VOLUME-I of the Saudi Aramco Drafting Manual covers Instructions and Procedures relative
to the preparation of Saudi Aramco's Engineering and Vendor Drawings as well as Drawing
Control.
The TERMS AND DEFINITIONS portion lists those drafting terms most frequently used in
Saudi Aramco when discussing drawing preparation. The definitions presented reflect industry
interpretation in most respects but some may be tailored to Saudi Aramco 'specific'.
The VENDOR DRAWINGS portion covers the same level of details as does the Engineering
Drawings portion but with the emphasis on Vendor prepared drawings.
The DOCUMENT CONTROL portion provides detailed instructions relative to the submittal,
microfilming, retrieval and overall control of drawings. Details related to aperture card
production and the Drawing Tracking and Control System (DTACS) can be found in this part.
Listed below are those AEP's and other reference documents whose contents have been
included in the Saudi Aramco Drafting Manual. In all cases this issue of Volume I supersedes
the listed documents in providing Instructions and Procedures for the preparation of Saudi
Aramco's Engineering and Vendor Drawings.
Information included in VOLUME I of the Saudi Aramco Drafting Manual is also available
through the Standards-On-Line System.

The terms, definitions and abbreviations contained in this portion of the Saudi Aramco Drafting
Manual serve to establish a basic line of communication among the various Users. Although
they may vary slightly with definitions found elsewhere, they are applied consistently
throughout this Manual and should be used when referring to its content.

DEFINITIONS
3-1/4" x 7-3/8" modified IBM keypunch cards on which are mounted 35 mm,
Silver Halide microfilms of Engineering or Vendor drawings. These cards are
color coded for identification.
1.2 Microfilm Jackets (also referred to as APCD's), are 3-1/4" x 7-3/8" clear
plastic jackets into which a 16 mm Silver Halide film is mounted. The
term 16 mm microfiche jackets is mistakenly used and should be
avoided.
1.3 Microfiche Cards, 105 mm and 140 mm in size, are also considered
aperture cards when they contain Engineering or Vendor information.
An Engineering Drawing that has been revised to reflect actual field conditions
after the completion of construction. Generally, 'As-Built' refers to the initial
modification of drawings after the initial construction phase. Additions or
changes to a drawing resulting from facility modification must also be verified as
'As-Built' and referenced to the secondary job order/EWO.

The use of any form of computerized equipment for the production of drawings.
Specific to this Manual, CADD refers to the use of the Intergraph System to
produce engineering drawings.
Any Engineering Drawing that has been approved by Saudi Aramco for use in
building or constructing facilities and/or plants. This term is not used in the
Saudi Aramco Drafting Manual. Refer to Engineering Drawing, page 4.
* 5.0 DSU (Drafting Services Unit), DCU (Drawing Control Unit), and C/W ESSU
(Engineering Support Services Unit)
Units within the Engineering Support Services Division reporting to the Manager,
Process & Control Systems Department (P&CSD). These Units have been
designated the responsibility for all Saudi Aramco Engineering and Vendor
Drawings. They are, for this Manual, the Principal Engineering Services Office
(PESO).
Any Engineering Drawing that contains design information which has been
approved and certified by qualified personnel. This term is not used in the Saudi
Aramco Drafting Manual. Refer to Engineering Drawing, page 4.
Any Engineering Drawing that has been designated by the Manager of a Saudi
Aramco plant as being critical to the plants operations during a disaster
situation. The words "Emergency Drawings" must appear on all designated
drawings to be officially recognized as emergency items. These drawings are
given top priority in every case.
Any drawing produced by Saudi Aramco (or for Saudi Aramco by approved
sources) which bears a Saudi Aramco drawing number and which was prepared
for the purpose of identifying engineering related information to be used in
constructing or operating Saudi Aramco plants and facilities. This term is the
general term used throughout the Saudi Aramco Drafting Manual to refer to
other types of drawings including Construction, Project, Design or Facility.
Single alpha character in the range A to Z used as an indicator for various types
of drawings and/or equipment. See Standard Drawing AE-036411 sheet 003 for
current listing.
The signature on any drawing by the Proponent Organization and PMT is only
an indication of their review of the drawing and does not relieve the Design
Agency of any full contractual responsibility for the drawing's accuracy, the
design's conformance with applicable standards, codes, and contract terms, or
the design's technical accuracy or viability.
A four character code consisting of the letter L and three trailing digits used
within Saudi Aramco to track issued drawing numbers, and original engineering
and vendor drawings. This code is required on many request forms used by
PESO.
16.0 Microfilm/Microfiche
Should the original drawing be lost or destroyed, then a "new original" can be
produced either through redrawing or through phototransparency production.
Transparencies and phototransparencies are identified as originals by affixing a
red sticker or red stamp with the words "ORIGINAL" along the border line under
the title block.

