1. Homepage (Pre – Login)


The pre-login homepage of the portal can be accessed on URL:
https://samanvay.cpse.in/homepage/login/.The pre-login homepage allows you to navigate and
browse the content which is available for general public. And if you are a registered user you can
login to the portal through Login Area available over the homepage by entering your valid login
credentials. The components over the homepage are listed as below:

1.1. Font Resize Option


This option allows resizing the text to read the content of the site with ease.

1.2. Color Contrast Option


This option allows to choose adequate contrast between text and background color within
the site. This option helps those users who have difficulty perceiving text if there is too little
contrast between foreground and background.

1.3. Color Theme Option


This option will help users to change the color theme as per their choice.

1.4. Language Change Option (Hindi – English)


This option will help user to change the Language (English to Hindi and vice versa) of the
site. Using the option user can change the language of the Header Menus and Footer Menus
only.

1.5. Logo Area


On top of the pre-login homepage, there is an area specified for the logos of Knowledge
Management System (KMS) and Department of Public Enterprises (DPE). The KMS Logo is on
the left top and DPE logo is on the right top of the Logo area.

1.6. Header Menu Bar


On the pre-login homepage, user will find the header menu bar.

This header menu bar has the following Menu:

1. Home – This home icon button redirects the user to the pre-login homepage of the CPSE
Portal. User can click on this button icon from and within any section or sub section.
2. About Us – User can go to the “About Us” web page on click of this menu. This web page
would contain the static details related to CPSE KMS.
3. Repository - On hover over this menu, a mega menu will open. This mega menu will
have the horizontal scrollable list of cognate groups. Each group will have their Image
which would be clickable. But on click, user would get a message pop up i.e. “Please
Login to Access”.

4. Public Documents – On hover over this menu, drop down list will come up showcasing
public documents such as Annual Reports / Financial Results / Accomplishment / All. On
click over any of the document category within the drop down, user will be navigated to
a page showing the list of the documents of that category.
5. Contact Us – On click over the menu, a web page will open showing the contact details
of Samanvay Helpdesk team.
6. Infra Facilities – On click user would get a message pop up i.e. “Please Login to Access”.

1.7. Banner
Banners are displayed over the pre-login homepage, which will be scrolled after specific time
duration.

1.8. Login Box


This area is for the registered user to login to the portal with valid credentials.

1.9. Samanvay
This section will display the features of the Knowledge Management System.

1.10. PM Message
This will display the Image and message of Shri Narendra Modi, Prime Minister of India.

1.11. DPE News


This section will display the DPE News. The news displayed will be RSS News Feed from the
DPE site.

1.12. Top Contributors


System will show the list of top 3 contributors based on the highest contribution/activities
within the portal.

1.13. Footer
In footer section of the site there will be a standard sentence for copyright, visitor counter
along with scrolling of CPSE logos as quick links. On clicking any one, user will be redirected

to the respective CPSE’s site.

2. Homepage (Post-Login)
Post successful login, user is directed to his homepage on this portal. This allows user to navigate
to any section of the portal directly. As a registered user you can browse the content which is
available for CPSE employees. The components on the homepage are listed as below:

2.1. Font Resize Option


This option allows resizing the text to read the content of the site with ease.

2.2. Color Contrast Option


This option allows to choose adequate contrast between text and background color within
the site. This option helps those users who have difficulty perceiving text if there is too little
contrast between foreground and background.

2.3. Color Theme Option


This option will help users to change the color theme as per their choice.

2.4. Language Change Option (Hindi – English)


This option will help user to change the Language (English to Hindi and vice versa) of the
site. Using the option user can change the language of the Header Menus and Footer Menus
only.

2.5. Logo Area


On top of the pre-login homepage, there is an area specified for the logos of Knowledge
Management System (KMS) and CPSE Logo. There will be a CPSE wise logo with respect to
the registered user’s CPSE. KMS Logo is displayed on the left and CPSE logo is on the right
side.

2.6. Header Menu Bar


On the post-login homepage, user will find the header menu bar.

This header menu bar has the following Menu:

2.6.1. Home
This home icon button redirects the user back to the homepage of the CPSE Portal. User can
click on this button icon from and within any section or sub section.

