that it

can be u sed as an medium of giving information.

The proposed research is to classify the book with online cataloging for the library.

Classifying the book and making the catalog online is what the research will make with the

use of Visual Basic.Net and ASP.NET (Web Application) to make it visible in the World Wide

Web.

The research is limited for the issuance of book because it is only for viewing or

classifying the books that has been displayed in the library.

PREFACE

Over the past years, it has difficulties when it comes to classifying of books because

it must to expend much time to do this work and also for using card cataloging of books,

like author card, subject card and little card. So the proponents proposed a book classification

with online cataloging to help them in this kind of work.

Card catalog is important because it helps us to locate things in the library easier. The
importance of this study is to help the librarian to easily organized the books in short period of
time, to the students and faculty members to easily for them to look if the book that they look
for is available in the library, for the researchers to enhance their programming skills and to
communicate to the other people, and to the future researchers to share the knowledge and
giving them a guide for their project development.
1.0 INTRODUCTION

1.1.1 Statement of the Problem

The proponents will develop an Online Public Access Catalogue

(OPAC) with Online Cataloging for the Library of STI Academic

Center- Novaliches. The following problems are as follows: first is how

to create a card catalogue module to be used in searching book

information such as book title, authors, and classification, which will

illustrate the content of the book, information related to the title, author,

publisher, accession number, call number and including bibliography or

index; second is how to create a module that will manage the relations of

the books on different courses/subjects, this will manage the assignment

of book information to different courses and subjects; and last is how to

create a module that will generate status report such as the list of obsolete

books, damaged books, lost books and books per course/subject, which

will produce status reports that will be issued to the different

departments of STI Academic Center- Novaliches.

Library works are awfully tough especially on classifying and

cataloging the books one by one. The proposed system will help the

students, faculty member, and the librarian in searching book

information

easier and recognize if the book is available.

1.1.2 Current State of the Problem

The overview of the current state of technology in the library at STI

Academic Center-Novaliches states that it has a manual process of

card cataloging, accession number of book, assigning of call number, and

reports. The assigning of call number is based only at Library of Congress.

The Library of Congress is a material that is used for creating its systematic

cataloging and shelving which consists of twenty-one categories labeled A-Z

except I, O, W, and X - it refers to the subject of the book and divided by

adding one or two additional letters and set of numbers which is located at

the bottom part of the back of each book. This is a sequential number given for

the accession of every book in the library.

In card cataloging, information such as book title, author, classification,

bibliography or index and location of book has to be written on a card for record

purposes; this process is being done each time the library receives a new book.

Generating reports is done manually on a status basis. Its contents

include accomplishment reports such as management of the library and its

personnel, and other library concerns specifically book-related matters, which

are

submitted to the Academic Head, Ms. Rosabell O. Nealega.

In the view of the current state of the problems, the proponents intend to

propose a system that will systematically monitor the availability of the books in

the library of STI Academic Center - Novaliches. Moreover, the proposed

system will provide modules that will help the students to easily access and

search books. This would also help the library personnel to perform library

system and process faster.

1.1.3 Objectives

1.3.1 General Objective

The primary objective of the proponents is to help the

students and assist the librarian by having a “Computerized Online

Public Access Catalogue (OPAC) with Online Cataloging for the

Library of STI Academic Center-Novaliches”.

1.3.2 Specific Objectives

• To develop a card catalogue module that can help in searching book

information such as book title, authors, and classification and

including bibliography or index in the book.

To create a module that will illustrate the content of the

book information related to the title, author,

publisher,

accession number, call number and certain content.

• To develop a module that will manage the relations of the books per

course/subject.

To create a module that will manage the assignment of book

information to different courses and subjects, the proponents will

make use of Microsoft Visual Studio 2008(Web Application) as a

programming language.

• To develop a module that will generate status reports.

To create a module that will produce status reports that will

be submitted to the different departments of STI Academic Center,

the proponents will focus on areas of usual concerns such as

producing lists of obsolete, damaged, requested and required

books

for all the courses.

