OVERVIEW

Dassanayake Motors (Pvt.) Ltd. is a vehicle repairing and maintaining centre that has been operative
since 1988 in Sri Lanka. They are still using the manual file based system which has been used since
the beginning, to manage the information that is generated. They started off with a client base of
around thirty members and with twenty employees and now the business has grown immensely.
Hence, the manual system has now become a handicap in the daily operations as its ineffectiveness
and the manual workload makes both the customers and the employees displeased. For example, the
employees have to maintain the repair/maintenance record history manually and from a customer’s
perspective; he/she will have to visit the shop to check on the actual status of the repairs done.
Therefore, the proposed system will reduce the workload and satisfy both employees and customers.

SCOPE AND APPROACH

1. Vehicle

The system should register the vehicles during its first repair/maintenance.

System will maintain information on the vehicle such as type, colour and owner’s details.

The repair/maintenance history of the vehicle could be viewed.

The information regarding a particular vehicle should be only accessible to the team in-
charge of the repair/maintenance and the owner.

2. Repair / Maintenance

The staff can check the schedule of the pending or on-going repairs/maintenances.

Customers can log in to the system to check information such as the status of the vehicle,
the expected date for pick-up, the amount to pay.

Employees will update the repairs done to the vehicle that they are in-charge of.

3. Customer

Customers could be registered with the system during their first visit and will be provided
with a username and a temporary password.

Customers should be able to log in to the system and perform certain actions.

4. Payment

System will automatically generate the invoice/receipt.

Receipt/ Invoice can either be printed or emailed.

Customers can only pay the amount during the pick-up of the vehicle.

5. Reports

Admin/staff should be able to generate reports according to their requirements.

Reports generated will be: Employee performance report

Monthly repair/maintenance type report

Repaired/Maintained Vehicle types report

The system will be designed and developed based on Object Oriented Methodology using
Rational Unified Process as the process model. UML will be used as the modelling language.

FITNESS FOR PURPOSE

Delivery of all system functionalities will be validated using traceability matrix and UAT.