2.6.2. Repository
On hover over this menu, a mega menu will open. This mega menu will have the horizontal
scrollable list of sectors. Each sector will have their Image icon which would be clickable. On
click, user would be able to view the list of CPSEs under the selected sector. Once user clicks
on any CPSE, the list of functional domains of that particular CPSE will be displayed. On
clicking on domain name user will be navigated to the page displaying list of documents
stored in that particular domain.

Steps:

 Click on “Repository”
 Select either “Company Domains” or “Common Domains”, as per your preference
 Click on the respective sector as per your interest
 Click on the “CPSE” name from the list displayed within the sector
 The list of the CPSE specific domain will be displayed, you can click on the preferred
domain name and the system will direct you to the page with list of documents w.r.t
that particular domain.
 Click on the document to download and read.

2.6.3. Lessons Learnt


A lesson is a knowledge or understanding gained by experience. This section allows users to share
their valuable experiences/lessons which they learnt on job & feel would be helpful for everyone.
The lessons which have been contributed by user on the portal are displayed on “My Contributions”
option in “Lessons Learnt” dropdown. User can find lessons shared by other CPSE employees under
“View All Lessons”. To add lessons on the portal please follow following steps:

 Click on “My contribution””


 Click on “Add New Lesson” button on the right hand side.
 A pop up would appear displaying the following form and upload option.

 User needs to fill all the details mentioned in the form:


o Lesson title – Suitable title which user feels is ok about the experience gained
o Lesson Type – This type allows user to decide if he wants to keep this lesson
within his CPSE users or would like to share with all CPSEs users.

o Tags – Add relevant tags for enabling other users to find it easily
o Domain – lets user to classify the lessons as per existing domains in the system
o Fill in the details asked about “ Problem Statement”, “How did you solve it” ,
“Root Cause analysis” as asked
 upload any document mentioning experience in more detail, which one wishes to share

2.6.4. Communities
The Communities section allows individuals to come together across organizational, spatial
and disciplinary boundaries to invent and share a body of knowledge. This section is the
common area for collaboration of individuals and teams. You can follow the below steps

 Click on “Communities” option on the menu header


 The drop down shows the following community types
o Sectoral – the communities created at sector level. Users can join these
communities by clicking on “Join this community” and be a part of sector level
discussions, forums and actively contribute with their innovative ideas at sector
level.
o Global Communities – the communities which are common for all CPSEs. Users
can join these communities by clicking on “Join this community” and contribute.
o My Communities – This page reflects all the communities of which user is a
member
o My Company – The list of communities within the users CPSE. These
communities are moderated, i.e. they are controlled by the Nodal officers. Users
can send a join request to their respective nodal officers by clicking on “Request
to Join this community” link on the right side in community page

Community Page in detail

 Once user clicks on any community name under any of the four section explained above,
the community landing page opens. The content is as below:
1. Community Name - Name chosen by the owner while creating the community
2. Community Description – Brief about the community
3. Members - members chosen by the community owner. The community access is
limited to the number of members added.
4. Blog - This helps user to share views and news within a community. Create
your own blog to share your ideas with your colleagues. “Create your first
entry” link is available to initiate your first blog. Once you click you will
find the following data fields to be filled:

 Title: Enter a title.


 Tags: Enter tags that categorize the entry. Tags must be entered as single
words, which are separated by commas or spaces.
 Entry: Enter the main text for the entry.
 Save as Draft: Click this button to save the information in Draft format for
later changes to be made and then to be published.
 Cancel: Click to delete the entry
 Post : Click Post to publish your entry to the blog

5. Files: It displays the files uploaded and folder created by you and
community members. You have options to create folder or file.
o To add files user can click on “Add Files” link
o Click on browse button to choose files from your system
o Click on Share Files to share within the community

6. Forums: You can start the first topic on the community page itself. By
clicking the hyperlink provided “Start the First Topic”, you will find the
following data fields to be filled. Also, you can click on View All to see all
the topics.

 Title: Enter a title for the Topic.

 Check Mark: Click on check box, if you want to Mark this topic as a
question.
 Tags: Enter tags that categorize the entry. Tags must be entered as single
words, which are separated by commas or spaces.
 Entry: Enter the main text for the topic entry.
 Attachments: Click to “Attach a File”, to upload the document, if required.
 Cancel: Click to delete the entry
 Save: To save the topic

2.6.5. Expert Locator


An Expert Locator is the feature using which users can locate experts for their specific
queries and by this they can get help from cooperative staff and volunteers from across the
organization. Follow the below steps:

 Click on “Expert Locator” option.


