Plant Maintenance

Purpose
To define the requirements for maintaining plant
Scope
This procedure applies to all plant and to inspection measuring and test equipment.
Responsibility
Plant Manager – specify the type of maintenance required, its frequency and assign responsibility.

Weekly Control Charts; Monthly Machine Report;
Breakdown report; Work Order and Job Card;
Maintenance Book; Manufacturer’s documentation;
Test equipment control form PF 03 Test & Measuring Equipment List PF 04
Access to the plant & IMTE database.

Procedure
1. Maintenance planning all plant – Plant Manager
1.1 Maintenance or verification schedules shall be prepared for each type of plant specifying the
maintenance to be carried out and the maintenance interval based on running hours and/ or
on a weekly basis.
1.2 Maintenance schedules shall be based on the plant manufacturer’s recommendations suitably
adapted for local conditions and use.
1.3 Weekly Control Charts shall list the plant item and the day scheduled for maintenance.
1.4 The work to be carried out during preventive or rectification maintenance shall be summarized
on a Work Order Form and issued to the person who is to carry out the work.
1.5 The operating status of plant assigned to sites shall be recorded on Monthly Machine Reports.
1.6 Personnel may be permanently assigned to the site for maintenance or personnel may attend
as and when maintenance is due, or plant may be returned to the central plant site on a case-
by-case basis.
2. Planned maintenance – assigned personnel
2.1 Details of maintenance shall be recorded on Job Cards and shall include time and materials
consumed the date the maintenance was carried out and the identity of the assigned person.
At the end of the job, the work is summarized in the Maintenance Book associated with the
plant item.
3. Rectification maintenance – assigned personnel
3.1 Breakdowns shall be attended to restore the plant to serviceable status and the time and
materials used shall be recorded in the Job Card and the Maintenance Book as per 2.1 with
the Breakdown box checked.
3.2 Breakdown information shall be recorded on the Weekly Breakdown report.
4. Maintenance planning for Inspection Measuring & Test Equipment (IMTE) Plant Manager
4.1 The verification requirements of IMTE items shall be recorded and classed on the Test
equipment list.
4.2 IMTE items that require calibration shall be uniquely identified and recorded on a Test
Equipment control form with the calibration method, range, accuracy, interval, calibration date,
storage, and traceability requirements.
4.3 Items that are due for calibration shall be recalled from site and replaced with a calibrated item
or the item may be calibrated at site according to its classification.
4.4 The results of calibration shall be recorded on the Test Equipment control form and the status
of the item shall be shown on an attached label which may be used to seal the item if
practicable.
4.5 Unsatisfactory calibration results shall be recorded on the control form together with the date
and to whom the results were reported at site to verify the validity of previous measurements.
5. Database update – Plant Manager
5.1 Plant maintenance and IMTE calibration records shall be input to the appropriate database.
