3.

1 PRODUCT PERSPECTIVE
The system’s purpose is to provide access to the up-
to-date state of records of the students and other
stakeholders. The records collected will be retained to the
database organized and secured. It is designed to provide
accessible environment where in students and student
facilitators communicate each other concerning about the
sessions of counseling. The system also aims to reduce
issues regarding loss of individual inventory and errors in
encoding details. The information entered will be
automatically updated timely. Notification will be sent to
the student’s and other stakeholders involved either by text
or email regarding the student’s progress and development.

The software application is divided into the following


modules:

File Maintenance Transaction


Cumulative Form - To obtain personal
data/information regarding
the client.
Referral slip - Issuance of referral slip to
the students through the
professor or dean.
Contract of Agreement - Terms and conditions under
which work will be performed
agreed by both parties.
Grades - Provide alternative and
creative academic support
and enrichment
opportunities.

- Agreement between teacher


and student to ensure
quality controls within the
contract to make certain
students were producing good
work.

Attendance Tracking Form - To keep track of the


student’s attendance.
Call Slip - To notify the student for
follow-up purposes
Appointment Slip - Schedules counseling
sessions with the referred
students.
Personality Test Questionnaires Interviews of the student and
conducts preliminary assessment
about the concern presented.

REPORTS:
1. Exit Interview Report
- Gathered information regarding as to the reason why the student
needs to leave the university or attend another school.
2. Counseling Report
- Overall information regarding the student’s behavior or
performance as to his/her emotional and intellectual well-being.
3. Contracts of Agreement Feedback Report
- It contains the actions taken and remarks regarding the
student’s performance with respect to the terms and conditions
agreed upon.
4. Teacher Referral Feedback Report
- It contains feedback report concerning the student's behavior
and/or emotional well-being.
5. Teacher Referral Feedback Report
- It contains information concerning the student performance. It
is either because of the way the student’s problems are
interfering with his or her academic work or with the
professor’s teaching, or because observation of the student’s
personal behavior raises concerns apart from his or her
academic work.

UTILITY
This includes user log in and log out, change password and
forgot password.

3.1.1 System Interfaces


The system has no system interfaces.
3.1.2 Interfaces
A Graphical User Interface (GUI) created by the
system developers will be used to access the system.

3.1.3 Hardware Interfaces


The system had no hardware interface.
3.1.4 Software Interfaces
CCCSDIIMS would use the following software components:
 Google chrome, Internet Explorer, Mozilla Firefox,
Opera Mini, and other browsers as means of
connecting to the CCCSDIIMS.
3.1.5 Communications Interfaces
Hyper Text Transfer Protocol (HTTP) would be the
protocol used to access the CCSDIIMS. It is intended
for the security of communication over a computer
network which is widely used on the internet. The File
Transfer Protocol (FTP) is also used to transfer and
copy file documents from the system.

3.1.7 Operations
CCSDIIMS would constantly operate on a daily
basis with the exception of other server related issues
such as server maintenance and power disruptions.