 You will be directed to the directory page in the system.
 You can search by using names, tags, or any other keyword which you feel the person
might be associated with. The system will show you the details as per the keywords
used.
 Click on the name of the user you choose to connect with for details to contact. You can
connect with the user directly via phone number or email ID and have your queries
answered.

2.6.6. FAQ (Frequently Asked Questions)

FAQs are the set of queries which a user is expected to have while using this portal. For the
ease of navigation, user can find this as a menu option and get an idea of the basic portal
details, thus can have smooth experience while browsing on this portal.

2.6.7. Infra facilities


This section covers the details of all the Infra which CPSEs own and are accessible for any
work related purpose by the users. It is an important aspect of this portal and the user can
take full advantage of the awareness this portal provides through this particular section for
improving efficiency and reducing costs related to their work. To find the particular infra
details follow the below steps:

 Click on “Infra Facilities”


 You will be directed to the page displaying the list of infra details
 To find your specific required infra, you can set the filter options mentioned on top of
the list.
 Click “Submit”
 The list will be filtered as per your selected criteria.

2.7. My Profile
User can view his profile section by clicking on the button on the right side of menu bar
where his/her name is displayed shown in the image below. For updating their profile they
need to follow the below steps:

 Click on “My Profile” option


 Click on “Edit My Profile” button mentioned on the left hand side on the screen
 The following page opens up for updating as per user’s choice

 The user can fill the details as per the tabs:


o “Contact Information” – Update your contact details for letting users connect to
/follow you.
o “Experience” – you can mention you work experience, your projects and
associations under this tab. Add tags for enabling other users to find you based on
your expertise/experience in any particular domain.
o “Photo” – Upload your image for an easy identification
o “Pronunciation” – you can upload an audio file of how your name is correctly
spoken.
o “Tags” – Tags are very important aspects for any user profile details. They are the
keywords which make a user’s identity unique. Users should add relevant tags
with their profile to increase their visibility in the system.
 After updating the details, click on “Save and Close” button to save your changes
 “My NetworK” – This section lets user to see who all are connected with him in the portal.
By clicking on check box adjacent to any connected user and then clicking on “Remove from

my Network” user can remove that particular connection. Add new connections through
Directory tab as explained below.

 Directory – User can search and invite people to his network by searching and inviting under
this section.
o Search by name or tags, the results will be displayed as shown below
o Click on any user profile
o User is navigated to profile page as per the selected details
o To invite into your network click on “Invite to My Network”

2.8. Notification Bell Icon


Users are able to check the number of notifications received at first glance once they login.
By clicking on the icon as shown below they can see the details of notifications received.
They also have the option to view more information by clicking on the respective notification
liner.

2.9. Post Login – Main Body


The contents are listed with numeric mentioned on image w.r.t explanation below:

1. Best Practices – This section is the list of documents shared that are about best of work
practices identified and shared for improvement in efficiency
2. Lessons learnt – the box is a visual display of the lessons learnt section. On clicking the
details on box the user will be directed to the “Lessons Learnt” Section which has been
explained under section 2.6.3
3. Infra Facilities - the box is a visual display of the “Infra Facilities” section. On clicking the
details on box the user will be directed to the respective section which has been explained
under section 2.6.7
4. Achievement and Recognition - the box displays the important achievements or
recognitions which respective CPSE earns. The idea is to keep users aware of the positive
and productive recognitions which are achieved by CPSEs.

5. Recommended Reads – This section is user specific, i.e the system would suggest the user
the set of documents based on their last activities on the portal.
6. About CPSE – This section is a brief introduction about their CPSEs
7. CMD Message – the section shows the CMD message
8. Banners – Banners of CPSE conclave
9. Recent Content – The content uploaded in the system for common domains will be reflected
10. KM Announcements – Announcements on the KM portal will be communicated to users
under this section

2.10. Footer Menu


Within footer of the site there is a standard sentence for Copyright, and Visitor Counter
along with scrolling of CPSE Logo images based quick links, on click of which user will get
redirected to the respective CPSE site.