The organization that has been entrusted with the responsibility to establish
instructions and procedures for the production of Saudi Aramco Engineering
Drawings and who is charged with maintenance and control of said drawings on
a company-wide basis.
The currently assigned PESO is the Drafting Services Unit, E-3560, Dhahran.
This unit reports to the Manager of Process & Control Systems Department
through the Administrator of the Engineering Support Services Division (ESSD).
19.0 Phototransparency
A full size positive polyester film copy of a drawing made through the
photographic contact process using a negative, or made through the direct
positive wash-off method. Phototransparencies are often used as originals
when the originals are lost, damaged or not available for use. They can be
identified as originals by the words "ORIGINAL" or "DUPLICATE ORIGINAL"
affixed to them with red labels or stamps.
An Engineering Drawing that has been prepared for a specific Saudi Aramco
capital project. These drawings have Budget Item or Job Order identifiers shown
in the title box. See Engineering Drawing.
Any Saudi Aramco "office" that has been entrusted with the production or care
of an original Engineering or Vendor Drawing. Usually an individual within a
project team, or operating engineering unit is designated the responsibility of
tracking the whereabouts of the drawing. Non-Saudi Aramco firms or companies
are not allowed to be the designated REO. PESO is the REO for all drawings
residing in the Saudi Aramco master drawing files.
Each REO and certain individuals within the REO are assigned special Location
Codes. (See definition above).
That portion of the drawing reserved for listing information related to the
production of the drawing.
a) Production Data: drawn by, checked by, date started, date completed,
discipline engineer, project engineer, certified by and date.
b) Drawing review data (as required): Construction Agency, Operations and
other (e.g. Loss Prevention, Fire Marshall, etc.)
c) Title : four (4) lines
d) Drawing type

f) Plant Number
g) Index Alpha
h) Drawing Number: prefix and identifier
i) Sheet Number

Any existing drawing which covers a facility within an operating Plant may be
selected as a "Demolition Drawing" for Plant upgrade and renovation purposes.
Demolition Drawings may be of any type, i.e. Process diagrams, Plant layouts,
Equipment arrangement, Electrical underground layouts, etc.
Any drawing or group of drawings prepared for a specific project and identified
by the Project Management to have a potential applicability for use on other
future projects shall be designated as Library Drawings. Library Drawings are
listed under, and archived on, Plant M65 file.
Plot plans of vital facilities prepared for security purposes and containing
particular items designated by, and for the use of, Saudi Aramco Security
Department. Delineation of security drawings is made in accordance with the
Saudi Aramco Drafting Manual and per procedures outlined in SAEP-120.
Abbreviations and Letter Symbols are to be used as an integral part of the Drafting
Standards, and are to be applied to all engineering drawings and documents wherever
physical space prevents from complete spell-out of a word or sentence, especially in
limited space areas, such as title blocks, in small drawings.
The list of Abbreviations and Letter Symbols conforms to the Engineering Societies and
Industrial Associations listed below.

The Drawing Number provides one part of the "unique" identification code for
each Engineering Drawing. It comprises a single character Prefix Letter, a
single character Sheet Size Code, and a six (6) character Identifying Number.

The Sheet Size Code is a single alpha character used to identify the
drawing size. It does not make up part of the "unique" drawing
identification number since this code can change depending upon the
present size of the drawing.
Note: The Sheet Size Code must always agree with the actual size of
the drawing. It can be changed but requires a formal revision

The following letters are approved for use in identifying the drawing size.
A, B, C, D, E. See ENGINEERING DRAWINGS, SECTION-I for details
on sizes.
The Identifying Number is a six (6) character numeric code. All digits
from 0 to 9 can be used. All six characters must be continuous with no
comma separation.
The Sheet Number is a three (3) digit number ranging from 001 to 999. For
ease of presentation it can be written without leading zeros. ie. Sheet 027 or
27, Sheet 001 or 1.
Restrictions governing the use of Sheet Numbers for 'sets' are as follows:

* 2.1 All drawings that form part of a 'set' within the same Drawing Number
must be the same size. If a drawing size changes then it must be
cancelled from the set and given a new Drawing Number
2.2 Sheet SETS must be made for a common engineering subject, the
subject may be: Design, Process or Service within a specific engineering
discipline.
Example:
2.3 All sheets in one set must be numbered sequentially without number
gaps for 'Unused' sheets. If gaps are unavoidable, exception can be
made by utilizing a face sheet to indicate "spare" in lieu of the unused
sheet number.
2.5 Drawing and sheet numbers for Instrument Loop Diagrams, Instrument
Installation Schedules, Cable & Conduit Schedules and Pipe Line
Designation Tables must be requested from PESO separately, by using
the appropriate request form in each case.
2.6 Face Sheets should be provided for all size drawing sets having the
same Drawing Numbers and more than ten sheets. They are mandatory
for Instrument Installation Schedules, Instrument Loop Diagrams and
Drawing sets that contain sheets with alpha/ numeric sheet numbers .
The Face Sheet must list all sheets in the set and their titles. For
Instrument Loop Diagrams, it shall also show, the loop numbers for each
sheet.
2.6.1 The first Face Sheet is numbered 'FS1'. If more than one Face
Sheet is required, it will be designated 'FS2' (etc) and all
subsequent sheets shall be numbered accordingly.
2.6.2 Existing drawings that have Face Sheets designations other than
FS1 must be corrected.
* 2.6.3 When required to be revised, Face Sheets shall only have full
numeric revision numbers (i.e. 001, 002, etc.).
2.7 If a Face Sheet is not used, only the first sheet of a set must reflect the
total number of sheets, (i.e. sheet 001 of 027 followed by sheets 002,
003,....,027). Numbering sequences containing alpha characters are
unacceptable.
2.8 Alpha-Numeric sheet numbers may be used only in sheet sets that are
covered by a face sheet.
2.10 The titles of individual sheets within a set may vary slightly, if so required
for clarification and definition of location. However, the Drawing Size,
Plant Numbers, Index and Plant Title must be the same on all sheets.
2.12 All sheets in one drawing must be generated using the same drawing
media. That is, either all manual or all CADD or all PC DATABASE, etc.
2.13 New sheets generated as part of an existing CADD drawing must also
be on CADD.
3.2 The first certified and approved issue of a new drawing, whether
manually prepared or drawn on CADD, must bear revision '0' in the
revision section and "ISSUED FOR CONSTRUCTION" description in the
bottom line of the revision block (see Attachment-A, Section V - Handling
of Engineering Drawings). Certification and approval signatures must
appear in the main title block.

