Preconsiderations regarding the database structure
During the conversion, the software proposes fields which are to be used as
the organizational fields. You can try the various database structures in a
preview before deciding on the most appropriate field arrangement. Existing
field entries will remain, independent of whether or not you define a field as
an organizational field.
You create varying STAR databases, depending on which field you define
as the organizational ID or organizational field:

An individual database foIder is created for each "customer" in this STAR
database. This is only reasonable if the customers vary and if all of the doc-
uments belonging to a customer contextually belong together.
One of the Archive database
fields has now become the
organizational ID in the con-
verted STAR database. In
this example it is the "cus-
tomer".
From the remaining fields
there are a few organiza-
tional fields which describe
the "customer" more thor-
oughly. A customer has
been highlighted in the ex-
ample. The organizational
fields are arranged in the
form view.

You can also convert the same Archive database to a STAR database
whose records are sorted by another criteria, for example "specimen num-
ber". You will then also change other database fields to organizational fields,
since the "specimen number" is characterized by other fields, such as the
"customer".

Converting databases step-by-step
Case 1
A backedup Archive database is to be converted to a STAR database. Images and documents from the
Archive database should be continued to be used by the STAR database. Due to the amount of time re-
quired, it is advisable to collect attached documents only when you want to load the document.
This conversion should be the rule, especially if very large amounts of data are to be converted.
How to... 1) Before beginning a conversion, check to see if current backup copies
of the Archive database exist.
2) Decide which user-defined database field is to be the organizational ID
for the new STAR database.
3) Make sure that the Archive database is no longer open on any work
stations in the network.
4) Start the image-analysis software.
5) Check to see if the STAR-Add-In has been activated. Select the
Special > Add-In Manager... command. The check box in front of the
STAR STructured ARchive entry must be selected. The entry is not al-
lowed to be marked with an asterisk.
6) Select the Database > Administration > Convert Image Database
(mdb)... command to start the wizard for the database conversion.
• Should this command not be accessible, please contact our cus-
tomer service.
7) Follow the directions of the conversion wizard:

An Archive database is to be converted to a STAR database. Images and documents from the Archive
database should be imported into the new STAR database. In doing so, all images and documents from
the Archive database are copied to the destination drive. For the conversion, therefore, you need twice
the amount of storage capacity as needed for the Archive database being converted.
We recommend this conversion if no backup copy of the Archive database exists. You can also use this
possibility to alter the ways of storage with the new Database. For example, you can archive an Archive
database with a single large volume after conversion to various storage mediums.
Warning You can only then import an Archive database if the destination drive has
enough storage capacity for all the documents of the Archive database.
Please note, that copying larger amounts of data equally requires a longer
amount of time.
How to... 1) Before beginning with the conversion, make sure that the destination
drive has enough storage capacity for the entire Archive database.
2) Keep all your storage mediums containing Archive volumes ready.
3) Decide which user-defined database field is to be the organizational ID
for the new STAR database.

Should the Archive database have been moved in the meantime, the system
will not be able to find the files. In this case, you can select the current path
of the Archive (File type Database Files (*.mdb)) located in the Load Data-
base dialog box.
Should single database volumes have been exported to CDs in the mean
time, the system will not be able to find the files. In this case, you can select
the volume's current path in the Browse for volume ... dialog box.

with the volume path name only once. The Browse for volume ... dialog box
opens. The name and the sought-after volume are shown in the dialog box's
header. Look for the correct document folder or insert the required CD into
your CD-ROM drive. Images from the same volume are now loaded without
queries.
Should you work on numerous work stations, you must provide in some cas-
es the database path name of the STAR database when opening a report.
This is the case if the database was not converted on the station on which
the report will be loaded later.
In this case, the Load Database dialog box opens. Select the entry Data-
base Files (*.apl) from the File of type list and provide the current directory
of the converted STAR database only once. When loading the next report
which contains images from the same database, you do not have to provide
the database path names again.
The STAR version still en-
ables you access to all mdb-
files which contain images
from reports.

When encountering problems with conversion ...
The way in which fields are positioned in the STAR database after conver-
sion depends on whether or not the software was updated during installation
or newly installed:
If you update your software,
the system settings remain
unchanged.
Case 1: The STAR database adopts your existing field arrangement on each work
the software was up- station as much as possible, should you have updated the current version
dated during the installation of your new Software version. Thus, each user finds
the usual fields when using query, for example.
Case 2: Should you have completely reinstalled the image-analysis software, the
the Software adopts fields in the converted database are positioned as they were in the default
the default arrange- arrangement of the Archive database. The default arrangement can be de-
ment fined for all network users via the Arrange fields dialog box of the Archive
database. You should check the default field arrangement before conver-
sion and modify them, if necessary.
How to... This is how you check the default field arrangement of your Archive data-
base:
1) Should you have overwritten your old software version during installa-
tion, activate the Image Database Add-In. To do so, use the Add-In
Manager "This is how to load the Archive database with a STAR soft-
ware version: 20).
2) Open the Archive database exclusively. To do so, select the Database
> Open... command. Select the mdb-file in the Open Database dialog
box and select the Exclusive check box.
3) Select the Database > Arrange fields... command.
4) Click the Standard button to adopt the current default settings.
5) Select the desired setting for each tab.
6) Click the Set Default button to determine the current field arrangement
for all users anew.
7) Exit the Arrange Fields dialog box by clicking OK.
