Role of the Academic Coordinator

S/He she has responsibility for:


 Co-ordinating the programme’s curriculum design team in consultation with all academic staff
 Co-ordinating and monitoring the teaching activities of the programme;
 Co-ordinating and monitoring examinations and examination marking pertaining to the
programme.
 Co-ordinating the self evaluation and review processes of the programme;
 Liaising with academic staff in respect of academic issues;
 Liaising with the Head of School on matters relating to resources for, and personnel engaged
in, the programme.
 Liaising with relevant people in charge of clinical facilities in identifying, securing, monitoring
and evaluating of learning opportunities, student placements etc.
 Liaising with the South African Nursing Council (SANC) on curriculum, registration of students
and programme completions.
 Oversight of all student academic administration from expression of interest and registration to
certification of completion of the programme and relevant data capturing

The Academic Coordinator in addition:


 Participates in marketing and recruitment for the programme for which s/he has oversight.
 Finalizes, in consultation with the Head of the School, the selection and admission of students
into the programme.
 Assists students with module selection taking cognizance of pre- and co-requisites together
with level coordinators and the Discipline/School admissions team.
 Facilitates requests for concessions by students.
 Ensures that each module is allocated the correct lecture, practical, tutorial, seminar, clinic and
externship slots as per notional study hours together with the Discipline/School/
Faculty/University timetable committee.
 Ensures that the discipline is adequately staffed to deliver modules and to assist the Head of
School in identifying potential staff where vacancies exist together with subject
specialists/lecturers within the School. (NB Motivation for unfreezing is the responsibility of the
HOS on the information supplied by the discipline)
 Ensures that all UKZN policies and procedures are accurately and consistently implemented,
especially those related to remuneration of adhoc/sessional staff and reimbursement for travel,
subsistence, telephone etc.
 Facilitates the collection of and collate programme-related information from staff for
discipline/School/Faculty/University purposes, e.g. programme and module templates for
SAQA, lists of examiners and moderators, selection and admissions information, ADP
information etc.
 Facilitates the collection of and collate student-related information, e.g., student monitoring
templates, “at risk students” together with level coordinators and the ADP officers.
 Institutes quality assurance measures to ensure that the programme meets the desired
outcomes.
 Develops Programme Rules, policies on examination and assessment etc
 Communicates with clinical facilities to identify and secure learning opportunities for students.
 Communicates with SANC relating to professional requirements of the curriculum, enrolments
and completions.
 Coordinates preparation of and filing of both theoretical and clinical transcripts for completed
students.
 Any other tasks delegated by the Head of School.

The Head of School, and not the Academic Coordinator, is the line manager for staff involved in a
programme. The Academic coordinator may, however, be expected to perform certain line
management functions as delegated by the Head of School.