3.3 When a drawing is issued for revision purposes, the PESO assigns the
appropriate revision number to the REO depending on the type of
revision anticipated (see paragraph 3.5). The REO must use this
assigned number.
3.4 When the REO wants to immediately add another revision for some
other project, the current revision must be microfilmed before modifying
the drawing for the other project, and simultaneously, request the
drawings for revision. In this case, the REO must submit forms 8135-
ENG and 8134-ENG together with the drawings for quick process and
re-issue of the drawing and the new revision number. Each revision
must be microfilmed separately.
3.8 The revision Number assigned by PESO to the REO must be used to
reflect only approved information.
3.9 If two or more modifications, for different job numbers, are to be made on
a drawing due to: "As-Built", Design change, etc., each modification must
be individually microfilmed with a separate revision number for each job.
Consult PESO for the next revision number in this case.
3.10 The revision sequence to be used during a new drawing development
stage (prior to initial certification and approval as Revision '0') is as
follows: Rev. A, B, C, D, E, etc. (in capital letters). When the drawing is
Certified and Approved For Construction the development stage
revisions are removed and the revision number is changed to '0'.
3.11 See SECTION V, Paragraph 4.0 "Revising Drawings" for further detailed
information on how to revise engineering drawings.
4.1 Drawing Index Letters are single alpha characters in the range of A to Z
(except I and 0). They are used to categorize the basic types of
drawings. Only capital letters are used.
4.2 Index Letters are shown on Engineering Drawings in the title block just
left of the Drawing Number. A Maximum two index letters are acceptable
to a drawing, arranged by order of importance (not necessarily in
alphabetic sequence).

4.3 Standard Drawing AE-036411 lists the approved Index Letters. These
letters can only be changed or their content modified through revision of
the Standard Drawings.
4.4 Refer to VOLUME III - INDEX SYSTEM for details about Index Letters.
5.1 Plant Numbers are three characters in length. The characters may be
either alpha or numeric.
5.2 Plant Numbers are shown on Engineering Drawings in the title block, just
left of the Index Letter.
5.4 When an Engineering Drawing is 'typical' for more than one plant, then
separate Drawing Numbers must be assigned for each plant. Listing
multiple Plant Numbers on duplicate type drawings is not permitted. The
basic information on the typical drawing must be reproduced on a
phototransparency copy or copied on CADD and then separate Drawing
Numbers added to create distinct drawings for each plant.
* 5.5 The issue and control of Saudi Aramco Plant Numbers is the
responsibility of the Chief Draftsman. Access DTACS, or contact PESO
to obtain up-to-date listings of currently assigned Plant Numbers with
approved descriptions.
5.6 To apply for a new Plant Number, a request letter must be submitted to
the Chief Draftsman stating the following information:
6.1 Capital Project Item Number associated with a budget under which
engineering drawings are created. If no JO or EWO numbers are
designated, then BI number may be used.
6.2 The Job Number is shown on Engineering Drawings in a box to the left
of the title block. For capital project work, the use of this number is
mandatory. For operation and maintenance work, the number is
optional.
6.4 REO is responsible for determining the need for this information on its
Engineering Drawings and for obtaining the correct number.

7.2 A REO who requires Engineering Drawing Numbers from PESO must
complete Saudi Aramco Form # 8132 (Engineering Drawing Numbers
Request).
7.4 REO must inform PESO of all drawing numbers which have not been
used. Numbers retained by REO after completion of a project would be
counted as drawings generated and kept by the REO. The REO
Management will be asked to submit these drawings to PESO.
7.5 Unused drawing numbers MUST NOT be listed on the project drawing
control sheet.

- The Engineering Drawing Number Request form is divided into spaces whereby each

- This form is completed in part by the Saudi Aramco Engineer (REO) who wishes to
obtain drawing numbers and by PESO who assigns the numbers.
- The form must be completed as illustrated herein or it will not be accepted by PESO.
This includes the full signature of the authorized Saudi Aramco Project/Job Engineer

5.2 The Identification Letters are two to four alpha characters which define
the measured variables along with the instrument function or both. Refer
to SAES-J-004 for a complete list of Instrument Identification Letters.
5.3 The Identification Numbers are three to four digits used to identify the
instrument loop. In a given measurement or control loop, all instruments
are assigned the same Identification Numbers. To distinguish 2 similar
instruments in the same loop an alpha character can be added to the
end of the Identification Number.
Pipeline Numbers are assigned to all pipelines within a plant. Each number is
nine to nineteen characters in length, excluding dashes, and each is unique for
a specific product.
6.2 The Line Size is indicated by upto five digits followed by the inch symbol
("). All nominal line sizes are expressed in inches even on metric
drawings.
6.3 The Letter Designation characters (one, two or three alphas) identify the
service or product type. Refer to Standard Drawing AE-036204 for
details.
6.4 The Sequence Number is three or four digits long. PESO controls the
issuance of all Sequence Numbers.
6.5 The Specification Code identifies the material class. Refer to AES-L-5 for
details. This code may be three, four, five or six alpha-numeric
characters long.

The Saudi Aramco Chief Draftsman approves the quantities and types of form. His
name and approval date appear here.

