PART A
It is said that school days are the best days and has lot many new things to
be learnt. I won’t forget the incidence of annual day of my school which
made think twice before taking responsibility of conducting and organising
an event. Pragya and Rohit was the head girl and head boy of our school
(De Nobili School). They were assigned the responsibility for organising and
coordinating annual day. For the above purpose they were asked to make
teams who would help them in conducting the event. They selected the
members as per their choice not following any specific criteria.

Days passed on and they did nothing and twenty days passed and team
members received no information about how the task will be conducted. As
the day for celebration was coming near and now only 10 days were left for
the celebration. Finally the members got call and were asked to collect
money and select people for various events like dancing, singing and sports
etc. We started collecting money from each students (Rs.20).It took nearly
2- 3 days to divide the task among us. We use to go to every class & select
the student for dance and song & teach them.

At the end of each day we used to have meeting at canteen. But it was of
no use as Rohit & Pragya were arrogant and dominating in nature, they use
to take decision on their own& gave no importance to the members. They
use give their own opinion and they did not even bother to take suggestion
or any kind of feedback of the members. They did not even ask what
problem the members were facing which made us feel frustrated.

Both Pragya and Rohit they use to keep meetings at their suitable time
according to their convenience, these lead to quarrel among the team
members. Even the meeting which were held was not productive and
lacked objectivity. Most of the time they deviated from the topic and
discussed what happened in schools.
As the day of function was coming nearby the pressure was increasing,
nothing was planned so the team leader got frustrated due to frustration
both the members behaved in very bad manner& were not able to make
right decision. Both of them tried to prove themselves superior to each
other. There was chaos in the team

Finally the day came, the annual celebration begin with welcome songs
represented by the student followed by the lighting of the ceremonial lamp
by the director of the school. The cultural song begin with Ganesh vandana
by the student was sung in chorus & much appreciated but the real
mismanagement started after this.

It was bright sunny day .The sun was on the head, the student they started
sweating. There was no proper arrangement of fan and water. Slowly-
slowly audience started gathering even parents started to come. The kids
they started to feel hungry and thirsty. The food packets were not available
on time to the students. They were no proper sitting arrangement. It was
difficult to control the situation & no one was interested in seeing the
programme.

Finally the teachers controlled the situation, after the programme was
complete we got lot of scolding from our teacher & it was the last time the
student they got the responsibility of annual day celebration.

Problems identified
 No rules and regulations were made and applied.

 Teacher’s responsibility is also questionable as no whole thing was


given to students and no teacher was assigned to monitor the activities
of teacher.

 No emphasis was given on creating the seriousness of the event and its
importance.

 Both the head girls were irresponsible none of the team members took
the responsibility of discussing the matter with the teachers.

 No time management.

 No feedback was taken due to which no control activities was


exercised.

PART B
Solution:
1. Creates Urgency Demanding Performance Standards And
Direction:

As both head boy and head girl were not taking responsibility properly. Days
passed on and they did nothing and twenty days passed and team members
received no information about how the task will be conducted. As the day for
celebration was coming near and now only 10 days were left for the celebration
and also there was no practise and audition for participant.
All team members need to believe the team has urgent and worthwhile purposes,
and they want to know what the expectations are. It could have been created by
conducting meeting on the very first day and assigning each member their
responsibility and which would have abided the accountability of each member.

2. Members Should Select For Skill And Skill Potential, Not Personality:

They selected the members as per their choice not following any specific criteria.
No team succeeds without all the skills needed to meet its purpose and
performance goals leaders choose members on their choice without any checks.
The head should have selected the students for the organising committee on the
basis of their knowledge of the various events and experience of conducting such
event. This could have ensured a better show.

3. Need Attention To First Meetings And Actions:

In this team there is lack of proper understanding of the importance of the event.
Initial impressions always mean a great deal. When teams formed first they should
gather and every member should follow the signals. Team leader should oversee
or influence the team. They should have handled the first meeting with full
sincerity and seriousness. This would have infused sense of responsibility.

4. Discipline Required:

Team leader should follow the discipline while planning various activities of
annual day. This could have been done by implementing fine of Rs. 10 for the
members if they failed to do task assigned to them and similarly rewards could
have been given to members performing well.

5. Rules And Regulations Should Follow:

Team members should maintain rules and regulation for effective performance.
They should develop rules of conduct at the outset to help them achieve their
purpose and performance goals. Team members should discussion on events.

6. Communication between Leaders and Team Members:

Team leaders and team members should communicate about what events
organized and should call to each other about the progress of task and what
further activities needs to be conducted for accomplishment of goal.

7. Participation of Team Members And Suggestions Required:

As we saw that both were arrogant and dominating in nature, they use to take
decision on their own& gave no importance was given to the members. They
use to give their own opinion and they did not even bother to take suggestion or
any kind of feedback of the members. They did not even ask what problem the
members were facing which made us feel frustrated. So they should participate
the members’ suggestion also.

8. Challenge the Group Regularly with Fresh Facts and Information:

New information causes a team to redefine and enrich its understanding of the
performance challenge, thereby helping the team shape a common purpose. Set
clearer goals, and improve its common approach.
9. Spend lots of Time Together:

The successful teams we have observed all gave themselves the time to learn to
be a team. Common sense tells us that team members must spend a lot of time
together, scheduled and unscheduled, especially in the beginning.

10. Proper Arrangement of Water and Food Packets:

There was no proper arrangement of fan and water. Slowly- slowly audience
started gathering even parents started to come. The kids they started to feel
hungry and thirsty. The food packets were not available on time to the students.
They were no proper sitting arrangement. It was difficult to control the
situation. So team members should proper arrangement of water and food.
They should have consulted with the faculty members that what number of
people are expected to come and should have accordingly arrangements should
have been made. Water filters should have been placed at various places

11. Exploit the Power of Positive Feedback, Recognition, and Reward:

There should be proper feedback of audience and reward and compensation is


given to member who performed well in team.

Conclusion:
We identified various problems and have suggested some solution which if
implemented would have made the event successful. More commitment
should have been infused with the help of shared-leadership,
empowerment, and accountability. It should be understand that a real team
never seek consensus. A formation of work group would have greatly
helped in accomplishing the desired result