1.3.3 Scope and Limitations

The proponents aim to develop a system that consists the

following:

o Security Module

To prevent unauthorized personnel to

access the system, the proponents created a

username and password as a protection and to

restrict users for easy access to the library files.

o Accession Number Assigning Module

This module will assign the book based on

the first issue to its latest release.

o Book Entry

This module will input the book information

by assigning the accession number, call number and

the relationship of the books per course/subject.

o Module for classifying of books and assigning of

call number

This module will address the book based

on the category and subject using the Library of

Congress.

o Card Catalog Module

This module will determine the book’s

availability. It will also guide the students in

searching the topics and the book information that is

indicated in card catalog.

Limitation

o Book issuance

The proposed system will not include the

issuance of book; the study will only focus on

the process of classifying the books, assigning

its call and accession number, and providing

information on its availability. The proposed

system will only focus on classifying and

categorizing books based on its content. The

borrowing and returning of books is part of the

library system.

2.0 THEORETICAL FRAMEWORK

To reach the objectives and the requirements of the proposed system, the proponents

used the subsequent theories:

2.1 Introduction

The proponents identified a theory in developing a system that guided the

researchers in determining what things have be measured and what statistical relationships

have to be considered and analyzed.

2.2 Relational Database

Relational Database is a database that has tables and records that is identified

by its name.

The proponents used the relational database to guide users for classifying and

monitoring the issuance of books based on the records of accession number and call number.

The recording of data in accession number is identified by the total number that has been

issued and represented by using a table that specified its title, author and category.

2.3 Structured Query Language

Structured Query Language is used for storing and modifying information in

database. It is also used in web development for retrieving the data that has been stored in

the

database.

A Online Public Access Catalogue with Online Novaliches

Cataloging for STI Academic Center-
Page 2-1
The proponents used this database in developing a web application that will

identify its integrity, availability and avoiding data redundancy. It also provides information

that will be used in adding, updating, and displaying data output from the database.

2.4 Transaction Processing System

Transaction Processing System is a part of information system that collects,

identifies and retrieves data of a transaction.

The proponents used the TPS for the transaction processing in displaying the

books that had been issued in the library, which includes the list of details according to its type.

2.5 Structured Design

Structured Design gives guidelines for the system through symbols or diagrams

to lessen the complication.

The proponents used a Data Flow Diagram to define the information system.

The information is stored and identified during the flow of process and it is used to illustrate

how the procedure has transformed.

2.6 Web Content Development

It is a process for publishing information, gathering information, and searching

information on web application.

The proponents used ASP.Net for the graphical user interface of a web system to

make the transaction reliable and user friendly. They also used Visual Basic.Net for

the

framework of the system such as the transaction of adding a new book and updating the book.

A Online Public Access Catalogue with Online Cataloging

for STI Academic Center-Novaliches Page 2-2
2.7 Summary

These theories used by the proponents like SQL Database for storing the data

information, TPS for the transaction of the system, and DFD to know the flow of the system.

The proponents also used Web Application for transferring the data information into World

Wide

Web.

Page 2-3
3.0 A Online Public Access Catalogue (OPAC) with Online Cataloging for STI Academic

Center - Novaliches

3.1 Introduction

The proposed system is about “How to develop a Online Public Access

Catalogue (OPAC) with Online Cataloging for the Library of STI Academic Center

- Novaliches?, because the school has a manual process in assigning call number

and card cataloging in searching book information such as book title,

authors, classification and including if it has bibliography or index. The generation

of the library status report is also a problem. The librarian only based the assigning

of call number at the Library of Congress, thus the proponents will provide a

module that can identify and assign the book’s call number according to its subject

and category using the Library of Congress and to help and classify the book

based on the procedure of Library of Congress. This will guide the students and

librarian in searching topics and book information that is indicated in the card

catalog.

The searching of books availability is done manually. A card that has a list

of information such as title, author, classification and part of the book’s content is

used of its contents, thus the proponents will create a module that will manage the

assignment of book information to different courses and subjects which will help

both the librarian and students in the easy access of the available books for research.