The name, signature, badge number of the person receiving the forms on behalf of the

Drawing titles are a very important aspect of drawing identification. Proper care should
be taken to ensure that adequate titles are assigned to each drawing prepared. The
title is written on four (4) lines in the standard title block for drawing sizes 'A', 'B', 'C'
and 'D'. For size 'E' the title is written in a box at the bottom of the page.
1.0 Titles
The general content of the drawing and the drawing type (see Paragraph
2.0) shall be entered on the first line. Use only those approved
descriptions as listed in the reference tables. Any exceptions to this
listing must be approved through PESO. Abbreviations are not allowed
on line 1.
The main subject being covered by the drawing must be written here.
This could be a process system, substation, service line, equipment
number, circuit or loop, etc. Use as many words as necessary to
clearly explain the subject matter. Drawings concerning electrical
substations shall have the substation number listed. Abbreviations are
permitted only as covered by the standard list of abbreviations shown in
the Drafting Manual.
The name of the plant where the work is located is written on this line.
Use only the approved listing of plant names shown in the plant listing.
The plant name should correspond to the plant number shown at the
bottom of the title block. If two plants are covered, then only the major
plant covered by the drawing should be on line 3.

Engineering Drawings will be assigned to a REO for continuous control. Each drawing
must be prepared in accordance with the Saudi Aramco Drafting Manual. Each
drawing must be properly approved and certified. When changes, modification or
revisions are required, they must be prepared as outlined herein. Engineering
Drawings are accountable by drawing number and must ultimately be returned to
PESO.
1.1 Any Saudi Aramco "office" that has been issued an engineering drawing
number will assume the role as the initial REO. This REO will be held
accountable for the proper production and control of the drawing until
which time it relinquishes that control by formally submitting the drawing
to PESO.
1.2 The initial REO is responsible for ensuring that the Engineering Drawing
is produced in accordance with this manual even if a non-Saudi Aramco
contractor has produced the drawing through contractual arrangements.
1.3 The initial REO will be responsible for notifying PESO when an assigned
drawing number does not result in an Engineering Drawing (number not
used or drawing voided).
1.4 The REO is responsible for ensuring that Engineering Drawings are
properly approved and certified prior to submission to PESO. (See
Paragraph 2.0 of this SECTION).
1.5 The REO is responsible for submitting all Engineering Drawings in their
care to PESO within a reasonable time after approval and certification.
(See Paragraph 3.0 of this SECTION).

All signatures must be legible. For clarity sake, the printed full name must be
added inclusive of date signed. For CADD drawings, all names, and dates must
be added to the CADD file prior to delivery to PESO. If no signatures are
required in a specific space then the letters N/R must be inserted in that space.
For newly produced Engineering Drawings the Title Block should be properly
completed as follows:

Note: Under no circumstances may the signatures shown in the main approval
section (original certification and review) be altered after the drawing is
released as Revision '0'.
* 5.2 The proponent is the responsible party for overseeing that all
modifications are gathered and incorporated into one original
engineering drawing to achieve a "full revision". The full revision must
then bear the next sequential revision designation, and then, submit to
PESO for drawing control.
5.3 The revision block of the original engineering drawing, must describe
clearly, which developmental revisions have been incorporated.
* 5.5 Existing drawings must be utilized for any modification of a facility. New
drawings created to indicate a change in an existing facility will not be
accepted. If, however, this is not avoidable for some reason such as
crowdedness or major revision changes, then the new drawing must
bear the same drawing number of the existing drawing as "redrawn".
* 5.6 New drawings that are created as continuation of an existing design are
considered as continuation drawings of that design bearing the next
sequential sheet number of that drawing set.
Note: The new sheet must be Revision '0' as a new drawing.
5.7 Any approved and certified "KEY' drawing which does not reflect the
actual existing conditions must be revised. Where field changes result
from proponent requests, obstructions, construction modifications or
additional design, the original drawing must be revised to reflect the
current information.
* 5.10 The four lines at the top of the drawing title block are used to make
revisions. This is called the "revision column". When revising drawings,
follow steps 'a' to 'k'.
* 5.12 Full numeric revision numbers (i.e. 1,2,3,...) are assigned to full 100% as
built only and are issued to, or by concurrence of, the proponent
Operations Engineering.

(a) Once it is determined that the drawing will be issued for construction, all alpha revisions
(A, B, C, etc) must be erased from the drawing and replaced with revision '00'. The
drawings can be issued for construction with holds (clouded areas). All IFC drawings
must be certified.

(a) Once it is determined that the drawing will be issued for construction all developmental
revision numbers (03A1, 03A2, etc) must be erased and only '03A' shown on the
drawing. All IFC issues must be signed certified.
(b) Contractor can not automatically assume that their partial as-built drawing will have
revision number '03B' since there may be a simultaneous modification action in
progress. The Saudi Aramco Drawing Control Unit (DCU) in Dhahran will assign the
numeric/alpha characters for the partial as-built.

6.1 Two or more Engineering Drawings that have, through error, been
assigned the same drawing number(and/or same sheet number) yet
contain different information, must be corrected by PESO immediately
upon discovery and before any of the drawings are re-issued through
internal procedures. PESO will:
6.2 New aperture cards are made and distributed by PESO. Existing
DTACS data will be adjusted accordingly showing the new drawing
number assigned to the other drawing.
7.2 Drawings being cancelled follow the same procedures and levels of
certification and approval of the revised drawings as illustrated in
Attachment 'A', except:
8.1 Any approved and certified "key" drawing and any other drawing
designated by the Operations Engineering and/or the Project
Management Team, must be updated to reflect the 'as-built' condition.
In addition Pile Driving records, Foundations, and drawings with
significant changes must be updated to as-built condition.
8.2 All 'as-built' efforts are processed in the same manner as normal
drawing revisions. See Paragraph 5.0, Revising Drawings.
* 9.1 When preparing Demolition Design Drawings, the following steps must
be taken:
i) The drawing number in the upper left hand corner of the drawing
must also be updated.
10.1 Saudi Aramco Plant Managers are responsible for designating and
constantly reviewing Engineering Drawings related to their plants and/or
areas of operation as Emergency Drawings. To designate a drawing as
Emergency, the Manager sends a written notice to PESO. Only those
drawings deemed necessary to support operations during a disaster
situation should be designated as "EMERGENCY DRAWINGS".
* 11.1 Saudi Aramco Security Drawings are controlled by the General Manager
of the Industrial Security Organization (ISO) and SAEP-120.
12.2 The Proponent Organization may assign its own series of drawing
numbers as long as the pattern used, is different from the Saudi Aramco
Engineering Drawing numbers pattern.
* 12.5 PESO does not accept temporary drawings such as project proposal
drawings, field sketches, etc. nor does it enter temporary drawing
information in the drawing control system.
After reviewing the drawing(s) by the Chief Draftsman, PESO will forward
the drawings to Consulting Services Department (CSD) for classification
as to whether they should be library drawings or others. CSD will then
return the drawings to PESO who will in turn inform the originator of
CSD's recommendation. If found to be "Library Drawings", PESO will:
c) update Plant M65 drawing index for the specific type in the library
drawings database.
13.2 Requesting Library Drawings: after reviewing DTACS data of Plant M65
and identifying the drawings which seem useful for his project;
b) PESO produces the files with the Plant M65 information removed

- This form is completed in part by the Saudi Aramco Engineer who identifies a drawing
to be cancelled and by PESO who verifies the cancellation request and notifies the
concerned parties.

1.0 Sizes
Vendor drawings are acceptable in all sizes which are acceptable to the industry
but not exceeding Saudi Aramco standard 'A' size. If size choice is available,
the REO should recommend the standard sizes used for Engineering Drawings.

* 2.0 Media
3.0 Language
Regardless of their origin, vendor drawings must be in English. They may bear
another language in addition to English if necessary.
Alpha/numeric characters are assigned to all Vendor Drawings for identification and
records management. This string of 22 characters provides a unique form of
identification for a specific drawing or document.
Covered in this section are the alpha/numeric characters that appear in the
identification line on Vendor Drawings. (A typical boxing arrangement is shown below).
The Prefix consist of 3 alpha characters, each one designating specific areas of
information.
1.1 The first alpha character is always 'F' designating a foreign source
procurement.
1.2 The second alpha character designates the location of the purchasing
office where the requisition has been processed. See GI 322.001 for
complete listing.
1.3 The third alpha character designates the area assignment of the material
(destination). See GI 322.001 for complete listing.

The Plant Number is the standard 3 character Saudi Aramco Code designating
the plant for which the material is being purchased. See ENGINEERING
DRAWINGS, SECTION II, Paragraph 5.0.
The class code is the standard 2 digit Saudi Aramco Material System (SAMS)
code for the class of material (GI 322.001)
The Increment Number is a 4 digit code which indicates the requisition number
in accordance with the requisition numbering system assigned to AOC, SAO,
and ASC. For Lump Sum Turnkey contracts, a "dummy" purchase order
number with a non-purchase (dummy) increment number shall be obtained from
the PESO.
6.1 The Sheet Number is a 4 digit number used to control the order of the
documents within a specific sequence item. Sheet Numbers are
particularly important for manuals where many sheets are involved. See
Paragraph 9.0 below.

6.2 In cases where the Vendor Drawing is a single document, the Sheet
Number should be written 1 of 1. For multiple sheets, begin numbering
from 0001 and continue 0002, etc.
8.1 The REO is responsible for assigning drawing numbers to all Vendor
Drawings and documents received in support of equipment and material
purchased under their project. Drawing and document numbers must be
logged in a book or document, for the purpose of good control
management.
8.2 The REO is responsible for issuing dummy purchase order numbers to
LSTK contractors doing their own procurement. The PESO assigns the
dummy increment numbers to the project.
9.1 For manuals that will be placed on 105 mm microfiche, the complete
Vendor Drawing Numbers need only be stamped on the title page (the
cover page) with the total number of pages entered as the sheet
number. Every page, including drawings which may be part of the
manual, shall be stamped with a sequential page number starting with
0001.
1.0 Titles
1.2 The drawing title shall, as a minimum, give the drawing type (for
example, Installation Drawing, Maintenance Manual, Performance Data)
and the Engineering Equipment Number (for example, GM-8).