Regarding the relation of the books and their significance to the different

courses/subjects, the proponents will create a module that will manage the assignment

A Online Public Access Catalogue with Online Novaliches

Cataloging for STI Academic Center-

Page 3-1
of book information to different courses and subjects. This module will help

organize the books based on their relations to the different courses and their

availability.

In the generating of status reports, the proponents will create a module

that can produce status reports that will be submitted to the different departments of

STI Academic Center - Novaliches. Included in the reports needed to be generated

are the list of obsolete books, damaged books, and those that are associated to

different courses. The generation of reports can be done in sequence through

classification of the books.

The proponents will create this system to handle and manage the activities

involved in the library of STI Academic Center - Novaliches through an efficient

and reliable way. It will lessen the workload of the personnel concerned, thus

making the library system function efficiently in a general perspective.

3.2 System Design Specification

The proponents identify each requirement that is needed in developing the

system by data gathering procedure such as conducting interviews.

A Online Public Access Catalogue with Online Catalo

ging for STI Academic Center-Novaliches Page 3-

Interview

The proponents had a personal interview together with Misses Vanessa, Janize

and Jeneen, the STI librarians who helped the proponents gathered information regarding the

library processes such as acquiring and accessing the books, and the procedure of card

cataloging.

Research

*Internet

This served as a guide to the proponents to gather certain information, which

helped them in this project. It served as a vehicle for the proponents to download several

applications required in the system.

*Reference Books

These printed materials also gave assistance to the proponents in improving the

contents of the system’s documentation.

3.2 System Design Specification

The proponents gathered information by interviewing, brainstorming and

researching to the reliable sources such as books, thesis books and the Internet to complete the

requirements needed in the study.

4.0 PERFORMANCE ANALYSIS

This module is used to gather data such as interview, observation and research for

the document sample in the development of the system to make the objectives and present the

data needed in the system.

4.1 Introduction

In designing and developing the online cataloging and monitoring system for the

library of STI Academic Center – Novaliches, a group is assigned to perform and accomplish

the system. The developers conducted methods in gathering data to fulfill the system

requirements and information needed to the system development.

4.2 Experimental

Interview

The developers interviewed the librarians to gather data needed in the

study. The interviewer asked the school librarians, Ms. Janize and Ms. Vanessa. They gave

answers in details and made suggestions on how to improve the library system in terms of

cataloging the books.

Observation

The developers carefully observed the manual processing of card

cataloging and assigning of numbers to the books. They also witnessed the improper searching

and monitoring of books’ availability.

Internet

It is used in gathering information on how to properly process books’

procedures in terms of cataloging

4.3 Result and Analysis

The problems presented resulted to the analysis of what can be done to the existing

manual system of card cataloging in the library of STI Academic Center – Novaliches, thus the

proponents came up with a system with modules that can help improve the ongoing process -

the scope and limitation of the study and its other features are presented.

4.4 Summary

The experimental stage helped the developers to analyze other needed requirements

for the development of the system. They used all the gathered data and materials to formulate

on the ideas of how the system will work with the primary objective of enhancing the current

manual processes of card cataloging and monitoring of books in the library of STI Academic

Center – Novaliches.

Page 4-2
5.0 Conclusion

In the process of making the book classification with online cataloging in the library of

STI Academic Center-Novaliches, the proponents encountered problems such as: how to

develop online public access catalogue (OPAC) with online cataloguing where in the

proposed system will be able to input the book information, assigning accession number,

classifying the call number and relating data information through subject and course; how to

create a card catalog module to be used in searching book information; how to create a module

that will manage the relations of the books to different courses/subjects; and how to create a

module that will generate status report and create a website wherein the librarian will update

where the student/faculty member can view the book information.

With those problems stated and presented, the proponents came up with an objective to

develop an online public access catalogue (OPAC) with online cataloging for the library of STI

Academic Center - Novaliches, wherein the librarian will be able to update and classify

the books with data information easily. It will be more convenient now to the students and

library personnel to access the books. This would also greatly help the librarian to classify

and assign the accession number, call number, and the relations of the books to

the different subjects/courses, which is the primary objective of the project – to improve

the transaction

process of the library system in STI Academic Center – Novaliches.