Vendor Drawings require the same level of control as Engineering Drawings. Each
drawing should be prepared with sufficient quality to enable proper reproduction and
handling. Each drawing should be reviewed and approved before acceptance of the
material purchased.
1.1 The REO is the Saudi Aramco " office" in charge of developing
equipment and material requirements for a Saudi Aramco Project. The
REO is responsible for initiating all Purchase Requisitions for its project
while handling all related Vendor Drawings and data associated with
equipment and materials.
1.2 The REO is also responsible for ensuring that the nature and quantity of
Vendor Drawings are established at the time the requisition for material
or equipment is prepared.
* 1.3 New vendor drawings falling in the category of "key drawings" must be
made "engineering drawings" and handled in accordance with all the
drawings requirements of the Saudi Aramco Drafting Manual.
1.5 A list of spare parts must be specified in the Purchase Order to carry out
maintenance programs and necessary repairs.
2.2 The REO will signify his review/approval by stamping and signing each
submittal of Vendor drawings, and will return them to the Purchasing
Organization. Signatures must be legible and the REO's name and
badge number printed.
* 2.4 The Purchasing Organization takes receipt of the "final" drawings from
the vendor, ensures compliance with Purchase Order requirements and
transmits the drawings to the REO for distribution.
2.6 REO's approval is required for all substitute offerings made by the
vendor when different from the documents specified in the Purchase
Order.
3.1 Early on each project, the REO shall define the distribution and quantity
requirements for "hard copies" of Vendor data. These requirements may
vary from project to project according to magnitude and importance.
3.3 The PESO will microfilm the received Vendor data and make distribution
in accordance with Saudi Aramco current area requirements.
Microfilming is performed on 35 mm for aperture cards, and on 105 mm
for microfiche.
Vendor drawings are not normally revised after they are submitted to PESO for
microfilming. However, if a revision is necessary, the REO can obtain original
Vendor drawings from PESO by submitting a Vendor Drawings Request form,
Saudi Aramco 8152 ENG. The revision procedure for Vendor Drawings is the
same as the procedure established for revising Engineering drawings. See
ENGINEERING DRAWINGS, SECTION V, Paragraph 4.0.

* I. SUBMITTING DRAWINGS
Engineering and Vendor Drawings must be submitted by the REO to the PESO for
microfilming and recording in DTACS. The PESO is responsible for receiving drawings,
processing them through the microfilming system, retaining them in permanent files,
and ensuring their security as outlined in this manual.
1.2 Submit completed 8135-ENG form along with the drawings to PESO.
Note that a maximum of 30 drawings can be submitted with each form.
Wrap the form around the corresponding bundle of drawings.
2.1 To submit Vendor Drawings the REO must submit a properly prepared
Vendor Drawing Submittal form Saudi Aramco 8136-ENG. An annotated
example is included under Paragraph 5.0, Attachments.
2.2 Submit completed form along with the drawings to PESO. Note that a
maximum of 30 drawings can be submitted with each form. Wrap the
form around the corresponding bundle of drawings.
2.3 All Vendor Drawings that have been prepared in accordance with this
manual should be submitted. This includes obtaining the proper
approval and certification signatures or initials. Improperly prepared
drawings will be returned by PESO to the REO for compliance with the
procedures outlined herein.
* 3.2 Material take-off sheets (T/O) shall be submitted together with the
drawings they refer to. They shall not be listed on the SA 8135-ENG
submittal form.
4.1 Prior to repatriating Engineering drawings, the REO should ensure that
two (2) complete sets of microfilms are produced. Refer to SECTION VI,
MICROFILMING DRAWINGS. One set is to be retained by the REO for
use during the construction phase (normally mounted on blue aperture
cards). The second set is to be retained by the Out-of-Kingdom Saudi
Aramco affiliate as security back-up should the original documents be
lost during repatriation. Once PESO have verified receipt of the original
documents the back-up set of film can be destroyed by shredding or sent
to PESO for disposal.
* 4.2 For all North American and other OOK projects, the REO is responsible
for transmitting the original documents to PESO.

General Format:
- The Vendor Drawings Submittal form is divided into spaces whereby each space
should not accommodate more than one character. A character could be a letter,
number or symbol such as a dash, comma .... etc. Use only block lettering on the form.
- When preparing a submittal form that contains a number of drawings and where some
information is repetitive, it is permitted to check mark that information instead of re-
writing it again.
- Only drawings that are being introduced to Saudi Aramco Document Control System for
the first time need title information included on the form.

1.1 Only approved and certified Engineering Drawings are retained by PESO
in their files. In certain circumstances "library" type drawings can be
retained if approved in advance.
1.2 Only original or duplicate original drawings are filed. Sepias, blue-line,
blackline and auto-print copies are not filed. If the only original drawing
available turns out to be a 'print copy' then this document is
photographed and a new phototransparency original is made. The
phototransparency is then filed.
1.3 Only clear readable original drawings are filed on a permanent basis.
Poor quality drawings must be "upgraded" before filing. Similarly, torn or
damaged drawings must be repaired before filing.
2.1 Vendor Drawings are not filed. Once they are microfilmed and the film is
checked for quality, the original sets of Vendor Drawings submitted to
PESO are destroyed. See SECTION III - RETAINING DRAWINGS.
2.2 Other organizations who receive sets of Vendor Drawings may retain the
originals according to their own policies.
Normally items of a bulk nature (multiple sheets) are not kept once they have
been microfilmed. Other departments often retain hard copies: i.e. Technical
Information Center, Purchasing Department and Operations Engineering.
These departments can be contacted if original documentation is required.

Original Engineering and Vendor Drawings are retained in accordance with their value
to the operation of Saudi Aramco plants and facilities. Due to the numerous drawings
produced on behalf of Saudi Aramco it is impractical to retain all original documents nor
is it necessary. The process of eliminating some originals and retaining their images on
microfilm is standard practice within Saudi Aramco. PESO is responsible for selectively
retaining original drawings and documents as outlined below.
1.1 Sizes 'A', 'B', 'C' Engineering Drawings are retained in accordance with
their value to Saudi Aramco operations. The drawing Index is used to
guide the PESO in the elimination process. TABLE I included in
paragraph 4.0 Retention Schedules lists the current Index drawings and
their retention/elimination schedule. Exceptions to this policy can be
made when deemed advantageous to Saudi Aramco by the Chief
Draftsman.
1.2 Sizes 'D', 'E', 'J', 'K' Engineering Drawings are retained only in certain
circumstances. The majority of these drawings are not required after
issue therefore the need to retain originals is minimal. Should the
drawing be required for revision purposes, phototransparency or auto-
print copies can be obtained from the microfilm image. TABLE II
included in Paragraph 4.0 Retention Schedules, lists the current
retention/elimination schedule for these size drawings.
1.3 "Time Kept" is calculated from the date of the last approved revision to
the drawing. Generally a full calendar year must have elapsed before
the original drawing becomes a candidate for elimination i.e. 1987
drawings are only eliminated in 1989.
1.4 The term "Destroy" implies that a clear, readable microfilm copy is
contained in the Master File. When deemed appropriate by PESO, the
drawings will be re-microfilmed prior to elimination.

1.5 All flat files and file cabinets must be purged quarterly for the express
purpose of locating original engineering drawings to be eliminated.

Original Engineering and Vendor Drawings may be extracted from their permanent file
location whenever a need is defined. This includes the requirement to: a) revise the
drawing to reflect new information and/or changes; b) use the original to make blueline
copies for Disaster Control Centers; or c) eliminate the drawing if no longer required for
retention. PESO is responsible for pulling original drawings as required.
1.3 The Saudi Aramco Representative must verify the need to obtain the
original drawing. Originals are not used for reference nor for making field
markup copies. Copies obtained from aperture cards are used for those
purposes.
1.5 Submit drawing requests according to size. Segregate sizes D&E from
sizes 'A', 'B', & 'C'.
* 1.7 Requests for Manual and CADD drawings for facilities on DMS shall be
requested separately.
1.8 PESO will assign a Control Number to the request and furnish the
Requester with a copy. Follow-up actions must be in reference with the
Control Number.
1.9 Requests are handled in order of receipt. Partial issues may be given
not to delay the entire request. The time required to obtain original
Engineering Drawings can vary. Allow 10-25 working days for PESO to
process your request.
1.10 For 'A', 'B', and 'C'' size drawings, PESO will issue a full size original
(usually polyester film). These drawings will be stamped in red
"ORIGINAL" or "DUPLICATE ORIGINAL".
1.11 For 'D', 'E', 'J' and 'K' size drawings, PESO will issue either a full size
original (vellum or polyester film) OR a bond paper photocopy. These
documents will also be stamped in red "ORIGINAL" or "DUPLICATE
ORIGINAL". Revisions should be carried out on the PESO issued
document.
1.12 In the event that a drawing did not require modification, it must be
returned to PESO along with a copy of the original request form, Saudi
Aramco 8134-ENG, so that the issued revision number can be deleted
from the data base.
3.1 When Engineering or Vendor Drawings are part of a bulk document set
(i.e. manuals, specification, Scope of Work), they will most probably be
recorded on 105 mm microfiche. If a revision is required to one or more
of these pages, it will be necessary to retrieve the entire document set.
This will be done by PESO.
c) The REO revises sheets 051 to 158 and re-certifies each sheet in
the revision column. REO notes the actual sheets modified and
submits the entire document to PESO including the face sheet.
4.1 Users are accountable for every original drawing issued to them. All
original drawings necessitating shredding must be returned to ESSD with
a transmittal, concurred by the proponent, and a memo indicating
"drawings to be destroyed".

This section contains detailed information concerning the microfilming techniques and
formats currently used by Saudi Aramco to record Engineering and Vendor Drawings.
1.1 The majority of all Engineering and Vendor Drawings are recorded on 35
mm square, Silver Halide, black and white, film positives. These 35 mm
films are always high quality, high contrast material suitable for mounting
on standard 3-1/4 x 7-3/8" window type aperture cards, by using manual
feed, automatic mounting equipment.
1.2 Only drawings with standard sizes are microfilmed as received. Non-
standard sizes must be modified prior to microfilming so that proportional
reductions can be obtained.
1.3 Special coding is used to control the amount of reduction needed to get
the original drawing image onto the 35 mm size film. These resolution
'targets' have significant meaning when photo blowup requirements
exist.
1.5 All 35 mm microfilm aperture cards are color coded for identification
purposes.
Note: For "History" and "Cancelled" aperture cards see Section VII,
Aperture Card Files, paragraphs 4.0 and 6.0.
2.2 Generally, 105 mm "Microfiche Master" is used for master copies, and
105 mm "Microfiche Silver Duplicate" is used for both, duplicate copies
and distribution to field reference files
2.3 Only drawing sizes 'D', 'E', 'J' and 'K' are processed on 105 mm
microfiche using a reduction of 24X. A total of seventy (70) 'D' or 'J' size
or ninety eight (98) 'E' or 'K' size documents can be placed in one
microfiche card.
2.4 The content of each 105 mm microfiche is indicated at the top of the
card. This label is automatically placed on the card during processing
using titles key stroked into the computer data set. See attached
samples.

of the drawing.
a) All 'A', 'B', and 'C' size drawings are sent for 35 mm microfilming..
b) 'D' size drawings are sorted by type and sent for either 35 mm or
105 mm microfilming. Drawing Control Sheets, Instrument Loop
Diagrams, Instrument Installation Schedules, Lighting Panel
Schedules, Cable/Conduit Block Diagrams and Equipment Data
Sheets are usually filmed on 35 mm. Other 'D' size drawings
containing 10 or more drawing sheets are sent for 105 mm.
Single sheet 'D' size drawings are filmed on 35 mm.
2.4 When 35 mm microfilming is required two (2) each original shots are
taken for each Index and Plant Number shown on the drawing. These
two shots are individually mounted on colored aperture cards as follows
(1 set of two cards).
2.5 Diazo copies are made using security aperture cards as the master for:
"Security Back-up" file (pink), "Reference" file (yellow), "Field" files and
ASC file (green).
2.7 For North American Projects, the ASC Information and Image Services is
responsible for preparing the backup set of microfilm prior to repatriating
the originals and for disposing of the film after the originals reach PESO.

3.1 PESO will review all Vendor Drawings for compliance with production
standards prior to microfilming. Improperly prepared drawings will be
noted in the Incoming Log and the original returned to the REO for
corrections or modifications.
3.2 Properly prepared and approved Vendor Drawings will be microfilmed in-
house by PESO or forwarded by PESO to the EXPEC Photolab or to the
Office Services Reproduction Lab for microfilming.
3.3 The microfilming technique to be used depends upon the type and size
of the drawing.
a) All 'A', 'B', and 'C' size drawings are sent for 35 mm microfilming.
b) Sizes 'D' & 'E' in sets of 10 or more sheets per drawing will be
recorded on 105 mm microfiche. 'D' & 'E' size drawings with less
than 10 sheets will be recorded individually on 35 mm film.
3.4 When 35 mm microfilming is required two (2) each original shots are
taken. These two shots are individually mounted on colored aperture
cards. See Paragraph 2.4 of this SECTION.
4.2 Bulk documents that contain a mixture of drawing sizes require special
handling. Generally Vendor Drawings are received this way. As a rule:
b) Any 'A', 'B' and 'C' size drawings contained within the document
set will be removed and replaced by a 8-1/2x11" photocopy of the
title block of the drawing. The original drawing will then be sent
for 35 mm microfilming.
5.1 Upon completion of the Final Design effort, and while the original
drawings are still in the possession of the REO, microfilm copies must be
produced. Any credible micrographic company can do the filming in
accordance with techniques outlined in SECTION V. The film should be
mounted on Blue Aperture Cards and turned over to the construction
agency. The original drawings must be submitted to PESO immediately
following microfilming.
5.2 For LSTK contracts, the Contractor is responsible to produce his own
microfilm aperture cards for use during construction. The original
drawings should be submitted to PESO immediately after making the
field microfilm set for retention during the construction phase.
5.3 For construction packages where the original drawings are currently
residing with PESO, REO obtains aperture cards for the construction
phase through PESO. PESO will produce the construction aperture
cards using the Master Aperture Cards.
5.4 For North American Projects, the ASC Information and Image Services
can produce aperture cards for construction purposes.
5.5 See AEP-122 for the preparation of Project Record Books. These do not
fall under the term "microfilming" as used with this manual.
7.1 Any time an original Engineering or Vendor Drawing is revised the newly
modified and approved product must again be microfilmed in accordance
with these procedures.
7.3 Each time the Master File is updated with a new or revised aperture
card, the superseded card is stamped "FOR HISTORY FILE" and refiled
in the History File area. PESO is responsible for retaining all revisions of
a microfilm or microfiche aperture card.

Aperture cards are kept at numerous file locations throughout Saudi Aramco. These
cards are the approved media for disseminating Engineering and Vendor information.
The cards are color coded depending on the intended end use or ultimate destination.
Refer to SECTIONS V and VI.
PESO shall retain one original Silver Halide APCD for each Engineering and
Vendor Drawing in a Master File. However, if a drawing has a field revision
(alpha) and not yet incorporated into the next full revision (numeric), then both
aperture cards shall be filed together. Only the latest revision is retained. The
file is sorted by the 6 digit Identifying Drawing Number. The Master File is
located in Room E-3560, EOB, Dhahran. Access to this file is restricted to
PESO personnel only.
2.0 Security Aperture Card File (white cards with brown stripe or pink cards)
A backup set of original APCD's is kept by PESO for security purposes. This
duplicate set is retained in the vital vault at the Central Records Facility,

The principle Reference File (Work File) is located in the Engineering Building,
Dhahran. This file contains a copy of each aperture card produced by PESO
and is sorted by Plant/Index/Drawing Number/Sheet Number.

3.1 There are three (3) more Reference Files located in: Udhailiyah
Administration Building, Abqaiq Central Administration Building and Ras
Tanura South Administration Building respectively. These Reference
Files are color coded green.
3.2 Access to the above four (4) Reference Files is limited to Saudi Aramco
personnel, and to Project Management Contractor (PMC) employees
prior submission of the Drawing Copy Authorization System form (DCAS)
duly approved by their Project Manager.
Superseded Master APCD's are retained in a separate History File. The file is
sorted by the 6 digit Identifying Number. The History File is located in the
Engineering Building, Dhahran. Access is restricted to PESO personnel.
Reference APCD's are sent to various locations throughout Saudi Aramco for
use by engineering personnel. See Section V paragraph 1.5 and Section VII
paragraph 3.1. These cards may be Diazo copies or original silver Halide films.
Field Aperture Cards are intended for use on a daily basis. Copyprints can be
obtained from these cards by using an OCE-3600 copier or similar. A listing of
the approved Field Aperture Card Files is maintained by PESO.
DTACS is an internal Saudi Aramco "Drawing Tracking And Control System" designed
specifically for use with Saudi Aramco Engineering and Vendor Drawings.
DCAS is an internal Saudi Aramco "Drawing Copy Authorization System" that controls
the requests for prints of Engineering and Vendor drawings.
b) GC-09 to GC-10 Saudi Aramco employees can sign for obtaining prints/copies of
engineering design/vendor drawings only upon the submission of the letter of
recommendation and duly accomplished DCAS form signed by his Department
Manager.
